WELCOME TO IWADE HERONS F.C. Iwade Herons Football Club is a junior football club based in Iwade, nr. Sittingbourne, Kent offering all young players in the area an opportunity to train and play the beautiful game in a safe environment. Our focus is fun! We were established in 2003 with just 2 junior teams and today have young players enjoying the game ranging from Under 5/6 s fun footballers up to an Under 18 team. Iwade Herons Football Club welcomes applications to join the Club from all youth players from U5 to U18. You don t have to live in Iwade to me a member! The guiding principal of the Club is that the only people that matter are the children on the football field. Each of the age groups we serve benefit structured football coaching and participation in local leagues where appropriate. Currently, our teams play in: * Maidstone Invicta Primary League * Medway Messenger Youth League We are affiliated to the Kent County Football Association & the national F.A. We follow their requirements regarding the safeguarding of children and adhere to the F.A. Respect program for all participants in the game. We function thanks to the hard work and ability of our qualified team managers, team secretaries and our Club committee, all of whom are volunteers. Therefore we also welcome applications from volunteers to assist with the running of the Club. Our volunteers are generally the parents of our players but not exclusively. We welcome help at all levels, from team secretary to linesman to committee member whatever your skill level. We are committed to the long-term health and growth of our Club to allow it to provide the safe environment for local kids to play football within the rules of KCFA and FA. That commitment work both ways. As players, or parents / carers of the players, we expect that you will support your Club committee and your team manager in their decisions at all times and to be a good ambassador for your Club. 1.1 GUIDELINES on PLAYER APPLICATION, MEMBERSHIP, REGISTRATION, POLICIES, The RESPECT Program ATTENDANCE AND DEPARTURE Iwade Herons Football Club has a strict policy on player application, membership & registration in order that we comply with the requirements of the leagues that we play in. The following guidelines describe the membership process and responsibilities Player Application, Membership & Registration * It is normal practise that new players interested in playing for IHFC will be invited along to a few training sessions with the team of their age group without payment or commitment to see if they enjoy the experience and can contribute to the team before being asked to complete an application form * Players then wishing to join a specific team will then be given a membership pack which details how the Club works and will be asked to complete the enclosed application form. * The information from the application forms will be used to register the player with their specific team with the league that they will be playing in. Registration lasts for one annual football season, approx. 01 September to 31 May each year. Re-registration for each new football season * For players continuing with the Club from one season to the next, their registration will automatically lapse at the end of one season and they will be required to go through the application and registration process again with the Club for the following season. This may be done on organised signing-up days in advance of the new season. Club Policies and Procedures * Players and their parents / carers are expected to sign up to all the Clubs policies and procedures as a condition of membership. Player & Parent RESPECT Progam * The Club requires that all players and Parents/Carers sign the Clubs Respect Code of Conducts * The Club s disciplinary guidelines will apply in full to all Players and Parent/Carers with the Club. Player Departure * On rare occasions, players or parent / carers may be asked to leave the Club for disciplinary reasons but this will only occur after full and fair application of the Clubs disciplinary guidelines.

1.1 GUIDELINES on Application (cont.) * The Club realises that players may wish to leave the Club voluntarily for a variety of reasons. The Club will assist players in this task but requests that this is done in a managed way as players have to be formally deregistered from the Club in accordance with league rules. Attendance Players and their parents / carers are responsible for: * Attendance at and transport to/from all team training sessions * Attendance at and transport to/from all team matches whether home or away and whether as a starting player or substitute. * Informing the team manager, coach or secretary if the player is unwell or unable to attend for specific reasons on particular dates. Ideally this should be done at least 24 hours before the training or match event * A record of attendance will be kept by the team manager, coach or secretary regarding all training or match events Poor Attendance Procedure, Leading to Possible Deregistration Should players miss consecutive training or match events and the reasons for this have not been informed to the team manager, coach or secretary then the following procedure will be followed: * The player s parent / carer will receive a call from the team manager, coach or secretary to check that everything is OK with the player and to remind them that they should have been in contact if the player is not available. This call will be recorded in the team records. * If such unannounced absence continues then the team manager, coach or secretary will inform the Club Chairman, Secretary & Welfare Officer of this fact. These Club officers will then contact the parent / carer to discuss the position and request improvement if the deregistration process is not to be invoked. This communication will be detailed in a letter to be sent subsequently to the parent / carer and will be entered into the Clubs formal records * Further unannounced absences by the player which are notified to the committee by the team manager, coach or secretary will require a meeting between the parent / carer plus at least one committee member and at least the team manager to discuss the position with a view to starting the de-registration process. This meeting will be detailed in a letter to the parent / carer and will also enter the Club records. * Deregistration of a player from their Club team is a last resort procedure. However, in the event that a players unannounced absence are impacting negatively on the team, then the parent / carer will be required to sign a Player Deregistration Form and to formally withdraw their playing child from the Club. * Deregistration is not designed as a punishment for the player but rather to allow a more deserving player to take the limited number of places available in each team as permitted by league rules.

1.2 GUIDELINES ON MEMBERSHIP FEES Iwade Herons Football Club levies an annual membership fee on its registered players The following guidelines describe what these fees are for, their current level and how they are collected each year What the Membership Fee Covers The Membership Fee is charged to each player to cover the costs of running the Club for the season. The majority of the Club costs are fixed, whilst some are variable. As examples the top 5 Club costs which are mainly fixed are: * Pitches and Maintenance * Winter Training * Kit and equipment * Awards and Presentation Event The Club anticipates that from the start of the 2016/17 season they will have preferential access and responsibility for the new playing field and pavilion in School Lane, Iwade. This will provide a higher quality experience for Club members but will require additional input and costs which we hope to cover from revenue generated fro the new facility The amount of the fee charged is at the Clubs discretion and is designed to cover the Club s costs as indicated above, with a suitable amount of retained funds to allow for variable costs and emergencies. The fee is intended to cover all the costs a player might face with the exception of their own pair of football boots and travel costs to training and matches. Kit, training and match fees and winter training are encompassed by the membership fee.. Any change to the fee will only be made at the start of a new season. Membership Fee Level for 2016/17 For the 2016/2017 season the level of the membership fee will be: * For squads engaged in league football (U7-U18) : 20 per month = 240 per season per registered player * For squads (and players) not engaged in league football (U5-U6) : 15 per month = 180 per season per registered player We operate a sibling discount. If you have more than one child registered with us, the 2 nd (and any subsequent children) player will receive a 5 per month discount. Payment of the Membership Fee It is the Club s preference that the appropriate fee is paid by the player or their parents / carers by monthly direct debit in 12 equal monthly payments direct to the Club bank account using the players name as a reference. If you are unable/ unwilling to sign up to direct debit we can accept 12 months upfront payment by cash ie 240 or 180 depending on which squad your child is in. No other options will be available next season.

Guidelines on Membership Fees (continued) No Return of Membership Fees The Club regrets that as the costs of running the Club are largely fixed, we cannot offer any refunds on fees especially where the circumstances are beyond the Clubs control, for example: * Cancellation of training or matches due to bad weather * Cancellation of training or matches due to circumstances beyond the Clubs control such as team dissolution or KCFA / FA action. Examination of Club Accounts Any player or their parent / carer can ask to see full details of the Club finances from the Club treasurer at any time. The Club bank accounts are available to be audited by the KCFA/FA at any time.

1.4 RESPECT CODE OF CONDUCT PLAYERS We all have a responsibility to promote high standards of behaviour in the game. This club supports The FA s Respect Programme to ensure football can be enjoyed in a safe, positive environment. Remember your football is a time to develop technical, physical, tactical and social skills. Winning isn t everything. It is important everyone behaves themselves when playing football. As a player, you have a big part to play. That's why The FA and Iwade Herons FC are asking every player to follow a Respect Code of Conduct. When playing football, I will: Always do my best, even if we're losing or the other team is stronger Play fairly - I won't cheat, complain or waste time Never be rude to my team-mates, the other team, the referee, spectators or my coach/team manager Do what the referee/team manager/coach tells me Shake hands with the other team and referee at the end of the game Listen to my coach/team manager and respect what he/she says Talk to someone I trust, for example my parents or the club welfare officer if I'm unhappy about anything at my club. I understand that if I do not follow the code, action may be taken by my club, County FA or The FA, I may: Be required to apologise to my team-mates, the other team, referee or team manager Receive a formal warning from the coach or the club committee Be dropped or substituted Be suspended from training Be required to leave the club. In addition: My club, County FA or The FA may make my parent or carer aware of any infringements of the Code of Conduct The FA/County FA could impose a fine and suspension against my club. 1.5 RESPECT CODE OF CONDUCT PARENTS/CARERS We all have a responsibility to promote high standards of behaviour in the game. This club supports The FA s Respect Programme to ensure football can be enjoyed in a safe, positive environment. Remember children s football is a time for them to develop their technical, physical, tactical and social skills. Winning isn t everything. Play your part and observe The FA s Respect Code of conduct for Spectators and Parents/Carers at all times. I Will : * Remember that children play for FUN. * Applaud effort and good play as well as success. * Always respect the manager s, coaches and match officials decisions. * Remain outside the field of play and within the Designated Spectators Area (where provided) * Let the coach do their job and not confuse the players by telling them what to do. * Encourage the players to respect the manager, coach, opposition, referee and match officials. * Avoid criticising the manager / coach in front of the players; instead making my views known in a calm manner afterwards * Never engage in, or tolerate, offensive, insulting or abusive language or behaviour. I understand that if I do not follow the Code, any/all of the following actions may be taken by my Club, League or The FA : I may be : * Issued with a verbal warning from a club or league official. * Required to meet with the club, league or CFA Welfare Officer * Required to meet with the club committee. * Obliged to undertake an FA education course. * Obliged to leave the match venue by the club. * Requested by the club not to attend future games. * Required to leave the club along with any dependents. In addition : * The FA/County FA could impose a fine and/or suspension on the club. * As part of our commitment to the FA respect programme we would request that all parents take a look at and do the Soccer Parent Course on the FA website. 1.7 PLAYER MEDIA CONSENT FORM As part of our commitment to the issue of safeguarding children, Iwade Herons FC tries to ensure that it has players and parents/carers permission to use all modes of electronic communication to keep players updated and to use any images taken during training or matches for the benefit of the players and the Club as a whole. * The increasing use of SMS messaging, internet base e-mail and social networking sites means that we may use these methods of communication to contact players for convenience and time-saving. * Digital images, photographs or video footage can give pleasure and pride and can enhance children s self-esteem but the Club recognises that some players or parents/carers may not wish their images to be used whether in the Club documentation or in the press when games are reported. Accordingly, to ensure you are happy for these methods of communication to be used and for any images to be used we ask that you complete the slip below and give it to either the manager or secretary of your team. 1.9 PLAYER ACCIDENT OR INJURY Limitation of Club Liability Iwade Herons Football Club is a not-for-profit junior football club organised by volunteers which welcomes all eligible players to join the club and which runs squads of players from U7 s to U18 s. Whilst these squads are covered by Club Insurance (Personal Accident Cover) in case of injury/accident, this cover does not extend to players under the age of 5. Whilst there is a mild risk of injury for all players, the Club and it s members take steps to minimise these risks by informal risk assessments before and during training sessions that include but are not limited to ensuring that : - The equipment we use is in a safe and sound condition. - The areas that we use for training are in good repair. - The clothing and footwear used by the players give them the required level of protection and do not pose a significant risk to other participants. Given the above, the Club is unable to accept liability for any accident or injury which might occur during any training session to any player under the age of 5. Accordingly, if you wish your child to participate in football training with the Club we would ask that you acknowledge the points made in this statement by signing and dating this form below. 1.11 GUIDELINES ON PLAYER OR PARENT / CARER COMPLAINTS In the event that any member feels that he or she has suffered discrimination in any way or that the Club Policies, Rules or Code of Conduct have been broken, they should follow the procedures below: 1. They should report the matter to the Club Secretary or another member of the Committee. 2.1 GUIDELINES ON VOLUNTEER APPLICATION, ACCEPTANCE, POLICIES, The RESPECT Program, DEVELOPMENT & DEPARTURE Iwade Herons Football Club has a strict policy on volunteer application & acceptance in order that we comply with the requirements of the FA, KCFA and safeguarding children. The following guidelines describe the process of recruiting, retaining and deregistering volunteers for either team management / coaching roles or for tea secretary / committee roles. Volunteer Applications & Evaluation * Each submitted Volunteer Application and associated CRB check where appropriate, will be considered formally at the next Club committee meeting. * The committee will evaluate each application on its own merits taking into account the needs of the Club and any 3 rd party information they deem necessary and relevant to the application. * The committee will then approve or decline the applications and reserves the right not to explain the reasons for any application being turned down * Successful volunteers will have their application information held securely by the Club until they leave the service of the Club. Club Policies and Procedures * Successful volunteer applicants will be required to sign up to the appropriate policies and codes of conduct operated by the Club. Volunteer RESPECT Program * The Club requires that all volunteers sign the Clubs Respect Code of Conduct for volunteers * The Club s disciplinary guidelines will apply in full measure to all the volunteers of the Club. Volunteer Development 1. Team Managers and Team Coaches * Each squad of players at the Club must have at least one manager / coach qualified to FA coaching level 1. Therefore, volunteers managing or coaching teams will be required to attend and pass a Level 1 Football Coaching course. The direct cost of this course will be covered by the Club but the time taken to attend the course and any expenses incurred in taking it will be the responsibility of the volunteer.

VOLUNTEER APPLICATION (Continued) * Managers or coaches wishing to progress to a Level 2 Football Coaching course will be encouraged by the Club to do so. However, mindful of the high cost of such courses, the Club needs to protect its investment and therefore the following procedure will apply: - The manager or coach will select an appropriate date and time for the course. - The Club will pay 50% of the course cost and the manager / coach will pay 50% to start the course - After 1 calendar year, the Club will refund 25% of the original course cost to the manager/coach who remains actively managing or coaching with the Club. - After 2 calendar years, the Club will refund the remaining 25% of the original course cost to the manager/coach who remains actively managing or coaching with the Club. - As for the Level 1 course, attendance time and expenses incurred will be the responsibility of the volunteer * Managers and coaches will be expected to attend and keep up to date their qualifications in, for example, first aid and safeguarding children as these expire over time. The direct cost of these courses will be borne by the Club, but not the associated time and expenses. * All the qualifications of the Clubs managers and coaches can be accessed at the KCFA website using the volunteers FAN number. 2. Team Secretaries, & Committee Members * At present there is no requirement for formal training for any of these roles and therefore the Club does not offer courses or expect its volunteers to comply with any particular standard. * However, the Club does require that all volunteers are competent, trustworthy and committed to progressing the aims of the Club in an honest and open manner. Volunteer Departure * On rare occasions, volunteers may be asked to leave the Club for disciplinary reasons but this will only occur after full and fair application of the Clubs disciplinary guidelines. * The Club appreciates that all volunteers give of their time freely and without compensation and therefore can leave at any time of their own volition. All the Club can ask is that the volunteer gives adequate and clear notice of departure so that provisions to find a replacement can be made.

2.5 GUIDELINES FOR TEAM MANAGERS/COACHES ON GOALPOST SAFETY & RISK ASSESSMENT The Football Association, along with the Department for Culture, Media and Sport, the Health and Safety Executive and the British Standards Institution, would like to draw your attention to the following guidelines for the safe use of goalposts. Too many serious injuries and fatalities have occurred in recent years as a result of unsafe or incorrect use of goalposts. Safety is always of paramount importance and everyone in football must play their part to prevent similar incidents occurring in the future. 1. For safety reasons goalposts of any size (including those which are portable and not installed permanently at a pitch or practice field) must always be anchored securely to the ground: a) Portable goalposts must be secured as per the manufacturer s instructions b) Under no circumstances should children or adults be allowed to climb on, swing or play with the structure of the goalposts c) Particular attention is drawn to the fact that if not properly assembled and secured, portable goalposts may overturn d) Regular inspections of goalposts must be carried out to check that they are properly maintained. 2. Portable goalposts should not be left in place after use. They should be dismantled and removed to a place of secure storage. 3. The use of metal cup hooks on goals was banned from the commencement of season 2007/08 and match officials have been instructed not to commence matches where such net fixings are evident for safety reasons. Nets should only be secured by plastic arrowhead hooks, Velcro tapes or plastic clips and not by metal cup hooks. Any metal cup hooks should be removed and replaced. New goalposts should not be purchased if they include metal cup hooks. 4. Goalposts which are home made or which have been altered from their original size or construction must not be used. These have been the cause of a number of deaths and injuries. 5. There is no BS/CEN standard for wooden goals and it is unlikely that wooden goals will pass a load or stability test. The FA recommends that wooden goals should be replaced when necessary with compliant metal, aluminium or plastic goalposts. All wooden goals previously tested by independent consultants have failed strength and stability tests. For reference, you should note that The FA and BSI, in conjunction with the industry, have developed two standards for goalposts - BSEN 748 (2004) and BS 8462 (2005). It is strongly recommended that you ensure that all goals purchased comply with the relevant standard. A Code of Practice BS 8461 has also been completed and copies of all of these three standards are available from the British Standards Institute. Funding for replacement goals is available via the Football Foundation and eligibility criteria and further details can be obtained on their website www.footballfoundation.org.uk

2.7 GUIDELINES FOR TEAM MANAGERS/COACHES ON INCIDENTS / ACCIDENTS Iwade Herons Football Club has a strict policy on incidents or accidents involving players whether at training or at matches Most low level incidents are dealt with my the team managers or coaches as they arise but where matters escalate then it is helpful to record them as soon as possible after the event We divide situations into 2 categories. Category 1 : Accidents and Recordable Incidents Category 2 : Serious Match Incidents Accident reporting should only be recorded if the injured party had to be taken off while playing or training and their parent/carer has been informed/medical emergency services have been called. In order to maintain accurate records please fill in the appropriate form. Please keep the records clear and concise. The following notes may help ACCIDENTS Accidents should be recorded if first aid assessment required, injured party withdrawn from the session and requires formal medical attention. Parent(s) informed and attended or emergency services called. INCIDENTS Incident s should be recorded as one of the following : Minor - Person(s) approached and asked to calm down. 3.0 The FA RESPECT Program : IMPLEMENTATION AT IHFC We all have a responsibility to promote high standards of behaviour in the game. Iwade Herons Football Club supports the FA s Respect Programme to ensure football can be enjoyed in a safe, positive environment. The policy of Iwade Herons Football Club is : Respect Codes of Conduct At registration for each playing season the Club will issue Respect Codes of Conduct to each Player, Parent/Carer and Manager/Coach which they will be required to adhere to during the season. Every Player, Parent/Carer and Manager/Coach will be expected to sign a register to acknowledge that they have received and understood the Codes of Conduct and agree to abide by them during the season. The signed registers will be held by the relevant teams for reference during the season and a copy will be given to the Club Welfare Officer for the Club s central record Respect Programme Home game best practise on match days In order to reinforce the commitment that every individual has made to the Respect Programme, Iwade Herons Football Club will adhere to best practise when setting up the field of play on home game match days as below. 1. Respect Barriers will always be installed before the commencement of each home game. The barrier: * Should be 2 metres away from the touchline where possible and should run the full length of the pitch. * Should be installed even when a white line is provided * Could be configured so that the areas behind the barrier are in 2 sections either side of the half-way line providing areas for home and away supporters. 2. On the side of the pitch with the barrier: * All supporters should remain behind the barrier and not spill beyond its length, or walk/stand behind the goals and should not stand on the opposite side of the pitch from the barrier. * The Iwade Herons FC supporters should lead by example - away supporters should then follow. * The area between the barrier and the touchline should only be occupied by one linesman. 3. On the opposite side of the pitch from the barrier: * Apart from one linesman, only players and managers are permitted to occupy the opposite touchline and they should be sat back away from the touchline whilst waiting substitution on other instruction. Substitutes must be wearing contrasting colour bibs to avoid confusion with current players. 4. The Iwade Herons FC manager/coach should use this policy to explain to his supporters, to the officials and especially to the visiting away team manager that this is how he would like the game area to be.
