SIOE FRENHINOL CYMRU 2013 / 2013 ROYAL WELSH SHOW The Royal Welsh Agricultural Society wishes to thank you for exhibiting at the Show this year. There have been a few changes to the classification and programme; please refer to the schedule. The Society wishes to ensure that all exhibitors enjoy their experience at the Show, so here are a few points which might help alleviate any problems during the event: PLEASE NOTE THE ARRIVAL TIME FOR HORSE HILL Horse exhibitors will only be permitted to arrive from 12.00 noon Saturday, 20 th July. Any exhibitor who arrives from 11.00 am until 12.00 noon will be directed to N2. No holding area will be provided prior to 11.00 am. i) Rules - All exhibitors must be fully cognizant with the Society s rules and regulations. ii) Ticket Allocation - Please refer to regulation 16 in your Livestock schedule for your ticket entitlement. Any additional tickets you require will need to be paid for, these can be ordered by completing the back page. iii) Tickets - It is important that all exhibitors have their tickets with them at all times, this will allow you to enter the appropriate area(s) necessary for you to exhibit.. iv) Duplicate Tickets - No duplicate tickets will be issued if the official allocation has been lost; exhibitors will be charged for any replacements. v) Selling Stables Please note that this practice is prohibited and contravenes Society rules, as it is unfair to those on the waiting list. Transgressors will be barred from booking stables in future. vi) Buying Stables Similarly if you purchase a stable from an exhibitor you may be barred from booking stables in future. Please note that the Livestock Department will not issue vehicle passes to exhibitors who have bought stables by this means. vii) Vehicle Passes Any owner entering six or more horses at the Show will automatically receive two vehicle passes; everyone else will receive one. The Society does not usually issue second vehicle passes and will only do so if a letter stating the reasons for the requirement is submitted with the entries. A Committee will then decide whether the pass is needed and a fee of 25 will be charged (The reason that the Society has to be very strict on its vehicle regulations, is as a result of the stringent health & safety regulations which govern the organising of such gatherings; failure to comply with these rules could result in the Show being closed down). viii) Vehicle Day Pass - Exhibitors should be aware that unless they meet certain criteria (having a caravan pitch, showing/stabling for three or more days) vehicle passes will only be issued for the day(s) of the classes entered. i.e, if you are only showing on the Monday you will receive a Monday vehicle pass. Those who meet the requisite criteria will have an all week vehicle pass. ix) Clamping All vehicles should have, clearly on display, a vehicle pass. Any vehicle not displaying the correct vehicle pass will automatically be clamped for the entire week. A fee may be charged for removing the clamps. x) Vehicle Pass Problems The Society advises all exhibitors to thoroughly plan their journey and vehicle requirements well in advance of the Show. You should be aware that if someone else is taking your animal to the Show for you, they will need the vehicle pass and you will have to park in the public car parks. This also applies to those showing horses for other people, If the person showing the animal has the vehicle pass then the owner will not be eligible for one, and will have to park in the public car park. Please ensure that you are fully aware of the rules and do not hesitate to contact the Livestock Department if you need further advice or guidance. xi) xii) xiii) Late Entries The Society does not accept late entries in view of the fact that the entry opening period is sufficiently adequate for all exhibitors to get their entries in on time. The Society advises that you send your entries in as soon as possible and not to delay posting them until close to the set closing date. Post - Due to the level of entries received, the Society is unable to inform you whether your entry has been received until it has been processed. Therefore you are advised to send your entries by recorded delivery especially if sent close to the closing date. Entries - Please note that no entries will be accepted by fax or e-mail; only posted or delivered entries will be processed.

xiv) xv) xvi) xvii) xviii) xix) Responsibility - The catalogued exhibitor will be held accountable for any misbehaviour by themselves or by any person(s) involved with the handling and preparing of their animals whilst on the Showground. Stables These are in short supply and you may not be successful in acquiring one initially, but you will be placed on a waiting list and the office will do their best to allocate you a stable if and when they become available. Please note the developing Wernfawr stabling site is available as an alternative if you have not been successful in acquiring a stable on site. Caravan No caravan will be admitted onto the Livestock Hill if being towed by a lorry. Parade All exhibitors should be aware that if their exhibit comes in the first three places in a class, it will be required to take part in the parade or the prize money will be forfeited. Please therefore ensure that you have enough handlers to parade all your winning exhibits. The Society will not accept excuses such as I was in a different class with another horse or I could only take one horse into the parade. Registrations & Ownership Please ensure that your exhibit is registered by the closing date of entries, if entering a section which has such requirements. Please ensure that the relevant breed society details have been updated if the horse has been leased or there has been a change of ownership. (This has caused many problems for exhibitors in the past.) The name stated on the front of the entry form must be the legal owner or certified lease holder of all animals entered on your form. Entries Please double check the classes that you have entered before you post your entries, as entries cannot be transferred into another class after the closing date. CYLCH LYTHYR CEFFYLAU EQUINE LETTER Trophy Room Don t forget to make a visit to the Society s Trophy Room situated in the Clwyd Glamorgan Hall. Support Vehicle Passes Due to fire safety regulations, the Society has to limit the number of vehicles on Horse Hill. As a result, the Society is unable to issue a second vehicle pass to exhibitors without good reason. We ask that exhibitors plan their travel arrangements well in advance of the Show and do all possible to avoid the need for two vehicles. The Livestock Officer explains that if you do require a second vehicle pass you must submit a written request outlining the reasons why you require one, along with 25. Entries Not Forward In order to protect the Society by prohibiting individuals entering livestock purely to gain reduced entry fees into the Show, please note the rules for non attendance of stock. A failure by any exhibitor to notify the Society of their absence in writing and return any tickets or passes received may result in action being taken against that exhibitor. Under the terms of the Society s Disciplinary Procedure, any exhibitor who is found to have breached the Society s rules may be barred from exhibiting at future Shows for a period of time. Driving Championship We are delighted to announce that the 2013 Show will see the introduction of a Driving Championship. The Private Driving, Light Trade, Welsh Driving and Hackney and Part-Bred Hackney Sections will be able to compete for the Championship. The Winner will receive 500 and a piece of crystal. It will take place in the Main Ring on Thursday, 25th July. Palomino and Arab Ridden Championships Both the Palomino and Arab Ridden Championships will receive Championship prize money this year. Membership To assist exhibitors, the Membership Officer has compiled an explanation of the eligibility for reduced entry fees depending on the Membership category:- - Single Member Exhibitors are entitled to receive entries at a reduced rate if the entry is in the member s name. - Family Membership All members listed in the family membership are entitled to enter at a reduced rate as individuals. - Life Member Exhibitors are entitled to enter at a reduced rate if the entry is in the member s name. - Life Governor All members listed under the membership are entitled to enter at a reduced rate as individuals. - Junior - Exhibitors are entitled to enter at a reduced rate if the entry is in the member s name. Supreme Horse Championship 2012 saw the introduction of the first ever Supreme Horse Championship at the Show. Due to the success of this, the Society will again be scheduling the Championship. The Champion will receive 500, the Dillwyn Thomas Perpetual Trophy and the Dimbeth Sion Annual Crystal; we hope that we will see a terrific turn out of exhibits again this year states the Chairman of the Livestock Committee. Furthermore, with the introduction of the new Driving Championship, the Champion driving exhibit will be given the opportunity to go forward to represent the Driving Section in the Supreme Horse Championship at this year s Show. Welsh Gelding Section Following on from the tremendous success of the Welsh Gelding section at the 2012 Show, the section s classification has been doubled as follows:- - GELDING, Welsh Mountain Ponies & Welsh Ponies, one, two and three year olds. - GELDING, Welsh Mountain Ponies & Welsh Ponies, four year old and over. - GELDING, Welsh Ponies (Cob Type) & Welsh Cobs, one, two and three year olds. - GELDING, Welsh Ponies (Cob Type) & Welsh Cobs, four year old and over. The classes will be further split if sufficient entries are received. The Society would like to thank all those who supported the classes at the 2012 Show. Insurance checks The Society is keen to ensure that all exhibitors are fully insured in-case an accident occurs during the Show. For this reason we intend to perform insurance spot checks during the entry process. We would therefore ask exhibitors for their co-operation in this matter, as I am sure you all will understand the importance of all exhibitors being adequately insured.
