Hollywood Lakes Golf Club - Introducing the BRS Competition Purse Members have been using the BRS online booking system for many years now and it has proved to be very successful. Following a decision by the Clubs committees it has been decided to implement, on a trial basis, an additional part of the BRS system called the Competition Purse to allow members to pay for competition entry fees. The Competition Purse system will create a separate account for each member for use for competition entry. The member then tops up his or her Purse account as required via the office or Pro Shop. The members account is then used to pay for their competition entry fees. It should be noted that a members Competition Purse must be in credit to allow a member to book a round of golf in competitions with a competition fee where the purse applies. When in use the Competition Purse will be the only payment method accepted for that particular competition. The competition purse system will be introduced for competitions commencing with the competition to be held on Saturday 6 th May 2017. The system operates by marking a member s competition purse for payment when a member enters the competition timesheet. If a member is booking a time for another member then the other member must also be in credit at the time of booking, otherwise the booking for the additional member will not be made. Charges are only applied to a member s competition purse after the competition is completed. Cancellations made by members up to deadline time of the competition will result in no fee being deducted. The key advantages to us as a club are as follows: There will be reduced cash reconciliations and cash handling for the Pro Shop and office staff. It will reduce the number of no shows at competitions. It saves time at competition check in, as member will no longer need to have cash in hand to play a competition. An analysis was carried out on the number of "No Shows" for Saturday and Sunday competitions from May to July 2016. Within this period, the Pro Shop recorded 158 No Shows which averages out at 11 per competition. This period was selected randomly but backed up the view that this has become a problem. We have a responsibility to our members to address this problem and are confident the competition purse will help. The system will come into operation on Friday 28 th April when the timesheet opens for the Club Singles competition due to be held on Saturday 6 th May. Members are able to access their Purse from today to open their account balance. It will be the responsibility of each member to ensure that there are sufficient funds in their account to avoid being unable to book into a competition. The 2 s competition is not included in the Competition Purse. The Pro Shop will continue to collect for the 2 s competition as at present.

The opening balance that a member has to lodge to their account before the 6 th May 2017 is 10. The minimum top up is 10. Amounts (multiples of ten) up to 150 may be topped up. The maximum balance allowed on a purse account will be 150. Members can update their Purse Accounts via the office or with the Pro Shop. The BRS Competition Purse System Frequently Asked Questions (1-212) Q1. What is the timeframe for the Competition Purse at Hollywood Lakes Golf Club? A. The club are introducing the purse system for all club competitions opening for booking from 28 th April 2017. Members are able to access their Purse from today to open their accounts. The minimum amount to open the account is 10. Q2. How can I to top up my Competition Purse account? A. You can call to the Office or the Pro Shop and simply top up your account using cash or debit card/credit cards. Q3. I don t have a debit/credit card so how can I top up my Competition Purse? A. You will be able to use cash to top up your account in the office or with the Pro Shop. Q4. How much can I top up each time? A. You will be able to top up for amounts between 10 and 150 in the office or with the Pro Shop. The maximum balance allowed on a purse balance will be 150. Q5. How do I know how much credit I have in my Competition Purse account? A. When you log into the online booking page you will see your Purse balance on the top of the screen. You can also view a history of all your transactions. Q6. Once I have topped up my competition purse, how do I book into a competition? A. You will book into a competition in exactly the same way as now. The only difference is that the booking will be rejected if there are insufficient funds in your purse to cover the entry fee. Q7. How will I pay my competition entry fee? A. To enter a club competition you will enter your name on the BRS timesheet (as is currently the case). This will mark your account to be debited with the appropriate entry fee. The fee will only be deducted from your account once the competition has been marked as completed by the competition administrator. The competition monies will then be transferred from your account to the designated Club account. Q8. Will I be able to book myself into a Saturday or Sunday competition on-line if I do not have credit in my Competition Purse? A. No. The booking system will automatically reject your booking if you (or someone on your behalf) try and book into a club competition during these times when you have insufficient funds to cover the entry fee. You will however get a message warning you of this and inviting you to top up your account. Q9. Will the office or Pro Shop be able to book me into a competition if I do not have credit in my Competition Purse? A. No. The booking system will automatically reject the booking if the office or Pro Shop try to book you into a club weekend competition when you have insufficient funds to cover the entry fee.
Q10. Will I be able to book my playing partners into a competition if they do not have sufficient funds in their competition purse accounts? A. No. Competitions will be set up to charge the members that are playing so each individual must have sufficient funds to cover the entry fee otherwise the booking will reject the partner that does not have sufficient funds in their account. Q11. If I forget to book online and arrive at the Club to play in a competition can I enter a club weekend competition? A. The Pro Shop will be able to enter you in the competition (subject to a slot being available) provided you have credit in your competition purse. If there are insufficient funds in your account you can top up there and then. Q12. What if I put my name down for a competition and something comes up that means I can t play? A. If you cancel before the closing time for the competition deadline you will not be charged for the competition entry. Anyone who cancels after that will be charged. The competition entry fee may be reimbursed to a member in exceptional circumstances at the discretion of the Ladies or Mens Club Committee. Q13. What happens if I make a booking and forget to play? A. Members who make a booking and do not cancel before the closing time of the competition will have their account debited when the competition is completed. Q14. Is the entry fee deducted from my account at the time of booking? A. No. While you must have funds in your account to make the booking, the entry fee will only be deducted after the competition has been completed. This allows time for members who are unable to play to cancel without being charged and then refunded (subject to cancelling before the competition deadline as previously outlined). Q15. Can I cancel my booking and make another booking for the same competition before the closing time of the competition without being charged. A. You can make as many amendments as you wish before the closing time of the competition and you will only be marked for payment once. Q16. How do I know the entry fee and the closing time of the competition by which I should cancel without being charged for each competition? A. This information will be displayed on the BRS online booking page for each competition. Q17. If a competition is cancelled do I get my money back? A. Monies are only transferred from your Competition Purse account once a competition has been completed. If a competition is cancelled e.g. snow/heavy rain, then no money will be taken from your account. Q18. What is the position of the competition purse monies for a member? A. The purse monies remain the property of the member. The relevant monies are deducted and transferred to the club only after the completion of a competition. The purse monies will be carried forward into a new year.
Q19. What happens if I book for several people? A. If a member makes a booking for several people e.g. three players then the BRS competition purse for each member will be marked for deduction for each Individual member. For example, if a member books himself/herself plus two others into a competition and the competition fee is 5 per player the BRS balance of each of the three members will be marked for deduction of 5. The other members should cancel their booking if they are unable to play. Q20. How will the club be paid the competition fees? A. The competition fees will continue to be managed in the same manner as they are now i.e. by the Mens and Ladies Club Treasurers supported by the Pro Shop and Office. The only difference is that they will be accounting for larger amounts paid less frequently as members Top Up their purse to cover future competitions entry fees. The Treasurers of the Men s and Ladies Clubs will receive a report per competition from the BRS system, which will show the people who entered the competition via BRS and the amount of competition fees received. Q21. Can you provide more technical detail on how the system works? A. The service is provided by BRS who host the timesheet, Competition and Visitor Booking Module on their servers. Members of HLGC continue to access the BRS system via an internet browser.
