Box 942 Groton, MA 01450 Directors and Appointed Positions President It shall be the President's duty to exercise general supervision over the activities and welfare of Crusaders Youth Hockey He/She shall be the primary executive officer of the Association and will administer and implement the will of the Board. When the Board decides on an action that does not fall specifically within the area of responsibility of a Board Member, the President shall assign those tasks to a Board Member or committee of Board Members. It shall be the duty of the President to preside at the monthly Board meetings of Crusaders Youth Hockey and keep order therein; and to call any special meetings he/she deems necessary or when requested by three members of the Board, by an order to the Secretary. The President shall carry one vote, which is to be used in the event of a tie only. Vice President It shall be the duty of the Vice President to assist the President in the administration of his/her duties; and to assume the duties of the President in his/her absence. The Vice President shall be the liaison between Crusaders Youth Hockey and USA Hockey / Massachusetts Hockey, and shall attend meetings as scheduled by USA Hockey / Massachusetts Hockey. The Vice President shall carry one vote. Should the Vice President be chairing a meeting of the Crusaders Youth Hockey due to the absence of the President, and then his/her vote can only be cast in the event of a tie. Secretary The Secretary shall be responsible for maintaining all the official records of this organization. This shall include the recording of minutes of all meetings, maintaining attendance records, and communicating the agenda of such meetings. In addition, the
secretary will be responsible for the posting of said meetings in a manner commensurate with the policies of the Association. This position in conjunction with the Auxiliary Director will also be responsible for the acquisition and coordination of any advertising with the organization shall need. The Secretary shall maintain a meeting agenda and provide each Board member with a copy of the agenda at the beginning of each Board meeting. The agenda should be as follows: Opening of Meeting Reading of the Minutes from the previous meeting President's Report Vice President's Report Treasurers Report Coaches Representative Players Representative Registrar s Report Ice/Equipment Coordinator s Report Auxiliary Director s Report Program Development Director s Report Committee Report Old Business New Business Adjournment The Secretary shall carry one vote at any and all Board meetings. Treasurer The Treasurer shall receive and disburse the funds of Crusaders Youth Hockey. He/She shall keep and preserve proper and definitive records of all Association income and expenses. He/She shall deposit funds of the Association in such banks as may be approved by the Board of Directors, and shall be authorized to approve and pay invoices for normal operation costs. It shall be the duty of the Treasurer to prepare an annual operating budget for the Association and each year prepare a complete and sufficient record of financial accounts for the preceding fiscal year. The Treasurer shall be responsible for the implementation of the Crusaders Youth Hockey s "No Pay-No Play" policy with the help of the Coaching Coordinator and Crusaders Youth Hockey s coaches. The Treasurer shall also be responsible for the filing and maintaining of any applicable federal and state tax records. The Treasurer will process all player releases from Crusaders Youth Hockey and receive all releases from other associations to Crusaders Youth Hockey. The Treasurer will provide the Association check register, complete with duplicate copies of all written checks at each Board Meeting for review by any interested Director, along with a monthly report of income and expenses.
In the absence of a sitting Treasurer or in the case of the Treasurer's inability, for any reason, to complete the above duties it shall become the responsibility of the President to ensure that all above described requirements are met. The Treasurer shall carry one vote at any and all Board meetings Coaching Coordinator The Coaching Coordinator shall be responsible for the overseeing and development of the Association coaching staff in accordance with the stated goals and objectives detailed in Article 2 of these Bylaws, and the principals outlined in the USA HOCKEY Coaching Education Recommended Guidelines. The Coaching Coordinator shall oversee and hold regular meetings with the Crusaders Youth Hockey coaches and report to the Board on those meetings. The Coaching Coordinator shall communicate USA HOCKEY certification requirements to all Crusaders Youth Hockey coaches and ensure all coaches are appropriately certified. The Coaching Coordinator shall be responsible for representing individual coaches in the event of a complaint or concern. If it should become necessary for the Coaches Representative to need representation in any matter, he/she can either represent him/herself or appoint a second for that particular event. This second shall not have a Board vote in any matter not pertaining to this specific event. The Coaching Coordinator shall carry one vote at any and all Board meetings. Player Representative The Players Representative shall be the official liaison between the players/parents of this Association and the Board of Directors. In the event of a dispute that requires intervention by the Board he/she shall be the official representative of the player/parent in the matter. The Players Representative shall be responsible for communication of player rating procedures, as outlined in the policy guide of this Association, to coaches and players/parents. The representative shall be present at the player tryouts to ensure that players' interests properly represented. The Players Representative shall carry one vote at any and all Board meetings. League Representative The League Representative shall be the official liaison of this Association and each youth hockey league in which Crusaders Youth Hockey teams participate. He/She shall be responsible to attend, or send a delegate to attend, the league meetings and will cast votes on behalf of Crusaders Youth Hockey on any matters at the meetings. The League Representative will report to the Board on those meetings. The League Representative will review all league game misconduct penalties with Head Coaches for possible league appeal or further disciplinary action. The League Representative shall carry one vote at any and all Board meetings.
Registrar The duties of the Registrar shall be the collection, care and maintenance of pertinent data for the registration of all Association players and coaches. The Registrar shall make timely reports and data sorting for use by the Board for tryouts, team assignments, coaching assignments, and roster reports to USA Hockey/ Massachusetts Hockey and leagues and other uses as required. The Registrar will control and maintain the USA Hockey database for all active players and coaches. The Registrar is responsible for all team rosters, roster changes, CORI form database, coaching credential database and communications between Crusaders Youth Hockey and the USA Hockey Registrar. The Registrar shall attend, with the Vice President, meetings scheduled by the USA Hockey Registrar. The Registrar will work in conjunction with the Treasurer to make certain that membership fees and/or tuition are collected as prescribed by the Board. The Registrar is responsible to maintain the confidentiality of any data collected from the members. The Registrar shall be responsible for the acquisition and maintenance of insurance, in conjunction with the Treasurer, for this Association and its Board of Directors. The Registrar shall carry one vote at any and all Board meetings. Auxiliary Director The Auxiliary Director shall be responsible for all fund raising activities, including the management of the Crusaders Youth Hockey concession stand and solicitation of team sponsors, of this Association. At the end of the season the Director shall set a target for fund raising for the next season so that the President and Treasurer can begin to estimate the annual assessment which shall be paid by members of the Association. The Auxiliary Director will be responsible for proposing new merchandise opportunities and social events, acting as the liaison with third-party vendors, arranging for season end awards, coordinating and organizing the sales and distribution of Association merchandise, and serving as the Board liaison with Team Managers. The Auxiliary Director shall carry one vote at any and all Board Meetings. Ice/Equipment Coordinator The Ice/Equipment Coordinator shall be responsible for scheduling all ice for practice and shall ensure full utilization of the Crusaders Youth Hockey ice time. He/She will work with rink managers securing ice time to implement the season practice and game plans. The Ice/Equipment Coordinator shall be responsible for the distribution of Association owned equipment at the beginning of a new season, for the collection and storing of Association owned equipment during the off season, keeping track of the condition of that equipment, and the procurement and distribution of supplies, including first aid kits.
The Ice/Equipment Coordinator shall prepare, in conjunction with the Treasurer, a budget including all necessary equipment needs for all divisions for the entire year and supply it for approval to the Board of Directors at an agreed date to be determined by the Board. The Ice/Equipment Coordinator shall carry one vote at any and all Board Meetings. Program Development Director (aka Tournament Director) The Program Development Director shall oversee the recruitment of sponsorship to support the Crusaders Youth Hockey; will direct all tournaments intended as fundraising events for Crusaders Youth Hockey. Tournaments may include, but not be limited to, hockey tournaments. All tournaments and related fundraising events shall be coordinated with the collective efforts of multiple resources (or committees) consisting of Crusaders Youth Hockey volunteers, including by not limited to, the Auxiliary Board. Fundraising events will be guided by budgets prepared for each event. The Program Development Director and the Auxiliary Director shall merge their efforts whenever found necessary. The Program Development Director shall carry one vote at any and all Board Meetings. Mosquito Coordinator (U8 Mites, U6 Mites and LTS) The Mosquito Coordinator, appointed by the Board of Directors, shall oversee all aspects, including registration, scheduling, publicity and on-ice plans, for Crusaders Youth Hockey s Learn to Skate/Learn to Play Hockey program, according to the rules of the Association. The Mosquito Coordinator shall attend Crusaders Youth Hockey Board meetings to report transactions that occur relative to conduct of the Mosquito program. The Mosquito Coordinator shall carry one vote at any and all Board Meetings. Coaches Head Coaches shall be appointed by the Board of Directors. The duties of each Head Coach shall consist of instructing the team members in the basics of skating, ice hockey, good sportsmanship, and team spirit. Each Head Coach shall be responsible for the general management of the team activities. It shall be the responsibility of every head coach to insure that all members assigned to his/her team is treated in accordance with the ideals outlined in Article 2 of the Crusaders Youth Hockey Bylaws. The Head Coach will appoint a Team Manager and up to three Assistant Coaches, and also utilize the talents of team parents and/or guardians as needed and in accordance with USA Hockey rules. Assistant Coaches shall be nominated by the Head Coach and approved by the Board of Directors. Assistant Coaches shall act in accordance with the ideals outlined
in the Crusaders Youth Hockey Bylaws. He/she will act as Head Coach is the absence of the Head Coach. All Coaches shall be patched in accordance with USA Hockey requirements, unless waived by the Board of Directors. Team Managers Team Managers, appointed by the Head Coaches, shall work as the conveyors of information to and from the teams. They shall be responsible only for non-coaching administrative tasks. These tasks should include the collection and distribution of information for, to and from the team. They shall report to and work with their team s Head Coach on a regular basis. Team Managers shall be responsible for or assigning an alternate member of their team, to attend committee meetings called by the Auxiliary Director. Team Managers shall not carry any vote in regard to any matter before the Crusaders Youth Hockey Board.
