Gloucester Dance Festival Conditions of Entry Principals are required to ensure all their parents and guardians (including group dancers) have been made aware of this Festival s Conditions of Entry & Child Protection Policy. Entry is deemed to be an acceptance of these conditions To help you enter Gloucester Dance Festival this information is in three sections THE ENTRY PROCESS The Entry Process Preparing for the Festival At the Festival Closing date - Sunday 15 th July 2018 Classes may close early if over subscribed Late entries will only be considered subject to availability and conditions being met. Age of competitors is from 3 to 19 years, date of birth as on August 31 st in the year of the Festival. Performers are not eligible to enter if attending full time vocational dance schools, or derive the main part of their income from performing or teaching. Entries: A GDF 2018 entry form is required for each individual solo competitor, completed and signed by their parent/guardian having read these conditions of entry and child protection policy. Please check all the details on the entry and payment forms are correct before sending. (make a copy for your own records). Confirmation of your entry and payment will be sent electronically. If not received please contact GDF via email. Eldest dancer denotes the correct class when entering duets, trios/quartets and groups. Eldest dancer only enters and pay in full for duets, trios & quartets to ensure entry into the correct class. Eldest dancer is deemed to be of a different age by year as on 31 st August. If the eldest partner does not have a solo a separate entry and payment form is required. Novice Please use NEW Novice Solo Entry Form. A Novice is a competitor age 7 years & over (as on August 31st) who has never been placed 1 st, 2 nd or 3 rd at any previous festival in any technique at the start of this Festival. A Novice may enter in the Novice solo or the open solo classes, but not both, except for choreography, improvisation, contemporary, modern ballet, modern with acro, song without dance and urban classes. Consult with your dance teacher before entering. The organiser reserves the right to close entries early if the Festival becomes over-subscribed, combine classes when entries are small, divide classes when entries are large and reserves the right to amend or interpret any of these conditions and the itinerary as the occasion may demand in the event of unforeseen circumstances. Programme: a plain SAE (size C5 for A5 programme) will be required for posting, add a standard first or second class stamp. Programmes can be hand delivered to CCDS, JMDS, LVDS & MGTA. Alternatively, collect your pre-paid programme from the GDF reception desk on arrival. Festival Pass 15.00 for adult admission requires a passport size head shot for ID, or email jpeg. Payment to be made in full at time of entry - do not send cash or postal orders via Royal Mail. Bacs: is the preferred method of payment. Ref: your school s initials and competitor s name. Card: card payment form will be shredded after transaction is made. Cheque: made payable to Gloucester Dance Festival competitor s name & school on reverse. Cheques not accepted after Sunday 15 th July 2018. Cheques & card payments will not be presented before Sunday 15 th July 2018. Entry fees will not be refunded in the event of a withdrawal, or the competitor not performing on the day. PREPARATION FOR THE FESTIVAL A proposed schedule is on our website All about GDF. Keep informed via our Gloucester Dance Festival Facebook page for important and useful information including running order and timetable. Additional entries - If you wish to add to your entry form contact GDF via email. Programme amendments - On receipt of your programme (early October) ensure your name is correctly spelt and your dance is entered in the correct class. Notify the organiser by Thursday October 11 th for any amendments to the programme or changes for printing certificates and reports. Please inform the organiser at the earliest opportunity if you are going to withdraw at any time. Music - Competitors provide their own music on a CD with only one track on it which must not exceed the maximum time limit. Label with performer s name. Your CD should be clean in a soft sleeve not a hard plastic case. Ensure it has been written at low speed (x8). CD s copied or written at high speed, repeatedly copied, scratched or dirty may result in skipping or not being read at all. Music for song and song & dance classes must not include and vocals on the backing track. Music for tap classes must not include recorded tap or similar sound effects. Song without Dance:- A song from any show to be performed standing still (centre front stage) without costume or any dance steps. Competitors may use facial expressions and use hands/arms. Titles The title of the performance should be announced by the competitor (centre front stage) in classes for Character, National, Classical Greek and Song without Dance. AT THE FESTIVAL Audience Admission:- All adults 4.00 all day. Cheques and cards are not accepted. No charge for competitors or non-competing children. GDF operates a wristband system (if this is an issue, an alternative to a wristband is available). You are required to wear the wristband, show it to the door steward each time you wish to enter the performance hall and adhere to requests/instructions made. Programme:- 3.50 All times are a guide. This Festival may run early as well as late. Check with the monitor in reception. Competitors should be prepared to compete 30 minutes earlier than timetabled. GDF cannot be held responsible for the audience or competitors missing a performance. Parking:- Park considerately. Do not block access for emergency vehicles, or park in the reserved spaces. On group days you may need to park on the playing fields. Access is from the front car park between the rows of cars. Keep to the right and front. Vehicles are parked at owner s risk. Neither the school nor the Festival accepts responsibility for loss or damage to vehicles or their contents. Competitors entrances (doors open 8.am). From the front car park across grass area on left side of the school, or at the rear via recessed steps, or via gated footpath. On arrival see notice boards, locate your changing room and familiarise yourself with the Festival layout. Foyer and reception area are not to be used for practice as these are public spaces. Check monitor for what s on now. Audience entrance:- From front car park across grass left of the school, or from rear car park via the gated footpath between buildings. To comply with Fire Regulations, fire doors and exits must be kept clear at all times. Smoking (including e-cigarettes) is not permitted on the school s premises. The reception desk is situated near the audience entrance. Check monitor for what s on now. Changing rooms are allocated daily (see notice boards) Access is restricted to female competitors and their female carers only. A changing room is provided for boys with mums, or dads with daughters. From Tuesday a male only changing room is provided for senior boys. Children are not to be left unattended in the changing rooms. Parents/Guardians are responsible at all times for the safety and behaviour of their children, including non performing children, and for the security of their children s belongings. A responsible adult must accompany all performers to the festival if they are under the age of 16 years. Please be very careful with food and drink consumed in the changing rooms and put all rubbish in the bins and bags provided. Do try to keep your room and the surrounding areas clean and tidy. It is advisable to wear footwear in all parts of the school even with the use of stage flooring. Gloucester Dance Festival 2018 Page 4 of 6 Syllabus and Conditions of Entry

Music: place your named CD (single track only) on the music tray labelled for your class outside the performance hall two classes before your own class is due to start. Ensure CD is clean and use a soft sleeve. CD s to be written at x8. Repeatedly copied or written at high speed, scratched or dirty may result in skipping or not being read at all. Have spare CD in performance hall as back-up. After adjudication collect CD from reception next to the monitor. Leave dance number in the next tray. The sound system is provided and played by GDF officials. The volume may be adjusted accordingly and if requested by the adjudicator for classes involving song and tap. Gloucester Dance Festival will not accept liability for any copyright infringement recording or performance rights arising out of any competitor s performance. The performance order is computer generated (excluding Group dances). Competitors are to perform as programmed - changes will be made if the order drawn affects any competitor(s) who may be in a previous or following class. Variation to the programme will only be permitted at the discretion of the organiser as any changes may affect other competitors. Competitors sit on the chairs next to the announcer in number order during adjudication for the previous class to establish attendance. After completing your performance exit the stage, sit on the chairs opposite the announcer. Collect your performance number when returning to the stage for adjudication. Exit stage door right via the wings to the reception area, leave your number in the tray and collect your CD. New competitors and parents are advised to watch a previous class to familiarise themselves. Re-dancing is permitted for 10 years & under and still be placed. Competitors age 11 years and over may re-dance but will not be placed or given a mark. The exception will be for technical reasons, or at the request of the adjudicator. Competitors will not have the option of dancing out of class, or for a mark during break times. The adjudicator and volunteers also need a break!! Pointe work is not permitted for any competitor 12 years & under. The stage wings are strictly out of bounds to all except authorised person(s). An authorised person has been given permission to use the stage door for the sole purpose of assisting a competitor with wardrobe/props and must leave as soon as the performance has finished. Visibility or movement in the wings is not permitted when another performer is on stage. Props: Dangerous or breakable props including water or glitter are not permitted. Erecting or dismantling props should not unduly delay the festival schedule. Props taken on stage by competitor, place against stage right steps. Medium sized props to be placed on stage by another person, place against stage left steps in performance hall at the start of the class and remove afterwards. Large props use stage door left and remove from the wings immediately after the class. The Festival will not accept responsibility for any injuries sustained by competitors using props for their performance. Medals & Certificates: Competitors placed first, second or third will receive the appropriate medal. All competitors will receive a certificate and a report. They will be issued from the administration desk at the rear of the hall to teachers only unless permission has been given. If your principal/teacher is not in attendance, collect from the reception desk please allow 1 hour. At busy times certificates may take longer, or the next day for classes held at the end of the day. Group Medals: Groups placed may purchase the appropriate medals @ 2.00 each. Please nominate a member of your school to collect monies in advance of approaching the organiser. Trophies: perpetual trophies awarded are held for twelve months and must be returned cleaned and in good condition during the following year s Festival. Any engraving is to be done at the winner s own expense and must be in keeping with the existing engraving. The Adjudicator s decision is final and no discussion or correspondence concerning such decisions will be entered into. Communication with the Adjudicator concerning any matters relating to the Festival by competitors, teachers, or other interested parties prior to or during the competition is strictly prohibited. PERFORMANCE HALL Etiquette:- We would be very grateful if parents and competitors would remind their family and friends who may come to support them of the etiquette for this Festival when in and around the performance hall. This is very important for everyone to enjoy the experience. Please do not assume all festivals have the same code of conduct and conditions of entry. Wristbands Everyone entering the performance hall must pay to do so with the exception of Principals, teachers and accompanied children. GDF operates a wristband entry system where you are required to show your wristband worn on your wrist each time you enter the performance hall - if this is an issue an alternative to a wristband is available. Entry to performance hall:- In consideration to all performers GDF door stewards will not permit entry during a performance or adjudication - except when the doors are permanently open for Urban dance. Take the first seat available and move forward as you wish between performances. Do not walk in front of the adjudicator or across the hall whilst a performer is on stage. The audience must be seated and not blocking the aisles. The chairs by the announcer and piano are for the competitors. Whooping and cheering for a performance is only acceptable for Urban Dancing. Classes may be brought forward by a maximum of 30 minutes. This Festival may run early as well as late. The Organiser cannot be held responsible for the audience missing a performance. Food or drink is not permitted by the audience. Plastic bottles & non spill containers are acceptable. Phones:- Please remember to switch off all mobile phones before entering the performance hall. Photography & video recording including on mobile phones is not permitted. Any person reported will be asked to leave the hall immediately and must delete all images. Prams and pushchairs are not permitted in the performance hall on group days. Bags and other items should not obstruct walkways or cause any hazards which could cause injury to others. Wheelchairs:- Ribston Hall High School has excellent wheelchair access to all areas of the school. For the Festival, due to the position of the stage in relation to the classrooms used as changing rooms, wheelchair access to the performance hall is via the main school entrance doors not used by GDF. Please inform us of wheelchair user and we will open these doors for your guest. Exiting is self-operated. For refreshments and reception, access is via the ramp at the rear audience entrance. Refreshments:- Hot & cold refreshments including jacket potatoes & freshly made sandwiches (suggest pre-ordering for lunchtime) are available in the dining area. Please keep all areas clean and tidy and put all your rubbish in the bins provided. Food & drink must not be taken down the steps to the performance hall. Plastic bottles with tops and non-spill drink containers are permited. Insurance:- The Festival is covered by insurance that excludes items of a personal nature. Items such as these remain the responsibility of their owners. The Festival accepts no responsibility for the loss or damage of such items. Volunteers:- All the volunteers give their time freely to help run this Festival. They work very long hours to try and make this a happy, smooth running, successful and enjoyable event for all attending. We do appreciate that sometimes situations can become quite stressful for all concerned. It requires the cooperation of competitors, family members and friends to observe the conditions of entry. Anyone not willing to do so graciously should consider whether this is a Festival for them!! Any complaint or objections relating to the Festival will only be considered if submitted to the organiser in writing via email. Thank you for taking the time to read this information.
