Oregon Robotics Tournament and Outreach Program presents Intel Oregon FIRST LEGO League 2012 Qualifying Tournament December [xx], 2012 [NAME OF SITE] [STREET ADDRESS CITY, STATE] 2 November 2012 Dear FIRST LEGO League Robotics Coach: This letter and other posted documents are intended to help prepare you and your team for our upcoming qualifying tournament. Please read all the information in this packet thoroughly yourself, and read pertinent parts aloud to your team. Also, pass on necessary information to parents and guardians, as indicated throughout these documents. Contact me directly with any questions. Our goal is to provide useful information to make the Qualifying Tournament day run smoothly. There will be between 15 and 22 teams registered for our tournament (this is still being sorted out). Everyone's cooperation is necessary to make this event a success. Veteran Coaches: You are encouraged to review the qualifying tournament letter in its entirety. In this letter look for NEW!!! and IMPORTANT!!! to bring your attention to procedure or policy changes. Veteran Coaches attending a different venue: If you are attending a qualifying tournament at a different venue from last year, you should read the whole letter. Each tournament s logistics vary. Rookie Coaches: We strongly encourage you to read through this letter in its entirety. COMMUNICATION: Most of the communications you will receive from me, your qualifying tournament director, will be by email. Please check your email regularly and respond promptly if requested. If you are not receiving email announcements from ORTOP or me please call me with a correct email address or check your junk or spam filter. COACH/MENTOR and ADULT CONDUCT: Our FIRST LEGO League (FLL) qualifying tournament event expects that you, as coach, and all adults associated with your team will abide by FLL Core values, policies, procedures and standards as stated in the FLL Coaches Promise and agreed upon as part of the Qualifying Tournament application. We aim to produce a fun, organized and fair event for everyone. NEW!!!!! IMPORTANT!!! TEAM INTRODUCTION PAGE- ORTOP version The form has changed this year. There are separate forms for Robot Design Judging, Project Judging and Core Values Judging. Please complete each form and bring them to the tournament. The team will give the appropriate sheet to each judging panel: Robot Design, Project, and Core Values. No need to bring a team intro page to the referee. This form is also available online in the Qualifying Tournament page of the www.ortop.org/fll. This Team Introduction Page should be used instead of the one found on the national FLL website. IMPORTANT!!! FLL CORE VALUES OBSERVATIONS document - FLL Core Values is an extremely important part of the FLL experience. We strongly encourage coaches and mentors to make FLL Core Values a cornerstone of your season: at team meetings, community events and tournaments. The attached FLL Core Values Observations

document includes the FLL Core Values, purpose, team observations, no- touch rule, verbal directives and results. Coaches, mentors, other adults assisting the team and team members need to be aware and understand this policy. This document is also available online in the Coaches News section of the www.ortop.org/fll Note that you in the FLL game documents is defined as the kids (team members). Remember that adult and team member behavior can positively and negatively impact award determination. Overview of Tournament Day 8:00am Team Check- in: Teams arrive at EOU for check- in. Team check- in is in Science Center Atrium (Badgely Hall) just beyond the front doors. Team Check- in OPENS at 7:50 and CLOSES at 8:30 am. All teams are expected to check- in at this time. You will be asked to review the Team Profile and to turn in the FIRST Consent and Release forms. You must turn in a signed FIRST Consent and Release Form for each child and each adult coach or mentor with the team. A copy of the FIRST Consent and Release Form is provided as an attachment to this letter and is available on the Qualifying Tournament Page at www.ortop.org/fll For teams of 6 or less there must be two adults accompanying the team. For teams of 7 10 there must be three adults accompanying your team for supervision. This year your Senior Partner can accompany your team. If you have more than one Senior Partner, you must choose only one to accompany the team. Coach checks in and picks up team check- in folder. All team members put on Participant ID tags, with team #. There can be no more than 10 students on one team. You ll be given a maximum of 10 Team Member ID nametags. Team proceeds to Pit room. Two Coach/Mentor Nametags will be included in your packet. 8:35-8:55am Coaches Meeting: Coach attends the mandatory Coaches Meeting in Badgely 110. Please confirm the location of the meeting when you check- in. In this meeting, we ll review the flow of the day and the tournament rules, and answer your last- minute questions. Your team mentor/asst. coach will be responsible for leading your team from the Pit area to Huber Auditorium for the opening ceremonies. The Coaches Meeting will be over by 8:55 to allow you to rejoin your team in time for the opening ceremonies. 8:45am 9:00am 9:30am All teams proceed to Huber Auditorium for opening ceremonies. Opening Ceremonies: We ll welcome the teams, thank sponsors, and make a few short announcements. Competition begins! Team goes back to Pit area to practice or make adjustments to robot, or watches other teams in the Performance competition. Practice tables will be located in Badgely 142 and will be open by 9:15. If at all possible we will be sending you a detailed activity schedule prior to the tournament so that you know when each of your competition rounds and judging sessions is scheduled. If you do not receive the detailed schedule in advance, your team should be prepared to compete in the first slot of the day. The team pairings schedule will be included in your registration packet. All teams will be on an even footing, in that none will know the competition- pairing schedule until the day of the competition. 2

LOGISTICS FOR TEAM TO MOVE TO PERFORMANCE AND JUDGING AREAS You are responsible to be at the Performance Check- in table in the Gym no more than ten and no less than three minutes prior to your start time. Team reports to the Judging areas at specified times for the Robot Design Judging, Project Judging, and Teamwork Judging. You are responsible to get your team to these judging sessions. No escort will be provided. Plan to report at least five minutes before judging time. Check in with the judge's room assistant upon arrival. Bring a copy of your Team Introduction Page to all competition areas to present to judges/referees. Finally, please make sure that someone is keeping an eye on the clock! The schedules are tight and if a team misses a competition round or judging we cannot rearrange the schedule to provide a second chance. 11:30-1:00pm Find Time for Lunch: Your team should have lunch in their pit area. Please keep the pit areas clean. Bring paper towels and napkins and dispose of trash in the provided receptacles. 2:45pm 3:00pm Competition ends: Your team can move its belongings to vehicles prior to the awards ceremony. Pre- Awards Activities and Awards Ceremony: After Competition is complete, teams go to Huber Auditorium for Pre- Awards Activities and the Awards Ceremony. Additional details will be announced on the day of the tournament. Team goes back to Pit room to retrieve any remaining belongings and leave site. 5:00pm Adjournment (In reality we hope to be finished earlier so that everyone can be on their way before it s very late). THIS SCHEDULE IS SUBJECT TO CHANGE. CHECK TOURNAMENT PROGRAM AND LISTEN FOR UPDATES THROUGHOUT THE DAY. Competition Activities Rubrics for Judging Sessions are on the FIRST LEGO League website: http://firstlegoleague.org/event/judging Your tournament day will consist of four different competition activities: Performance Competition, Project Judging, Robot Design Judging, and Teamwork Judging. You ll receive a schedule at check- in/registration giving exact times for these activities, and if possible by e- mail in advance of the tournament. ROBOT PERFORMANCE COMPETITION (Located in Science Center Atrium) The Performance Competition is the centerpiece of the tournament competitions. For our tournament, there will be one pair of Competition tables. The pair of tables has two 4- by 8- ft. single competition tables positioned next to each other so that the ball racks span the two walls according to the official set- up rules. Be prepared for lighting conditions in the event area that may be different than your meeting space. 3

Two teams play simultaneously at a table pair. Your team will have 5- minutes at the table each time they are up. Your 5- minute time slot will consist of 1 minute to prepare for the match, 2-1/2 minutes for your robot to attempt the Challenge missions, and 1-1/2 minutes to tally results, clean up and move out to make room for the next team. No more than ten, and no fewer than three minutes prior to each of your team's Performance rounds, The team should make its way to the waiting area for the competition. Pit Crew volunteers will assist you in getting into position. The team s robot will be inspected by the referee for allowable parts under the FLL rules. Bring a copy of your Team Introduction Page. Show it to the referee and emcee so your team can be announced. Make sure to retrieve it so you ll have it for the other rounds. Your team will have three scheduled opportunities to run its robot through the Challenge missions. Each time, your robot will have a total of 2 minutes and 30 seconds to complete as many missions as possible. The referee will work with a designated team member; to record the results after your 2 minutes and 30 seconds mission round is complete. It is important that the designed member is ready to record these results on the score sheets provided. The results will be provided to the scorekeeper for the actual score determination, which will be posted at the Science Center atrium. The highest score from your rounds during the day will be counted toward the Robot Performance Award; lower scores will be ignored. Teams must be in the top 55% ranking to be considered for the Champions Award or advancement to the state championship. Only two team members (robot operators) can stay at the Competition table while the robot is attempting missions. All other team members must stay "on the bench" or behind the line prepared to assist in case of an emergency. Team members may cycle through as operators during a match, as long as there are only two at the table at a time. In the performance area teams can only bring items as described in the 4- EQUIPMENT section of the Robot Game - Rules on the national FLL website. IMPORTANT!!!! from Championship Head Referees Jim Settlemyer and Jason George The Qualifying Tournament head referee and referee team at an ORTOP tournament is responsible for ensuring that: The competition/match at a challenge table is refereed according to the rules of the challenge. This includes auditing of the robot and strategic objects brought to the match, ensuring that the challenge rules and mission rules are adhered to, and capturing the result of the match on a score sheet. The competition environment, including the table, the surrounding area, as well as the spectators is managed in a way that is not intrusive or disruptive to the teams at the table. The competition match is executed only by the team members in a manner consistent with FLL and ORTOP objectives. The head referee and match referee will direct that actions/behaviors inconsistent with FLL objectives be stopped. Note to coaches that you in the FLL Robot Game rules is defined as kids (the team members). The above guideline allows/requires the referee or head referee to stop behavior by spectators, coaches, mentors, and others that is judged to be inconsistent with FLL and ORTOP objectives. This would include match related direction to team members from coaches, mentors and non- team members and disruption from non- team members such as spectators or photographers. 4

JUDGING SESSIONS NEW!!! For the Robot Design and Core Values Judging Sessions, teams may invite two adults who are their coaches or mentors plus one Senior Partner into the room to observe. Total of three adults are allowed into the room with the team. If a team has more than one Senior Partner the team must choose and invite only one Senior Partner to their Robot Design and Core Values Judging Session. For the Project Presentation the team may invite parents, teachers, grandparents and all Senior Partners to view their Project Presentation. PROJECT JUDGING (Located in Badgely Hall) IMPORTANT!!!! The Project Judging panel will be made up of 3 judges. This panel will hear the team's presentation on the Senior Solutions Project. Judges will also ask questions about the project. Teams will have no more than 5 minutes to make their presentation followed by up to 5 minutes of answering questions posed by the judging panel. Your Senior Solutions Project presentation to the judges can be simple or elaborate, serious or designed to make people laugh while they learn but to be eligible for project awards at tournaments, it must: Describe the problem, and your team s innovative solution and how your team shared their work on the project with others. To be eligible for Project or Champion s Awards, presentations must include the elements described under Present Your Solution at a Tournament section of the FLL Project Challenge document. Show that your team did the research and tell about your information sources Be shared with someone outside of your team (Note: Presenting your project at the tournament is not considered sharing it with someone outside of your team.) Note: The total length of your project presentation at a tournament qualifier can be no more than five minutes, including any setup time. The kids must do their own set- up, operation and take down; adults are not allowed to help. Teams should bring their project materials to this session but do not need to bring their robot. Tournament venues vary; teams cannot count on whiteboards, or blackboards being available. While we do not encourage the use of projection equipment, a power outlet will be available in the judging room. Teams that wish to plug something in should bring an extension cord that is at least 20 feet long. Please keep in mind that any time used by the team for setting up its presentation will count as part of their 5- minute presentation. Presentations that are solely Press and Play are not allowed this year under the rules. Presentations must include live presenters. Teams will need to be ready to leave at the end of the session, as the next team will be coming in. Project judging rubrics are located at http://firstlegoleague.org/event/judging. Bring the Team Introduction Page for PROJECT to leave with the judge panel. Parents, grandparents and Senior Partners will be allowed to watch their child's team make their project presentations. In addition we encourage you to invite a favorite teacher or principal to observe the table competition and your team s presentation to help spread the word about FIRST LEGO League. You can tell 5

parents to meet at the judging hallway checkpoint 10 minutes before your presentation. They will be escorted to the appropriate judging room. Please advise your parents that the etiquette in the judging rooms is different from that in the performance competition area. All observers must remain quiet and may not coach the team in any way while they are interacting with the judges. Turn off the cell phones. Very young siblings should not enter the project judging room. NEW!!!! ROBOT DESIGN JUDGING (Located in Badgely Hall) The Robot Design Judging panel will be made up of 3 judges. NEW!!!! When teams enter the Robot Design Judging room they will have one minute to give a prepared verbal summary about the strategy, design and programming of their robot. This summary will allow your team to consider in advance the most important information to share with the judges. The specific areas to address are: Explain how the robot moves around the board and describe how the parts work together to make it move How many attachments did your team build for your robot? How many and what type of sensors does your robot use? Did you program the robot using NXT (software with kit) or Robolab? How many programs are stored in the NXT brick? How consistent are the programs (always successful, mostly successful, sometimes successful) How many of the 14 missions can your robot attempt to complete? Are there any features of your robot that you feel are special, different or clever? Finally explain the solution of your favorite mission showing the judges the program and pointing out any specific attachments your robot uses to complete this mission. The above presentation should be completed in about one minute. The robot should then be placed on the table and the mission should be run. Note that the favorite mission will be a single robot run from the base that can in fact attempt one or more of the year s missions. Once the robot finishes that run the judges will then commence with the remaining questioning of the team. For this panel please bring the following items: teams' robot printed copy of team's software programs (Both the Robolab and Mindstorms software packages allow you to print a copy of the programs.) NEW!!!! one copy of your Team Introduction Page for Robot Design You should staple a programming printout of the team s mission demonstrated in the verbal summary to the Team Introduction Page Robot Design judging rubrics are located at http://firstlegoleague.org/event/judging. A maximum of two adults (coaches or mentors) from the team plus one Senior Partner may accompany the team into this judging panel as observers. 6

NEW!!! CORE VALUES JUDGING (Located in Badgely Hall) The Core Values judging panel is comprised of 3 judges. Oregon FLL decided to follow the guidance received from FIRST LEGO League headquarters and change the way Core Values Judging occurs at all qualifying and championship tournaments in Oregon. At all tournaments there will be a 4- minute surprise teamwork activity, then the teams will make a 1- minute presentation about their Core Values Poster they brought with them to Core Values Judging Session, followed by a 5- minute question and answer session with the judges. The format and other requirements for the Core Values poster are on the Qualifying Tournament page at www.ortop.org/fll the team should give the Core Values judging panel their team introduction page which includes a picture of their poster. Your team should make themselves familiar with the Core Values Poster requirements so that that the team members can document activities, ideas and moments during the season that they would like to include on the poster. A maximum of two adults (coaches or mentors) and one Senior Partner may accompany the team into the Core Values interview. Parents will not be allowed to observe the Core Values judging. Core Values judging rubrics are located at http://firstlegoleague.org/event/judging Bring the Team Introduction Page for CORE VALUES to leave with the judge panel. The Pit Area The Pit area will be located in Badgely Hall. Your team will be assigned a table and an electrical outlet in the Pit area. Your check- in packet will contain the exact location of your Pit table. Your table will be marked with your FLL team number. Place all of your belongings under the table. This table is for your exclusive use. Senior Solutions Practice Tables The Pit area will be located Badgely Hall classrooms. Your team will be assigned a Pit table and room and an electrical outlet in the Pit area. Your check- in packet will contain the exact location of your Pit table. Your table will be marked with your FLL team number. Place all of your belongings under the table. This table is for your exclusive use. Challenge practice tables will be set up Badgely Hall 142. Practice tables are scheduled on a first- come, first- served basis. There will be a waiting list at each table. Pit Table Volunteers monitor and control use of the tables. There is a five- minute time limit per turn. If you are not present when it is your turn, you forfeit your opportunity to use the table and must sign up again. The Pit administration table will be a resource for information about Competition scheduling. Awards All of our team members are winners. A participation award will be presented to all team members at the awards ceremony. In addition several teams will receive a trophy and about 30% will be invited to participate in one of the state Championship Tournaments being held on January 19 th and January 20 th, 2013, at Liberty High School in Hillsboro, Oregon. See Awards sheet for more details. Access to the Tournament ID Name Tags Team members, coaches, and mentors will be issued ID tags when the team checks in at the tournament. Only those with badges will be granted access to certain restricted areas during the tournament. 7

Restricted areas at our tournament are the Pit Area and the Robot Design and Core Values Judging Area. Be sure to have your team members wear the badges at all times. Adults to Supervise Participants Teams are required to have at least two adults per team (e.g., yourself and your team s mentor) and three adults for larger teams. If your team is a mixed gender team, please include male and female supervising adults so that they can accompany team members to the rest room. A maximum of three adults will be permitted event nametags to accompany the team. Extra Children We recommend that you do not bring extra children with you. If you have youngsters who are not members of your team and want to attend the tournament, you should have them accompanied by an adult who is attending but not part of your team. Non- team members will not be issued ID nametags. Coaches with Multiple Teams If you have more than one team at this tournament, it s important that you bring an adequate number of adults with you to supervise your teams. The Coach cannot count himself/herself as a supervising adult for more than one team. One coach can coach more than one team but each team must have the required number of dedicate supervising adults. We will try to place your teams Pit tables in close proximity to one another but there are no guarantees. Remember too that your teams will be competing at different times in different places. You should designate someone as coach for each team and you should act as an overseer for all of your teams. Food Sack Lunches You are encouraged to bring lunch from home in order to provide your team with the most flexibility in fitting its lunch time into its schedule with the various events. Parking Any un- restricted university parking lot is fair game for automobiles Bus parking is located at the Community Stadium on Sixth Street. You can unload your team and equipment [in front of the Science Center], but do not leave your vehicle parked there. The driver must remain with each vehicle and move to a parking area upon unloading. Directions to Eastern Oregon University From Interstate 84 take Exit 265 (Island City La Grande). Turn West on Island Blvd and continue past the Adams Street intersection (traffic signal) to a five- way stop at Washington Street. Cross the intersection, bearing right up N Avenue. Turn left on Sixth Street. The university (and Badgely Hall) are at the top of the hill. From Highway 30, turn onto Gekeler Lane. Follow Gekeler past Birnie Park onto C Avenue, then turn right on Sixth Street. EOU is a half mile ahead on the right. Tournament Volunteers You will be able to recognize Tournament Volunteers; they will be wearing special t- shirts. Feel free to ask volunteers for help or information. They are there to make the tournament run smoothly and to help you throughout the day. Fun Stuff We're going to have a great time. There will be an opening ceremony plus Pre- Award activities while the judges are making their final decisions. Your team should consider wearing something fun to identify your team members, i.e. hats, T- Shirts, stickers. their team name or the theme of the event? ORTOP encourages participants to talk and share their experience of the past 8 weeks. FLL CORE VALUES OBSERVATIONS Policy ORTOP TEAM INTRODUCTION PAGE (not the one from the FLL website) PARENT LETTER A letter for you to give to the parent or guardian of each team member. Please make copies and ensure that parents/guardians receive one at least 2 weeks before the tournament. At the same time, you should provide the FIRST Consent & Release Form. FIRST CONSENT & RELEASE FORM 2012-2013 It releases FIRST LEGO League from certain claims and permits the use of photographs/video. Please have the parent/guardian of each team member sign a copy of the form and return it to you prior to the tournament. WE NEED A SIGNED RELEASE FORM FOR EACH OF YOUR TEAM MEMBERS AND EACH COACH AND CHAPERONE ACCOMPANYING THE TEAM. 9
