MEET MANAGER TIME TRIAL GUIDE This guide is geared toward time trials at IE Champ meets. It can be extrapolated for use at other meets. PRIOR TO THE MEET Set up a separate session for Time Trials. If time trials are run on more than one day, setup a separate session for each day. Time trial events will be added to the meet event list and then moved into the time trial session. Obtain current IE athlete roster with USA-S # s from the IES Registrar if athletes not entered in the meet are eligible to enter time trials. AT THE MEET Have time trial signup close 1.5-2 hours before time trials will be swum--- leaving time to verify swimmer registrations, setup time trials in MM/ print heat sheets and distribute heat sheets and timer sheets; and still be able to stay caught up with prelim results. (The referee can allow a late time trial entry.) Have time trial requests submitted to the clerk of the course (if there is one), the admin ref (if there is one), or the referee. Accept entries on Time Trial Entry cards-- an example is attached. Only accept time trials entries from swimmers already entered in the meet. OR, if other USAS swimmers are allowed to enter time trials, collect: 1. The meet surcharge (along with the fee for the event) 2. Swimmer s full legal name, birth date and USAS # 3. Name of swimmer s team Then verify these swimmers are current USAS members using the roster obtained prior to the meet. Entry limit: Swimmers entered in champ meets are limited to 3 individual events for the day. This includes entries for the accompanying champ meet and time trials. Swimmers champ meet entries can be checked directly in Meet Manager champ meet athlete menu. If a swimmer is already entered in 3 events for the day, that swimmer s coach should be notified, the swimmer may scratch an event in order to be able to swim a time trial. On Paper Enter each time trial entry on the appropriate attached worksheet (SCY or LCM). Assign event numbers to events on the worksheet that have entries. For example: at B Champs, the 1 st time trial events would be Event #135 (there are 134 events in B Champs). Keep this. In Meet Manager Add the events that have entries. Note that for each event you will: 1. choose Mixed gender 2. choose Open/Senior Age Group: 3. unclick score event 4. enter the appropriate entry fee 5. click time trial event 6. click pads at both ends if the timing console is set for that and if there are pads at both ends check with the referee on this. Set up the session if you didn t do it yet. Move the events into the session. Enter swimmers into the events. Seed these events. Print heat sheets. Have the referee review the heat sheet. Make changes per the referee s request. The referee may plan to combine heats; to do this you will adjust lane assignments per the referee s request. Re-Print the heat sheet. Mark Heat # s on the heat sheet to reflect events that will be combined (an example is attached) Copy this heat sheet for posting, coaches, officials, announcer and office. Download the event order to the deck console. Distribute lane timer sheets see the attached blank timer sheets specific for time trials After the trials are swum, Get Times from the deck computer you may need to get times by Race Number (using the same race number) for events that were combined and swum as the same heat. Make sure the deck console is not turned off you re not done yet!!! Correct times if needed. Print these results for referee to review. If the referee is satisfied, the deck console can be turned off and results can be printed for posting and permanent record.
