Soccer Club of Guilford Board Meeting Meeting Minutes March 13 th, 2014 Opening: The General Meeting of the SCOG Board was called to order at 7:20 PM on March 13 th, 2014 in the Guilford Community Center by Joe Guerra its President. We have both identified and heard that "soccer" oversight was missing from our In-House Rec and Travel Rec levels. Brett will be tasked with the following responsibilities initially and the board in conjunction with Brett will adjust as needed. In-House Rec roles - Work with In-House Rec directors in the assignment of commissioners, coaches, and construction of teams and leagues - League oversight, 1st contact for In-House problem solving in conjunction with commissioners - View training and games and provide feedback when appropriate - Oversight of any outside vendor working with In-House kids and providing feedback to board and vendor as needed - Be a resource to coaches as it pertains to coaching education - Promote the use of resources for education to coaches - Instill philosophy, as suggested by US Youth Soccer, as it relates to developmental priorities to In-House coaches - Create and maintain consistency in programming and decision making on both sides of the "house" - Work to educate parents that have questions as to why we as a club do what we do - Communicate with club when troubleshooting issues, consult with director of coaching / programming when needed. Travel Rec roles - Assist in the organization of District Travel Rec (Assign coaches, create teams, etc) - Oversee and troubleshoot issues at the District Travel Rec level (first level of support) - Be a resource to coaches as it pertains to coaching education - Promote the use of resources for education to coaches - Instill philosophy, as suggested by US Youth Soccer, as it relates to developmental priorities We are extremely excited about Brett joining the Soccer Club of Guilford as he will in conjunction with DOC, ensure consistency in philosophy, coaching / parent education, and player development throughout the club. 1.4. My tenure within the club has been Web Administrator, Fields Coordinator, Travel Director and most recently Vice President. I was appointed by the SCOG board for all these positions. To best serve the SCOG membership I do believe it best to initiate some new tasks that are overdue 1.4.1. Actively pursue filling the vacant positions of Vice President and Treasurer. 1.4.2. Request from the board permission to receive quotes, interview, hire and engage with an independent auditor to review the SCOG books, bank accounts and payroll. This will require an allocation of funds to be determined after receiving quotes. We will be looking for a member of the SCOG to head this up. This will also ease the transition for anyone thinking about taking on the Treasurers role. 1.4.3. Establish a nominations committee for elections this spring. 1.4.4. Produce and make available at every general meeting the financial statements from the SCOG and the subcommittee Soccerfest. Director of Coaching Josh Krusewski Arranged a CJSA Youth Module license to be offered on March 9 th in Guilford. - Guilford approx. 10 or 11 coaches out of 22 Turf time has been reserved in feb and march for training hoping weather works out, some starting to request Gym time is secure, almost filled except for Leete U19 reg will begin tomorrow (this will be 17, 18, 19 age groups) Winter Player pool went well very good staff Have started to obtain training days, tournaments, cup preferences from all coaches - Tournament apps started - Cup being done also All SCD league submissions are in, deadline is 2/18 Scheduling meeting was 3/2 went well Coachfxlive.com agreement reached for coaching education. Passwords will go out once everyone is in place - Virtual demos - Create your own sessions - Org your own library by age U10 girls adjustments, 3 meetings, latest last evening to look to make it better - Had conversation with SCD to reinforce whether we are doing it right and we are, they acknowledged the inconsistencies around district - Had two evals to make EVEN teams Filled a coaching vacancy at U11 girls level. U5 Program run by SCSU women Competition in SCD, play better friendlies against outside district Director of Recreational Programming Brett Donoghue Time allotted to U6/U7 is 1.5 hours. This double what US Youth Soccer recommends Everson will send session plan before each week s session. We are trying to get more participation from parent coaches Session times will be changed to: U6 8:30 AM 9:45 AM Saturday U7 10:00 AM 11:15 AM Saturday
It will be a 10 week season with no makeup We will ask parent coaches to set up We will send message tocoaches when Leete 3 is moved to Grids In-House Rec Coordinator Boys Meg Malatesta Email sent to all boys U6-10 commissioners to outline coaches meeting. Email contains: Meeting (combined boys and girls) to be held March 20, 8:15pm Quonnipaug room Introduction of Brett, Meg, and Tim. Review season objectives, Brett s role and how he will be there to support coaches with skill building. Commissioners will break up with their respective coaches to finalize team formations, determine practice schedule, and hand out first aid supplies for each team. All commissioners were encouraged to contact coaches to firm up commitments and reach out to others if needed. They are to notify their coaches of 3/20 meeting. Intent is to have all teams formed by 3/22/14. Need list of team players, numbers, who is coaching/assisting, team color, practice time/day by the weekend. We will then work on game schedule with deadline of 3/29. Boys U8 will practice at Adams and/ or Calvin Leete #5 Boys U9/10 will use Chittenden Spoke to Jesse @ Zane s and Dianne @ GSG regarding shirts. Both state that the sooner the better. Dianne thought if we could get all sponsor logos to her by mid March, she could then do the rest of the shirt (names and # s) beginning of micro. Jesse first asked to have all information by this weekend. When told this would be impossible, responded that he would do whatever they had to do to get them by April 4 th for projected start date of the 5 th. Gave Jesse 3/22/14 date and he stated they would get it done. Emailed all volunteer coaches and assist coaches with link to registration page. A few still need to register. In-House Rec Coordinator Girls Tim Paris We have all commissioners for in-house rec. There is a meeting with coaches and commissioners scheduled for one week from today. Team formation: 2.1. Boys U12-2 Teams = 29. 2 Head Coaches, 2 Assistant Coaches and 1 Manager 2.2. Boy U14-1 Team = 25. 1 head Coach and 2 Assistant Coaches 2.3. SCD Scheduling meeting was run on Sunday March 2 nd. League games are scheduled. Both Travel Rec and Travel Comp teams need to add some friendlies. Attended the SCD Spring Scheduling meeting on Sunday, March 2. 1.1. With the willing assistance of our Coaching Director and soccer team representatives the process was incredibly smooth 1.2. All teams had at least one representative that showed which is a great improvement from previous seasons 2. 16 of the 20 coaches have submitted their games into the system. 2.1. Sent out an email to the procrastinators warning that they may lose the fields they reserved due to many requests that have come in for additional reservations 3. Waiting for word from the In-House Rec Coordinators as to when they would prefer training and game sessions 3.1. We have Adams, Leete #5 and Chittenden for training 3.2. We have Adams, Leete #5 (U08), and Chittenden (U09/10) for game play 4. Snow is still an issue on the fields, with few warm days forecasted for March 4.1. Working with CJSA system and the Registrars to upload to the SCOG system the CJSA permanent number so upload of Coaches and Players is easier. League Athletics now allows this. Joe Zizik, CJSA registrar, has encouraged to do this if we can. 5.
