MIDDLE SCHOOL CAMP FAQS 1. WHEN DOES REGISTRATION OPEN? September 15 th at 9:30am EST 2. WHAT ARE THE PRICE INCREASES AND DEADLINES FOR CAMP? Price Increases: September 15 th: Flash Sale: $300 per spot FOR FIRST 2,000 REGISTRANTS ONLY--Last year, the first 2,000 participants were registered within an hour! By flash, we mean FLASH! **$50 deposit per spot due October 14 th in order to confirm spots. The deposit does count towards your total balance and is non-refundable and non-transferable to another group** End of Flash Sale through October 14th: $310 **$50 deposit per spot due October 14th in order to secure spots and the price at which they were registered. The deposit does count towards your total balance and is non-refundable and non transferable to another group** October 15th - January 14th: $315 **$50 deposit per spot due January 14th in order to secure spots and the price at which they were registered. The deposit does count towards your total balance and is non-refundable and non transferable to another group** January 15th - End of Summer: $320 **$50 deposit per spot due ASAP in order to secure spots. The deposit does count towards your total balance and is non-refundable and non transferable to another group** Deadlines: December 15th: Last day to cancel spots with no deposit forfeiture. Any spots cancelled on or before this date will have the deposits already paid go toward their overall balance. Deposits on spots cancelled after this date will be forfeited and not go toward your remaining balance. March 31 st : Final Cancellation Deadline. Each group that sends us a check for their Final Balance will receive a $50 gas card!** 3. WHAT DOES THIS PRICE INCLUDE? The price includes 3 nights of lodging, 8 meals, 5 sessions, and session materials. 4. WHAT ARE THE AGES FOR BIGSTUF? Middle School Camp is for a graduated 5 th grader through a graduated 8 th grader. 5. IS THE PRICE THE SAME FOR YOUTH LEADERS/ADULT VOLUNTEERS AND STUDENTS? Yes, the price for BigStuf Camps is the same for youth leaders/adult volunteers and students. Youth leaders/adult volunteers DO count towards your total number of registrants. 6. ARE SMALL CHILDREN OF YOUTH LEADERS/ADULT VOLUNTEERS ALLOWED AT BIGSTUF CAMPS? Yes, small children of youth leaders/adult volunteers are allowed at BigStuf Camps. Children under age 10 will have a special rate and are not included in the total number of registrants. You will make note of any children on your Rooming Form which is available on your account once you register. Special rates are as follows: No bed space or meals needed: No charge Meals only: $65 Bed space only: $110 Bed space and meals: $175 Children age 10 and older are to be registered at the regular camp price, being included in your total number of registrants. 7. HOW MANY ADULT LEADERS IS MY GROUP REQUIRED TO BRING? We believe you know your students better than we do, so please use your discretion as to how many leaders you need to bring. Each group is responsible for its own students. A good rule of thumb is one leader per ten students or enough leaders to have at least one leader in each hotel room.
8. WHAT WILL OUR ROOMING SITUATION BE? You are responsible to enter your female/male ratio on your Rooming Form that will become available in your account when you register. This ratio should include all students AND leaders. Rooming Forms are due Tuesday, May 24th. *There will be a $100 LATE FEE for any Rooming Forms submitted late. We block each group s rooms based on our discretion. The need of additional rooms for any purpose (i.e. safe sanctuary, extra room for youth pastor and wife, etc.) is subject to availability, and there will be an additional charge of $175 per night. If you require a safe sanctuary room, please inform Lyndsay Wilson at lyndsay@bigstuf.com of this need. *Note: Our hotel rooms sleep 5 to 6 to a room (leaders and/or students). Not all rooms adjoin, nor can we guarantee adjoining rooms. 5 person rooms are laid out as follows: 2 double beds and a sleeper sofa OR 1 king bed, sleeper sofa and roll-away 6 person rooms are laid out as follows: 2 double beds and a set of bunk beds 9. CAN MY GROUP STAY IN THE HOTEL THE NIGHT BEFORE OR THE NIGHT AFTER CAMP, AND WHAT IS THE RATE IF SO? Because camp weeks run back to back, groups cannot stay the night before or the night after Middle School Camp. 10. DOES BIGSTUF PROVIDE OPTIONS OF ROOMS FOR BUS DRIVERS? Yes, rooms can be reserved for bus drivers. We have 1 option for bus driver rooms: Top of the Gulf 8817 Thomas Drive Price: $145 per night for 3 nights *Top of the Gulf has available bus parking. Bus driver rooms are LIMITED so requests for these rooms are to be made on your Bus Driver Form in your account by Friday, May 6th. **BigStuf cannot guarantee bus driver rooms for Bus Driver Forms submitted after the deadline.
11. CAN BIGSTUF ACCOMMODATE STUDENTS AND LEADERS WITH FOOD ALLERGIES? Absolutely! If you need gluten free meals, you are able to specify the number you need and the names of those who need them on your Gluten Free Meal Form located in your account. Gluten Free Meal Forms are due Thursday, June 16th. **BigStuf cannot guarantee gluten free meal options for Gluten Free Meal Forms submitted past the deadline. To get a copy of the camp menu and to discuss possible options, please email lyndsay@bigstuf.com. 12. WHAT IS THE FIRST YEAR TOUR? If this is your first year at camp, we want you to feel confident and prepared to lead your students well during the camp week. Before Youth Leader Orientation, will have a tour of the property that will help you to navigate where you need to be and when throughout the week. 13. WHAT IS LEADER ORIENTATION? It is mandatory for at least one leader from each group to attend Leader Orientation. It will provide you with all of the information you need to know for the week. Even if you have attended camp before, it is extremely important that you are at Leader Orientation as information is updated every year 14. WHAT IS BEACH WORSHIP? You and your students won t want to miss Beach Worship. Before one of the evening sessions, we are able to step out of the Big Room onto the beach and worship without all the lights, cameras and production. Something really powerful happens when we all come together and worship the Creator in His creation! 15. DO YOU HAVE A WAITING LIST FOR CAMPS THAT ARE 100% FULL? Yes, you have the option to be added to a waiting list if the camp you would like to attend is full. We do not require deposits for spots on the waiting list until those spots become available. As they become available, we will contact you to confirm if you would still like the spots. You have 24 hours to verify you in fact still want them, and once you accept the spots, deposits are due immediately in order to secure the spots. *To be added to the waiting list, please email lyndsay@bigstuf.com. 16. DO YOU HAVE ANY PROMOTIONAL MATERIAL FOR CAMP? Yes, we provide a promotional video and other graphics. The 2016 Promo Video and 2015 Highlight Video will be available soon for a free download on our website.
17. WHAT ACTIVITIES ARE AVAILABLE FOR STUDENTS DURING FREE TIME? On site there is the beach, pool, and games such as triple toss, cornhole, spikeball and kanjam. There are also private vendors on the beach who offer Jet Ski rentals and parasailing. There are optional rec tournaments including basketball and beach volleyball. Tournament rules: Basketball: 3-on-3 One team per 30 students Substitutes are allowed Leaders may play on the teams, but you can only have one leader on the court at a time Volleyball: 6-on-6 One team per 30 students Substitutes are allowed Must have at least one girl on the court at a time Leaders may play on the teams, but you can only have one leader on the court at a time **Have your teams together ahead of time so you can sign-up at Check-In, Leader Orientation or immediately following the first session before Small Groups. All teams must sign-up for rec tournaments on night one before Small Groups! Brackets are made about 15 minutes after the first night session ends; so all teams need to be in by that time in order to be eligible to play.** 18. IS THERE A DRESS CODE FOR CAMP? There are always several questions about appropriate attire, and we are aware that some youth leaders have different standards than others. The reason for our dress code is so the focus of camp will not be altered. We want to keep camp with as little distractions as possible. Guys, here are some parameters to follow: Please make sure all attire is modest and appropriate No speedos or anything that semi resembles a speedo Unless at the beach or pool, wear a t-shirt at all times that completely covers the chest and torso No sagging of shorts, pants or swim trunks Girls, here are some parameters to follow: Please make sure all attire is modest and appropriate
One piece bathing suits (no cutouts) OR tankini s that fully cover the stomach (Tankini tops must remain down at all times, if not you will be asked to put on a cover up) Stomach should be covered at all times All shirts and dresses should have a modest neckline Shorts must have at least a 3 inseam Skirts and dresses should keep you fully covered when bending over It is of great importance that church leadership properly guides the focus of camp. If students do not follow dress code, BigStuf staff and interns hold the right to ask students to change into appropriate clothing. Leaders will be contacted if necessary. 19. WHAT DO MY STUDENTS NEED TO BRING? Students need to bring beach towels, sunscreen, water bottles, flip-flops, bathing suit, shorts, t-shirts, Bibles, and journals. Bed linens and bath towels are provided in the hotel rooms. Students may also want to bring extra spending money for snacks, arcade games, and the BigStuf Store (t-shirts, CDs, etc.) 20.
