Wimbledn Ballt T be eligible fr the Wimbledn Ballt Club Draw, members must be BTM members and must als have actively pted-in fr the draw befre February 2018. Ntificatin f pting-in dates and prcess will be sent t all members when the dates are publicized. The mre BTM members the club has, the larger the allcatin f Wimbledn tickets t the club by the LTA. Westfields Tennis Club has been allcated 5 pairs f Wimbledn tickets fr the 2018 champinships. The draw will take place at the club n 7 th April 2018 at 1.00pm. An afternn f tennis and refreshments will fllw the draw and all members are invited t attend. T find ut mre abut the LTA Wimbledn Ballt, please see https://www.lta.rg.uk/majr-events/grandslams/wimbledn/ballts/ Membership Details & Cntacts Privacy Under the terms f the Data Prtectin Act 1998, Westfields Tennis Club will use persnal infrmatin fairly and lawfully, cllect nly the infrmatin necessary fr a specific purpse(s), ensure it is relevant; accurate and up t date; nly hld as much as is necessary; and nly fr as lng as is necessary; allw the subject f the infrmatin t see it n request; and keep it secure. Apart frm The Management Cmmittee members, the club will nt generally publish persnal details r divulge them t ther individual members, unless they have express permissin frm the member t d s. If a member wishes t allw their cntact details t be knwn t ther members, they can infrm the Management Cmmittee, and/r enter them n t the Member Cntacts Register Sheet displayed in the clubhuse. It is the respnsibility f members t ensure their cntact details are up t date and crrect. Visitrs A Full Adult Playing Member may intrduce Temprary Day Visitrs. Befre a Temprary Day Visitr plays, the member intrducing him/her must make an apprpriate entry in the Visitr s Bk and pay the relevant fee: Adult & Student Visitr Fee Junir Visitr Fee 3 per sessin 1 per sessin A day visitr may play n mre than three sessins in any ne year, except with the permissin f a Management Cmmittee member. Curt and Clubhuse Access Lcks & Cdes The Management Cmmittee changes the curts padlck cde each year in the first week f May, and will cmmunicate this new cde by email t all members wh have paid the required subscriptin. In the interests f security, please d nt divulge the curt padlck cde t any persn wh is nt a fully paid member. New members will be prvided with a key. If yu require a replacement key, please cntact a cmmittee member. There will be a charge f 4.00 fr a replacement key. Versin 2 1 01/04/17

The last key hlder t leave the club at any time is respnsible fr ensuring that the drs and windws are bth secured and lcked. Use f Tennis Curts In rder t maintain gd relatins with the club s neighburs, members are nt permitted t play n the curts befre 9.00 am Mnday t Saturday and befre 10.00 am n Sundays. Members are requested t keep nise levels t a minimum. Members shuld nt attempt t retrieve tennis balls frm surrunding residential gardens unless they have the express permissin f the resident. After using a curt, members shuld always unwind and slacken the net at the net pst. Please ensure curt padlcks are in place t secure bth curts. Curt Bking Members can reserve a curt by psting a curt reservatin ntice n the windw f the clubhuse. The reservatin ntices are lcated in the chest f drawers in the clubhuse. Please nte that bkings must be made at least 24hrs befre the event, and Members cannt bk a curt fr lnger than tw hurs n any day. Bkings must nt cnflict with ther pre-bked times r restrictins stated elsewhere in this guide (eg Grup Club Sessins). Fr cmpetitin matches eg Vale f Mwbray, curts will be bked fr mre than 2 hurs. Ntice f these matches will be psted in the clubhuse. The curts can be reserved utside f club sessins fr team practice, match r turnament play at the discretin f the cmmittee. Turn Up and Play If the curts are nt reserved either fr club sessins r by members r caches, then the use f curts perates n a turn up and play basis. It is expected that members will c-perate with ne anther regarding fair play but as a guideline, if yu are using a curt and anther member turns up t play, yu shuld finish yur current match and then vacate the curt. There is n differential between adults and junirs. Yu shuld cmmunicate an estimated time t the waiting party. Weekly Grup Club Sessins The table belw shws the times allcated t Adult r Junir Grup Club Sessins. The designated grup has pririty curt use at these times, althugh ther members can use the curts if nt in use by the grup. We wuld encurage all new members t attend these club sessins and intrduce themselves as a new member. New members will be warmly welcmed t Westfields Tennis Club, intrduced t existing club members and infrmed f club sessin prtcl. This grup currently meets nce a week n a Thursday mrning at 10.00am but this time is subject t change. If yu wish t jin in, please email westfieldstenniscub@htmail.c.uk. Club Tennis Balls The tennis balls purchased by the club are used slely fr club sessins, matches and turnaments. The balls are stred in the lcker in the clubhuse. Nminated padlck hlders wh can access the balls in the lcker are Anne Brenkley, Anne Flecchia, Phil Leahy, Rb Hutchisn, Sue Lussey and all cmmittee members. Members requiring balls fr matches r turnaments shuld cntact a cmmittee member well in advance f these events t avid disappintment. Versin 2 2 01/04/17

Maintenance f Clubhuse and Curts Member supprt is an imprtant part f cleaning and maintaining the clubhuse and curts. Vlunteer Rta ntices are psted n the ntice bard in the clubhuse. All help is welcmed and we wuld particularly appreciate help with cleaning and clubhuse painting and decrating. Members shuld reprt any cncerns r issues t a member f the cmmittee. Curt sweeping is als vital t the maintenance and safety f the curts. The curts shuld be swept weekly preferably befre club play n a Tuesday mrning. If the curts cannt be swept n a Tuesday mrning due t inclement weather, then they shuld be swept befre the fllwing club sessin. 4 brushes are stred in the lean-t shed fr this purpse and it is advised that 4 members participate in the sweeping. A ntice detailing dates f sweeping is n the clubhuse ntice bard. The tennis curts will be re-surfaced, re-painted and deep cleaned as required at the discretin f the Management Cmmittee fr the benefit and safety f its members. Deep cleaning is kept t a minimum t prlng the life f the surface, which will als minimise running csts. Members shuld respect club prperty at all times, including switching ff lights and electrical appliances when nt in use. Caching The club currently ffers prfessinal caching prvisin t all members. Individual r small grup caching is currently prvided by Phil Wylie (an LTA qualified level 4 perfrmance cach). Phil can be cntacted directly n 07912 645 071 and individual caching arrangements can be made t suit, n the strict prvis that they fit in with any curt pre-bking arrangements as stated in this Guide. Curts fr caching must be bked in advance as per standard curt bking guidelines and displayed in the clubhuse windw. Phil is predminantly available t cach at the fllwing times frm April t September 2018 inclusive. Sunday Mnday Day times during the main summer hlidays 4.00 7.00pm 5.00 8.00pm Phil s caching is available t nn-members wh will be treated as day visitrs. He may cach members r visitrs up t n mre than 3 hurs n any 1 day. Visitrs may nly attend 3 caching sessins per year. Caching cannt take place during weekly grup club sessins unless the Management Cmmittee has agreed t this. Only ne curt at a time can be used fr caching. Larger grup caching is prvided frm time t time by Geff Thmas (Level 3 Perfrmance Cach) and will be advertised in advance t all members. Any member interested in attending this shuld cntact Sue Lussey n 01748 811012. We are currently trying t increase ur caching prvisin with a view t ffering grup caching fr junir members. Intrductin t Tennis Frm May t September there will be a mnthly sessin available t members wh are new t the game. These sessins will cver: Rules Strkes Scring Psitining Etiquette Turnaments and Cmpetitins We are inviting members t put their names frward t participate in matches during the year which are bth fun and challenging. We are nt in a psitin t enter leagues (with the exceptin f the Vale f Mwbray) as league play requires a minimum f 3 curts. We d ffer cmpetitive play within the club and in friendly matches with ther lcal clubs Members wishing t play in these Leagues/cmpetitins shuld cntact Jan Curran r Graham Berry t register their interest. Vale f Mwbray The Vale f Mwbray League is a men's dubles cmpetitin fr teams in the area. Each team cnsists f tw pairs. The number f teams can vary but is usually arund 7 r 8. Sme f the bigger clubs, such as Ripn, enter tw teams in sme seasns. The Westfields team is selected by the team captain. This year, that is Jhn Dickinsn. The team is selected frm the club's strngest players, reflecting the high standard f the league. Apart frm Westfields, all f the players in the ther teams cmpete in the Harrgate League, sme in the higher divisins. Matches nrmally begin in May and g thrugh until July. Each team plays nce against the ther teams, with the venue alternating yearly between Hme and Away matches. The tp 4 teams then play a semi-final and, if they win that, a final. Tw years ag, Westfields beat Ripn A in the semi-final but the final against West Tanfield was nt able t be played. Last year, Westfields lst in the semi-final t Brughbridge. Friendly Matches with Lcal clubs TBA This infrmatin will be updated in this Members Guide, psted n the Club Ntice Bard and n the Club Website. Mixed Singles Ladder Cmpetitin This year we will be running a mixed singles ladder cmpetitin which will cmmence n April 15th and clse at the end f August. If successful, a further ladder will begin frm the 1st September. Members shuld register and give a cntact number and email n the sheet n the clubhuse ntice bard. Please see ur website fr further infrmatin r cntact Jhn and J Llyd n speak2jhnllyd@gmail.cm Pre-Wimbledn Mixed Dubles Turnament This will take place n Saturday 30 th June at 1.00pm at the club. There will be a mixed draw t encurage and integrate players f all abilities. This is a fun ccasin where members can get t knw ne anther and enjy the day. Pimms and Strawberries & Cream will be prvided. Club Champinships Dates fr the fllwing cmpetitins are still t be decided. This members guide will be updated asap and inf psted n the clubhuse ntice bard as well as the club website and Facebk page. Ladies Singles Men s Singles Ladies Dubles Men s Dubles Mixed Dubles Finals Day. Any Members wishing t take part in club turnaments shuld enter their names nt the turnament lists in the clubhuse at least ne week befre the relevant turnament date. The draw fr turnaments will be made by Jan Curran/Graham Berry at the end f Saturday tennis ne week befre the relevant turnament date. New fr mixed dubles this year, members wh are interested in playing will be divided in 2 lists, seeded and nn-seeded. Pairings will be determined by drawing ne player frm the seeded list and ne frm the nn-seeded list. Tennis balls will be prvided by the club. Jan Curran/Graham Berry will rganise playing times fr any matches n the relevant days and put these up n the Ntice Bard. This will allw sme flexibility fr thse nt able t play at 10.00 a.m. but all wh sign up will need t be available t play at sme pint n the relevant day(s). On each relevant day, matches will take place t determine the finalists. In sme cases, therefre, players may need t play mre than ne match n ne day. If there are nly tw entrants fr any cmpetitin, the entrants will play n the Finals day(s). Finals shuld be played n the Finals Day wherever pssible. Rules fr the cnduct f the Club Turnaments and Cmpetitins are decided by the Management Cmmittee and will be psted n the club website and ntice bard. The 2018 cmpetitins and events are rganised by Jan Curran and Graham Berry. Rules fr matches, including entry fee, will be psted with the entry sheets. Versin 3 4 01/04/18

Scial Events Westfields Tennis Club is a friendly, sciable club and varius fun events and get tgethers are rganized thrughut the year. Please reprt any area f cncern t a cmmittee member. Members and guests are expected t wear suitable, safe clthing and t wear apprpriate tennis shes when using the curts. If a member injures themselves whilst n club premises, the first aid bag can be fund n the ntice bard in the clubhuse. All injuries shuld be nted immediately and prperly recrded as laid ut in the injuries and accidents bk lcated n the table in the clubhuse. Please nte that this prcedure is a strict requirement f the Club s Insurers. In the event f injury, please infrm a member f the cmmittee by telephne r at westfieldstennisclub@htmail.cm s that the cmmittee can fllw up n the welfare f the member and als replenish the first aid bx. Cmmn sense shuld be applied regarding n-ging risk assessment and the fllwing D s and Dn t s Ntice will be displayed n the Club Ntice Bard. Safeguarding & Welfare f Children and Vulnerable Adults We take the safeguarding and welfare f ur members seriusly and perate in accrd with LTA guidelines. As such, several members f the cmmittee have signed up t cmplete an LTA Safeguarding Level 1 curse in June 2018, after which we will update ur plicies and appint a Welfare Officer fr the club. Our current plicy is belw: WTC Plicy 1. Safeguarding and welfare f child members (under 18) and vulnerable adult members (a member ver 18yrs wh may be unable t prtect themselves by reasn f disability, age r illness) is the jint respnsibility f all members f WTC, in particular the Management Cmmittee as well as the parents/guardians/carers f said children and vulnerable adult members.
