GENERAL MEETING MINUTES March 26, 2017, 2:45 P.M. Robert Reichle s Home Attendance: 11 Meeting was called to order at 3:15 p.m. with the Pledge of Allegiance. Secretary s Report: The minutes of the January 22, 2017 meeting were read. The following corrections were made: under Mystery Caravan the year was corrected to 2017; under Lessons Robert s name was changed to Mark Laurence as the person who would draw up the contract for Scott. The minutes were approved as corrected. Treasurer s Report: A copy of the Treasurer s report provided at the meeting is included at the end of these minutes. The current balance as of March 24, 2017 is $13,425.36. Of that amount, there is $5,201.56 in the mystery caravan fund. The Misc. Income amount of $12 will be moved to the appropriate Expense category and will appear as a negative amount since it was a refund of overpaid Council dues. If anyone has bills please submit them to Joyce as soon as possible. The treasurer s report was approved as corrected. COMMITTEE Purchasing Scrapbook Sunshine Telephone Web Page Spring 2018 Council Dance June 2017 May 2018 VOLUNTEER Steve Probstfeld Pauline Heesacker Larry Heesacker JoAnn Becker / Robert Reichle / Joyce Sworen Joyce Sworen Council Delegate Leslie Keyes still has tickets for the Spring Council Dance which will be held on Saturday, April 29, 2017 from 7:00 10:00 pm at the Stanwood Middle School. The theme will be Dancing Through the Decades. The callers will be the BC Boys Brent Mawdsley, Ray Brendzy and Steve Edlund. The cuer will be Heather Wallace Reynolds. Flyers with all the information will be on the table downstairs at our upcoming dances. Advance Purchase Tickets are $8 each for adults. Campout (July 21-23, 2017) The deposit has been made and everything is running along fine. Jeff Held will keep us updated in future Campout specific emails. Caravan Coordinator Carol Hammer reported we had 11 members attend the caravan to Stanwood Sashayers on 4/25. She reminded everyone about the date change for the caravan to Rainbow Squares. It is now scheduled for Saturday, April 22. There will once again be the option for members to stay 2 nights at the Birch Bay condos on this caravan. Please contact Terry and Roberta Bustamante if you are interested in making reservations for a condo. Caravan Outfits Vira Laurence reported that some outfits have been donated back to the club. She has also made some new kits. If you need a caravan outfit or kit please contact Vira. Caravan Banners Carol Hammer reported that we are currently out of caravan banners. There are banner exchanging guidelines located on the Mt. Baker Council website. Those guidelines suggest only giving banners out to official caravans with 8 or more dancers present. President Robert said he would do this in the future instead of giving them to every club who has more than 8 dancers present. Vira has made some of the banners in the past with scrap material from the dress kits she makes. She still has scraps but needs someone to do the embroidery work on the banners. Robert and JoAnn will see if the embroidery is something they can do with their embroidery machines. It was suggested that we try to collect back any extra banners that may be at any of the clubs who have multiples. Decorations The club s anniversary dance is coming up the 2nd dance in April (28th). It was decided we should have a 1/2 sheet cake at the break for this dance. Club Directory Joyce Sworen contacted Warren Funnell recently and discussed handing off the creation of the electronic files of the directory to Leslie Keyes & Joyce for next year. He will provide copies of the files from the current dance year to Joyce or Leslie at one of our upcoming dances. He is still willing to print the directories if he still has his business at that time. Action - As a back-up to Warren printing, Robert Reichle will contact both Costco Business Center and Staples to get a cost estimate based on this year s directory. Leslie Keyes will get a cost estimate from Office Depot. Lessons Update JoAnn Becker provided the following report: We have 12 fulltime students at this point and there are 5 weeks remaining if we can catch up. We had 4 squares last week (3/21). Thanks to the angels who really make a difference! Tentative graduation will be May 2nd. Members please attend in caravan attire. 2

Would like to set up sponsors for graduation dance on May 26th. Sponsor meets student at graduation on May 2nd. Mystery Caravan Peggy and Mike Corning provided the below report which JoAnn Becker read: The Mystery Caravan was held March 18-19th. 35 members attended including Phyllis & Dean Call who met us at lunch. We headed to Tacoma first; Spaghetti Factory for lunch, then choice of activities Chihuly Glass Museum, Washington State History Museum, or LeMays Car Museum. We stayed at Port Orchard Days Inn and had dinner at Shari s across the street. Continental breakfast was included with room. We went to the Kitsap Dance Center in Gorst and danced with the Paws and Taws. They had lots of finger foods, a cake for us, and their experienced clothing sale. Overall, the trip had lots of food, prizes and fun. Total cost was $4,236.85. Footnotes Here is the link to the electronic Footnotes publication. Leslie Keyes has been submitting a short club report for inclusion in this online publication. We will need a new volunteer to take this on for the 2017-18 dance season. Newsletter No report. Nominating Committee Joyce Sworen provided the slate of officers for 2017-18. President Robert Reichle Co-Vice Presidents Terrie Gray & Charlotte Wixon Treasurer JoAnn Becker Secretary Leslie Keyes Vira Laurence made a motion to unanimously elect the slate of officers as presented. The motion was seconded by Gene Funk. The motion passed. Picnic 2017 The below report was read by JoAnn Becker. The picnic will be held at the clubhouse in the mobile home park where Mike & Peggy Corning live. DATE: Saturday, August 12, 2017 TIME: Noon to 4 or 5pm WHERE: Mariner Village Clubhouse, 815 124th St SW, Everett 98208 Club provides meat. Members bring salads, desserts, etc. Indoor area as well as outdoor area to play games, if weather permits Put the date on your calendar. More information to follow. Scrapbook The club will need a new volunteer to take over this position. Jean & Harold Hughes will not be dancing after this year. D&D Website JoAnn Becker will provide some training to Robert Reichle and Joyce Sworen so there is more than one person who will know how to do this in the future. Spring 2018 Council Dance Joyce Sworen reported she has signed contracts in place for the callers and cuer (Scott Coon, Steve Noseck and Debbie Taylor). She is still looking at options for a place to hold the dance, and is hoping it will be in the Mukilteo/South Everett area. OLD BUSINESS There was no old business. 3

NEW BUSINESS Robert asked about the dangles the club hands out to visitors who travel a great distance to our dances. The treasurer has a supply of them and usually hands the visitor one when they pay their dance fee. He would like to announce them at the break. Robert has a box of files that were transferred to him as President. Much of the information is historical and he would like people to review and let him know if it should be kept or can be disposed of. It was proposed that some of the information may be good to transfer to the Heritage Center in Spokane. Action: Robert will contact Ellen Ostrom, Mt. Baker Council Hertiage Center Rep (ellenostrom@gmail.com) to see if she thinks the information should be kept for historical purposes. Experienced Clothing - The Heesackers need someone to transport the experienced Clothing to and from the sale. They are willing to continue to store it and set up and sell. They could also use some help setting up and tearing down the clothing prior to and after the sale. To-Do List: Action - As a back-up to Warren printing the directories next year, Robert Reichle will contact both Costco Business Center and Staples to get a cost estimate based on this year s directory. Leslie Keyes will get a cost estimate from Office Depot. Action: Vira Laurence will send an email to the club members with address and directions to the May 17th potluck/meeting. Next Meeting The General Meeting on April 30th has been changed to Wednesday, May 17th at the home of Mark & Vira Laurence. There will be a Potluck at 6 PM to meet the newer members of our club and the incoming officers for the 2017-2018 dance year. There will also be a short general meeting after the potluck. Action: Vira Laurence will create an email for the club members with address and directions and will forward it to JoAnn Becker for distribution via the Dudes&Dolls Google list.
