PLYMSTOCK ROAD RUNNERS Minutes of the 29 th Annual General Meeting 23rd February 2017 St. Margaret Mary s Church Hall, Quarry Park Road, Plymstock, Plymouth. 3. Election of Officers: Chairman: Steve Whitney took the chair. Steve Leonard was proposed by Steve Rose, seconded by Alan Jones. Carried. Treasurer: Steve Whitney is stepping down as treasurer. Linda Worsfold agreed to stand. Proposed by Dave Dane, seconded by Kate Aspinall. Carried. Secretary: David Oliver. Proposed by Mike Greaves seconded by Jill Rose. Carried. 4. Minutes of the last AGM: Minutes of the 2016 AGM were accepted as a true and accurate record. Proposed by Dave Dane. Seconded by Alan Jones. Carried. 5. Treasurer s report: Steve Whitney is standing down as treasurer as he will be pursuing his enjoyment of travelling. Accounts are in good order, loses for the year were as budgeted and in fact slightly less. Steve advised that a fee rise may be necessary to ensure a safety net for the account should number not be sufficient or the Muddy Duck has insufficient numbers. The fee rise to be discussed as item 9. under a proposal to increase fees and fund members to enter the Ivybridge 10k. Steve reported that there is around 400 in the Muddy Duck account that we would like to give to a charity and repeated the request made during the year for suggestions from the club. Jill Rose proposed giving 200 to a local school boy, Oliver, who is currently undergoing bone marrow transplant. Donations to his appeal may be needed to fund further bone marrow transplants for him in the future, but if not necessary would be given to CLIC. Proposed by Dave King and carried. 6. Secretary s report: David Oliver gave no report. 7. Junior Club Report: Dave Dane reported that at the start of the year Juniors only had 15-16 members and so were unable to enter the Devon Sports Hall Competition. However numbers have increased to a healthy 36. Unfortunately we have lost some coaches, but has been grateful for senior club members who have volunteered to help, that being Steve Maffey, Mark Bricknell and Paul Sobey. He appealed for more seniors to help or become coaches. Dave encourages the older Juniors to enter 5k races and to attend Senior Club Monday night training sessions. 8. Chairman s report: See Steve Leonard s report below. 9. Club Fees: The motion was constructively discussed by the floor, but members not keen to raise fees. Paying for entries to the Ivybridge 10k would only benefit the few and rather save that money and not raise fees. Motion was not carried and fees will remain at 20. 10. Ivybridge 10k: As stated on previous item it was generally felt that paying for the Ivybridge 10k would only benefit the few. Attending runs like the Park Run and the Saltram 10k and handing out leaflets was considered a better means of making PRR visible to prospective members. It was also suggested that we should marshal more Park Runs. 11. Coffee Mornings: The coffee mornings have been successful and it was felt worthwhile continuing with them. Whether club pays for the coffee will depend on available funds, but suggested that there wa no reason why those attending shouldn t buy their own coffee. 12. 30 years of PRR: Possible events to mark the club s 30 th anniversary were discussed. However post meeting it was pointed out that the anniversary is 2018 so these suggestions may well be built on for that date. 13. Life Member Award: Tony Haisman was proposed for this award for his long service to the club. Motion carried. 14. AOB. Members were requested to pay their subs by BACS if possible please. 15. Date of next AGM: 22 nd February 2018. 1

Chairman s report Firstly, I would like to thank the committee for all their efforts during the last 12 months, I especially would to thank Steve Whitney for his work as treasurer over the last few years, not an easy task but appreciated none the less. 2016 got off to a great start with the launch of our new club kit, its new design standing out from other club runners whilst competing in events. Along with the kit we have also updated the club logo making it easier to apply to fabric, with a bolder styled font and emblem. Also new to 2016/17 we saw the introduction of the coffee morning runs; these have proved to be a popular event, a great opportunity for all members regardless of ability to partake in a club event. Our FB page is still being regularly used, although as not as much as I would have liked but currently with 169 members it s not doing too badly. We ve also re addressed the structure of the committee within PRR reducing the number of sub committees to 3, these are now finance, internal, and muddy duck with all of the sub committees reporting to the full committee at given times throughout the year. In March 2016, in an effort to promote the club and raise awareness of the forthcoming muddy duck race in July, we helped marshal the Plympton park run; we managed to virtually double up on all the marshal positions around the 5k route as well as causing chaos around the coffee van waiting for the 20 or so drinks to be poured. Many thanks again to all that helped that day So in July we held our very own muddy duck race, this year s event attracted 151 senior runners and 78 fun runners and the event again proved to be very popular. Events like the muddy duck cannot be put on by just a handful of people and Judging from all the positive feedback that we had not only from the competitors on the day but also from the other club s representatives all praising the marshals and the way that the event was organised, something that you all should be proud of. 2016/ 2017 sees our 30 th anniversary year so if you have any ideas on how you would like to celebrate the occasion then please let your committee know either directly or by the suggestion box which is normally on the main table. Over the course of the year we have had many of you entering all different kinds of events - 10k s Half marathons, marathons, triathlons, iron mans and ultra-events up and down the country. All of these events require a huge amount of training, it s always great to see people from the club training together whether it be out road running on a Saturday morning AT 08, 00, swimming off Bovisand beach in the spring or pushing hard on your bikes up through Jennycliff s lanes - to me it s what being part of a club is all about, encouraging each other to achieve something you wouldn t necessarily have the dedication to aspire to by yourself. With all these things happening within your club I would ask you all to think about what you could do to help, we are still a relatively small club but if we want PRR to continue we must all in some way do our bit.
