Competitors participate in this Brisbane Eisteddfod according to all rules and guidelines listed and any other rules and conditions specific to Events as listed in the Individual Schedules. 2. The Event Management Team (EMT) reserves the right to allow variances of all rules and guidelines at their discretion. The EMT reserves the right to decide on any matter not covered by all listed rules and guidelines. Decisions of this nature will be deemed final without further question. 3. Volunteers and Adjudicator(s) are not permitted to advise, interpret or vary any rules or guidelines. The EMT will not accept responsibility for any outcome arising from such unauthorized actions. 4. Entries must be received by Brisbane Eisteddfod Administration prior to the close date of each Event. Entries must be completed correctly, comply with all rules listed in associated Event schedules and be accompanied by full fees including program cost or they will not be processed. Responsibility for correct entry rests with the entrant. The Eisteddfod cannot be responsible for entries lost through failed electronic transmission. An entry acknowledgement receipt will be sent to the email address provided on the entry form, confirming the Event(s) entered and fees paid. Entrants must contact the Eisteddfod if this acknowledgement is not received within 3 days of lodgement. Entrants are advised to check the details carefully and notify the Eisteddfod immediately of any errors, including spelling of names, etc. Corrections cannot be made after final timetabling. 5. All Eisteddfod correspondence is via email. It is the entrant s responsibility to ensure that Brisbane Eisteddfod emails are not blocked by spam filters. 6. Entry Fees and Program costs are not refundable except when an Event is cancelled. Entry fees and program costs cannot be transferred to another Event should entrants change their mind after final timetabling for the initial entry. 7. Entries submitted after the commencement date of the Eisteddfod will be subject to an additional (late) fee of $25. Late entries are only accepted without obligation, subject to final timetabling and capacity. 8. Purchase of an Event Program is compulsory and is added to the invoice at the time of entry. Teachers submitting entries for individual students must include the cost of an Event Program for each student, except where students share the same family address. Event Programs will be mailed 14 prior days to the Event commencement date. In the case of non-delivery of an Event Program the entrant will be provided with an equitable replacement. 9. Please email admin@brisbaneeisteddfod.org.au if the Program has not arrived within seven days of Event start date. 10. The EMT will not be responsible for any breach of Copyright, Royalty or Privacy laws. 11. The Venue and surrounds are SMOKE FREE! 12. A high standard of decorum, behaviour and professionalism is expected at all times. Unseemly, aggressive, abusive or unsportsmanlike behaviour is contrary to the spirit of the Eisteddfod and will not be tolerated in any form. The EMT will deal with any issues of this nature, as it deems appropriate. 13. In the interest of fairness no competitor will be allowed to perform if they have had professional contact with any adjudicator(s) in the six months prior to the start date of the Eisteddfod. 14. Personal communication with or other representation to the adjudicator(s) by competitors, teachers, parents, friends or associated parties is strictly prohibited and may result in disqualification at the Committee's discretion. 15. The Adjudicator(s) may exercise discretion and withhold one or more prizes in any section. 16. The Adjudicator(s) reserve the right to terminate a performance at any time within the rules and guidelines of the Eisteddfod. The Adjudicator(s)' decisions are final. 17. The EMT reserves the right to appoint substitute adjudicator(s) if circumstances require. 18. Awards and prize money will be allocated as per the Schedule. 19. The EMT reserves the right to alter or amend the Program in any way. Sections may be combined or cancelled as deemed necessary. 20. Private videography or photography with any device is prohibited at all times in the Auditorium. Videography and photography in dressing rooms must comply with the guidelines of the Information Privacy Act. 21. Practice or rehearsal is not permitted on stage at any time during the course of the Eisteddfod. 22. No person will be permitted to enter or leave the Auditorium during a performance. 23. All mobile phones/devices with screens must be turned off within the Auditorium. 24. A protest of any nature must be made in writing and lodged with the EMT within one hour of the conclusion of the section in which the disputed matter arises. Protests will attract a $25 fee. The fee is refundable if the protest is upheld. Any protest will be referred to a Protest EMT for settlement and the resulting decision will be final and accepted without further question. 25. The EMT will not be liable for personal items lost or stolen during the course of the Eisteddfod. Lost property will be held for a period of one month after the final day of the Eisteddfod. 26. TICKET SALES: Tickets are non-refundable. All patrons (including children 3 years & over) must hold a valid ticket. 27. Brisbane Eisteddfod Inc. Secondary Students are required to carry their school photo ID. ENTER ONLINE All entries and payments are to be submitted online via www.brisbaneeisteddfod.org.au ENTRIES OPEN Friday 26th January 2018 ENTRIES CLOSE Sunday 18 th March 2018 @ 24.00 LATE ENTRIES: will be accepted up until Sunday 25th March 2018 with a late fee of $25 payable. COSTS: all listed costs are inclusive of GST (excepting the $15 admin fee per invoice ) ENTRIES: Entry Fee per Item $33.00 NB: no refunds will be made unless an error has been made by Brisbane Eisteddfod administration. PROGRAM: One copy $13.20 (incl postage) will automatically be added to your entry and further copies ($11.00) can be purchased at the time of entry. A timetable for all sections will be available once the program is drafted. Plus COMPETITOR PASSES EACH DANCER is required to purchase an individual competitors badge/pass to participate in this Eisteddfod. The pass must be worn at all times excluding on stage performances. DANCE STUDIO BADGE - $16.50 each PRIMARY SCHOOL PASS - $9.90 SECONDARY SCHOOL PASS - $11.00 each The Number of Badges/Passes needed by each studio/school MUST be ordered at the time of entry. A further administration fee will be payable if these numbers are not submitted. TEACHER PASSES Each Studio/School is eligible to receive a maximum of 4 Complimentary Teacher Passes for full time professional teachers (not student teachers). Passes will be allocated at the discretion of the management team based on entry & competitor numbers. Teacher names will need to be submitted via email. Extra teacher passes are available for purchase - $11.00 each 2

NB: The Cyclorama at the rear of the stage & wings is 24M long for safety reasons once an item has commenced further choreography should only involve entrances and exits from the same side unless a behind stage crossover is essential such crossovers should only be considered for Seniors. SECONDARY SCHOOLS 2017 DAYS - Senior Secondary School day will be Friday 18 th May 2018 - Junior Secondary School & Primary School day will be Thursday 24 th May 2018. ADVERTISING Full Page full colour advertisements are available. Please see advertising rates document for full details. COMMUNICATION AND NEWS Facebook is used to post updates and news so please and like the Brisbane Eisteddfod Page. All results are posted on Facebook as soon as possible after the adjudications. Instagram and Twitter are also used during the Event. Emails with updates and news prior to the event will be sent to the email addresses registered at the time of entry. RUNNING THIS EVENT food for thought! The Brisbane Eisteddfod Dance Groups Event is planned and managed solely by volunteers and we are very proud of it. Every year we keep our fingers crossed that all costs will be covered (right up to the last day). So far so good! It is our choice to volunteer and we thank each and every one of you for your participation and support. The cost of staging this event is in excess of $150,000. Our vendors and supporters all offer exceptional services/products at the best costs possible. Where does your money go? Yes there is an increase in entry costs this year. Venue hire this cost has increased for 2018 the first time since we moved to ERPAC seven year ago. Technical Crew, Cleaning, Security, Onsite Medic (for the busiest sessions) we try to add more medic time each year. Hire equipment dressing rooms etc. We use every space we can and do our best to make it comfortable & dry! Adjudicators & Prize Money the flat rate of prize money has remained unchanged for years but we do offer a wider range of prizes in larger sections. The APRA/AMCOS Licence changes have heavily impacted the Eisteddfod. Our Fantastic Back Stage Crew/Front of House Crew is staffed by QUT students and they are paid a nominal amount for this service. This policy was introduced some five years ago when it became clear that it was impossible to staff this huge venue with volunteers by drawing helpers from Studios/Schools. Parents & teachers were already pushed to the limit for time so the decision was made to add a few dollars to the competitors pass and this added money is used entirely to fund the extra help needed to run this event safely & professionally. So for the cost of less than a cup of coffee mum s, dad s and teachers do not need to add volunteering to the list of jobs for the Brisbane Eisteddfod Dance Groups. 3

DANCE GROUPS AWARDS AND PRIZES 2018 THE PAT CONROY DANCE GROUPS SPIRIT AWARD (TROPHY) The Pat Conroy Brisbane Dance Groups Spirit Award will be awarded a dance studio that demonstrates excellent eisteddfod spirit throughout this years event. DANCE EDUCATION BURSARIES X 2 ($500 EACH) These bursaries are generously donated by MOVE Photography and LIMELIGHT Multimedia and will be awarded to two Open dancers as chosen by the adjudicators. ADJUDICATORS CHOICE AWARDS (TROPHY plus $100 cash) Awarded to items selected by each Adjudicator for Secondary Schools and Dance Studios as indicated in the Program. 2018 GROUPS PRIZE MONEY WILL BE LISTED IN THE OFFICIAL PROGRAM Prize money in 2018 may be allocated based section entry numbers of entrants. SPECIAL NOTES FOR DANCE GROUPS 2018 Time Limits for 10 & 12 and under LIMITED Sections in 2018 will be 3.5 minutes with the exception of Song & Dance and Musical Theatre Sections. Allowances will be given this year for established routines up to 4mins. Adjudicator feedback from the past few years along with the need to be able to accommodate the growing entries for these sections has led to this decision. A lot of thought and discussion has taken place and the outcome of this change will be monitored closely. Open LIMITED groups that include dancers enrolled in fulltime courses must enter the appropriate UnRestricted Sections. Please refer to Dance Groups rule 25. Studios entering the LIMITED sections must check that the entry criteria is met before submitting entries. Email any questions if you need clarification. The Secondary and Primary school days are all day events. Teachers are asked to plan their schools attendance based on being present for the entire day/session. The program will not be altered once released and changing positions in a section will not be allowed. Please also allow a little extra time for unexpected delays when booking bus pick up times. The Junior Secondary School age group in 2018 is years 7 > 9. Time limits for Primary Schools in 2018 will be 3.5 minutes but dancers may appear twice in each section. Allowances will be given this year for established routines up to 4mins. Age groups have been deleted from some sections and added to others. There is a NEW section for Opens. Most music issues during performances relate directly back to CD s so please use an alternate music source and always have a back up that is easily accessible. Props cannot be stored in the backstage area and corridors and must be removed immediately once used on stage. (when it is safe to do so and following the direction of the stage manager). EXCESSIVE MESS was a major issue in some dressing rooms last year. It is not easy in shared spaces to identify the groups that leave the mess. Please clean up your rubbish it only takes a few minutes. If we have the same issue this year a cleaning levy will be added to all 2019 invoices. 4

RULES SPECIFIC TO DANCE GROUPS DRESSING ROOMS 1. In shared dressing rooms all competitors and associated parties are expected to demonstrate respect for the space, costumes and belongings of others at all times. Supervision is required at all times. 2. All electrical equipment used must be tagged and tested by a certified electrician. 3. Hot Drinks are not permitted in dressing rooms. 4. Adhering items to walls, windows, doors, mirrors or any surface in the Auditorium or surrounds is not permitted. 5. Bathrooms in dressing rooms must not be used for changing. 6. No rehearsal will be permitted in dressing rooms. Rehearsal is permitted in Auditorium surrounds and on Gair Oval. 7. Music/vocal volumes for rehearsals must be kept to a minimum at all times in all areas. 8. Each studio/school will be responsible for keeping their dressing space clean and tidy. Any studio/school that leaves their dressing space in and unclean/untidy state will be charged a $200 cleaning fee. 9. Any studio/school found to have caused damage to their dressing space will be charged relevant repair costs. If preexisting damage is noted when you arrive in your dressing area the convener must be advised immediately. ENTRIES 10. All entries and associated fees must be received by the official closing date as stated on the schedule. Late entries will be considered at the discretion of the EMT. 11. Entry fees are non refundable unless the entered section is cancelled. 12. Groups must consist of at least four competitors. 13. 'Age' of a competitor will be taken as of January 1st 2018. The Committee reserves the right to request proof of age at any time or in the case of a protest. Dancers may compete in an older age groups at the discretion of the teacher with the exception of 13 years & over. Dancers must have proof of age available to enable any protest to be settled without delay. 14. The Eisteddfod is open to Amateur competitors. The definition of 'Amateur' for the purpose of competing in dance groups in this Eisteddfod will be any person not working full time as a teacher and/or performer. Student teachers presently studying and/or teaching under the guidance of professional teachers are classified as 'Amateur'. Confirmation in writing of teaching status may be requested from student teachers in the case of a protest. 15. Groups in any one age group may enter either STANDARD sections or LIMITED sections not both. Studio/School should choose age group then either STANDARD or LIMITED sections. 16. In LIMITED Sections a maximum of 12 competitors per group are allowed (this maximum of 12 competitors is for the entire group not 12 competitors on stage at any one time). 17. Disciplines that are not offered in both STANDARD and LIMITED options are able to be entered by any group. 18. 'Open' items permit competitors of any age to participate as part of the group. 19. Music, lyrics, costumes and dance content must be age and event appropriate. 20. Groups will perform items/dance disciplines as per descriptions listed for each section in the Schedule. 21. Groups entered in Song And Any Dance sections may perform twice only and any dance discipline, including Tap is acceptable. 22. Any one item may be performed once only during the duration of the Eisteddfod. 23. Competitors may appear twice only in any section irrespective of how many studios/schools they attend. 24. Secondary School competitors may appear only once in each section with the exception of the Hip Hop Sections. 25. The definition of 'Full Time Dance Students' for the purpose of competing in dance groups in this Eisteddfod will be any dancer who is enrolled in a dance course offering full time education in any dance discipline regardless of actual hours involved. PERFORMANCE 26. A teacher/representative must register participation and music device and music device (USB, ipod, ipad, MP3, Laptop Computer) a maximum of 15 minutes prior to the commencement of the entire session in which an item is to be performed. Competitors must also advise if a teacher/representative or sound operator is to play music at time of registration. Studios/schools may choose for one teacher/representative to enter the sound desk to supervise or play the music. The use of any props should be registered to stage manager. 27. Failure to register may result in the group having to perform last for 'comment only' with no 'placing' applicable. 28. A professional sound system will be provided in the auditorium and a sound operator will be provided for use by all studios/schools. Music may be played by a teacher/representative via USB, ipod, ipad, MP3, Laptop Computer to be played by the sound technician. CD S are not preferred. The sound operator will supervise all access to the sound system. All competitors MUST have a back up music source. Only one track relevant to the item must be clearly marked with studio name, section number and item number. Collection of music at the end of the session is the responsibility of the teacher/representative. 29. If a teacher/representative has elected to be present at the sound desk for their group performance they must be onsite 2 items beforehand. 30. Groups will appear as per program order except in circumstances deemed appropriate by the EMT. 31. No group will be penalized for technical difficulties beyond their control. 32. Groups are expected to be prepared for their performance at the time of their backstage call'. 5

33. Groups will receive one 'backstage call only. Consideration will be given in quick-change situations. 34. Any issue that may result in a group not being prepared on time must be bought to the attention of the EMT as a matter of urgency to enable suitable arrangements to be made. Any attempt to misrepresent such issues will result in disqualification of the group concerned at the discretion of the EMT. 35. Specified time limits will be strictly enforced. Groups exceeding time limits may incur a deduction of points. 36. The use of the curtain or lighting other than that provided in the venue is not permitted. 37. No teacher or representative will be permitted to coach or direct a group from the wings or auditorium during a performance. 38. No teacher or representative will be permitted in the wings when their group is NOT performing. 39. All competitors in a group must participate to some degree in each discipline of the item. ie. Song and Any Dance. 40. The use of microphones is not permitted. Stage and choir microphones are provided in the auditorium. 41. Vocal backing is not permitted in the vocal portion of and 'Song and Any Dance' items. 42. Backing tracks for any 'Tap' items must not contain 'tapping' sounds. 43. All competitors in 'Tap' items must have taps attached to their shoes. All tap shoes must be checked prior to each performance. BACKSTAGE 44. All competitors and associated parties must follow the direction of Event Crew at all times. 45. Groups are to marshal in the corridor behind the stage and must wait for Event Crew before moving into the wings. 46. Noise in the backstage area and wings must be kept to a minimum at all times. 47. No rehearsal will be permitted in backstage corridors. 48. No changing will be permitted in backstage corridors or bathrooms. A quick-change area will be allocated backstage. 49. Only 2 teachers or representatives (one on each side of the stage) will be allowed backstage with groups in a supervisory capacity. 50. Once a session has commenced the back stage manager & announcer may only be approached in an emergency. 51. Teachers, volunteers and competitors and all associated parties are expected to demonstrate a high standard of respect, decorum and professionalism at all times. Unseemly, aggressive, abusive or unsportsmanlike behaviour is contrary to the spirit of the Eisteddfod and will not be tolerated in any form. Any issue of this nature will be addressed by the EMT, as it deems appropriate. PROPS 52. To ensure everyone's safety 'Bump In' and Bump Out' of large props will only be possible at times prearranged with the EMT. 53. Props must be of a suitable size and nature to allow for quick placement and removal with minimal disruption to backstage activities. 54. Large props should be mounted on castors and all props must be weighted appropriately for onstage safety. 55. No person will be permitted to remain on stage for the sole purpose of securing a prop during a performance. 56. Trampolines or springboards are not permitted. 57. Any prop, which causes damage to the stage floor surface or surrounding areas, will incur repair costs for the studio/school involved. 58. Props must be removed from wings/backstage corridor immediately following the completion of a performance. 59. Props must be removed from the auditorium precinct at the end of each day. 60. Studio/School personnel required for positioning of props must liase with Event Crew for timing of backstage access and must vacate the backstage area as soon as possible after the completion of the item. PHOTOGRAPHY AND VIDEOS 61. Taking Videos and Photos within the auditorium is STRICTLY PROHIBITED with any device. 62. The Eisteddfod Committee has engaged professionals to provide these services. 63.
