Discussion held regarding the PAA proposed payment method for 2017 utilising credit card only for membership payment via the National online database. Noted the merchant fee is still unclear. Members raised a number of concerns regarding the PAA holding State funds and the lack of choice for payment methods. Motion That the QPA Management Committee make an informed decision on the proposed payment method noting the concerns in the room at the AGM as more information is provided by the PAA. Seconded: Cameron Shepherd Discussion held regarding the Limited Player membership category noting that these players are paying less per carnival. The meeting noted that this fee is well used by the more remote zones where players are able to play fewer carnivals. It was also noted that this fee category is good for bringing new players into the game. Notices of Motion 2016 AGM Motion 1: The Longreach Polocrosse Club moves that in addition to the Transfer of Players rule, as stated in the Polocrosse Rules, the Qld Polocrosse Association adopt the policy that players wishing to transfer into Qld. are required to be completed and playing by the 1 st July to be eligible for the Queensland Club Team Championship held in the first weekend of September. With reference to the Queensland Polocrosse Club Championships a Pool Competition is available for those who wish to attend and are not in a Club team. Once a player joins a Club in any State they are free to transfer to another State at the completion of that playing season (we are really only transferring the insurance component of the players membership). A player can request an early transfer in extenuating circumstances but cannot return without the 30 day stand down. This is to stop Club and State hopping during the season, players are free to compete without transferring Clubs provided they play by the rules ie selected in the team they are eligible for ie play your Club members first. Motion 2: The Longreach Polocrosse Club moves that in addition to the Transfer of Players rule, as stated in the Polocrosse Rules, the Qld Polocrosse Association adopt the policy that a player seeking a transfer within the season will be stood down for a 30 day period unless extenuating circumstances are approved by the State Umpire Committee appointed by the Director Of Umpiring. The QPA does not wish to enable or encourage club hopping in any way. The Club a member joins at the beginning of the season should be the one they play with for that year. The QPA regards inter club transfers as the responsibility of the state. Interstate transfers and players wishing to play overseas must be notified through PAA. Page 3 of 5

Motion 3: The Longreach Polocrosse Club moves that the QPA Constitution Clause 23.7 be altered to ensure the State Director of Umpiring be automatically included as a QPA Management Committee Member. In previous years the position of State Director of Umpiring was, upon election, automatically included within the nine members of the QPA Management Committee thereby ensuring all discussions and decision were held with the benefit of the Umpire s expericine and unique view point of the game. Result: Defeated Motion 4: The Monto Polocrosse club moves that the Policy On your invitations to your carnival you must state what organisation is attending introduced on the 20 th May 2004 by the Executive at Toowoomba be changed to First Aid will be provided at our carnival. - No small Club will be disadvantaged by numbers attending their Carnival. - Chief Umpire of the Carnival is responsible to say that the First Aid present is adequate. - Small clubs do not incur excessive expense which they cannot afford. - QAS cannot transport to hospital unless it is a matter of life and death. They must stay at the grounds otherwise until another car arrives to transport the patient to hospital. - St. Johns work under the same principal if it is a matter of life and death. Moved: Robert Ogle Seconded: Robyn Ogle Result: Defeated Motion 5: The Taroom Polocrosse Club moves that the QPA management committee amend the current policies and procedures regarding carnival date changes during the playing season, so that the management committee makes the final decision on any carnival date changes throughout the season, in the event that a club has to change their date due to unforeseen circumstances e.g. wet weather. Background information. Taroom carnival was scheduled for the 9 th and 10 th of July 2016. Due to very wet weather we were unable to hold the carnival on that weekend. After holding a committee meeting and reviewing the QPA calendar 2 dates were chosen as suitable alternatives. These two dates did not clash with adjoining clubs or clubs in our zone. However under the current policies and procedures regarding carnival date changes, Taroom had to apply to all Clubs with carnivals on the requested new date and as a result we were denied the date change. Taroom club was left with no option and unfortunately as a result were unable to hold a carnival at all in 2016. Moved: Philip Keating Seconded: Edwina Keating Page 4 of 5

State Club Championships 2018, location and date Written application received from Cunningham, 7-9 September 2018 Approved General Business - Correspondence, letter from the Outback Zone regarding Junior selectors travelling to the remote zones. Noted the planned coaching camps. - Bauhinia point of discussion, MC members should not be able to appoint themselves as senior selectors Noted that MC members who are nominated for selector positons leave the room when decisions regarding selectors are made. Louie discussed the MC Conflicts of Interest measures that have now been instituted. - Wandoan companion dogs issue, refer to the PAA Rule Book page 9. - Wandoan junior and intermediate trials, last year s motion should have been for every second year to coincide with the nationals. Motion from the floor: That the junior and intermediate trials be held every second year, off set from the Nationals. Moved: Robert Hoffman - Clay Colless, Stanley Rivers invited discussion regarding the use of correct photos on social media with regard to horse welfare, Clay Colless would like to see the professional photographers that attend polocrosse events be approached by the QPA and requested to scrutinize their photos before publishing on the web. - Justin Hafey invited any members that wish to sponsor QPA teams or events to contact him. - Judy Nobbs, raised the issue of using the colour blue on QPA team shirts or merchandise with reference to the Qld. caps in particular - Les Fraser spoke on the 2019 World Cup - Discussed the meeting date and the possibility of changing it so more members can attend. Next AGM date and location: Date - Saturday 8 December 2017, Suggested location from the floor: Toowoomba nominated by Murray Sturgess carried.
