MEETING MINUTES REGULAR MEETING OF STHA BOARD OF DIRECTORS April 23, 2013 The Regular Meeting of the Board of Directors for the Southern Tier Hockey Association ( STHA ) was held on April 23, 2013 in Binghamton, NY. The following directors, constituting a quorum, were present: Todd Macan, Scott Gallagher, Chris Tatar, Randy Hamilton, Romney Shelepak, Louis Giordano and Rich Blake Late: Kirk Avery, Jennifer Butts-Medinosky Absent: Gregg Castaldo, Stacy O Neill, and Roy Wagner Guests: Peter Newman, Brett Spoor, Kevin Schutt, Jason S. Smith, Steve Cwikla and Patrick Basile I) Call to Order Romney Shelepak called the meeting to order at 7:01 pm. II) Approval of Minutes Louis made a motion to approve the March meeting minutes and Todd seconded the motion. The meeting minutes were voted on and approved 7-0-0. III) Actions IV) Open Floor Discussion Peter Newman Peter came to learn more about what s going on within the STHA. Brett Spoor Brett came to learn more about what s going on within the STHA. Kevin Schutt Kevin is the U16A head coach and came to discuss a Bantam aged player who has requested to play-up with the U16A team. The player stood out by all evaluators as a player who should be on the team; real good hockey sense and quick decision making. Kevin also stated that his roster would not change regardless of the board s decision. Jason S. Smith Jason came to learn more about what s going on within the STHA. Steve Cwikla Steve came to learn more about what s going on within the STHA. Patrick Basile Patrick came to learn more about what s going on within the STHA. V) Administration Report Kirk Avery Kirk reported that CyberSport has changed their software interface to a web interface, so that roles can be defined and assigned, providing access to others besides just the Registrar. VI) Travel Operations Report Todd Macan/Randy Hamilton Travel tryouts, Mite through 18U, have completed. Large turnout of players for all divisions, many players from out of town. Rosters will be posted on the STHA website no later than 30 April. Jason F. Smith did a nice job with the tryouts, contacted players leaving the STHA. Page 1 of 5
Coaches were informed they are not to have contact with any players on roster decisions until posted on the STHA website. VI) House Operations Report Rich Blake/Louis Giordano Rich and Louis are working on updates to the house and select policies. Draft policies will be sent out to the Board for review by the end of April. VII) Snowbelt Randy Hamilton Missed last Snowbelt meeting due to STHA Coaches Selection Committee meeting. VIII) ACE Director s Report Roy Wagner No report. IX) Tournament Director s Report Chris Tatar USA Hockey has approved the STHA Veterans Day tournament application. The application, flyer and rules have been posted to the STHA website. Chris was contacted by one team who attended last year s Veterans Day Tournament they are interested in coming back. X) Adult Education Report Scott Gallagher No report. XI) Scheduler s Report Chris Tatar Chris received the last invoice from the Arena. He will review and report comments to Romney. Chris is expecting a final invoice to come in from CIR and BCC. XII) Treasurer s Report Romney Shelepak Approximately 5 members still owe fees to the STHA from the 2012/2013 season. Approximately 6 sponsors still owe fees to the STHA. Kirk has checks from two of those sponsors. The other four will be discussed in Executive Session. All referee invoices have been paid. All travel team budgets have been reconciled and refunds provided as appropriate. Romney noted that most travel teams were under budget. Particular attention should be given to both Squirt teams to understand why they were significantly under. Jason Smith indicated it was primarily because of a large number of shared practices as opposed to full ice practices. Romney will discuss with Budget Committee members after the meeting to pick a date/time to work out the 2013-14 season budgets. A motion was made to accept the Treasurers Report by Chris, seconded by Todd, Approved 8-0-0. XIII) Sponsorship Director s Report Jennifer Butts-Medinosky No Report. A goalie clinic was added for July. XV) Equipment Director s Report Gregg Castaldo Most travel jerseys have been collected only a couple remain outstanding and are being worked. NOTE: A large number of 18U jerseys remain uncollected. Chris said some of the ¾ and mini sized goals will need some minor repair during the off season. Romney has inventoried the tryout jerseys and recommended the STHA consider purchasing additional jerseys for future tryouts. Randy took an action to get a count of the Degree Jerseys as a possible solution to the tryout jerseys. XVI) Fundraising Report Jennifer Butts-Medinosky Jenn is working with Fran on a Golf Tournament, expects to have a date solidified by the end of the week. Jenn reported that Mark Marion, an STHA player, won the Jack Sherman Toyota Chuck-A-Puck automobile. Other fundraisers will take place in September and October. Kirk said the STHA will run the Chuck-A-Puck and 50/50 tables during the Binghamton Senators home playoff games. Games are currently scheduled for Saturday and Sunday. XVII) Old Business XVIII) New Business XIX) President s Report Kirk Avery Kirk spent Sunday at the Central Section Meeting. o Credentialing bound teams of state went very well this season o Most STHA player s birth certificates have been verified and are currently listed as Verified in the USA Hockey database. Any player who has a Verified birth certificate will not be required to produce a birth certificate in the future. o By-Laws discussion took place on disputes and resolutions. New NYSAHA language will be reviewed for incorporation into the STHA By-Laws. o A motion was defeated to move Midgets Sectional Tournament dates to November from March. o The NYSAHA 8 year old exception to play full ice between January 1 and March 1, 2014, was submitted to USA Hockey. Expect to hear results by mid-july. This would be a 1 year exception if approved. Note this exception allows only 8 year olds to play a maximum of 10 full-ice games during the January 1 st to March 1 st timeframe. o Snowbelt plans to revisit the 10U Gold division as long as there is organizational interest. They would run a tournament for 10U Travel Teams. The equal ice time rule will be applicable to this division. Page 3 of 5
o A proposal to allow the top two teams of a single, larger division, to go to sectionals was defeated. o Mohawk Valley petition to go Tier 1 was defeated. Mohawk Valley stated they would take their petition to NYSAHA. Kirk noted that Mohawk Valley is currently a Tier 3 organization. o Central Section now has its own Try Hockey trailer. Central Section is currently looking for a volunteer in a central area to handle the use of the trailer. Romney suggested setting the date for Try Hockey now to coordinate with the equipment swap as we never seem to be able to accommodate when we wait to set the date. o There will be more referee clinics and seminars forthcoming to help prepare and train officials. o Scoresheet modifications were discussed. Scoresheets cannot be changed post game. Post game means after all signatures are provided. Coaches need to speak with officials prior to their signature. Once signed, Scoresheets are considered a legal document. o L4 coaching clinics will be provided in Long Island and Buffalo in the Fall. o L1-L3 coaching clinics will be provided within Central Section. Waivers will no longer be provided. o Central Section is looking for hosts for the Midget Sectional Tournaments. Presidents will receive an email with more information. XX) Date of Next Meeting Next board meeting (the Annual Board Meeting) will be Tuesday, May 28th, 2013 at 7:00 PM. Action for Chris to ensure Relief Pitcher can accommodate this time. XXI) Adjournment Motion to adjourn the board meeting made by Louis, seconded by Scott, and approved 8-0-0.
