Spring 2016 Level 1 Open Meet (Meet licence No: 1SW160155) Promoters Conditions. 1. The meet will be held under ASA laws and Regulations and the ASA Technical Rules of racing, and has been licensed by the ASA for entry into Regional and County Championships and gives ranking opportunities for National Competitions. 2. All competitors must be Category 2 members of an affiliated club, eligible to compete and registered in accordance with ASA laws and technical rules and may enter in the name of one club only. 3. Yeovil & District Swimming Club reserves the right to reject any entry without giving a reason. By submitting entries on the official entry forms and Hy-Tek, clubs and competitors accept the rules of this competition. Competitors whose entries are accepted and subsequently found to have been entered in the wrong event(s) because of incorrect entry information will be withdrawn from the event(s) and will not have their entry fees refunded. However, if because of error by the organizer, will be withdrawn from the event(s) and will at the organizer s discretion and without further obligation or liability by the organizer either a) be entered in the correct event or b) receive a refund of the relevant entry fee(s). 4. The events file for input into TM is available upon request from ydsc.competitions@gmail.com or can be downloaded from the Competitions section (YDSC OPEN MEETS) at http://www.ydsc.co.uk 5. The competition will be swum Long Course. Anti-wave devices will be in place and electronic timing/placing will be used wherever possible. The organizer reserves the right to ban the use of gas hooters, klaxons etc., which in the organizers opinion, could be a hazard or a danger to swimmers, officials or spectators. 6. The Adult Spectator admission charge is 7 per day, or 12 for the weekend. There is no admission charge for children under 16 years of age. Programmes covering the whole weekend will be available at a cost of 5. 7. Entry fees are 6.50 per event and 7.50 for distance events (800m & 1500m), if submitted electronically. A 50p per event surcharge applies to all entries submitted in paper format. The entry fee includes the levy per accepted entry made by the ASA for licensed events.

8. Coach s passes (minimum of 1 and maximum of 3 per club) are 18.00 each and include a program per pass. Where clubs wish to bring a large team and, in order to comply with the ASA supervision guidelines, require additional coach s/chaperons to attend, the meet organiser should be contacted regarding additional coaches passes. Coach s passes must be ordered with Club entries and must be worn at all times during the Meet. They will be available for collection from the entry desk. There will be no coach s passes for sale on the days of the Meet. Coaches must adhere to safety advice from the warm up stewards. 10. Payment for entries and coaches passes should be paid on ONE consolidated cheque, made payable to YDSC. All entries must include a payment summary sheet and a completed coach/chaperon form 11. Age groups for boys: 10 & under, 11, 12, 13, 14, 15/16 &17/OV Age groups for girls: 10 & under, 11, 12, 13, 14, 15/16 & 17/OV The minimum age for entry is 9 years by 3 rd April 2016. 12. The acceptance of competitors will be based on times submitted so it is essential that only times achieved be entered. As many heats as possible will be run in the time available for the Meet. The promoters reserve the right to amend the number of heats in each event depending on entry numbers. 13. If the event is oversubscribed, and in order to keep each session within the appropriate time period, the slowest entries from each age group will be rejected. As soon as possible after the closing date, club list sheets will be emailed to club secretaries for accepted entries, together with any information in respect of entries not accepted. All refunds will be made en block to the club submitting the entries; these will be sent by post or available for collection by Clubs on the day. There will be no refunds for withdrawals after the closing date of 19 th February 2016 other than on medical grounds. A medical note must be provided no later than 30 th April 2016. 14. All events are being swum as open age, however awards will be age grouped. (See paragraph 11). Ages will be as at 3 rd April 2016. Swim Meet entries may be managed by computer. By submitting entries, consent is thereby given, as required under the Data Protection Act of 1998, to the holding of personal information on a computer. Personal data, including submitted and recorded times, may be made public during the meet. 15. Qualifying times (QT s) apply to all events. All entry times must be equal to or faster than the QT. Entry times slower than the QT and entries with No Time will be rejected. Entry times may be submitted as short course or long course times, using the Hy-Tek entry file, but will be converted to long course times using Hy-Tek s Meet Manager software. Please do not convert short course times manually. Estimated times are not permitted.

16. Entries should be made via Hy-Tek Team Manager and e-mailed to the Meet Organiser, at: ydsc.competitions@gmail.com. A print out of the Hy-Tek entry file (or clerical entry form if less than five swimmers are being entered and Hy-Tek files are not available), together with the Payment Summary Schedule and ONE cheque to cover all swimmers and coach passes, should reach the Meet Organiser by Friday 19 th February 2016. 17. Swimmers under 11 year s old will not be able to enter the 100m, 400m, 800m and 1500m events. 18. The one start rule will be in operation during this event. 19. The meet will be run without cards. Heats will be pre seeded. Swimmers do not need to sign in. The organizers reserve the right to amend the running order of the events and to add non-scoring swimmers (provided their times comply with the criteria set out in the attached table of cut-off times) at their sole discretion should it become necessary. 20. All events will be HDW. Entries will be seeded into heats from submitted times, these will be seeded before the event, and where swimmers have withdrawn the lane will be left empty. Events will be swum slowest to fastest. All heats will be placed in spearhead formation. 21. There will be medals in every event for the first three overall swimmers in each age group. Competitors will only receive a medal if they have achieved the qualifying standard. Disqualified swimmers will not receive awards. 22. Visiting clubs are required to provide at least one qualified official per session for every 8 swimmers entered, and their details (together with their qualification) should be forwarded with the entry information.. We reserve the right to reject entries from those clubs not complying with this. Food and refreshments will be provided to all Officials who are on duty all day and to Head Coaches. Expenses will be offered to Officials attending this Meet, including mileage allowance for those qualified Officials who do not have a child competing in the Meet. 23. Only swimmers reporting for their event and appointed officials are allowed on poolside during the competition. During warm-ups only coaches holding the valid Meet pass will be allowed on poolside. Wet swimmers are not allowed in spectator areas 24. Competitors must report to marshaling at least 5 heats before their event.

25. Under ASA child protection laws all spectators wishing to use cameras must register with the door admission staff. 26. The safety rules of the pool must be adhered to at all times. Anyone not adhering to these rules (which will be read out at the start of each session) may be removed from the pool. 27. All valuables/clothing etc. left in the changing rooms will be entirely at the owner s risk. 28. The first session on each day one will have a warm-up time of 8.00am and a start time of 8:45am. Warm up and start times for sessions 2, 3, 5, & 6 will be confirmed when all entries have been received and processed. Details will be returned with confirmation of entries. 29. There is limited parking adjacent to the Pool complex, this is for officials only. Sufficient parking will be available at the North Road car park. 30. The promoter reserves the right to make any alterations to these conditions if necessary and all participants will be notified. Any matter not covered by these conditions or by ASA laws or technical rules will be at the promoter s discretion. 31. Any swimmer breaking these conditions will be liable to disqualification from any or all events. 32. If the meet is undersubscribed the promoters will, at their discretion, accept entries submitted after the closing date but only if the swimmer is faster than the entry time for their age and event. 33. If the meet is undersubscribed or for any other reason, the promoters reserve the right to cancel the meet, in which case all entry fees paid will be refunded.

Spring 2016 L1 Open Meet ~ Officials Reply Slip POOLSIDE OFFICIALS Since the Open Meet will require many helpers, we are looking for support from each club with at least one British Swimming Licensed official. Teams will be required to provide a minimum of one Licensed Official for each session, for every 8 swimmers entered. For those able to assist, would you please complete the form below and return it with your swimmers entry form, or send to the email address indicated below. If you have any preferences please note them below otherwise we will advise you of your allocated duties nearer the day. Refreshments will be provided for all officials, and food for those working on consecutive sessions. For those un-qualified officials, or J1 s and above who require mentoring or practical sessions please also complete the form, indicating what duties you need to cover, and we will do our best to assist, as we actively promote the development of all officials within British Swimming.
