New Business New Board Member Chip Segna is joining the Board as the Concessions Director. Welcome Chip! Opening Day/All-Star Weekend Keri June 30 is the proposed date for the All Star Festival in 2018. Committee members include: Pete Storlie, Jason Arendt, Mike Orth, Dom Wareham, Keri Rateliff First meeting in January. If anyone interested in joining the work team, let Keri know. Budget Planning Next Sunday, November 19th, Sarah and Michelle, will be available at Holiday Inn at 7:00 to help review budgets for their area of responsibility. Sarah/Michelle will send out a template in advance of the meeting.
Lighting Check Installment Tournaments Update Preliminary budget - The City is going to put lights on the rest of the fields this next year. King 1 plan to be done by June 1st. We may lose fields for fall ball to get the lights completed. LBA has offered $50,000 toward the balance we owe. We still owe $200,000 with the payment of $75,000 annually. We are ahead of schedule on what we owe. Miracle League will also add $5,000 toward the lighting. Mike Orth, Russ McGill and Chris met on October 30th to work on LBA invitationals. Looked at enrollment, MBL qualifiers from last year to try and tweak the schedule. 2018 will stay with the same weekends except May d/t the high schools changing prom and need the high school helpers. June will be 1st and 3rd weekends. Moved some of the levels around this year. Worried about the bat rule changes. Russ did some number crunching and only 10% of the teams last year came from Gopher State. Mike Orth submitted our bids on Friday and we will find out by end of November which tournaments we will get for MBL. Dropped the 9s this year to host a tournament. Side conversation was about travel 9s this year. Travel 9 s - there s no interest to continue to pursue this. motioned, Jason seconded. Board voted to approve $50,000 for lighting to be paid to City of Lakeville in January 2018. Will know the LBA tournaments by end of November. There s no interest to continue pursuing a travel 9s program for 2018. Direct Reports/Updates Miracle League Brian Guessing opening day will be April 25th. All night games will be within the 3 month window. Summer ball dates: May-Aug Fall ball dates: Sept 20-Oct 11 All permits will be submitted by next week. approval to move forward. Will need to go to City Council for approval. Summer reg Jan 15 - Feb 28 (don t close) Fall reg July 9-28 House R-3 Reid Getting information and a schedule outlined. Recruiting coordinators for 2018. House 4-9 Pete Also recruiting coordinators for 2018. Working on Lakeville Invitational for House mid-season tournament - will open up for more teams this year. North Senior Youth South Senior Youth Brad Mike L Sign up has been early February. 2017 had numbers issue and couldn t get 3 teams. Wondering about pushing it to earlier in the year. Last year funds were refunded to kids that didn t make the team. Learning more about the overall program. Seems to be a separate process for uniform ordering than rest of LBA. Would like to streamline this back into rest of program. Will also partner with Brad. Will pay $2200/coach (total of 2 paid coaches). Players don t keep their own jerseys. Will have more of an idea for the December meeting. South Travel Thane Not available. North Travel Cory Dom and Cory met with the Cages Friday night. LBA will be switching from P2P to the Cages for 2018 tryouts. Cory has requested a list of the Cages evaluators with their quals. Overall will be about $14,000 for tryouts, April cage time and Sunday nights. Does the Board want to pursue a 3-year deal for tryouts? We can sign a 3-year deal with an opt-out option after one year. Cory talked to the Andover travel director and they used the Cages last year for their evaluations and were very pleased. Still working on uniforms - close to a final decision. Finance Sarah Michelle sent a report via email.
Net income: $88,364.50 Fundraising: $70,021.95 Tournaments/Concessions: $14,995.98 Income from other baseball programs: $3,346.57 In the process of getting Sarah access to the bank with Michelle s help. Information Keri Started building the registration page for travel ball. Will be slightly different this year where parents register players for tryouts. When determined player has made a team, an email will be sent out to parents to accept the team and basic information will be completed at that time along with the fees to be paid. For volunteer fees - not going to work to add to the SI Play. Will need to work differently. Fundraising Jim Banner program from 2017 - collected about $14,000 and should have had $16,000. Improvement ideas - start earlier in 2018, streamline process so it s done by end of May. Jim has list of other fundraising ideas - want to stay away from high effort with low reward. 2018 recommendations: Craft beer/wine tasting event 50/50 raffles at all tournaments (sold right at concessions and people walking around) Expand banner program In house fundraising plan Keri to send Jim the LBA logo Jim will continue to do research on Taste of Lakeville and will work on estimated budget for the budget planning meeting next week. Assuming Dick s Sporting Goods is going to be a partner again this year. The apparel ordering opportunities will be condensed this year. Volunteers Jason $4650 to be cashed from people that didn t volunteer = 31 families. Emails were already sent to families that their last opportunity to volunteer was field clean up day. Jason is crafting some language for the website to have the principles for the LBA volunteer program. Send all volunteer needs to Jason before December Board meeting so determination can be made on amount to collect for 2018. Volunteer needs are due to Jason ASAP. Opt out fees: If you want people to take the opt out option - make it $100 and Jason to discuss off-line and bring a proposal to December meeting. Coach / Player Development Dom Sunday night options at Cages will be upcoming. Considering bringing in outside speakers and invite other communities to come in and charge a fee. Registration fees Will keep the registration fees the same as 2017. Senior Youth fees were raised 2-years ago and LBA is subsidizing and that will continue. All programs are doing ok. Monthly Board meetings Consider the current schedule and do we want to continue monthly? Can consider separate sessions as needed. Will continue with monthly meetings. Meeting adjourned at 2057.
