Library Tracy Hart JR Davis, Jeff Burrow, Tim Shaw, Chad Potts, Jeff Buitendorp, Carol Casto, Brian Heddleson, Tami Davis & Tracy Hart Caleb Bradley MINUTES I. Treasurer Report: Presenter Jeff Buitendorp (and Jeff Burrow to go over financials) Check for the initial deposit for the uniforms is complete. Jeff Buitendorp and Jeff Burrow will meet with Edward Jones soon to make the investment since the band uniform CD matured and was closed. Went over January and February 2018 budgets. Attached at the end of this report. II. Past President: Presenter Jeff Burrow Reiterated the fact that he and Jeff needed to set-up an appointment with Edward Jones. III. Secretary Report: Presenter Tracy Hart Nothing Today IV. 1 st Vice-President Report: Presenter Tim Shaw Nothing Today

V. 2 nd Vice-President Report: Presenter Kim Pohl (and Peggy Burns) N/A VI. 3 rd Vice President Report: Presenter Chad Potts - WELCOME (Besides taking the 3 rd VP position, he will also be with Pit Crew) VII. Graphic Artist Report: Presenter Brian Heddleson Per Brian, setting-up the payment system for the SilverBridge Coffee, isn t going well. Dietra Azbell is in charge of getting this set-up / fundraiser. Brian will still look into a couple other ways purchases could be made for this fundraiser with Dietra s input. Jeff Buitendorp spoke about the problems associated with this type of fundraiser and trying to manage it financially. The mattress, cookie dough and pumpkin burgers work and are a little more manageable. The magnets need to go through an on-line payment system in the future just like the shirt sales did this past season. VIII. President Report: Presenter JR Davis IX. Band Director: Presenter Scott Tennant (the below was furnished by JR Band Boosters- Directors Report- March 2018 District Contest- March 9th, 4:30pm at Teays Valley Will need trailer outside band room Thursday night or by noon on Friday at the latest. Buses/Trailer will roll at 3pm Spring Banquet & Concert Monday May 7th New Marimba Purchase from Blake Spiller for $1,500 Looking to pick up on our way back from district contest (will update when finalized) Final Uniform design complete Everything is turned in, the countdown has begun! Proposed 2019 Chicago trip (concert band) May 9-11, 2019 (Thursday-Saturday) Approx. $569 per student Thoughts on having travel company collect money (will add approx. $15 per person) or collect money like we did for the boosters (EZ Pay through the school). Would be ideal if we had another volunteer help keep track of payments in addition to myself. Fundraising: Have we received any of these checks yet?? BW3 s: nothing yet Chipotle: $340 New audio system for marching band High end system for roughly $5,000 Currently digging around school inventory to cut cost Chicago/Mattress sale meeting Chicago Trip and Mattress Sale info - Wednesday April 4th at 6:30pm in HS Aud. Mattress Sale set for Saturday April 21 (working on getting MS S&E back with it) Pass information along to Mr. Davis and Mr. Mogan about water getting into storage shed, they are working on it. Will need to have band trailer/truck moved out of normal lot and into aux. Lot in order for them to pave by this Wednesday March 7th. XI. Get r done Gal: Presenter Donna Reed N/A XII. Voting for reimbursement of $129.00 for the Vehicle Registration. 1 st Motion Jeff Burrow 2 nd Motion Brian Heddleson All in favor Ayes At this time, Adam Pettril (?) is being considered for Jeff Burrow s position (with another title). Mattress Sale Fundraiser Advertisement. Jeff Burrow will get things set-up with the Visitor Center Tracy Hart will get things set-up with the school (Emily Clark) Junior Booster Position being considered Tracy Hart and others will try to locate the last Constitution (By-Laws...) in order to update information. This will include an added (or revised) position of a Junior Booster. Information pertaining to a 501(c) needs to be found pertaining to voting rights. At this time we would like to offer the Nomination to Caleb Bradley as the Junior Booster: 1 st Motion Tracy Hart 2 nd Motion Tim Shaw All in favor - Ayes Next Year s Band Fee This is something we will want to review in the near future. We may want to decrease the amount from $100 to possibly, $40. We do not want to get rid of a fee entirely because then each year parents/members will expect no fee to be charged.
