Gail Upton Equipment Manager Scott White Evaluation Co-ordinator - Mike Vant Hoff Referee Assigner Trish Rizco Motion by Jeff Upton Second by Tammy Huber Wed Designer Vacant 10.3.2 Evaluation Process Jeff reported the number hours needed for evaluations for DMHA to both Trish Rizko, manager of the men s team, and Tony Kulbisky, Town of Devon. House and Rep try outs will be separated. Men s team will be doing the evaluations, no response to date. Mike and Jeff will discuss a back-up plan. Pat spoke with Rod Fraser, ice will be going in shortly after the Leduc #1 65th anniversary function around August 20th. Lori suggested setting up an evaluation committee. Mike volunteered to take the lead on an evaluation committee if there is no response to do so from anyone. Pat and Jamie to assist. Last year evaluations were a success, great format liked by all. Jeff has estimated that both Novice and Atom will require 3 sessions (12 shifts per group), PeeWee and up 4 sessions with a total of 156 shifts, 234 hours. 10.3.3 Discipline Issue with parent Novice 5 Jeff spoke to Tofield Minor Hockey President, no apology letter to date has been received. Tofield Minor Hockey is pleased that DMHA is following up with the issue. Lisa reported that the Respect In Sport ID number has come back invalid, application applied for by the child s mother. Lisa will investigate further with Hockey Alberta and report to executive at next meeting. DHMA president will request in writing to get a copy of the Respect In Sport certificate as well as apology letter. Continuing business from earlier minutes, see July 10 th, 2012 notes.

10.3.4 Jake William`s Issue Jakes mother is asking for a 1 year temporary release for Jake to play house hockey in Spruce Grove as a goalie. His sister plays in Spruce Grove for an all girls team. Lisa stated that after speaking with hockey Alberta, it is up to DMHA. Spruce Grove is in dire need of goalies and would gladly take him. Hockey Alberta ensures he would fall back to DMHA for the next hockey season. Atom will have 4 goalies without Jake. He will not play if he does not get a release as stated by the mother. Jake is not a goalie at the rep level, we should not need him for evaluations. Executive has some concern about player wanting additional release after his one year with Spruce Grove. Executive decided to hold off until September 1, 2012 after the Community Awareness Evening. An email vote will take place. Lisa to advise Spruce Grove Minor Hockey. 10.4 Reports 10.4.1 President s Report J Upton Would like to see website up-dated, there are still a few positions available. Secretary will forward meeting minutes from the 2011/2012 season for Jeff to update the DMHA web site. Would like contact information sent to secretary as soon as possible to ensure executive list is up to date. Executive will need to fill the following positions: o Web Co-ordinator o Fundraising Co-ordinator o Midget Level Co-ordinator o Bantam Level Co-ordinator Motion by Jeff Upton to give Mike Vant Hoff the Evaluation Co-ordinator position. Second by Pat Beaulieu.. Mike to set his own committee and advise executive of the date and time of evaluations meeting. Jeff was contacted by Milad Asdaghi, Director of Community and Economic Development with the Town of Devon. DMHA was asked to place a reservation deposit down to hold the dates for March 15-17, 2013 and 22-24, 2013. These dates were being held with the possibility of Provincials. DMHA can not presently afford the deposit, therefore dates were returned to the Town of Devon. 10.4.2 Vice President s Report Mike Vant Hoff Nothing to report 10.3.3 Past President s Report Pat Beaulieu Met with Rod Fraser, Director of Planning and Infrastructure with the Town of Devon. Both Rod and Marilyn McMartin, Planning and Development Officer, also with the Town of Devon, will be working with DMHA at our next meeting. Spoke about the rink, one more function to do. Contractor is confident that they can get it done in time allotted. Ice is expected to be in after the September long weekend. If this takes place, DMHA would have ice September 10 th.the overall design has changed, there will be no storage behind the bleachers. There will still be storage, however not as much. Walkway will be in front of seating. Great high back seating. Boards will be uniform, Rod will double check Terwillegar arena. Benches and hooks, waiting on input from Mike Vant Hoff. There is a user group very interested in the kitchen at the arena, no confirmation yet. There will be no kick back for DMHA at this time. In the future DMHA can approach the user group with some sort of presentation. Pat indicated to the Town of Devon that DMHA is not interested in the kitchen at this time.

10.3.4 Treasurer T Huber DMHA did not get the Edmonton Oilers 50/50. Motion to remove Vicci Barron from the signing authority in return adding both Tracy Preece and Mike Vant Hoff. Second by Lisa Berthiaume.. Tammy Huber, Lisa Berthiaume, Jeff Upton and Pat Beaulieu presently have signing authority. We need to confirm placement of order for the pennies with Scott White to ensure we have them in time for evaluations. Sandra Pelkey is the only one with signing authority with AGLC. Tammy will work with the AGLC to sort out the signing authority ensuring she is added. Motion made to add Tammy Huber as signing authority with the AGLC. Second by Lisa Berthiaume. Motion carried. Tammy physically has to file the bylaw with registries. Once they are filed we need to ensure our website is updated. 10.3.5 Secretary T Preece Nothing to report. 10.3.6 Coaches Co-ordinator - B Berthiaume/T Forester In terms of evaluations please keep in touch with Tyson and Brent in regards to volunteers to run the drills, etc. Received tons of evaluations back for our coaching staff for the 2011/2012 season. DMHA has 12 head coach applications. 10.3.7 Registrar L Berthiaume Number of registrations with DMHA so far: Initiation -23 Novice 48 Atom 34 PeeWee 31 Bantom 22 Midget 17 175 players in total, 57 less than last year. Lisa has booked a table for the August 30 th Community Awareness at the Devon Community Centre. Looking for additional players to register at that time. There are 8 players that do not have forms fully completed as of yet, Lisa to follow up. Lisa will be on holidays during August, please contact Tammy Huber for registration information. Lisa will contact Spruce Grove Minor Hockey Association to advise placement of Jake Williams as goalie September 2, 2012. Updated DMHA president with letter to update and have ready for future use. Coaches/managers meeting will take place at the Devon Lion s Chalet as they will donate the facility. Meeting to take place approximately early October, discuss at September meeting. 10.3.8 Referee-in-chief L Uhryn RAMP has a program, beneficial to the Referee-in-chief but came in too late for use during the season. Lori received credit for last year and would like to place this program into effect for this year. Referee clinic has not been set, will know more the last week of August but estimated sometime around Thanks Giving. The clinic will take part over two days. Referees at the higher levels is always a concern.

10.3.9 Level Director C Sherwood Working on a manual for level directors to assist in running the home tournament as well as Co-ordinator duties. The tournament bucket used by each level for tournaments last year worked well and would like to see this continue. Christy will have a written submission for our managers come September in regard to travel permits and game sheets so that they are aware of the proper procedure in regards to the paperwork. Will ensure coaches and managers are updated at the coaching/manager meeting in regards to the process. Game sheets for tournaments will be the responsibility of Christy Sherwood to submit. 10.5 New Business 10.5.1 Affiliation Process Lisa inquired into the affiliation process, tier not skill? 16/60 has rules in regards to the affiliation rules as well as Hockey Alberta. We should be affiliating to their caliber? Lisa to check with Hockey Alberta as to the actual rules. Same caliber of hockey move to next meeting. 10.5.2 Awards Presentation Lisa inquired as to the awards presentation being tied into the Town of Devon s grand opening of the arena. Pat to follow up with Rod Fraser and Tony Kulbisky with the Town of Devon. Pat brought forward the possibility of showcasing the mens team, have a scrimmage? Have a roll out carpet presentation for the awards was another suggestion. Motion by Christy Sherwood for Pat Beaulieu to work with the Town of Devon on developing the awards presentation. Second by Mike Vant Hoff.. 10.5.3 Photographers interested in Devon Drillers Photographers, three in total, that would like to work with DMHA. o 20/20 Photography would be willing to go to games and accept credit card payment. Would be able to use indoor facility instead of using up ice time. Pricing is great, local, professional. o Darcy Preece Photography photographer (former DMHA player himself) used for DMHA s 2010/2011 photos as well as tournaments. o Greg Hathorn from Edmonton Executive to give both Darcy Preece Photography and 20/20 a chance to present at our next meeting. 10.5.4 Coaching Pick Procedures Mike Vant Hoff to confirm that while deciding on coaching staff, those involved must be removed from the room during the voting process. A separate executive meeting will be held to review the coaching applications as well as the review process. 10.5.5 Setting of Tournament Dates In regards to setting home tournament dates for DMHA, Jamie spoke with Trish Rizko manager of the mens team. Trish will try not to use any of our regular tournament weekends. Executive is looking at keeping the same dates for our tournaments. Ideas tossed around such as using the Christmas break for Novice as there is the potential of 4 teams. Levels might have to switch dates according to previous years. Invite schools out to watch possible Friday games. Motion by Jeff Upton to keep the dates for the home tournaments the same with the option to switch levels around, possibly using the Christmas break for Novice. Granting

Christy Sherwood and Jamie Milward power to deal with the situation. Second by Pat Beaulieau.. 10.5.6 Apparel Order Night Apparel Night with Go-Logo for the 2010/2011 season did not happen. They did not meet their commitment last year; therefore the executive has chosen not to use them this year. Look at getting a company and develop a standard order form for use by all of DMHA. Do it early in the season so that product is received in a timely fashion. Which company does the executive choose to go with? Alice Embroidery was suggested. Use a company that will do the work and DMHA will gain the profit. Set retail value, profit can go back into DMHA as a fundraiser. Set apparel night in October, when all teams are decided. Mike Bratland, brought forward ideas to executive last year. Give the power to bring a few names forward. Mike Vant Hoff will talk to Mike Bratland and get the ball rolling. Need to know who will give our organization the best deal for funds spent. Can we incorporate with the awards presentation? Could bring them in to gain exposure, giving parents an idea of what is coming. 10.5.7 Equipment Deposit Using tournament money for equipment deposits has happened in the past. If every level is running a tournament, deposits should be removed from the tournament proceeds. If a level is not running a tournament, then a check must be presented to the treasurer. 10.5.8 Hockey Dance Hockey Dance has been booked by Sandra Pelkey at the Devon Community Centre for April 13, 2013. Tammy will have a cheque cut and delivered to the Town of Devon for payment. Tickets for the event have been ordered. Having the fundraising event held after the season was like by all. 10.5.9 Review the Rules and Regulations It was agreed by the executive to hold a separate meeting to discuss the DMHA Rules and Regulations. Date to be decided upon. 10.5.10 Review of allowing tryouts for AA Jeff has spoken to a few organizations in regards to allowing tryouts for AA. It will depend on our numbers. Christy does not want to see a bantam or midget team fold for that matter. Lisa feels it is not fair to hold a child back in trying to make a higher level team. How many as an organization do we loose? Bantam is normally the level in which tryouts for AA start. We have lost 4 this year could be 5 or 6. 22 registered right now with 3 goalies. If we do not have enough players to do a team folding, can they play elsewhere? Yes. Some might choose to give up whereas others might go to a different area. This does not require a rule or a change. It should be up to the register and president to decide. We have options such as taking players from other associations to fill the spots required for our association. We have the numbers right now to allow players to try out else where. DMHA must give permission for players to try out in other associations such as AA in Leduc.

10.5.11 Capping Midget numbers Presently there are 21 skaters with 2 goalies, total of 23. Last year we released some players to Leduc. Do we get to a certain point with our numbers, do we cap it? If you do not register with DMHA and not make an AA team, you may not have a place within our organization. It pays to pre register to be on the safe side. Mike Vant Hoff asked if this information should be on the web site? Lori stated that they have been in hockey long enough that they should know the do s and don ts. 10.5.12 RAMPS Referee System Motion by Christy Sherwood to activate the RAMP system to accommodate the Referee in Chief. Second by Mike Vant Hoff.. 10.5.13 Fundraising Committee Vicci Letourneau brought forward the idea of having a fundraising committee. Mike Bratland is willing to help out on this committee, although he does not want to head it. Mike Vant Hoff will discuss this issue with Mike Bratland and report back to executive. 10.5.14 Additional Ice Time Jamie confirmed extra ice in Calmar. Extra ice time from other areas was discussed. Stephanie Carter to question Leduc for ice time, matching the price we are paying now in Calmar. 10.6 Date of next Meeting NEXT MEETING: TUESDAY, AUGUST 28, 2012 @ 7:00 PM IN THE MEETING ROOM MEETING ADJOURNED AT 9:51 PM MOTION by Lori Uhryn.
