2017-18 Season Registration Instructions SEASON START AND END DATES ARE DIFFERENT AT SAND POINT AND MEADOWBROOK The first practice at Sand Point is Monday, September 18 but the first practice at Meadowbrook is not yet finalized. The Meadowbrook Pool is closed for a major maintenance project that was to be completed by the first of October. The project has been delayed and now the pool will not open until mid-october. We will notify everyone who swims at Meadowbrook in advance of the opening date but as of this writing, we should be opening on Tuesday, October 17. The last practice of the season is Friday, May 11, 2018. ONLINE REGISTRATION DETAILS Once you click the link at the bottom of this message, you will be directed to a log-in screen for the 2017-18 season. If you have a link from last year, that link will not get you to the right place. Use only the link at the bottom of these instructions. Enter your personal information carefully, paying special attention to the following: Don t use an email address that you don t check all the time (this happened frequently last year and families missed all our announcements) Last year we had several months where Hotmail did not deliver our emails to their customers so everyone, especially Hotmail users, should make absolutely sure to add the robo-address that messages come from to your safe senders list: noreply@awntx3.email.active.com Check the way your name and address appear if you use all lower case (or all upper case), that s the way it s going to look on every document that comes out of Swim Manager/USA Swimming There is only one primary email address allowed so when we send mass communications to the team, that s where they will go. We cannot add your secondary email to that list without having the message go to every secondary email in the database. Please make sure your primary email is the one you really want messages to be delivered to! We have made several requests to Swim Manager developers to allow more than one primary email and will keep you posted if anything changes. In the case of emergency or weather related pool closures, we will send a text message if there s no time for email. If you want to receive these texts, please make sure you list a number in the cell phone field of the registration form for the primary parent/guardian. Do not select Outreach, $0 for the USA Swimming registration unless you qualify (free/reduced lunch, food stamps, etc.). Talk to us about this if you have questions. The USA membership is a total of $73 and the PNS portion will show as $0 -- $58 goes directly to USA and the remaining $15 goes to PNS (Pacific Northwest Swimming) but for the ease of registration, we have combined them as simply USA Swimming. And remember not registering for this annual membership is not an option. All swimmers have to be members of USA Swimming to participate with Excel. Save the link to the Swim Portal that will be listed on your confirmation email. That link is your access to your account all season for meet entries, checking payment status, changing credit cards, looking at swimmer attendance, etc.. As we become more integrated with this system, more and more features will be available to you online 24/7.
BILLING AND PAYMENT The Family Registration fee is $125 per family (not per swimmer), USA Swimming membership is $73 and monthly workout rates are $50 per month for extension, $60 per month for 8&Under, $95 per month for age groups over 8 yrs, $105 for 3-Day Medalist and $135 for 5-Day Medalist. The payment system in Swim Manager makes it simple for you to pay your dues automatically. Payments are due on the 15 th of each month beginning on September 15 (October 15 for Meadowbrook swimmers) but the way the system works is that your account will be billed the full season amount when you register, with one installment payment due each month. Of course, you can choose to pay the entire season up front and some families opt for that but the majority opt to pay automatically in monthly installments. Families who swim the entire season in workouts with the same pricing structure will simply have their credit card charged on the 15 th of every month and the account will be paid off on April 15 th. If you choose pay manually you will need to log in every month by the 15 th to make that monthly payment, or send us a paper check. You will see a very large dollar amount at checkout (the full cost of the entire season) but again, you have the choice to make that payment in monthly installments if you wish. Please see the additional instructions for check out a little further down. We strongly encourage everyone to check the box for automatic payment so you don t have to remember to log in every month to make that installment payment. Check payments are welcome and manual payments online can also be made through your swim portal. Also, check your account now and then to make sure things are working the way you think and do not ignore any emails you receive requesting payment! Emails about account balances are not sent unless we really think you owe the money! Because this installment payment system is new for Active/Swim Manager this year, transfers, holds and High School waivers will be handled a bit differently than before. It is imperitive that you notify us in advance if you plan to hold for one or more installment periods (15 th to 15 th ) or if you plan to leave the team permanently so we can stop the payment plan in time to adjust the balance. Notifications after the fact cannot be adjusted and you will be responsible for the full monthly installment until we are notified. At the end of registration, you will be required to pay the Family Registration fee and the USA/PNS membership for each swimmer and that will lock you in for the season. You should only be charged the Family Registration Fee ($125) once if you register all swimmers in the same online session. If you leave the registration window, or check out each swimmer individually, you will be charged again during the next online registration session and we will not be able to refund that that extra fee. If there are extenuating circumstances that we should know about, please get in touch so we can help. REGISTER FOR YOUR WORKOUT OF CHOICE The system will offer you only those workouts that correspond to your swimmer s age. Generally speaking, we do not allow swimmers to join workouts in anything other than their appropriate age group. If your swimmer ages up after the season starts but before October 15, you will automatically be offered the older workout. For example, a 10-year old who turns 11 between September 15 and October 15 will be offered the 11-12 workout so you don t have to transfer immediately after the season starts. If your swimmer ages up to a different workout any time during the season after October 15, the transfer to the appropriate workout will happen on the installment date (15 th ) closest to their birthday.
IF YOU RE REGISTERING FOR MEDALIST Please make sure your swimmer qualifies by checking the PNS Gold time standards. Also send us an email so we can confirm that your swimmer is eligible. There will not be an option to register an 8 year-old for Medalist confirmation of age 9-10 qualifying times will need to be provided and if eligible, we will work with you on the best way to accomplish that registration. Talk to us about this first if you think your 8 year-old qualifies. We will confirm eligibility for all swimmers who register for Medalist and you will be contacted if your swimmer needs to move to another workout. IF YOU HAVE A SWIMMER PARTICIPATING IN THE GIRLS HIGH SCHOOL SEASON You can register either now or in November but if you register now, you MUST notify us in writing before September 5 th that your daughter will not be swimming until the end of high school; otherwise you will be charged for the two installments prior to her start. IF YOU DON T PLAN TO START SWIMMING UNTIL AFTER SOCCER OR SOME OTHER COMMITMENT We recommend that you register NOW to be certain your space is reserved. We expect to fill several age groups before the season begins. There are only a few spaces remaining for the 9-10 group at this time. If you receive a workout full notice when you register, you will be given the option to register for the wait list. There is no charge to be on the waitlist for any workout and you will be notified by email when we have space available. Holding dues apply when not swimming for one or more installment periods. Notice of holding MUST be received at least 7 days prior to the installment due date or you will be automatically charged for the full installment payment(s) in your absence. We cannot stop or adjust the payment plan after the fact. REGISTRATION IS NOT COMPLETE UNTIL YOU RETURN THE LYSTEDT LAW CONCUSSION FORM The form can be accessed through a link in the Lystedt Law waiver box that you are required to acknowledge at registration, through a link in the confirmation email you will receive, through a link on our website or through this link to the PNS website. All concussion forms must be signed by both the parent/guardian and swimmer (yes, even if they re only 6 years old!) and returned to us before the first practice. Even if you completed a form for another sport, you still have to complete a new one for swimming it s Washington State law. No swimmer is allowed in the water without this form on file send it to us by snail mail or by email, but make sure we have it before the season starts.
