February 1, 2018 As we kick off 2018, we are already looking to August and the 113 th Annual Delta County Fair & Rodeo which will be held August 5 th -12 th at the Fairgrounds in Hotchkiss! Delta County Fair Association PO Box 2084 Hotchkiss, Colorado 81419 info@deltacountyfair.com www.deltacountyfair.com Facebook.com/DeltaCountyFair Board of Directors EXECUTIVE COMMITTEE President Lance Kappel District 2 Vice President Ryan Bates District 2 Secretary Kristi St. Clair District 1 Treasurer Kelly Korth District 3 Member at Large Jarod Keller District 1 BOARD MEMBERS DISTRICT I - DELTA Andy Braslin Heather Braslin Kristy Spaedt DISTRICT 2 SURFACE CREEK Dr. Jennifer Craig, MD Chance Fischer Mariah Wood DISTRICT 3 NORTH FORK VALLEY Kay Adams Teresa Burns Kirby Clock Amy Miller Chad Mitchell Amy Shiflet Kris Stewart Did you know that the Delta County Fair is a non-profit organization run entirely by a volunteer Board of Directors appointed from across Delta County? As such, the Fair Board operates on a tight budget that must support an array of annual operating expenses related to running the fair. Expenses are covered only by income from fair related fees, event ticket sales, the use of donated equipment/services, a contribution from the Delta County Commissioners and sponsorship funds. We are proud to say that the Delta County Fair is one of the best county fairs in Colorado and continues to improve each year through financial support from local businesses and individuals like you. In 2017, $46,923 or 39% of our operating budget was funded through the receipt of sponsorship dollars from individuals, small businesses and corporations. In 2018, in order to cover expenses associated with the fair, we must raise $53,000 in sponsorships. Here are some of the highlights of the Delta County Fair and why your support of the Fair as a sponsor is important: We have the largest 4-H/FFA Livestock Show and Junior Market Livestock Sale of any county fair in Western Colorado! The 4-H and FFA programs teach life skills to our kids and prepare them to be the future leaders of agriculture and business in Delta County and Colorado. Your support of their success now, helps them learn skills to succeed in school and life. The 2017 Delta County Fair received $46,923 in sponsorships, 92% of which came from local small businesses and individuals! The largest event of the 2017 fair was the Demolition Derby, which completely SOLD OUT with an estimated crowd of 3,000 people! The Derby will return in 2018 on Saturday, August 11 th to close out the fair! In 2017, we paid out $5,934 in premiums to exhibitors and gave $11,392 in championship prizes, banners, ribbons and belt buckles to 4-H/FFA members thanks to sponsors like you! Our estimated cost for championship prizes, banners and belt buckles for the 2018 Fair is $14,000. Included is our 2018 sponsorship levels and sponsor form. We hope that you will take a few minutes and review what sponsorship opportunities exist at the 2018 Delta County Fair and how a sponsorship donation can promote your business locally, make a positive impact in the life of a 4-H/FFA member and make the Delta County Fair the best fair in Western Colorado! Sincerely, 113 th Annual Delta County Fair & Rodeo August 5 th -12 th - 2018 Delta County Fairgrounds Hotchkiss, Colorado Delta County Fair Board

How do I become a Sponsor of the Delta County Fair? SPONSORSHIP FAQS Complete the sponsorship form designating the area(s) you wish to sponsor or the in-kind donations you wish to make and mail it back to the Delta County Fair Board by May 1, 2018. Sponsorships are not guaranteed until the Fair Board receives payment in full. When are Sponsorships collected and is there a Deadline? Sponsorships are accepted from December 1 st to May 1 st. The deadline for Sponsors to be in the Fair Premium Book is May 1 st. How do I pay for a sponsorship? You can pay two pays: you can enclose a check for the full amount of your sponsorship with the sponsor form OR you can request to be invoiced after which you can pay via check or pay online at Freshbooks.com with a credit/debit card. How many people attend the Delta County Fair? Attendance at the Delta County Fair varies from day to day with our heaviest days being Thursday thru Saturday when the largest events occur in the evening. Approximately 11,000 total attendees and participants came to the 2017 Delta County Fair, which is roughly 37% of Delta County s population! A total of 5,766 tickets were sold to main events such as the Demolition Derby and Rodeos, and an average of 1,750 vehicles entered the grounds daily from Wednesday to Saturday. Due to the design of our fairgrounds, attendance totals are estimated by evaluating vehicle traffic counter data and ticket sales to main events. Keep in mind for larger events such as the Demolition Derby, many people walk into the grounds and aren t counted. Are there different levels of sponsorship and what benefits do I get as a Sponsorship? There are seven (7) levels of sponsorship ranging from the Premier, which starts at $30 for a single award sponsorship up to the Diamond level of $6,000+, which is the presenting sponsor for the entire Fair. Each level includes different associated benefits ranging from banner placement at the Fair to an ad in the Premium Book or placement of your logo on t-shirts to be given to 4-H/FFA members. To learn more about each sponsorship level and the benefits, please review page three. How do I know what level sponsor I am? As a sponsor, you determine what level of sponsor you want to contribute at. Your sponsor level (Platinum, Gold, Silver, etc.) is determined by adding the total amount of any financial contribution plus the total value, determined by you, of any donated equipment, supplies or services to the Fair. For example: You wish to be a Gold sponsor and donate $1,500 to the Fair. You can do so by writing a check for $1,500 OR you can donate $1,000 worth of prizes for 4-H/FFA members and make a financial contribution of $500 for a total of $1,500. To make an in-kind donation, please describe your donation on the sponsorship form and be sure to include a value. When I sponsor the Delta County Fair, what does my money go towards? Can I write off my donation on my taxes? As a non-profit Fair, 100% of sponsorship dollars received are utilized by the Fair Board to cover operating expenses for the Delta County Fair and improvements to equipment for the Fair. The Fair Board is a community board under the Delta County Government and as such is a non-profit and donations are tax deductible to the extent allowed by law. Consult with a tax professional to learn more about any deduction(s) you may be able to claim. What are all the categories on the sponsorship form and do I have to choose one? Many of our local businesses and individuals who contribute to the Fair wish to donate to a certain show or event such as the Market Beef show or the Ranch Rodeo, Demolition Derby, etc. You can pick as many categories as you like by entering the dollar amount you wish to sponsor in the amount column next to the event/show. Combine the total financial contribution with any in-kind donation for your total sponsorship amount. If you wish us to pick where your money is used, put an amount in the non-designated column and the Fair Board will use your contribution where it is most needed. Can I pick a specific award to sponsor such as a champion buckle, banner or prize? No. The Fair Board voted in 2017 to transition to show level sponsors such as the beef show, horse show, swine show, etc. All money collected is put towards prizes, championship banners and buckles for that division. After receipt of sponsorship funds, the Sponsorship Committee designates sponsors as being a Grand Champion, Reserve Champion or Award sponsor for the show (beef, sheep, goat, swine, etc.) based on amount contributed. Show sponsors will be listed by level in the 2018 Premium Book and announced at Fair during the show.
