Kiln Creek Dolphins Swim Team, Inc. Handbook Dear Swim Team Parents and Families, Welcome to the Kiln Creek Swim Team, Inc.! This handbook was designed by our parents to bring you a comprehensive guide to the many attributes and opportunities that make our team a success. As you look over the contents, remember that your time and dedication to our children makes YOU key to this program. Parents are asked to review this handbook in its entirety and discuss its contents with their swimmers to ensure a full understanding of the responsibilities of both the swimmer and the swim team family. If you have any questions or suggestions regarding the handbook or team activities, please email or call one of the Board members, they volunteer their time and talents to represent not just the team, but most importantly our families! Philosophy Along with physical conditioning and health benefits, our team develops a sense of self-discipline and commitment that is essential for the achievement of all aspects of a child's life. Most of all the team provides a wholesome and enjoyable summer activity for the youth and parents of the Kiln Creek community. Our Goals Are To: Provide a quality environment that teaches self-discipline, selfreliance, and self-confidence. All qualities that help form a positive self-image Nurture the development of every swimmer, and encourage each one to strive to be the best he or she can be, while recognizing that every swimmer is different Provide a "sport" experience that teaches cooperative teamwork Provide parents a means to take an active role in the development of their children in a team and community environment Demonstrate a strong sense of community involvement and support Reward and recognize the efforts of ALL swimmers Have FUN in all team activities 1

ORGANIZATION The Kiln Creek Swim Team, Inc. is a recreational swim team for Kiln Creek resident children age 18 and under. We are a self-support, family-oriented organization, and we are organized and managed solely through the individual efforts of swimmers' families. As a sanctioned member of the Greater Peninsula Swimming Association (GPSA), the Team competes with other Peninsula swim teams during the summer months, with meets held both at Kiln Creek and neighboring communities. Swimmers and Families: All swimmers and parents should become familiar with the rules and responsibilities outlined in this handbook to develop a clear understanding of their individual and family commitments to the team. As a volunteer-run recreational program, it is not only necessary, but essential for ALL MEMBERS to participate in its activities. Our children are doing their part by swimming, it is our parents' role to lead by example and show an equal commitment to support their swimmers and their accomplishments. Swim Team Board and Directors: The Kiln Creek Swim Team, Inc. is managed by volunteer parents serving on the Board and as Directors. Members are recruited annually. The Board consists of the following: President, Vice-President, Secretary, and Treasurer. Directors include: GPSA Representative, Social, Webmaster and Statistics, Concessions, Spirit Wear, Ribbons and Awards, Meet Coordinator, and Financial Support Coordinator. If you are interested in serving as either a Board member or in a Director position, please contact an existing Board member. Refer to the Contacts page on our website for contact information for existing Board members. Coaches: Kiln Creek Swim Team, Inc. has a highly qualified coaching staff. Please refer to the Contacts page on our website for more information. ELIGIBILITY Membership: Swim Team membership is open to all Kiln Creek families with children 18 years of age and under who have summer swim privileges at the Kiln Creek Recreational Pool. Age is determined by swimmers age on June 1st. Total team membership is limited to the first 120 swimmers who register at spring registration. Additions to the swim team roster will be permitted on a space-available basis, subject to GPSA rules. Parent/Guardian participation IS REQUIRED for any swimmer to participate and remain eligible for team membership. (see volunteer responsibilities handbook) Skill Requirement: No competitive swimming experience is required. However, the minimum skill requirement is the ability to swim one length of the pool (25 meters) unassisted in either freestyle or backstroke for ages 8 and under or 2 lengths of the pool 2

(50 meters) for ages 9 and over. Assessments will be conducted by coaches during the first two weeks of practice. Swimmer Age Groups: Boys and girls swim in separate age-specific groups. A swimmer's age on June 1st will determine the age group. Those born on June 1st will swim in the older age group. FEES Registration Fee: Registration will take place in April each year. The registration fee is $125 per swimmer. The fee includes a Kiln Creek Swim Team T-shirt and our concession fee. The concession fee is used to pay for concession supplies and materials to stock the concession stand. The remaining amount is used to pay coaches' salaries, league and meet fees, purchase ribbons, trophies, and equipment as needed. Fees must be paid in full on registration day by check or money order. In addition, Kiln Creek Swim Team, Inc. is offering ten $50 scholarships for swimmers in need. These are given on a first come first basis. Other: T-shirts, spirit wear, swim suits, swim caps, special events, social activities and special meets (Mini Meet and City Championship Meet) may require additional fees. These fees are not included in the registration fee. (Notice of such fees with be announced as required) RESPONSIBILITIES Swimmers: Swim Team members and their families have the responsibility to each other and to the Kiln Creek community to respect people and pool property. The following are some of the rules that help maintain this responsibility: 1. All existing posted pool rules will be observed 2. Swimmers must follow the direction of coaches and pool officials at all activities 3. Horseplay, inappropriate language, or unsafe behavior will not be tolerated 4. Only team swimmers will be allowed in "pool area" during practice times unless previously approved by the coaching staff for purposes of assisting in the practice, or to conduct official team business 5. NO ONE IS PERMITTED IN THE WADING (BABY) POOL OR OTHER POOL AREAS. Parents/observers are restricted to the pool deck near the entrance or play area adjacent to, but not within the swimming pool. The swim team may be held liable for injury or accident that takes place in the pool area during practices. 6. Swimmers under the age of 10 should be dropped off and picked up by a parent, guardian or responsible party in accordance with pool rules 7. Bicycles, scooters, skateboards, and other like articles are not permitted inside the pool area, ample storage is provided outside the pool entrance 3

Any swimmer not adhering to these rules, the posted pool rules, or any rules established by the coaching staff may be suspended from team activities. For any serious or unsafe action, or repeat infractions of general rules, a swimmer is subject to temporarily or permanent expulsion from the team. In such cases, the Head Coach will notify the Board for action. Parents/Family: Parents are the foundation to the success of the team. Prior experience or swimming knowledge is not required! Your role is to promote, support, and encourage the goals of the team, coaches, and swimmers through attendance, practice, competition, nutrition, team spirit, sportsmanship, and fundraising. It is essential for parents to: Maintain a balanced perspective on the purpose and philosophy of swimming Adhere to and enforce all team and pool complex rules, this includes the pool area, wading pool, playground, and picnic areas Participate in the required number of volunteer duties both Set Up or Clean Up or Meet Duties (the number required changes depending on the size of our team) Agree to secure a replacement if unable to fulfill an assigned duty Ensure the family's team communications folder is checked frequently for team notices, activities and meet ribbons Ensure coaching staff is notified of any absence, illness or other event affecting attendance at either practice or swim meets Attend all Swim Team Parent Meetings called by the Board VOLUNTEER AGREEMENT General: The Kiln Creek Swim Team, Inc. is a self-supported program and REQUIRES the individual and family assistance of all swimmers. As a member of the swim team, each family agrees that they will fulfill the required volunteer/support commitments. FAILURE TO MEET THESE COMMITMENTS SUBJECTS THE SWIMMER TO DISMISSAL FROM THE TEAM AND THE FAMILY TEAM MEMBERSHIP TO BE REVOKED. Swim Meets: Each family is required to volunteer their time to work a predetermined number of meets. This number changes based on the number of families that sign up per season. Each home meet requires over 25 volunteers and each away meet requires over 13. Duties include, but aren't limited to: *Referee (1-home meet) *Scorekeeper (1-home and away meet) *Starter (1-home meet) *Heat Ribbons (1-home meet) *Sweep Judge (1-home &away meet) *Ribbon Writer (2-home & away meet) *Stroke and Turn Judge (2-home & away meet) *Timers (3-home & away meet) *Publicity (1-home "A" meets only) *Lane Slip Runner (2-home meet) 4

*Clerk of Course (3-home & away meet) *Concessions (3-home meet) *Head Timer (1-home meet) *Concession Runner (1-home meet NOTE: Training will be provided for each position during the preseason Mock Meet. Some positions require attending clinics by GPSA. See the Volunteer Duties Booklet. Unavailability: If you are unable to fulfill a duty that you volunteered for, you must find someone to replace you. Please inform the Meet Coordinator immediately. COMMUNICATIONS Swimmer/Family Folders: Parents are responsible for being aware of all team activities. Each family has its own communications folder. These folders will be kept in a plastic file box located at the pool guard shack during all pool hours, practice sessions, and home meets. During practice it may be out on the table. All meet ribbons, team activity fliers, and announcements will be found in these folders. Parent/swimmers must check their family's folder at each practice. Parent/Coach Communication: The Board is your direct communication with the coaches. Please DO NOT direct issues to the coaching staff. This will ensure their focus remains on the safety and instruction of the swimmers. Parents are asked instead to present their issue to any member of the Board. Swimmer/Team/Meet Issues: Issues regarding team activities, practices or team business should be addressed to a Board member. Team Bulletin Board: The team bulletin board is located inside the pool area, near the pool entrance to the locker rooms. Check the bulletin board for updates on records and other team related information. Family Email List: An email list will be developed from registration forms and will be used for team communications. Where time permits, emails will be used to pass on important information and reminders. Email addresses along with the rest of your information are for official team use only and will not be published or used for anything other than swim team business. Please notify the webmaster via email to make changes or additions to your information. Team Website-kcswimteam.net: The swim team maintains an active and up-to-date website. Team news, schedules and general information (including this handbook) will be posted there. Team Facebook Group: The swim team maintains a Facebook group and will post information, photos and other general information. It can be found by searching Kiln Creek Dolphins Swim Team on Facebook. 5

Absentee Procedures: If a swimmer will not be available to attend a meet or will be absent from practice for an extended period of time (more than 2 days) please contact someone on the Board or alert the coaching staff. Notification is a must to ensure meets run smoothly and all point lanes are filled. EQUIPMENT Swimmer Property: Parents should ensure a swimmer's property is clearly marked with name and phone number (towels, bags, etc.) Any article found without a name will be turned in to the pool's lost and found. Swimsuits: Swimmers are not required, but encouraged to purchase a Kiln Creek team suit for all meets. New suits may be purchased from the Swim and Sport Shop on Warwick Boulevard. Identify yourself as a Kiln Creek Swim Team, Inc. member and they will help you to purchase the correct suit. Swim Caps: Swimmers are not required, but encouraged to purchase a Kiln Creek team cap for all meets and practices. Swimmers are required to wear a cap for all meets. Goggles: It is highly recommended that swimmers use properly fitted swim goggles. Goggles protect the health of a swimmer's eyes while significantly enhancing safety for turns and finishes. Proper fit is essential. Goggles can be purchased at Swim and Sport Shop or other stores. Team Shirts: Swimmers receive one free T-shirt with their registration fee, but are free to purchase additional shirts for family or other spirit items. This a key part to showing your team affiliation and spirit. Team t-shirts and other merchandise will be available to purchase at registration. We encourage your whole family to participate as everything is available in youth and adult sizes. Other Equipment: Swimmers are not permitted to use floatation devices of any kind at practice or in competition. SWIM TEAM PRACTICES Sessions: Team practices are held at the Kiln Creek Recreational Pool, next to the Recreation Center. Practices are for one hour in length, unless otherwise noted by the Head Coach. Swimmers 6 and under practice for 40 minutes. Multiple practice sessions are officer to accommodate team size and/or skill level of each swimmer. Parents are asked not to interfere with coaches or swimmers during practice sessions or meets. Dates and Times: Practices begin on the Tuesday after Memorial Day and conclude the week of the City Championship Meet. Practices are scheduled for two afternoon sessions until Newport News and York County schools end their school year. At that 6

time practices are moved to the morning. The 9 am practice is only available Monday through Thursday, since the Kiln Creek pool opens earlier on Fridays. May through mid-june: 3:30 or 4:30 (any age group) June (at summer break) though City Meet: 7 am (any age) 8 am (11 and up) 9 am (10 and under) Practice on Meet Days: Practices will be held on meet days! Inclement Weather: Practices are canceled when weather conditions pose a potential safety hazard (lightening, thunder, torrential rain). You must show up to for every meet no matter what the weather forecast. The cancellation of a meet will be made by both the Home and Visiting GPSA Representatives and an alternate date will be scheduled. SWIM MEETS Age Groups: Swimmers 6 and under compete in the 25 meter (one lap) freestyle and/or backstroke only. All other age groups compete in one or more of four swim strokes (freestyle, breaststroke, backstroke and butterfly) and the Individual Medley (IM). At the discretion of the Head Coach, a swimmer may be asked to swim in the next older age group during "A" meets. Mock Meet: Time trails are required for all swimmers in accordance with GPSA requirements. Each year a Mock Meet (time trial) is held before the first swim meet. The purpose of the Mock Meet is to establish times for each swimmer on all four basic strokes and to familiarize team members and families with the manner in which swim meets are conducted. The Mock Meet is considered a "full dress rehearsal" and will take place at the Kiln Creek Pool. This event is mandatory for swimmers and parents. If you will be absent, notify the coaching staff. "A" and "B" Meets: There are two types of swim meets, "A" and "B". "A" meets are swum against teams in our division, each team is limited to two swimmers for purposes of scoring, usually the top two swimmers for each stroke and age group as determined by the Head Coach. In "A" meets all scores are counted toward the team's standing in our GPSA division. "B" meets are additional exhibition meets that are scheduled to allow swimmers who wouldn't otherwise a chance to compete in more events. "B" meets do not count towards our team standing in GPSA and are not scored. Exhibition Heats and Lanes: During "A" meets, additional "exhibition" heats may be added to each age group and stroke. These heats are intended to give all swimmers the opportunity to improve their individual times and maximize individual participation. 7

Exhibition heats are conducted after the first heat and are not scored. Exhibition lanes are the two outside lanes at a pool, usually lanes 5 and 6. These lanes are used to give additional swimmers a chance to improve upon their times. These lanes are not scored, but the times are recorded. Arrival Time: Swimmers must arrive at home meets by 4:45 pm and away meets at 5:15 pm. Set up volunteers, concession workers and concession runners must arrive at home meets by 4:15. All other meet officials and volunteers should arrive by 5:30 pm and sign in with the Meet Coordinator. Schedule: meets are scheduled on Monday's and Thursday's, unless otherwise noted and begin promptly at 6:00 pm. Meets are typically completed by 9:00 pm. A complete schedule of the meets can be found on our website under the Calendar page. Rescheduling: In the event of a meet postponement due to weather or other factors, the meet will be rescheduled within one week. We will communicate with you as soon as a date is chosen. If the new date conflicts with your schedule and you are not able to fulfill a volunteer duty or your child is unable to swim, please contact a Board member or the coaching staff as soon as possible. Directions: Directions to all Away meets can be found on the website on the Directions page. For home meets, there is overflow parking next to the soccer fields if the parking lot next to the pool is full. Events: GPSA rules limit any swimmer from participating in more than 3 scored individual events and 1 relay event, UNLESS the team has less than 64 swimmers on its official roster and the swimmer's age/gender group has 3 or less swimmers in that bracket. Disqualifications: Parents and swimmers should be aware of general GPSA rules that subject swimmers to disqualifications (DQ) during competitions. Parents are asked to explain that there is a possibility of DQ's during a meet and that the purpose is to identify and correct stroke errors, which in turn, will make them better swimmers. The coaching staff will help the swimmer to correct the infraction that led to the DQ. DQ's will be given for: two false starts or any deliberate false start improper stroke execution swimmer entering the water before being told by the starter any unsportsmanlike conduct before, during, or after the meet not starting and finishing the race in the same lane not using a two-handed, simultaneous touch for turns/finishes during breast and fly swimmer propelling themselves in a forward motion off the lane ropes 8

Protests: Protests arising from a disqualification or other team competition issue must be made to the designated GPSA Representative at the meet within 30 minutes of the alleged infraction. The GPSA Representative may then at his/her discretion, present the protest to the meet referee. The Referee shall resolve the protest immediately, stopping the meet if necessary. Rulings made by the Referee are final. Ribbons: In accordance with GPSA rules, designated place ribbons will be awarded for 1st, 2nd, 3rd place finishes in all individual scoring events, and only 1st place for all participant on the winning relay team. All other finishers and exhibitions swimmers will receive "participation" ribbons without a place designation. Mini-Meet: This is a GPSA event near the end of the swim season. Swimmers may enter any event in which they do not already have a City Meet qualifying time. This meet affords all swimmers to participate in a large multi-team championship style meet. We highly encourage your swimmer's participation, but it is not required. There are entry fees associated with this meet, depending on the team budget you may be asked to cover your swimmer's entry fees. City Championship Meet: At the end of the regular season, GPSA sponsors the City Championship Meet. This met takes place the first Saturday in August starting at 8 am and ending approximately at 5 pm. To qualify for this meet, swimmers must meet minimum GPSA qualifying times throughout the season or at the Mini Meet. Unlike other meets, swimmers are required to swim in their actual age group and will be competing with swimmers from all GPSA divisions. The coaching staff will be in contact with your swimmer as they qualify or get close to qualifying. If your swimmer qualifies, their participation is not required, but highly encouraged. There is a nominal entry fee per swimmer, depending on the team budget you may be asked to cover your swimmer's entry fees. Kiln Creek Swim Team Inc. will always cover any relay entry fees. TEAM PICTURES Team and individual pictures will be taken at the Kiln Creek Pool. The date and time will be posted on the website calendar and announced at practice and via email. The team picture is for all swimmers and they must be at the pool in their suit at the designated time. Orders and payment information will be provided to each family. TEAM RECOGNITION End of Season Awards Ceremony and Banquet: This event is held the Sunday after the City Championship Meet. The exact date and time will be posted on the Team Calendar on the website. It will take place at the Kiln Creek pool. Families will be asked to help supply food and that information will be communicated to you as the date gets closer. Awards/Trophies: Each swimmer will receive one award. If your swimmer receives "Most Improved", "Age Group High Point", "Overall High Point", they will not receive an 9

individual award. The "Dolphin Award" is the only exception. The swimmer who receives the "Dolphin Award" will also receive an individual award. The following awards are presented to members of the Kiln Creek Swim Team at the awards ceremony: Individual Award--each swimmer (with the exceptions mentioned above) will receive a trophy for their successful individual contributions to the team Dolphin Award--awarded to one male and one female swimmer who, in the coach's judgment displayed exemplary qualities in the following areas: sportsmanship, leadership potential, hard work, cooperation and willingness to work with other High Point Awards--awarded to one male and one female in each age group and one male and one female team overall that accumulates the most points throughout the season Most Improved Award--awarded to one male and one female in each age group who has shown the most improvement throughout the season as chosen by the coaching staff SPECIAL EVENTS AND ACTIVITIES Parent Meeting: The Board will host a parent s information meeting for all swim team parents before the season begins. This informal event will be your first opportunity to meet the Board members and coaching staff, get acquainted with other team parents and discuss the swim team season. This will also serve as the volunteer information clinic where we will discuss the roles of each volunteer activity. Post-Meet Activities: Each year we try to make arrangements with local restaurants so the team can get together after the meet. We also offer special treats to our swimmers at our home meets as they exit. These events will be announced to you as they are arranged. Official's Clinic: Each designated swim team official (starter, referee, stroke and turn judges, scorekeeper) is required to participate in a GPSA Official's Training session. This brief but informative session will outline all meet and swim rules, including any changes, and each official's responsibilities. Details on clinic dates and locations will be provided on the team's website calendar. FINANCIAL SUPPORT Team Financial Supporters: We are always on the lookout for community businesses and individuals to offer monetary support throughout the season. All details about different support levels can be found on our website, on the financial support page. Door Prizes: Our team is always looking for business willing to donate gift cards or goods that we can use to recognize our swimmers throughout the season or to be used as raffle prizes at the End of Season Awards Banquet. If you have an idea or know of a business that might be interested, contact a Board member. 10
