Winder-Barrow High School Touchdown Club Meeting Minutes - 7.18.17 Dan Landis opened the meeting at 7:00 pm. Board Nomination Request by Dan Landis Dan requested additional nominations for Secretary as the election will be held at the end of the meeting. None were received. Coaches Update by Heath Webb Habersham camp tomorrow (7/19); bus leaves at 7:15am; players report by 7am; finish around 11:20 and expect to be back around 12:30 or 1:00. Bottled water provided, no meals provided. Riverside Camp: report at 8:30, bus leaves at 9:30. Team will be back Saturday around 1pm. A list of things needed at Riverside was provided at the meeting. Players will be staying in the school s barracks. Players may also want to bring personal size small cooler because there are no refrigerators in room, but this is not necessary. Send any needed medications, and they will be given to Lance McNamara; he will manage all medications. Coach Webb recommends players bring 2 pair of cleats because they will get wet in morning practice. Rooms do lock, and boys will have keys. Boys will have a curfew, and coaches will do bed checks and wake ups though they will stay busy all day (630 am to 11:00pm) with 4 padded sessions daily. Kickoff Classic: $100 ticket admits 2 and enters you into a reverse raffle; only 300 tickets sold. Date is August 5 th at Winder Moose Lodge at 7pm; adults only. It s a great chance to meet the coaches and includes bbq dinner plate, cash bar and DJ. Volunteers needed, so please sign up on sign up genius. + see website for all dates/events; sync to your phone or outlook calendar by clicking blue arrow at the bottom of the page Financial Report Steve Canup Highlights: Management report available for review for all members on back table; checking account statements also available $44k total YTD income; $15,724 YTD expenses; net of $29k $32,542 in checking account; $8,900 in money market (reserve account) A few accounts receivables totaling $1,500 from game sponsorships that haven t come in yet. Due to new school board requirements for booster clubs, we have to incorporate and file for a 501c3 status separate from that of the high school. There will be a set up expense of approximately $500 and then $350 annually thereafter to maintain status. We will use parentbooster.org to handle these for us, which will also be a big help with future boards to maintain compliance with school board requirements.

Winder-Barrow High School Touchdown Club Meeting Minutes - 7.18.17 Coming Events presented by Dan Landis and Christine Smith Wednesday Night Team Meals: TD Club feeds the team every Wednesday night during the season. Meals will start after practice on August 9 th and will be served across from the school at First Presbyterian Church, who has offered their facility for cooking and serving the meals. Golden Corral has generously donated noodles and dressing, but we need players to contribute 2 bottles each of sauce and parmesan cheese. Additional donations of salad greens, bread and dessert will be needed each week, but will need to be brought in weekly because they are perishable. Board is seeking volunteers to donate these items as well as work the meals. Also seeking other volunteers and civic organizations to support cooking the food. Gina Klemm suggested checking with National Honor Society and Beta Club; also make adjustments to signup genius to expand time frames so same people aren t working the whole thing. Yolanda Thomas suggested adding additional volunteer slots and times to ensure better coverage for the meals as last year those who served ended up doing everything for the meal. Senior Pictures: Players and parents should arrive upstairs at fieldhouse by 6:00 so players can get into uniform; seniors will determine tomorrow which color uniforms. Team Pictures: Team pictures will be taken during practice on August 24 th. Players should report at normal time for roll call. Due to the amount of time that will be spent in full pads outside waiting for pictures to be done, this will count as an acclimation practice. Fall Program Ads: Flyer for purchasing ads included with the agenda. Please submit all ads and payments by Monday, August 7 th to allow time for inclusion in copy before sending to printer. TD Club can create the ad for parents using player picture that will be taken next week combined with any personal message they want to include if they aren t comfortable creating it themselves. Gridiron for GGals: Luncheon benefits the senior scholarship fund and will be held from 11-1 on Saturday, 7/29. It will be hosted by coaches and senior players. If you want a t-shirt, you must register or advise Christine Smith via email at doggsfootball@yahoo.com before this Thursday as shirts must be ordered then. Board Member Election for Secretary: All TD Club members were invited to vote. Amanda Baker, freshman parent, was elected to the position.
