Update: Having missed display option for picture weekend, working with Chris at PIAS to have online store available soon for all purchases before the holidays. Must ensure that price on each item reflects a percentage for scholarship fund. Also, question raised about when items available for travel players who ordered extra. Eric to schedule a meeting with ECHL contact and Nikki to discuss logos and cross-marketing opportunities. Update Eric and Nikki had good meeting with Adam Goldberg. Goal was to develop relationship with them. ECHL Mariners will not use old Mariner logo. Adam eager to build community relations. Ideas that arose: may share logo in future, offer Casco Bay Nights for CBHA kids to play at intermission, partnership with 5K, assistance with the

coaching meeting to provide safety info, education seminars. Possibility of them practicing at FIC according to John. Tom to work with Scott M. to get sets of goalie gear for U12 house girls. (I don t recall this being discussed during the meeting, but put it here based on a question in Scott M s written report) Update Scott waiting to hear. Scott M. to coordinate with Huskies regarding which organization to take the lead on registrations and ice use for combined U14 house team. Report proposed plans to Melissa and Rachel as appropriate. Update Huskies has absorbed 5-6 girls from U14House and Sarah has refunded. Tom to work with Rachel to adjust weekend schedule to avoid/minimize standalone games which are hard to get refs for. Ongoing Nikki to send thank you notes to 5k vendors and sponsors with photo and medal. Ongoing Nikki to send John V. a couple photos to be blown up and hung in the CBA lobby. Update has been done; John asked for Nikki to print a few shots (10x14 on canvas or non-breakable glass) Tom to provide Heather with HS girls as volunteers for Little Bruins sessions. Update HS girls helped out. Need to do a wrap-up to determine overall value. Eric to communicate USM mini one-on-one program and request coaches submit names of skaters (2) and goalie (1) for participation. Eric has communicated request to travel and girls teams. Waiting for house teams rosters to be finalized and will reach out to them through Scott R. Eric to purchase FlexxCoach drill design tool and full season membership for FlexxCoach practice planner tool. Will share login info with other board coaches for trial. Update Eric has shared with coaches. Action Items from November Request a collage of pictures from Roy Crowley to hang at CBA Meg Follow-up with owner of Rivalries regarding sponsorship/support at CBA and with CBHA Eric Girls practice and game schedule to Rachel. Heather to connect with Melissa and/or Jason/Glenn to roster the coaches for LTP and BTI Eric to meet with NYA rink manager to discuss contract and givebacks/takebacks Division Updates: House Director: (Scott absent) Evaluations complete and rosters are done. Requesting practice jerseys but argument made that this isn t in the budget.

Girls Director: U12 T4 teams have been created "Black" and "Orange". Waiting on jerseys and goalie gear for them. Scheduling games now. U12 T2 and U14 T2 going well no issues U16 and U19 T2 winding down, they are done with practices. Icicle invitational looking very good. Still waiting on the Sunday evening ice Sat and Sunday. Girls State Tourney rinks committed to doing it. Will let Ellen and Mike know Working to organize a U8 skate around, cross-ice for all girls against Biddeford and other teams as interested. Might happen as a Jamboree in NH. This would be a good way to make a U10 team for 2018-2019 season. Scott will give a few hours of ice at CBA on Saturdays back. Also some NYA hours. Discussion about how to best use this may turn into pond hockey or additional skills. NYA is not letting us give back the 2:10 Sat ice time. Want to discuss having a tuition fee reduction for my U19 head coach, Lee Veilleux. Has been with CB girls for 5 years and daughter is graduating out. I have paid the former U19 coach a small $350.00 stipend as she did not have a daughter in the program. Wanted to do this as a thanks for all the help over the years. Conversation at Board Meeting concern this is a slippery slope of paying one coach for services. Argument that this is what we should do for U19. Will need to build in to budget for next year so that there is a stipendfor U-19 Coach. Can t be done at this point as it wasn t budgeted. Currently done for U16-U18 boys so the same should be done for similar aged Girls team(s). Discussion about parent versus non-parent coaches. Agreed preference for non-parent coaches at this age level for both boys and girls, but coach qualifications should be primary driver in decision. Parent coaches are OK if qualified, selected by Division Director, and approved by Coaching Director. Stiped is for position and qualified coach, whether a parent or not. Plan to provide Lee a gift at end of season for the exceptional job he has done. Scott will work with Sarah to make this happen Motion: Beginning in 2018-2019, the U16 and U19 Girls Head Coach will receive a stipend like boys and will be budgeted. Amount of stipend will be determined by DD, CD, and Treasurer at annual budgeting meeting. Coaches will be selected by Division Director and approved by Coaching Director. Approved unanimously. Mites Divison: Discussed purchasing 4 small nets for games at NYA but have now decided against it. Of the 8 Mites teams, 4 will go to Bangor, 4 to Rockland and all will go to Auburn tournament. Teams may not be as strong since teams have moved from a 9 player roster to a 13 player roster.

Comment [SaET1]: This has been done. Squirts Division Our first two weeks went well, all the kids back on the ice. One Squirt, Avery Sampson, broke his arm and will not be able to play for at least six weeks if not eight. He was rushed right into the OR with a compound open double arm bone fracture. His parents will be asking for a credit for next year for the time missed. We had a few equipment issues, with socks and jerseys, I have sent along a request to Scott for replacements of what is needed. Scott mentioned that the Squirt Skills sessions will be Monday evenings, with our Team Practice on Saturday and Games on Sunday, I think that a schedule similar to last year s where Squirts had skills midweek would be better for their age group. Three days in a row of hockey is a lot on players as well as parents. The only question I have going forward, is who has the contact info for the tournaments that the squirts went to last year so I can reach out to them about this year s teams. Treasurer: 765 players are registered. The remaining installment payments have been made. Outstanding balances are attached to this email. All families have been emailed if they owe money. If we don t receive payments by the end of November, I will work with the Division Director to contact the affected families. Midget Travel and U16/19 Girl players will be removed from the rosters next week if payments have not been resolved or a plan has been worked out with me. Processed 7 scholarships for a total of $2,650 so far. Coaching Director: Off to a good start. I haven't observed any House practices yet but Travel has been up and running for over a month or more in some cases and so far, all positive. Our Travel Team coaches are well prepared and are doing a great job teaching our players. Parents often times choose an organization based on the coaching and I would put our Squirt through Midget travel coaches up against any organization (paid or unpaid) any day of the week. From a certification level, please remind your coaches to get everything done before their deadlines in order to avoid the unpleasant task of having to remove a coach from the bench or ice. It's time intensive and the website(s) are not always easy to navigate but the material is excellent and will make our coaches better. Hearing excellent feedback on our skills trainer, Alex Kurtz. Alex is a CB alum who runs most of Stride Envy's skill sessions and camps. He is doing an amazing job in his first year for our weekly travel skills and we're really happy to have him join us. He has not asked me to say this but I do know he is available for 1 to 1 training (or up to 3 to 1) with our skaters. While not inexpensive, his training is worth it. Alex has access to very reasonable ice rates at NYA (when it's available) so often times the fee is really for his time and not the full $230/hour for the ice. I'd like to add this to our website along with his contact info.

Alex has made coaching his profession and as an organization we should try to help him however we can - the short term results are there. ACE Director: As of this afternoon we have 149 coaches registered. We have a handful who still need to complete their training in order to be eligible to be placed on a roster but between the DDs, Melissa and I, we seem to be getting them taken care of pretty quickly. Only push-back from a coach who didn t do training. We have already lost 2 midget coaches because they failed to complete level certification before 10/31. They have already been removed from their rosters and should not be anywhere near their teams in terms of ice or bench. There are several coaches who still need to complete level certification before 12/31 with most already registered for clinics. I continue to send out email reminders so we don't lose any more coaches this season, however. One U16 coach didn t do training, missed last game. Discussion of whether he should be paid pro-rata for season based on missed game. Should be advised to do the training now. Sean will get paid for the full coaching role and he can decide how to pay assistant. Jason requested CEP report for anyone registered for CBHA. Melissa will send Jason names of all unrostered coaches. Need to remind those with expiration of 12/31 to get certification complete and safe sport done as well. CBHA reimburses for all certification. Schedule set through 11/12/17. Will get schedule to Sarah of what s been used for financial issues Working nicely with Josh and John, challenge of NYA power outage Moving the system to google so that the schedule can be edited/shared by multiple people before it s confirmed and then uploaded. Will get data into system ASAP Scott M to send game and practice spreadsheet to Rachel REFS: Tom was absent, but need for refs was reiterated. If games had happened at CBA, there wouldn t have been enough refs and those games would have been cancelled. Need to offer more reffing clinics

Registrar: 7 total teams rostered to date. All travel rosters set. One travel coach still has not complete age modules, so cannot be on the ice, bench, or roster. 2 midget travel coaches removed for not renewing credentials by the 10/31 deadline. Working with DDs to finalize house rosters. Working on getting 2 Canadian player transfers, plus need 11 house coaches to register or complete coaching credentials so I can add them to rosters. This number may increase if additional individuals step up to coach. Registration has wrapped up. Second payment went through on 11/1/17. Sarah reviewing all rosters to ensure all players have met their financial obligation to Casco Bay. Families with outstanding balances were emailed statements (10-15 families). If these families don t work something out with CBHA by end of November, players will come off the ice. Working on 3 rd child discounts. Marketing / Social Media: Continuing to send thank you notes for sponsorship of 5K. Working to determine best process for DD fundraiser this year given reduction from 3,000 to 1,500 and movement away from mugs to a card. Tournament Director: In order to be able to look at what I can schedule for tournaments, for the end of the season as well as the Christmas/ New Years I would love to be able to look at some kind of Spread Sheet as to what is the actual amount of ice available. What divisions Bantams? Pee Wees? Girls? Would be interested in a holiday tournament... 3v3 or full team? And if it is known what is the regular ice schedule planned for each division over those holidays, And lastly what is the end dates for each division, and the ice availability at those times? TA Director: Travel TAs are all set and managing teams. House TAs getting going, but meeting a bit late due to power outage and late start. Plan on two meetings weekend of 11/11. Supplies distributed to veteran TAs this week to have them ready to go Sat morning. Question posed about pins to share at tournaments. Would we do this again? Pictures for BTI/LTP occurred 10/28-29 at FIC. House and Travel pictures happened 11/4-11/5 at Rowe School. Girls U14 T2 and Girls U12 T4 weren t able to be photographed due to weekend schedule and lack of jerseys. Working with Roy to find a Sat/Sun morning for him to come to FIC to do this. Despite a late schedule sent to families, pictures went off well. Two travel teams on Sat am had limited players show (one coach said they were optional) and we ll work with these coaches in the future to emphasize the value of this. Should we be trying for pictures later in the season is it just too rushed at this point?

Remind all TAs to have families follow CBA so get email updates with schedule changes and events. Casco Bay Academy: CBHA numbers continue to grow. BTI - 46 LTP - 78 HUGE victory this week at BTI with SIX stations running on Saturday, meaning NO BUCKETS/ beginning skater area. ALL skaters moved around the stations this week -- some very slowly... but this did not happen by March last year and it was only week 4! Bruins Academy/ Little Bruins has 2 sessions complete, 2 to go. We've had a number of registrations come through to LTP and BTI from them (at a 25% discount), which there has been some discussion about. Sessions are going well, parents seem to like the program. Would love some extra coaches for the next 2 sessions, Tues, Nov 7 and Nov 14 at 6:10 @FIC if anyone is available. Please email me directly and let me know if you can be there. Eric, John, and Tom's skaters have been great, but fewer are available for remaining sessions. Had 2 kids that I know about (which means there could be more) that registered for Mites before doing any LTP this season. This is not supposed to happen and we will need to flag this next year and check rosters/ registrations before allowing them on the ice for Mites evals. COACHING registration -- I have LOTS of coaches (40+ between both programs). I'm trying to get them through all of the steps to be on the ice. 99% are totally compliant. Will check in with Glenn/ Jason/ Melissa separately; I've never done official rosters with registrar, etc. before -- is this required at our level. I have them USA Hockey, SafeSport, CB register, MeAHA Background check. They are not required to do age-specific modules. Let me know what I need to do. There are many of them to keep track of, and I've made it clear they need to complete the steps by now or they'll be asked not to skate. Let me know if I need to do more for official rostering. Casco Bay Arena: In lieu of a formal report, please video link below and the attached photos. Thanks for your patience as we waged a battle of wills with Mother Nature. Special thanks to Rachel and Josh Brainerd for all of the extra work juggling things for CBA and NYA issues last week. We are a GO for hockey at CBA, with a full slate of MS games yesterday. Also our 1 st Holiday Pond Hockey hours (FREE for CB players) will be Veteran s Day, 11/10/17 Here is the set holiday pond hockey schedule for this season. We rearranged hours since we must have a 2:00 pm try hockey hour during holidays per our lease.
