MINUTES OF PREVIOUS MEETING: The minutes of the meeting held on the 13 March 2013 as circulated were confirmed as correct. Mandy Grainger/ Susan Sawtell carried MATTERS ARISING: Take Yours Mark Nothing further to report Waves Awaiting draft letter from Sharlene Gillespie. CORRESPONDENCE: The Correspondence Schedule up to the 8 th April 2013 with the Inwards Correspondence being received and the Outwards Correspondence being endorsed. A letter to be sent to those who were selected for the RAGD development camp. SNZ CEO roadshow is to be in Dunedin on the 27 April 2013 and is available to meet members in the evening. Mandy Grainger /Peter Deans carried FINANCIAL REPORT: Financial Report The financial report was provided to members. The MYOB balance as at the 31 March 2013 was $27,574.66. The historical balancing account needs to looked at to see if it is still relevant or shown as something else like retained earnings. It was resolved to approve the financial report as submitted. Matthew Heaton/Lynn Robertson carried NZ Representative Fund Matthew Heaton advised the NZ Representative Fund had meet and recommended payment two swimmers who representing NZ overseas. Kurt

Management Minutes April 2013 page 2 Crosland and Matthew Glassford be give a grant of $1,000 each. The fund has $27,000 in it. It was resolved that the recommendation be accepted and Kurt Crosland and Matthew Glassford be given $1,000. Matthew Heaton/Kathryn Duncan carried Officials The matter of providing financial support to Officials who attend National meets was raised. It was agreed something needed to be done which could include applying to the Skeggs Foundation for funding. The Technical Panel to see what other regions might do in relation to this matter and discuss what form of funding may be provided. COMPETITION COMMITTEE MATTERS: Carnival Meeting A meeting of the Carnival Committee is to be held on the 16 April at Michael Dodds place at 7.30pm. Otago Championships and Winter meets to be discussed. Feedback from Otago Champs to be sent to members. SNZ Zone Competition Members considered and made comments on the SNZ Zone Competition format. Nelson Marlborough has sort feedback about them being part of the Southern Region for the pilot year and using SI Champs as the selection meet. Comments received to date support the competition format. The feedback to SNZ was to support the concept and to raise costs and ongoing costs of attendance at meets and dress gear etc, how many meets per year. The fact swimmers had already booked their flights for this year s meet could cause some problems. The South Island Championships was seen as an appropriate selection meet. Otago Primary and Secondary Schools The meet ran well and Susan Sawtell was thanked for her organisation and running of the meet. Some members felt it was a waste of time and it was agreed it should be discussed at the upcoming carnival committee meeting. Consideration needs to be given to what is the purpose of the meet. NZ Masters Alan Hale reported on the meet. After suggesting they should do the entries and having not heard from Kierran Garrett he ended up having to put them into Meet Manager. The timelines still need some work on them but look like 5.30pm start on Friday night and 9.00am and 2.30pm on Saturday. Pool set up to be 4.30pm on Friday. Alan to advise Kay Alexander once final times are known. Information on the matters relevant to NZ Masters to be provided. Division 2 Entries have closed and Neptune has nominated Kerren Keach as Regional Team Manager which has been accepted. It was agreed to ratify the appointment of Kerren Keach as Regional Team Manager for Division 2

This team was a pleasure to be involved with, and they represented Otago admirably. Two first time NAGS swimmers, Tame Govaerts and George Gray were delighted to represent Otago in the march past. There was a strong bond within the Otago team and this was evident in an impromptu Team Chant that involved all the Otago swimmers (and included some Southland ones who wanted to join in!). It would be wonderful to make this an ongoing tradition. A number of younger swimmers made Australian Age Group qualifying times and many of our swimmers contested finals. Live Streaming was available for this event on the internet and on demand viewing after the conclusion of the championships was available. With this now a prominent feature it is a timely reminder for swimmers, coaches and managers that things said and done in moments of exhilaration, as well as those of frustration can be heard and/or seen by those listening and watching the live streaming and the on demand viewing, within the wider swimming community and beyond. Another great meet with awesome results for Otago. Medals were won by several individuals representing a variety of Otago clubs. Several Otago records were broken which is always a pleasure to witness. The standard at the competition was high with several NZ records being broken throughout the competition. It was a pleasure to manage this team. It was resolved to receive the report. Kathryn Duncan/Peter Deans carried VOLUNTEERS Dunedin Club Support Some clubs have approached the President with the forthcoming demise of Waves asking for support and raising concerns that they cannot promise the same things to competitive swimmers as Neptune does. Members were advised the coach will be travelling by himself along with the other independent coaches. Swimmers from the smaller clubs need to consider organising themselves as a group. Some swimmers may peel off from Neptune. This matter needs to be raised at the next Delegates meeting. Technical Panel Mandy Grainger raised the issue of whether the Volunteers committee was an overarching committee and how it should work in relation to the technical panel which holds a lot of the information. Should the Technical Panel arrange and appoint all officials including timekeepers. The Technical Panel

Management Minutes April 2013 page 6 GENERAL BUSINESS Pool Survey Kay Alexander has requested the pool survey information/certificate from Steve Prescott. It was agreed this matter should be checked out by the Technical Panel and some solutions obtained to sorting out the issue and then to approach Dunedin City Council with solutions that are supported by the NZ Technical Panel. The solutions to be brought back to the next meeting Waves Dissolution Waves have confirmed that the club at a meeting of members on the 19 March 2013 and will be dissolving as at 30 April 2013 and have requested if there is anything else that needs to be done to proceed the dissolution. No issues were raised that needed to be done to complete this matter. Swimming Otago Annual General Meeting It was resolved the Annual General Meeting be held on the 16 June 2013. Mandy Grainger/Susan Sawtell carried MATTERS TO BE CONSIDERED AT FUTURE MEETING Better housing for the new pads to protect them from the UV light. To be discussed at the next Technical Panel meeting. Pool Survey Alan Hale is to check how many pools meet FINA requirements for length within NZ where national meets are held.
