2017-2018 Guin Foss Parent Volunteer Information Volunteer Position PTO President VP Membership Job Description The President shall serve as leader and key contact for the PTO, preside at all PTO meetings, attend Coordinating Council meetings, appoint chairpersons for special committees, and coordinate the work of the officers and committees so that the PTO s objectives can be met. The Membership organizes annual PTO membership drive, maintains membership records, and develops the student address directory. Approx. She/he is responsible for assisting with the preparation of the yearly budgets and fundraising goals to meet budgetary needs. The Volunteers is in charge of filling all committee positions of the PTO. This officer is responsible for reconciling all bank statements, recommending policies and procedures to follow to ensure accurate accounting of all monies and cash received on behalf of the organization, and is responsible for filing all necessary forms with any local, state or federal governmental agencies concerning funds of the organization. The Treasurer shall submit all books for audit on an annual basis. The Secretary is responsible for taking and keeping all minutes of the meetings and attends to all PTO correspondence. She/he works with the President to prepare an agenda for all meetings and maintains a calendar of programs and events. Parliamentarian 1st Day Packets See's Activities Committee Mom/ Daughter Tea Father/Son Event Promotion The Parliamentarian monitors all meetings to ensure that business is conducted in accordance with Robert s Rules of Order Newly Revised and the Bylaws of the Organization. She/he chairs the nominating committee and oversees the election of officers for the following school year. First Day packets are put together and ready to go for first day back. See's Candy is sold many times throughout the year to help with Outdoor Ed Camp. A group of parents of the 5th grade classes, this would include shirts, and yearbook signing party. Each Sub-level has a sub-chair that works closely with the head chair of the carnival. Carnival is booth set up and booth ideas, Set-up and Clean-up event. Auction manages donations and creates a fun creative way of presenting items for auction/raffle. Kitchen purchases food and supplies for kitchen, presents ideas and keeps kitchen running smooth throughout carnival time. Cake Walk Donations will go out and ask for donations of cakes from various stores/parents. Presale Ticket Prep will collect orders and prepare tickets in envelopes with orders and bundle tickets in preparation for carnival sales.
