Minutes of Executive General Meeting held Bankstown Thur. 5 th April 2017,with following correction, as previously circulated, Correction That in the Treasurer s report, the honorarium approved to be now paid to the President is $1,100 not $600. Business arising: President confirmed that forums are proceeding & indicative numbers of attendees were advised. Rolling list of Major sponsors. It was agreed that the website would show these when updated. Secretary advised that no requests for economic recovery support yet received although enquiries had been made. Minutes were then accepted on motion of Les Knox seconded Stuart Dossetor- carried. Communication & Sponsorship Committee Report: Correspondence In:1 24.4.2017 E-mail advice from Secretary Group 27 that Hay Vets are applying for 2018 NSWVGA Sandgreen Championships. Later e-mail advised that Hay are approved to conduct 2018 Golf NSW Sandgreen championships. 2... 23.5.2017 E-mail from President NSWVGA approving urgent purchase of new computer by Secretary, due to terminal breakdown of current one. 3.. 24.5.2017 E-mail from Treasurer NSWVGA approving quoted best price purchase of computer for Secretary & advice of cheques & other material despatch. Out: 1 9.4.2017- E-mail to Barry Maloney, Website Manager, formally inviting him to next NSWVGA Executive meeting & advising fare re-imbursement & technical requirements. 2.. 23.5.2017 E-mail to Executive of NSWVGA advising of computer breakdown & advising of quoted costs for new one & recommendation. 3.. 26.5.2017 E-mail to Group Secretaries & T/ Directors re Proposed Forums with Presidents suggested agenda attached. Business arising from Correspondence:

Secretary advised meeting of breakdown of H/P Laptop Computer with report of beyond economic repair, quotes received & purchase approved by President & Treasurer. Motion to approve purchase with security moved Richard Doyle seconded Les Knox carried. Secretary advised he felt that only omission from Forum agenda was succession planning. Motion to adopt correspondence moved Richard Doyle seconded Kel Pearce carried. President s & Sponsorship Report: 2017 President s Report. June Meeting 1. Before Easter I met with Kris Watson, Watsons Leisure Centre, Coffs Harbour and discussed in detail the sponsorship offered to NSWVGA. He was interested in seeing his support aimed at a specific event in the calendar rather than going into general revenue. We discussed the possibility of the company name becoming attached to the NSWVGA 4BBB, should that event, in the future, be authorised by the Match Committee and Executive Council. 2. NSWVGA Stroke Play Championships. By all accounts this event, conducted by Western Sydney Veterans, under the leadership of Les Knox, was an outstanding success. I congratulate Les and his Committee on this success and thank everyone involved in the organisation of the event for their efforts. I m sure Les will present a detailed report at the June meeting. 3. Grafton Veterans Winterfest was cancelled due to a lack of support. At the time of cancellation Trevor Townsend had received only 12 visitor entries. This event struggles at the best of times but having a week s separation after Tenterfield didn t help their cause. Perhaps John Daley can make an offer of alternate dates for the future. 4. Volunteers Week has been and gone but, through your hard working Secretary, Len, an email was sent to Group Secretaries asking them to pass, on our behalf, thanks to all those volunteers who have contributed to veterans golf. Thank you Len. 5. NSWVGA Match Play Championships. This event is conducted in Newcastle and has been organised by John Mason for the previous 3 years. Unfortunately, John is planning on leaving Newcastle but has handed the organisation over to Mick Dodd who will be assisted by Rod Carruthers. Rod is Secretary of Newcastle District Golf Association and we should thank him for his willingness to get involved in veterans golf. I met with John and Mick recently and I am sure the event is in good hands. Should John be still in the area before and during the Championship he will remain involved. John expressed some concern over the disparity of vouchers and their values. I will hand any information he passed to me on to the Match Committee for assessment. 6. During the Inverell week of Golf I visited Judy Northcott, the convenor of what was known as the Fossickers Way week of golf. This event was conducted at Bingara, Barraba and Warialda but due to a lack of support from the other two clubs, Bingara is planning to go it alone in 2017. I offered Judy website support and any other support which may assist in the success of this event. Bingara is an interesting, well grassed course, 9 hole- grass greens, on the edge of town.

7. During the last two months I have attended weeks of golf at Narrabri, Moree, Inverell and Tenterfield and called in to Uralla to assist with their presentation. Unfortunately, due I think to a lack of experience in collating results, this presentation at Uralla was a long, drawn out event and there were few people present when the last trophies were handed out. 8. Following the April meeting Graeme Phillipson sent out a paper on the trophy structure for the Sand Green Championships. I did ask for your thoughts on nett trophies but would like to finalise the matter at this meeting. Ian Vidler NSWVGA President 1 st June 2017 Re item 5,President then advised the contact details for Mick Dodd & Rod Carruthers (NSWVGA Matchplay Tournament organisers). The structure of trophies was referred to Match Committee to investigate & report. He also advised that the generous sponsorship from Kris Watson may be used for a major NSWVGA Tournament & that the website will show this. Re item 6, President visited Bingara & offered support to T/Dir. & also website help. Item 8 it was agreed that issue of Nett Trophies for Sandgreens be left to Match Committee to investigate & report back Secretary advised that he will contact handbook major sponsors re advertising in 2018 handbook. It was advised that WSIB (insurers) support sponsorship may not continue; Lance Fredericks was asked to contact them and advise. Motion to accept President s & Sponsorship report moved In Vidler seconded Richard Doyle carried. Treasurer s Report: Although the Treasurer was unable to attend this meeting, he provided an e-mailed Financial Statement as hereunder:

Motion to accept Treasurer s Report moved Len Payne seconded Lance Fredericks -carried.

Tournament Co-ordinator s Report: June Report Week of Golf and Match Committee Week of Golf Report Over the past weeks I have finalised the 2018 Week of Golf program. The draft program was sent to all Tournament Directors with minimal confirmation received back. As I have pointed out in the email sent, no reply is a confirmation of the date provided for 2018. Our new venue for an additional week, Deniliquin, is progressing well with interest being shown from all venues visited over the last six weeks. Flyers were left at these venues. Grafton fell over this year due to lack of numbers. I have had discussions with Trevor Townsend who outlined the problems encountered this year. Grafton's dates for next year will help as it will not clash with the annual ladies event held in May, and it follows directly after Tenterfield. I still believe that if Grafton cannot form a WOG committee they will fall over again because it will be in the same boat as Junee. One person cannot run a successful week of golf. There is still a problem with three events in the one week and although alternatives were put forward to the Tournament Directors they couldn't agree to any changes. I will continue to pursue a solution to this problem. John Mason has unfortunately stepped down as the coordinator of NSWVGA Matchplay Championships at Newcastle. Rod Carruthers and

Mick Dodd are the new people to contact. As soon as I get their contact information I will update next year s program. The program will be posted on the net on Monday 19 June Match Committee Report Holbrook Sandgreen Championships. This event needs to be promoted through the groups,especially those in the Riverina and along the Murray. Holbrook Veterans should take the lead in this event,with the NSWVGA taking a support role. I have proposed that a flyer be sent to all groups advertising the event, but a decision needs to be reached at this meeting as to the trophies to be played for and their costs. State Medals President Ian has had talks with Watson's Lifestyle, Coffs Harbour, who have shown interest in sponsoring this event. The format, yet to be decided, has the potential to involve all levels of veterans with the opportunity of representing their group at the state level. This event is not meant to replace any event on our yearly calendar rather as a culmination once all groups have decided their major winners. John Daley Week of Golf Coordinator and Match Committee.

Issue of coring/sanding greens impacting on NSWVGA Strokeplay was raised when the event falls early in March; it was agreed to keep it under review. The issue of a clash involving three clubs running WOG events on the same week was raised & T/Co-ordinator advised he was continuing discussions with relevant clubs on this. The need to include Corowa/Howlong s September 17-21 st, 2018 W.O.G was referred to T/Co-ordinator for attention. The change of T/Dir. was noted (Tim Cameron). Lower South Coast 2018 tournament possible return will be confirmed at forum meeting there. The issue of proposed State NSWVGA Group medal/voucher championship & format/prize structure/4bbb event/ladies event (for members of NSWVGA only). Also, whether inter-group competitions would attract interest. It was agreed that these would be flagged at the upcoming forums. Motion to receive Tournament Co-ordinator s report moved John Daley seconded Kel Pearce carried. Week of Golf Reports summary: Following week of golf reports summary were presented : NSWVGA Strokeplay ; Tenterfield; Gloucester; Tumut/Gundagai; Cootamundra; Narrabri; Grenfell Mixed 4BBB Sandgreens; New England (Inverell); Forbes; Moree. Written reports, as submitted, will be forwarded as an addendum to the Minutes. Motion to receive Week of Golf Reports as verbally presented moved John Daley seconded Garry Mason carried.

Following discussion the following motion was moved That an award of the NSWVGA Meritorious Service Award be made to two worthy recipients, motion moved Ian Vidler seconded Stuart Dossetor carried. Attendance roster was then addressed & updated for the second half of 2017. Notice of Motion: 2 : Proposed Notice of Motion to next Special General Meeting of NSWVGA Inc. to amend Constitution to include position of Assistant Secretary/Treasurer in Executive positions. That the Constitution of NSWVGA Inc. be amended thus: Clause 1.5 & 9.3(ii) to include position of Assistant Secretary/Treasurer and (6) six Councillors. Addition of new clause 14.6 to read Assistant Secretary/Treasurer shall be provided with sufficient current records to ensure continued smooth functioning of Council if either Secretary or Treasurer are unable to fulfil their duties. Motion moved Lance Fredericks seconded Kel Pearce : Following consideration & debate, it was agreed that the matter be deferred to the next AGM with nominations being taken from Councillors following the normal election. The role would then also be determined, & probably included in the pertinent guideline. Following this it was agreed that the proposed Notice of motion be withdrawn. Richard Doyle will continue work to define accurately what membership of a registered golf club entails & report at a later meeting. At this time, the Website manager was present & a suspension of Standing orders was moved by Ian Vidler seconded Richard Doyle -carried. Website manager then presented a power point presentation on overhead projector of the current state of the NSWVGA website, facilitated Councillors understanding of it especially the membership database progress. Barry also answered questions & provided a hard-copy for Councillors to assist them. His presentation & facilitation was greatly appreciated & he was warmly applauded. At the conclusion, a return to standing orders was moved by Kel Pearce, seconded John Dixon -carried. Due to time constraints, lunch was taken whilst Matters without notice was dealt with:

Matters without Notice: 1: Consideration & determination of Affiliation fee for 2017/2018 financial year. President Ian, in introducing this issue pointed out that the last increase in Affiliation fees was in 2006 & that the women s veterans golf are increasing their affiliation fee to $5 next January, & that proposed new initiatives will require more funding. Secretary advised that he had consulted the Treasurer & his view was that an increase was justified as also that travel & accommodation cost for Councillors to attend Weeks of Golf has increased since scale was adopted in 2012. John Dixon advised that he has had three oral submissions from clubs in his area affected by bushfire & floods & droughts for support funding, which will also require us to fund. Following extensive debate the following was moved that the upcoming Forums be canvassed on proposed Affiliation fee increase to $5, that implementation of any increase agreed be in 2018/2019 financial year & that a report be presented to the next meeting. Motion moved Ian Vidler seconded Len Payne carried. Item 2 had previously been dealt with. 3: Consideration of increasing value of vouchers paid for minor prize winners at major Tournaments. It was agreed that this item be stood over pending a decision on item 1. General Business: Discussion on Golf NSW promotion of golf to over 55s as detailed in Senior News Magazine. Les Knox undertook to discuss this with Golf NSW & report back; he later emailed Councillors that it is going ahead & that Golf NSW are keen for NSWVGA to become involved. From AVGU, any items for discussion at their next AGM to be forwarded by 11 August. It was also agreed that as our next meeting is on Wednesday 2 nd August, this matter can be dealt with at that meeting. The issue of Councillor s shirts was raised & after discussion it was agreed that the President would visit the shirt provider in Maclean to discuss type/cost & logo (smaller) & title. Lance Fredericks reported that Gerringong Vets. Golf club had disbanded. It was further reported that Golf Australia & Golf NSW are conducting a further review of the handicapping system with a view to obtaining a common world-wide system; this will be kept under notice. A concern was raised regarding Vets &club membership of members who suffer a temporary infirmity of up to 2 years; golf link continuity can continue for 2 years. The issue is whether a

social membership or membership suspension could be applied. Richard Doyle to investigate & report. He also advised of Sydney Vets. Membership problems with social golf club memberships impacting on their full-paying members getting a game; this may require a constitutional change. Letter/advice to Group Secretaries on the importance of them getting their membership lists up to date. Len Payne to advise them on excel(xl) spreadsheet format required by Website Manager to ensure uniform entry & facilitate the work required by him. ACCURACY & COMPLETENESS is vital. With no further business, President declared meeting closed at 2p.m. Next meeting: Wednesday 2 nd August 2017.
