BHGS Board Meeting Minutes Date: February 2, 2017, New Location: Round Table Pizza Official Start Time: 7:00pm Official Adjournment Time: 9:00pm I. CALL TO ORDER Attendees: James Reddell, Kyle Jackson, Heidi Owens, Tony Bowden, Ben Scripoch, Butch Coyne, Erin Frazer, Steven Low, Erika Reddell, Christina Pike, Kristen Bowden, Floyd Killen, Dan Liddle Absent: Richard Popejoy, Ron Chun Welcome: Scott Merrell, new equipment manager taking over for Floyd. Thank you so much for all your service Floyd for past two years. II. REVIEW OF PREVIOUS MINUTES Kyle motioned to approve the minutes from last meeting and Ben seconded the motion. Motion approved. III. Old Business Steve Augustine Umpires report o Steve is comfortable with the high level of interest in umpiring from last year s crew and new potential umpires from LHS. o The board agreed to continue fee of $25 per game for umpires. o Board discussed coverage for noshows and James delegated management of the situation to Steve. Steve may hire a floater if he feels its necessary. o The board discussed payment method and decided snack shack coordinator will keep track of payments and signoffs from umpires on day of games. o The board discussed we would like ASA registration for umpire to provide insurance for them. Cost is only around $16 per umpire. o Steve Augustine just keeps everything on a spreadsheet o Action item: James to send link to Steve Angel to Steve Augustine o Action item: Augustine to set up umpire training and insurance through ASA. o Action item: Steve Augustine to build umpire contact spreadsheet and send to James in case someone doesn t show up. o The board thanked Steve Augustine for helping with all the umpire coordination! The board reviewed Evaluations o January 28 The girls ran through drills and the board used their observations to create competitively balanced teams. o January 29 Quakes evaluation at Campbell. BHGS had 5 ½ girls registered, 70 total in 14U and 5 different teams. There are two coaches out of Campbell. West Valley and BH did not have coaches try out for Quakes. Two out of Sunnyvale, One out of LG Magic team. The teams are pretty well set, but not finalized. Quakes for a 14U division rep, James asked Mindy Shepherd to help as

division rep for them. Spring Recreational League Registration Tony gave a report on current status. o As of 2/8/2017, current registered players 211 girls total: 46 girls for 6U (5 teams) 112 girls for 8U (8 teams) 72 girls for 10U (5 teams) 44 for 12U (3 teams) 14U/Quakes 5 1/2 BGHS girls o The board discussed the outlook and is very pleased. Teams are set and colors are assigned. o James and Tony reviewed the results of the Information Booth at Safeway. We registered a few new girls and visited with several coaches and players from over the years. Thanks to everyone who helped staff the booth! Clinics update James o The board discussed the player clinics and is very happy with how they are proceeding. o Coaches clinics this weekend and next weekend, while player clinics start over the next two weeks after SuperBowl. o We had to use Sunday emergency field use permission from the district for one of the clinics we couldn t do at Cutting Edge. o Suggestion for next year to split the age groups into two groups because they kept it kind of beginner level, and it could have been more advanced. o The board discussed a complaint from a manager about mandatory meetings on Sundays (during church), but we don t have any mandatory meetings on Sundays. o Richard is doing such an amazing job getting impressive turnout! Thank you Richard for marketing and getting the word out. Binders Tony o They are all spread out on the kitchen table. Started today and will have them ready for 6 and 8 by Saturday. Sunday finish 10s and 12s. o James had ASA rulebooks and scorebooks to include in binders. They didn t have as many James wanted at ASA event, but they didn t limit them. We got 2 per each team rulebooks for all levels, and small scorebooks to put in bags for 10U and up (because they keep score). o We have a file for all the contents in a file. Tony will ask coaches to update and make any necessary edits. Uniforms o Erin has all rosters and has the order form and is populating it. o We are ordering enough uniforms for a couple extra spots for each team. o 6U has 10 spaces available for total age bracket. o Tony said cutoff date for buddy requests needs to be published. Last minute buddy request are really difficult to handle. Thank you Tony! o Uniforms should be ordered by February 6. o Thank you Erin for all your work on uniforms!

Coffee social February 4 o 6U and 8U. o Update on donut social from Tony/Kristen/Erika o Heidi booked Oster cafeteria for February 4 th 8am to 12noon and uploaded insurance verification. Status as of today is pending payment. o Action item: Heidi Following up with Steve to make sure he sent the payments. o Agenda Tony and Erika are finalizing it. Tony is getting a bullhorn so he can speak above the crowd. James gets to do a speech. o Erika is getting donuts and balloons. o Tony putting an easel up with teams and team assignments. o Erin will have them sort it by team so each manager gets one box. Family Field Cleanup Day February 11 o Butch presented a list of jobs and required work to be done. o Tony will bring truck to haul away debris from back of snack shack. o Need hedge trimmers to cut vines back, otherwise we have a serious rodent problem and we don t want kids reaching into hedges and getting bitten. o Scrub bathroom floors and snack shack floors. o Need registration table person. o Action item: Butch to send soft copy to Ben. o Fields are being resurfaced, but it needs work to be playable for next few weeks. C is really not useable. Board made decision to close field C and reassign practices to other fields and two teams can share the field. o Advertise 9am to noon times. Opening Day/Hitathon March 4 o Action Item Heidi to Email schedule to Floyd the schedule for Opening Day Coaches meetings for 10U and 12U need to schedule for next week before practice. o Kyle, James, and Tony are working out exact coverage. Picture Day o March 11 Heidi to check on refund period for custodian fee. Its not listed. Insurance uploaded. Status as of today is pending payment. o Action item: James to send list of teams to Butch for picture day. Picture day schedule is waiting for Interleague schedule which impacts order of pictures. It should be out just before President s Day week. o Schedule is March 11 in the morning. Open Field Improvement Projects Field resurfacing approved and scheduled for President s Day week. Butch will send out notices to neighbors to let them know. Large drink refrigerator Dugout covers Bullpen practice areas are still being setup Snack shack roof is fine. Bullpen Action item for end of season talk to Principal about putting benches up

o Erika ordered the new EZ Ups and they arrived. o Six dozen each 11 inch and 12 inch softballs. Ordered and received 10 incrediballs. There is no 10 ragball, so we are using the synthetic covered ball for the 6U and 10U. It will be better for pitchers and better for kids. Floyd equipment report o Scott Merritt is taking over as equipment manager. Thank you so much to Floyd who has served the board as equipment manager for 2 years! o Bags are done, waiting on balls for 8. There are a lot of balls in bags this year, 12 or more. o 6U are standup duffles, 10 are blacks, 12s are old diamond bags. Recommend that we need to order new bags, zippers are good, but some are getting some holes in them. o Orientation for Scott is going great, they did an inventory of shin pads, chest pads, they are very organized and bags were easy to put together. Fine on shin pads and not on chest pads. Need to order catchers helmets. Some are starting to come apart. We replaced most of the bownet bags. There are five of the big bownets, but there are not bags for them. James to order five bags. o Low on special nails for hammering in the home plate. Scott has experience with mechanical stuff, which will be good for the golf carts. o The bullpen between B and C, we have two pitching. If we stay with that, we need to order a new home plate. o Safety bags are also missing, but we are getting them. We may have ordered new ones already. o Chalk is getting low, so Scott to order more. o One more suggestion maybe move the older, large pitching machine. Board agreed to get rid of the pitching machine. o We have two new batter box frames, so we have four total. o There is a garbage can full of discarded gear and needs to be taken to garbage and we can take it to dump during field cleanup day. Debbie Merrell stepped up to be yearbook coordinator!! Thank you! Heidi to put together board service award schedule and prizes. IV. New Business USD Field reservation meeting update from James o James, Butch, and Kyle attended. BHGS are official league for school district. We asked for exclusive use to put our banners up UMS and Dartmouth. Also requested other leagues don t put up banners. We also asked how do we reach students. They are going to take to School Board to request we can send paper to 6U and 8U. It should help with next year. o Grassy area where pitching clinic is usually done will be there through May.

o There will be times during season where they will block off other areas during season. Pedestrian traffic may need to be rerouted. James gave an update after attending USA Softball Roadshow January 29 th where he got rule books and scorebooks. They also talked about ball sizes and rules. Biggest issue is the way you re allowed to form teams. o Every league, first travel team is a B team. If you want it to be lower than that you have to petition to commissioner and he will watch a tryout or scrimmage. He will keep you at B, move you to C, or reserve judgment. (Used to be if you had a small league, you could come in as a C team.) Any team after first team can be a B or C. This is within each age group. For Butterfly Classic - Every 8U team is a C team. o The other rule is, instead of May 1, it s the last Saturday in April. May 1 is a Monday. This affects thunder Season dates much better o Big surprise is that they are doing a 12u All Star Game at the National Level. Nor Cal district gets to choose one coach and nine players to participate in the All Star Game. o Butch asked if there was discussion about registration numbers declining? No discussion. Pushing Olympic softball piece, use branding in our logo. They will be on the Hit-a-thon shirts. Logo can still go on uniforms, Erin will get them on there, black and white. Vice president update o ACE Certification status update from Kyle. About a third have responded so far and he is requiring a screen shot. Kyle will bring it up at coaches meeting next week. Coaches and managers have to be ACE certified before first practice. Its an insurance risk for us and for them. Send reminder to Board. At minimum do background check, Ace only required for coaches. o Coach Signup Status Coaches for all teams, managers and assistant coaches needed for some times. ACE certification is required before practice; timing is tricky, after donut social. Uniform sizes may need to be gathered at donut social to get uniform sizes to get into order Feb. 6. 2 coaches for 6U 4 coaches for 8U 3 coaches for 10U 2 coaches for 12U o Division reps need to be identified. Ideally they need to have experience coaching that level, but they are not currently coaching. Need to find parents to be division reps. The other important thing is that they know all the players at that level. Butch s update on Coaching Clinic o Training session on Sunday, February 26 th, 2pm skills for each level, its not really coaches discretion. It needs to be leveled across the league for the specific skills and rule-books. Ie, if rule book says that they can slide, then coach will teach it. Progression of each level.

Action item Kyle to send out a signup genius, not required, manager, asst coach, coach invited. This is where you get your practices mapped out. Scott asked if there is an injury what is the policy. Its in the binder, incident report form. Managers are responsible for printing team roster and contact information and having it available on the fields, Floyd to give key to Scott. Kyle is now the key master. Not re-keying until 2018. Concussion protocol state training available all youth sports leagues must have training and protocol for coaches. Remove any player who is suspected of having a concussion, until they have written permission from a qualified medical professional. You have to be able to recognize the signs. You are required to put them through a training program. Decision to have Ben send out concussion training video to board. Kyle and James to review the training. If it meets the legal requirements, then we will require all coaches, manager, and assistant coaches to take the online training just like ACE certification. Ron to write a plan. VI. ADJOURNMENT Next meeting is March 2, 2017 at 7pm at Round Table Pizza. Heidi to request room 3B.
