LBK Triathlon Volunteer Job Descriptions Please review the job descriptions carefully and select a position that appeals to you and fits your abilities. We believe that every person who wants to volunteer is valuable and we greatly appreciate you giving us your support and time. As part of the Volunteer Team we invite you to join us at the: Pre-Race Party/Packet Pick-Up - October 15 from 5 to 8 p.m. Bath & Racquet, 2170 Robinhood St, Sarasota, FL 34231 (behind Trader Joe s) During race day, if you need to eat something during your shift or have special food requirements, we ask you to bring your own snacks and water. This is a competition race. Once you sign up and confirm your assignment, it is very important that you arrive on time to your assignment. Better yet come 15 minutes ahead. We will have a volunteer registration table where you will sign in. We will have a T-shirt and refreshments for you. If you have any issues with your assignment or have a last minute emergency that requires you to cancel, please let the Event Director know as soon as possible. Be aware that some of you will be arriving while it is still dark outside. If you need a flashlight, please bring one. If your position requires a flashlight, we will supply you with one. Saturday, 10/15 Pre-Race Longboat Key Club and Bath& Racquet 11 a.m. 2 p.m. Packet Stuffing (LBK) 8 a.m. to 2 p.m. Venue Set Up (LBK) 5-8 p.m. Athlete Registration/Packet Pick-UP (B&R) (return on 10/16) Total Volunteers needed 15-20 Packet Stuffing (6) Packet Stuffing Volunteers prepare the packets that the registered Athlete receives during packet pick-up. The items in the packet may include, race t-shirt, bib, goodies donated by sponsors, information leaflets on upcoming races or information on charitable organizations. There generally is an assembly line, some of the volunteers will be seated, others standing. This is a great team opportunity, if you want to come as a group. Race Course Set-Up (6) Assist with setting up the race course and parking area with directional arrows and cones. Assist with setting up tables, chairs, signs, recycling containers, trash boxes, etc. This job will require physical activity and moderate lifting. Volunteers will most likely be on their feet the duration of the shift and may be asked to drive materials around the park in golf carts. Sunday, 10/16 Race Day Longboat Key Club 5:00-10.30 a.m. Athlete Registration & Awards 4:30-10.30 a.m. Parking & Race Course 5:30-10.30 a.m. Transition Area and Clean up 6:30-10.30 a.m. Race Course and Clean up 6:30-10.30 a.m. Water Stations and Clean up 10:00 1 p.m. Venue Break Down Total Volunteers required: 70-100 Everyone is responsible to clean up his or her area of responsibility!!!!! That means: bag the trash, fold up tables, neatly stack equipment for pickup, and remove cones and course markings. Take down any promotional materials. Packet Pickup/Registration (5): Assist Race Director and Triathlon Staff with packet pickup and registration. You will be part of a team that checks: Registration roster, ID & USAT License; assist in purchasing a 1-day license; hand out race packet & wristband, goody bag, t- shirt. These tasks are done sitting and standing. This shift will be completed in time to watch the race or assist in other volunteer areas. Parking Volunteers (15): Parking Volunteers will usher traffic to proper parking locations and direct traffic when a parking lot fills to our alternate parking. Once the shift is completed you will assist in other volunteer areas to help control traffic on Country Club Rd to make the route safer for runners and bikers. Floating Volunteers (5): Assist in all aspects of race safety, course monitoring, water station refilling (if needed) and tear down. You will assist the Race Management Team for the start of races, filling in at critical turnaround areas, and helping volunteers to get to their assigned locations on the course, and help at the finish line. Must be mobile and able to lift heavy objects. 3
Awards and Finish Line (5) You will be assisting the Race Management Team by handing out water bottles and medals to finishing athletes, ensuring that they cool down. You will collect the timing devices. You will assist the Race Management Team with award ceremony. Race Course Volunteers Transition Area Volunteer (6) You will ensure the safety and security of the transition area. With guidance from the Race Director, you will assist with body marking, directions, provide guidance in terms of bike racking and will help manage the dismount line. You will ensure that only authorized individuals can enter and exit this area. Authorized individuals include: registered Athletes with race numbers, body marking, Volunteer Staff, Race Officials, and Race Management. At the end of the race you will ensure that their correct owners remove bicycles. This is a very active and responsible position; well suited for seasoned Triathlon volunteers and athletes. Body Marking Volunteer (8) You will be marking athletes prior to race with race number (bike/run number) on left arm and age on right leg. After marking is completed these volunteers will help control traffic coming in and out of transition. Swim Course (10 --- 4 in the water, 6 on land) You will be maintaining safety and order of the swim course. We need 4 volunteers with kayaks or paddleboards to support the lifeguards during the swim competition. Those on the water will return to land once the last swimmer leaves the swim course. The 6 volunteers on land will line up the athletes and direct them towards start line. You will assist as they come out of the water, direct them to the transition area, may have to help with peeling off wet suit, and assist the security team with accounting swimmers and bikes as they leave the transition area for the bike competition. After swim course is completed these volunteers will help monitor safety and/or provide direction on the bike/run course. This is an active position, mostly done standing or walking. And high likelihood that you will get a little wet! Bike Course (30) Your primary responsibility is to ensure that they cyclists stay on the course, provide direction, and indicate upcoming turnarounds for the different distances (International versus Sprint). You will be given directional signage to support your role. You will keep an eye on driveways to help keep our athletes safe. 4
Your second responsibility is to be a cheerleader. This is an active position, mostly done standing or walking. If you are coming off a prior volunteer assignment, we will take you to your assigned location either by golf cart or car. Run Course (20) Your primary responsibility is to ensure that they runners stay on the course, provide direction, and indicate upcoming turnarounds for the different distances (International versus Sprint). You will be given directional signage to support your role. You will keep an eye on driveways to help keep our athletes safe. Your second responsibility is to be a cheerleader. This is an active position, mostly done standing. If you are coming off a prior volunteer assignment, we will take you to your assigned location either by golf cart or car. Water Stop Volunteers (10) We will have up to 5 water stations along the running course. When you assume position you will verify that your water stations is stocked with proper equipment and supplies and then set up by lining up cups and filling them halfway with water. You need to be quick and attentive to racers to give them water and encourage them on the race course. You will provide information on either distance ran or remaining. If you are coming off a prior volunteer assignment, we will take you to your assigned location either by golf cart or car. Dress accordingly you may get wet in this position. Don t forget: Everyone is responsible to clean up his or her area of responsibility!!!!! That means bag the trash, fold up tables, neatly stack equipment for pickup, and remove cones and course markings. Take down any promotional materials. 5
