AUSTRALIA S GREATEST DESERT RACE QUEENS BIRTHDAY WEEKEND 7 10 JUNE 2019 Tender Summary The Tatts Finke Desert Race has been a part of Central Australian history for 43 years. Renowned as Australia s most gruelling, fastest and ultimate desert race, 'Finke' as it is known, attracts the best riders and drivers in Australia and a selection of competitors from around the world, all keen to take on the challenge. The race brings more than 7,000 visitors to Alice Springs annually from across Australia and the rest of the world, with a boost to the economy of an estimated $7m. In 2019, the organising committee intends taking on the responsibility for the sourcing, managing and sale of event merchandise. We are seeking to develop relationships with companies who can supply official event merchandise items for the 2019 Tatts Finke Desert Race. Project Goals and Objectives Our objectives and goals with this tender include: Development of a single source arrangement with preferred supplier/s; Provision of official event merchandise; and Provide consistent and reliable services to work in with our projected timeline. Purpose of this Invitation to Tender The purpose of this document is to enable organisations that are capable and interested in supplying merchandise for the 2019 Tatts Finke Desert Race the opportunity to tender in a structured process. Form of Tenders Tenders can be submitted by the due date listed by email and should address the key requirements outlined in this invitation to tender. Procurement Timetable The procurement process timeline is summarised below: Friday 19 October 2018 Wednesday 24 October 2018 Monday 29 October to 7 December 2018 Thursday 13 December 2018 Thursday 14 March 2019 Tender Closes Successful Applicant/s Announced Stock Samples Confirmed, Sizing and Quantities Confirmed, Designs Confirmed and Sent to Supplier/s All Stock Ordered All Stock to Be Delivered to Alice Springs Please note that late tenders may not be accepted by the organisation. Potential suppliers are welcome to include some or all items in the tender they submit. The committee may choose to go with one supplier or multiple suppliers across the range of items laid out in this tender document. A panel of suppliers may be established and where items are added, quotes will only be sought from that panel (or single supplier) rather than going back to the market. Page 1
The Committee reserves the right to contact potential suppliers directly during the tender evaluation process, it is strongly recommended that all suppliers put forward their best offer as part of their submission. Design The Committee will be working with an in-house designer to supply all designs for merchandise. The designs will be provided to the successful supplier/s. Tender Evaluation Tenders will be evaluated against the following criteria: Quality of proposed merchandise; Production and delivery timeliness; Cost; Flexibility of service; Supplier track record or history in the industry. Additional partnership opportunities to enhance the benefit of the relationship between the organisation and supplier may form part of your expression of interest. Please note that this is an open tender process. Detailed Requirements A list of required merchandise is included at the bottom of this document. The items are what the committee is looking at for the 2019 range. The images are suggestions and we are open to any alternatives you think may be a better option in your tender. Please note that best offer tenders are requested. Detailed information on the costings of all aspects of the requirements, for example, costs of setup, and shipping inclusive prices to Alice Springs, NT 0870, are to be included. Full range of merchandise items available to select from including styles, sizing guides and material specifications. Where a response includes a proportion of merchandise or cost in the form of a sponsorship or in-kind opportunity, this must be clearly outlined. Supplier Information Required General Information Please ensure that your offer includes your general business information including business name, address, ABN, quality assurance systems and other standard business information. Evidence of Capacity to Deliver Contract Requirements Please ensure that your offer includes a statement outlining your capacity and ability to deliver on the requirements including information on similar arrangements you have successfully delivered.
