Executive Meeting: January 12, 2018 Call to Order: 7:00pm Attendance: Tammy Doyle, Lisa Hoogstins, Bruce Evans, Angie Gregson, Allison Dixon, Shannon Para, Lynda Malkoske, Chris Renter, Jeff Scott, Kandis Sampson, Kelly Arter, Les Giles, Dan Herbranson, Doug Walker, Bevan Blatchford Regrets: Melissa Nisbet, Scott Hough, Nor Ljunggren, Patrick Whitford, Al Robbie, Lesley MacPherson, Breanna Curley, Carrie Dodsworth, Lesley Conley, Shawn Bird Doug voted to pass the minutes from last meeting. Allison seconded with one change we are getting the BC Summer Games in 2020 not the Canada Summer Games. Vote unanimous. President s Report: The Parks Board gave us approval to build the batting cage between Hammond & Larry Walker. We are still waiting for the city to approve. We are looking at 40 x 130 with a storage for the batting cage only. Estimated cost is $160,000; we maybe eligible for capital grant as well as utilize the City of Maple Ridge User Pay account. Looking to purchase a PA System. Looking for board approval to spend up to $2,000. The association received $600 from a film crew that rented the use of Hammond Field that money will go towards the $2,000. Additionally, we rented one last year for the Midget AA Provincials and the rental fee can be used and put towards the purchase (approximately $140). Once purchased we will have it added to the insurance. Will store it in the blockhouse where it s dry and secure. Motion: To spend up to $2,000 for a new PA System Seconded: Lisa Hoogstins Vote: 7 votes for, 0 against Motion Passed VP Operations Report: Peewee AA & Bantam AA/AAA tryouts are being held February 17 & 18. Saturday is the open tryout then evaluators will be there on Sunday. Mosquito & Peewee ID camps are February 24 & 25 All Teams will be created by March 5. 1

Criminal records checks must be done. They are good for 2 years. Turnover time is very quick; teams will not be issued uniforms until check is complete. Treasurer Report: The change in signatures with the ban have been completed. Outstanding cheque shave been deposited. Balance $47,216.24 + Gaming Funds $58,041.07 for a total $105,257.31 Bruce to get PayPal updated on Tuesday. Refunds can be done through Bonzi up to 60 days. Redoing the budget to align with 2016/2017 numbers. Will need to get PO# for any orders. Doug will get a couple of emergency PO# for last minute equipment ordering. UIC Admin Report: Is looking for the vote tonight on replacing Bonzi. Tammy has contacted many different web providers over the last several months. She has narrowed it down to 2 companies that can give us what we are looking for. (Umpire scheduling, easy payment processing, registration & reporting, tournament set up, mobile app etc.) TeamPages and Ramp Interactive. Tammy recommends TeamPages as she has been negotiating with them and built up a rapport over the last few months. Cost of both platforms is very similar TeamPages $7400, RAMP $7,500 Bruce wants to put off the vote until next Meeting in 2 weeks time and have TeamPages come in and do a demo and question/answer session. Les 2nd. Vote postpone until next Meeting. 2

Motion: Executive. To delay vote until TeamPages can do a demo and question/answer session with the Seconded: Les Giles Vote: 7 for, 0 against. Vote postponed until next Meeting. UIC Fields Report: Umpire clinics are set for March 31 level 1 and April 1 for level 2. We do not have a location set as of yet due to the high cost of renting a place. We recommend that RMMBA cover the cost of the clinic but make the umpires cover the cost of their own lunch. A message to go out to social media and on our website once location is determined. Shawn has tournament dates to get a head of the scheduling. Dan is looking to lead some spring training sessions for our junior and new umpires; tentative dates are February 3 & 17 and March 3 & 17. Registration: So far 391 are registered 120 of those are pending as in not paid yet. There have been 3 emails sent out to the membership so far. Chris to update webpage and add a countdown calendar for registration. Shannon will put an add in the paper this week Special Events Report: Coaches Appreciation Night April 6 Opening Day April 14 Bat-A-Thon May 5 (Fundraising will go towards batting cage) Pitt Meadows Day is June 2. So we will have a blackout on the PMAP fields for June 2 & 3, need to decide if we want to participate in the day RMMBA Dinner/Dance June 23 Closing Day June 24 The Historical Society reached out and is wondering if anyone on the Executive would be interested in helping put some old baseball stuff together. At the present time, everyone is too busy to assist; may be able to assist during off season. Will approach Brownies Chicken to continue to sponsor Umpire of the week. 3

Hall of Fame Award: Melissa to send out a list of previous winners; will send out nominations by February 28 th. We can present it at Opening Day. Coach & Field (PMAP 7) paperwork is completed and will be submitted shortly. Melissa is following up with the City to see when the vote can take place at the Council meeting. She may need to attend. Challenger: There is a Challenger activity on Sundayand Melissa is meeting with Heather soon. Tournament Report: Midget AA, Scott Smith April 19 to 22 College Prep/Spring Showdown May 18 to 21 Peewee AA, Don Breu May 18 to 21 Mosquito A/MSET May 18 to 21 Bantam A/Steve Murray June 29 to July 2 Mosquito AA/Jack Short July 6 to 8 Peewee A/Noel Rehaume July 13 to 15 Mini Mosquito/Ruper Reid July 13 to 15 Super 7 (U8) July 13 to 15 Lynda requested access to Ballcharts website to set up a tournament website (Cost $99). Approved Uniform Report: Uniforms have always been a hot topic; Allison emailed the Executive on a recommendation Recommendation: Tadpole & Mosquito will get the SnapBack MLB hats and MLB dryfit shirts Recommendation: Peewee, Bantam & Midget will get the Flexfit and MLB/Royals (if interlock) colour dryfit shirts Discussion took place around recommendations; worried about the younger divisions not getting flexfit. Allison explained that it is very hard to fit the younger children in flex fit due to various sizing issues. Many voiced the opinion that SnapBack are actually more popular than flex fit. Motion: Tadpole & Mosquito will get the SnapBack MLB hats and MLB dryfit shirts; Peewee, Bantam & Midget will get the flexfit and/mlb and/or Royals (if interlock) colour dryfit shirts Seconded: Kandis Voting: 7 for, 0 against Motion passed Policy to put in place that any member of RMMBA has to use/wear any uniform given to them. Discussion took place asking for a reason. Allison explained that last year one team went out 4

and purchased new shirts that were the same colour as the other tea in the same division which created issues. The Executive supported the development of a uniform policy. Allison will draft. Sponsorship: Bruce nominated Melissa Nisbet as Sponsorship coordinator. Jeff 2nd. Unanimous Melissa Nisbet is the new Sponsorship Coordinator Fields Report: Kelly to meet with Save on Fence Group Will do some research on Lime. Right now Triple Tree is keeping the same prices Looking to get lockers set up at the fields Lower level commissioners to let Kelly know what fields they used last year Merkley artificial field should be ready for us to use this year Do we want to use Arthur Peake fields? Yes It was suggested that we approach softball and trade Albion 6 for North Bronson He talked to the City of Pitt Meadows to have them fix North Bonson up to a Mosquito, Tadpole & Peewee Field Fences should be going up the week before opening day Equipment Report: Looking to buy catchers gloves for Mosquito, Peewee & Bantam level. Approx $60/glove Would like the commissioners to go to every field to see what is needed Bruce to send an email to the coaches to get the jugs back Doug will buy new locks for the lockers Get a form done up to have the coaches to sign and be accountable for the returning of the gear or Chequers will be cashed. Senior Head Commissioner: There will be a Peewee catching/pitching clinic on Saturdays. A schedule will be created to be sure all players get a chance to pitch or catch. Looking to book a Coaches Caravan (BC Baseball) which includes parent/coaching clinic on how to teach your child. A coaching clinic will be done during the Bat-A-Thon day. 5

Coaches don t need NCCP to coach anymore. BC Baseball is creating their own certification program. Midget Commissioner Report: Les received an email asking about 2002-2004 players interested in going to Israel to play baseball. Mosquito Commissioner Report: Mosquito calendar is all set up and ready to go. She wants to register our team for Kamloops May Long weekend tournament as it fills up fast. Bantam Commissioner Report: Because numbers are low right now wondering if we will still interlock and are we still going to have a AAA & AA team. Discussion took place. New Business: Provincials nothing is booked for us yet maybe put in for U15AA. Bruce motioned to adjourn meeting. Les seconded. Meeting adjourned at 10:04pm. Next Meeting February 5 @ 6:30pm. 6
