APPROVED APRIL 11, 2018 Kitsap County Fair Advisory Board Minutes March 14, 2018 Meeting called to order by President Cassie O Hara at 6:00 P.M. Board Members Present: Maaren Stroble, Penny Sapp, Joe Drouin, Danise Barnes, Linda Moran, George Serrano and Cassie O Hara. Staff: Travis Buell, Billie Schmidt & Leigh Snyder Fair Manager: Sunny Saunders Members of the Public 13 Approval of the January 10, 2018 minutes Motion: Penny Sapp Second: Maaren Stroble Motion to accept the January 10, 2018 minutes as presented Discussion: None Action: Minutes Approved Directors Report Parking Penny Sapp - RFP received/contract. I will be introducing myself to the vendor shortly. Still Life Linda Moran- meeting last week worked on exhibitor guide changes and all other paperwork. Need to replace some of the glass display cases and is working on placement of exhibits for 2018. We are in need of risers for Home Arts, Hobby & Crafts. Billie Schmidt has a woodworking friend so asked Linda for specifics - measurements etc. Currently seeking donations/sponsors to purchase pins she has $100 and needs $680 total. Admissions Danise Barnes contract negotiated with the CPOA s just need watch bill for 2018 so that it can be signed off by all parties. Concessions Cassie O Hara reported Doug Dillan has resigned due to health issues. She would like to consider giving him a gold card to the fair. Maaren Stroble also requested one be given to Mike Brady. Motion: Joe Drouin Second: Danise Barnes Motion to award Doug Dillan with a gold card for fair admission in recognition of his years of service. Discussion: None Action: Approved *Department Director will need to approve possibly through the BoCC Rodeo Joe Drouin current project is to complete the south end façade and boardwalk, There will be no Thunderbird Rodeo this year but a barrel race will be held the 4 th & 5 th of August. There are also plans for a barrel race the weekend prior to the Stampede. In answer to a question posed by Joe- the water will be back on April 1, 2018 at the stadium.
Queens Committee Vanora attended the Twin Lakes Spaghetti dinner and various coronations. Katie Kitsap Payton introduced herself. Wranglers Dennis has a sponsor to purchase a new ground groomer. Had a question about running concessions during the barrel races Billie and Travis told him he has to get approval from Daryl Erickson as he has the concession contract for the Fairgrounds. Instead of mutton busting which is an issue for Risk Management they plan a Stick Horse Race proposed - $3 per family and the child will get to keep the stick horse. He would like to get with Billie and Arno to look at several trees on the Callison property they have concerns about. Commercial Maaren Stroble 102 applications in for both concessions and commercial. Will contact bag sponsors this month. Livestock Cassie O Hara Fair Vet. Came to the superintendent meeting to introduce himself. Met with WSU and the Rabbits to switch Open Class to Saturday. Sheep Barn work parties on April 20-21. Premium book changes submitted and camping changes complete. 4-H no report FFA- Mark Boardman Spring Show & Auction April 28 th. 23 swine. Show 10:00 AM and auction 1:00 PM. Security George Serrano plans for recruiting 140 volunteers this year. Staff Report Billie Schmidt (See Attached Report) Fair Manager Sunny Saunders (See Attached Report) One new sponsor picked up with several returning. Will meet with Kitsap Bank next week. Art for Fair passed out. Met with Comcast- will have advertising on Wave on Demand and Kitsap Sun. Needs to meet with George. Entertainment contracts (see list) out and locked up. Exhibitor guides vendor forms updated except for camping. Workforce development will have hands on educational display and action. Discussion: Where? Discussion: How Many? 2 Family packs of 4 Fair & Rodeo Admission. David Corey will also donate 2 dozen scones. Action: Approved
Motion: Maaren Stroble Second: Penny Sapp 4000 Children s Tickets for the Summer Reading Program, 10 X 10 Canopy area and 1000 ribbons for children under 5 ( they will split cost with Fair - last year total cost $125) Discussion: Sunny provided clarification and will ask Director if he wants to do a 5 year agreement for this annual request. Action: Approved Public Comment David Corey is back as the Grange spokesperson for the Fair. He will be attending meetings again. Mini Horse Garage Sale Parks Office has the details and flyer.
