California YMCA Youth & Government 70th T&E I Advisor Duties DINING ROOM HOST (VH-Auditorium) As space in Valdez Hall is limited, Dining Room Hosts are responsible for encouraging delegates/advisors to leave as soon as they have eaten to free up seating space. Circulate the auditorium making announcements as you see people have finished their meal. You may need to clear tables so others can sit down. Keep participants from sitting on the floor and keep doorways/walkways clear. VEGETARIAN/GLUTEN-FREE/VEGAN HOST (VH-Auditorium) When registering for conference, all participants were given the option to select vegetarian, gluten-intolerant, vegetarian/gluten-intolerant or vegan. If pre-registered, participants will have designations on the name badge noting their dietary preference. Vegetarian/Gluten-Free Hosts are responsible for making sure that only delegates registered as such eat these options. Any participants (advisors or delegates) needing to update their meal preference need to see the Y&G Info Desk in the Convention Center Main Lobby. If you are assigned the first shift at the start of a meal, you will be responsible for keeping delegates out of the dining area until the meal starts. STARBUCKS DUTY (2325 Kern St) Delegates are not permitted to sit inside Starbucks during the conference due to limited seating available and line management issues with the size of the store. Delegates must order, wait for their drink/food and leave the store immediately. Any seating inside will be reserved for non-y&g participants only. This advisor duty is focused on managing the flow of delegate traffic. 2 advisors stand at the main entrance and manage the delegates lined up to order. When advisors are on duty and a line is forming, delegates must stand outside Starbucks and wait to be called inside to order. This will prevent overcrowding in the lobby area. Non-Y&G persons do not need to wait to enter. 1 advisor manages the drink counter area for Starbucks. The barista will call a drink and move on. This advisor should assist delegates with getting drinks (includes mobile orders). Mobile ordering is available but you should expect 30-45 min wait during busy periods. Orders will be picked up at the counter this conference (not by the main door). As session start times near, remind delegates they cannot be late to session. You may need to remove delegates from line 10-15 minutes before start of sessions. Waiting for a drink is not a reason to be late for session. JAVA SHOP/GIFT SHOP DUTY (1st floor of DoubleTree) This advisor duty is focused on delegate management. For the Java Shop, read the Starbucks instructions above. The gift shop is small and cannot allow more than 10 delegates inside. If there is increased demand for the gift shop, you may need to create a line. Non-Y&G persons do not need to wait to enter. Important: We cannot control for the number of delegates coming to this

location. If additional help is needed during this shift, see assistance from SWAs in DoubleTree (go to First Aid office and ask them to send assistance). ISSUES & ACTIVISM SESSIONS (Various Locations) The primary role of this duty is to check party affiliation as delegates are arriving to session. Only delegates assigned to a particular party will be verified at the multiple entrances to the room. Advisors may need to continue to monitor entrances as the session continues. The secondary role is assisting with the primary election for Youth Governor. At the end of Session 1 or 2, Forum (freshmen) delegates only will cast their ballots for Youth Governor since they do not participate in the next party sessions. I&A program staff will provide additional instructions on how to assist and distribute ballots. Near the start of Session 4 or 5, all non-forum delegates will cast their ballots for Youth Governor. I&A program staff will provide additional instructions on how to assist and distribute ballots. SESSION MONITOR (Various Locations) Your main duty is to monitor the microphones in the room and ensure delegates seat themselves in the front of the room. Except during Meet the Candidates, there will be two microphones placed in the room. The microphones will be on and we do not want delegates to play with them. You are welcome to use them to instruct delegates to seat themselves in the front. For sessions in CC-Hall 1 or VH-Auditorium, nearly 1,200 delegates are expected for the session. If possible, seat them toward the front of the room. Your secondary responsibility to monitor delegate noise in the room. If noise becomes an issue, feel free to ask for decorum using the microphone or direct other advisors to walk the room to keep delegates quiet. INTERSECTION CROSSING (Various Locations) If you are assigned this duty, your main duty is to assist delegates in crossing the light intersection safely. Advisors should press buttons for traffic signals. Do not let delegates cross on red lights. The ending time for this duty is approximate. Please use your best judgement if the duty should end early or extend longer than listed. This advisor duty will be outside so dress appropriately. Before heading to your location, be sure to check-in at the Y&G Info Desk (CC-Main Lobby) to collect your safety vest. Upon the end of your shift, return the vest to the Y&G Info Desk. RADISSON WALKOVER (Various Locations) There will be one group at the Radisson during each session (for a Court, Leadership Skills or Issues & Activism session) with 200-600 delegates attending. If you are assigned this duty, you are assigned to a location along the designated walking route. Delegates should walk down M St, cross at light intersection to Tulare St (side with park) and cross lighted intersection at Van Ness Ave. Before heading to your location, be sure to check-in at the Y&G Info Desk (CC-Main Lobby) to collect your safety vest. Upon the end of your shift, return the vest to the Y&G Info Desk.

This advisor duty will be outside so dress appropriately. Help delegates cross the street safely. Advisors should press buttons for traffic signals. Do not let delegates cross on red lights. Delegates are not permitted to enter casino. The session is located on the 2nd floor of the Radisson. If you are assigned to Radisson, delegates should use stairs (not elevator) to walk to 2nd floor. The ending time for this duty is approximate. Please use your best judgement if the duty should end early or extend longer than listed. Safety and Wellness Advisors will be passing along route to assist with any issues that arise. Only one group is assigned each session to Radisson. Other rooms are either Convention Center or DoubleTree. Check the schedule and group number is in their delegate badge. COURT SESSION (Various Locations) Advisors assigned to this duty are supporting Court program staff during the session. This may involve assisting with delegate seating, passing out handouts, keeping delegates off their phones, quieting noise in the room and monitoring the room during breakout times to ensure delegates are following instructions. If available, Court program staff will be reviewing the session format on Friday evening from 5:45-6:15 pm in CC-2007/2008. You are welcome to attend or plan to arrive early so you can connect with the Court staff member. SATURDAY DANCE (CC-Hall 1) Advisors assigned to this duty will be monitoring the dance. You may be asked to assist with delegate management. Plan to arrive at least 10 minutes early and check in with the Safety and Wellness Advisors at the Main Stage in Hall 1 for additional instructions. GAME ROOM (CC-Gallery,2nd floor) Advisors assigned to this duty will be monitoring the game room (alternative social activity for Saturday evening). Stay in the space and provide supervision to any delegates using the space. At the end, bring any of the games back to the Y&G Info Desk. ROLE EXPOSURE (2nd Floor Convention Center - Various Locations) Advisors assigned to this duty have been assigned to a specific breakout room. During Role Exposure, delegates will rotate through 3 breakout sessions every 25 minutes. The main duty is managing room capacity and ensuring the presenter starts and finishes the session on time to not impact rotations. The rotation schedule is printed in the conference manual. Advisors will stand at the entry door and count delegates entering to enforce the seating capacity for the room (listed below). ConCon (250 delegates - CC 2015) Lobbyists (120 delegates - CC 2011) Media (115 delegates - CC 2013) Campaign/Open Feedback (90 delegates - CC 2005) MUN Secretariat (60 delegates - CC 2007) Social Initiative (60 delegates - CC 2003) When the room is at capacity, close the door and stand outside to direct delegates to another room. You can also notify the presenter so they can begin and have additional time. If delegates arrive after the presenter has started, give them any handouts and assist them with finding a seat. Delegates should not stand or sit in the back of any rooms. Use your judgement regarding space in the room. Chairs may move so if you need to adjust room capacity or limit delegate space, do it. Near the end of the session, give the presenter a warning 2 minutes before the end of the session so they can start to wrap up. Delegates must attend a session. They cannot stand in the hallway. A Logistics staff member in the hallway will be announcing when it s time to rotate. SECURITY STATION LINE MONITOR If you are assigned this duty, your main role is to assist with line control outside the venue as participants wait to pass through security stations. As one line gets longer, please direct participants to shorter lines. You may need to make frequent announcements to direct participants towards the correct security lines. This advisor duty will be outside so dress appropriately. As you begin your shift, be sure to review all the security entrances at your venue. You should also review the screening process for expedited screening if participants have already passed through screening entrances earlier in the day.
