Badmintn New Zealand Sanctined Events Infrmatin and Time-lines Updated January 2017 A Badmintn New Zealand (BNZ) sanctined event means that the event is part f the BNZ Player Pints system (with the exceptin f the NZ Masters Champinships) and must adhere t a set criteria as determined by BNZ. All sanctined events thrughut the cuntry are t be rganised and run accrding t the cnditins as utlined belw t ensure cnsistency acrss events. Each Regin (Nrthern, Central and Mainland) is t advise BNZ by 30 Octber each year, f up t three events in each categry (Open, Under 19, 17, 15, 13) nminated as BNZ Sanctined events fr that year. Mainland t nminate the hst f the Suth Island Champinships in each categry (additinal t the three sanctined events). BNZ t allcate the Nrth Island Champinships in each categry, t be played in cnjunctin with an already nminated event by Nrthern r Central Regin. The Nrth & Suth Island Champinships are bth sanctined events. All New Zealand Natinal Champinships (individual events) in the Masters, Open, Under 19, Under 17, Under 15 and Under 13 categries are sanctined events. All sanctined events will have the fllwing published n the BNZ website in the Events sectin: Cnditins f entry (prspectus) Online entry link Online link t the draws, schedule and results Any ther assciated infrmatin ie. pster, accmmdatin infrmatin etc. The event will shw n the nline calendar Sanctined Events Requirements: Turnament Planner sftware is t be used. BNZ will prvide the license free f charge t Assciatins wh d nt have a current license; hwever, if an Assciatin is hlding mre than 2 sanctined events in ne year, they will require their wn license. The BNZ license is ONLY t be used fr BNZ sanctined events. Cntact BNZ Events fr a cpy f the 2017 license. Nte: If an Assciatin is hlding a BNZ sanctined event and a nn-sanctined event/s at the same time, they MUST be in separate TP files. Nte: Events that are unsanctined d nt require apprval f the prspectus r TP file. BNZ will nt prmte unsanctined events in any way. The clsing date t be the Friday the week prir t the event, at the latest it can be earlier at the rganisers discretin. The clsing time t be 23:59. Scring t be as per the current BWF regulatins (plates can be different as they are nt part f player pints). If it is an age grup event the year f birth t be stated, t qualify fr the age grup f the event. Age Grup Years fr 2017 U13 Brn in 2005 r later U15 brn in 2003 r later U17 brn in 2001 r later U19 brn in 1999 r later Brand f shuttle t be used Assciatins can use whatever shuttle they wish fr their wn sanctined events. Players withdrawing after entries have clsed will nly receive a refund f the entry fee, less the administratin fee f $10 (assciatins t set this fee), n submissin f a medical certificate at the time f withdrawing. N refunds will be made fr withdrawals received after the turnament has cmmenced. Seeding will be cmpleted using the latest published BNZ player pints list in the xxx categry (i.e. the age grup f the event r pen player list). The date the draw will be cmpleted and published (latest is Wednesday prir t the start f the event) and infrmatin regarding when the schedule will be available. Where the draw etc. can be fund nline: BNZ website www.badmintn.rg.nz and the Assciatin website (if relevant). Dubles entry. Please include the fllwing clause: A dubles entry is nt cnfirmed until an entry and the entry fees are paid by the due date, by bth players. (this excludes partner required entries). Dubles entry. Please include the fllwing clause: Replacements in dubles and mixed dubles events after the draw is published may be allwed nly with the apprval f the turnament rganiser r Referee. Replacement players can nly be sught frm players already entered in the turnament. What plate events will be held (if any). Plates d nt earn player pints. Plates are always dependent upn time and entries and are ttally at the discretin f the turnament rganiser. If plate events are t be held please include the fllwing clause: Plate entry is autmatic fr the lsers f their first match. Players wishing t withdraw must advise the Turnament Cntrller immediately after their first match lss. If a player defaults, withdraws r retires (des nt cmplete) their first match, they are nt eligible fr the plate. If mre than ne age grup is being played n the same day, are there any restrictins n hw many events a player can play this is ttally up t the rganiser; hwever, yu must be certain it is manageable and des nt impact n ther players r the event as a whle. Recmmend players nly play ne age grup per day. Entry fees. Assciatins set their wn entry fees. All sanctined events t include a BNZ player levy which BNZ will invice the Assciatin, fr every player wh enters. Please nte that player levies have increased by $2 per event due t a new player pints system which will be released later this year. $7 Junir events $8 Senir events $9 Nrth r Suth Island Champinships These prices are GST inclusive, the Assciatin will be inviced at the end f the mnth their event was held in fr all players wh entered. Players Risk Please include the fllwing statement: Players cmpete at their wn risk. N respnsibility will be accepted fr any injury received during this turnament. Nte: If an Assciatin is hlding a BNZ sanctined event and a nn-sanctined event/s at the same time, they MUST be n separate Cnditins f Entry dcuments t ensure the players are well-aware f which events are sanctined (and earn player pints) and which are nt. Turnament Planner Online entry using Turnament Planner is mandatry. The Organiser t set-up the TP file fr receiving nline entries. It is strngly recmmended that entries are nly nline; an Assciatin may chse t receive manual entries prviding all ther cnditins f entry are met. Entry fees. It is highly recmmended that yu d nt ffer a discunt fr entering 3 events as this is difficult t set up in TP. Tw ways t set up entry fees: Enter the cst t play in each event in the Event sectin. The BNZ player levy t be added as a mandatry item under extra in entry fees Have a $0 cst against each event in the Event sectin. Under Entry Fees, n the left-hand side f the page, click based n entry, type number f events, enter the cst f the first event (include the player levy), enter the additinal cst f a secnd and third event. I.e. (see Figure 1). 1 event = $25.00, 2 events = $15.00, 3 events = $10.00. The disadvantage f this methd is if running plates, when yu create a new event a player is charged an additinal fee fr entering a new event, which will skew the financial details. The way arund this is t exprt all finances t an excel spreadsheet pre-event, r g thrugh the player data-based, g int fees and give the player affected a discunt fr the amunt f the plate entry. It is imprtant that yu ask this as it is the nly place where a player can advise what Assciatin they are registered t. It is a requirement f all sanctined events that a player must be a registered member f an Assciatin. Bth the Cnditins f entry and the nline entry are t be checked by BNZ prir t being published. 6 Weeks Prir t the Turnament The cnditins f entry in Wrd frmat, t be sent t BNZ Events (Sam Patersn sam@badmintn.rg.nz) fr apprval. The TP file, set up fr the turnament, including the nline entry sectin, t be sent t BNZ fr cnfirmatin that set-up is crrect and k t be published. Once apprved BNZ will publish the event details, cnditins f entry and the nline publishing link n the BNZ website. The hst Assciatin t publish n their wn website and distribute hard-cpies if they wish t (nt a requirement). It is up t the Assciatin staging the event t prmte the event. Prir t entry clsing date Regularly dwnlad the entries int yur cpy f the turnament TP file by ging int Publish Entries. There is n need t print a hard cpy f each individual entry. During this time, d nt publish yur TP file. When yu d this, yu shw wh has entered t date (which is technically incrrect as players shuld nt have access t this infrmatin until after the clsing date). Nte there may be cases where this is unavidable i.e. a change needs t be made t the file. After entry clsing date Check all missing entries (i.e. a partner has nt entered) have been chased and all issues reslved. All entries must be included (i.e. nne can be added after this time). All Player Numbers t have been entered and checked (player numbers available n BNZ website). If a player des nt have a number, leave that field blank and BNZ will allcate a number. The player s assciatin t be entered as an abbreviatin (max. three letters) under State (nt club). T find a Player s Assciatin click int the Player file, and g int fees. See BNZ hand-bk fr Assciatin abbreviatins (all letters are in CAPS). Ensure that all abbreviatins fr the same assciatin are cnsistent this includes case i.e. WEL and Wel will be read as tw different assciatins. If an age grup turnament, the player s date f birth is t be entered. Match up all Partner Required entries. It is recmmended that nce all these checks have been made and prir t sending the TP file t Badmintn NZ, yu publish the file s that players may see that their entry has been received and is crrect. Mnday prir t the turnament (at the latest): Send the TP file t BNZ Events (Sam Patersn sam@badmintn.rg.nz) by 6pm at the latest. Nte Turnament Planner files cannt be merged. i.e. there is nly ne master file. Once yu send it t BNZ that is the master file, d nt make any changes t yur cpy after sending it away as they will nt shw in the file returned t yu frm BNZ with the player pints etc. By Wednesday at the latest, BNZ Events will uplad player pints, cmplete the seedings and send the TP file back fr yu t d the draws (alternatively BNZ Events can d the draws if yu prefer, hwever it is a gd idea t get used t using the sftware). BNZ will uplad the singles rankings and the dubles and mixed dubles rankings and pints. Seedings fr singles is based n rankings as these are aligned with pints; the dubles and mixed dubles seedings are based n pints nt rankings. In dubles this can make a difference. The number f seeds per event is as per standard BWF cmpetitin regulatins: <16 players/pairs 2 seeds 16 31 players/pairs 4 seeds 32 63 players/pairs 8 seeds 64+ player/pairs 16 seeds When ding the draws the fllwing settings in TP t be used:
The Players Assciatin t be listed under State as per the BNZ Assciatin abbreviatins (as abve). Ensure that the cde used fr each Assciatin is cnsistent, including case ie. WEL and Wel will be read as tw different Assciatins. When ding the draws separatin t be by State /ptimal/tp tw frm each state. (this is n the drp dwn list in the draw wizard) This is a standard BWF draw requirement which BNZ requires fr all f ur sanctined events. What this means is that the tp tw players/pairs frm each Assciatin are in separate halves f the draw. Nte pairs frm tw different Assciatins are deemed neutral. It als means that wherever pssible tw players frm the same Assciatin will nt meet in the first rund nte sme players may have a bye in the first rund; players frm the same Assciatin may meet in the secnd rund. It may als be unavidable due t the number f entries frm ne Assciatin that sme may meet in the first rund. The draws are t be dne using the make draws functin in Turnament Planner. They are NOT t be dne manually; nr is there t be any manual manipulatin f the draws (when we g in the back end f the turnament we can see any manipulatins which have ccurred s please d nt be embarrassed DO NOT DO IT). Rund Rbin vs Knck-ut Draws Whilst this is at the discretin f the hst Assciatin a rule f thumb is less than 8 players rund rbin; 8 players either rund rbin r knck-ut, 9 r mre players knck-ut. Whilst the rund rbin frmat can give players mre games they als take a lt lnger t play which needs t be taken int cnsideratin; particularly if yu are playing all 3 events n 1 day. If yu play the rund rbin frmat, please set the TP file t BWF frmat (this is the default). Be sure t advise the players, and display n the results bard, what this means: i. Ranking will be established by the number f matches wn. ii. iii. iv. If tw players/pairs have wn the same number f matches, the winner f the match between them will be ranked higher. If three r mre players/pairs have wn the same number f matches, ranking will be decided by the difference between ttal games wn and ttal games lst, with greater difference ranked higher. If this leaves tw players/pairs equal, ranking will be decided by the result f the match between them. If three r mre players/pairs have wn the same number f matches and are equal in the difference between ttal games wn and ttal games lst, ranking will be established by the difference between ttal pints wn and ttal pints lst, with greater difference ranked higher. If this still leaves tw players/pairs equal, ranking will be decided by the result f the match between them. v. If three r mre players/pairs are still equal, then ranking will be established by drawing lts. A cpy f this dcument t display can be fund n the BNZ website under events/event infrmatin Once the draws have been made they need t be checked that they cmply with all the draw rules and regulatins in particular (seeding, Assciatin split, byes, etc.) This shuld be dne by a qualified Referee in yur Assciatin (r a nminated ne frm anther Assciatin wh yu have rganised), nce apprved they can be published. This shuld be dne by Thursday night at the very latest. NOTE: It is imprtant that the draws are apprved; a breach f the regulatins relating t the draws will autmatically mean the event (ie. Men s Singles) at fault will nt be included in Player Pint. It is the respnsibility f the Assciatin, nt BNZ t ensure the draws are crrect. One f the areas where BNZ receives the mst negative feedback abut events is abut the n the day rganisatin f the event. T make n the day rganisatin and management easier fr bth the rganisers and players it is strngly recmmended that the event is scheduled t time. It is als advisable t plan the umpires fr the first few runds. Yu can list the names f the umpires in the message sectin f Turnament Planner, which will shw when yu publish the file. It is a requirement f Nrth and Suth Island Champinships that the event is scheduled t time cntact BNZ Events if assistance is required.
Plates are t be set up as separate events, nt run ff the main draws. They are t be seeded accrding t the player pints already laded int the file with the draws made under the same cnditins as detailed abve. This des require sme additinal wrk n the day, hwever has prven t be the best way t run the plates and is the simplest when we uplad the results int player pints. During the turnament, if yu have an internet cnnectin, remember t publish yur turnament at regular intervals. If nt please publish as sn as pssible after the cmpletin f the turnament (i.e. the same day) The cmpleted TP file t be sent t BNZ Events within 24 hurs f the cnclusin f the turnament. Nn-adherence t the sanctined events requirements may result in the withdrawal f sanctin fr the turnament in hand and fr future events, at the discretin f Badmintn New Zealand.
