The 2015 Panhellenic Executive Council Application This form is required to be submitted no later than Friday, November 7th. The requirements to be eligible for an executive position on the Panhellenic Council include: Being in Good Standing with both Boise State University, as well as her member Chapter. Hold a 2.5 GPA. Plan to maintain full time status with Boise State University. Preferred: Maintain presence in Boise throughout the summer. Must be available to attend weekly Panhellenic Council meetings Thursdays 5:30PM during both semesters of your service. In addition to completion of this application, candidates must be prepared to give a 2 minute speech at the Panhellenic Meeting on November 9th at 2PM. The President Shall: A. Have overall responsibility for the operation of the Panhellenic Council. B. Call and preside at all regular and special meetings of the Panhellenic Officers. C. Call and preside at the Panhellenic Council Executive Board meetings. D. Review, approve and sign all Panhellenic Council checks and contracts involving the Boise State University Panhellenic Association. E. Serve as ex-officio member of all Panhellenic Council committees. F. Report as required to the NPC Area Advisor. G. Maintain a complete and up-to-date President s file which will include a copy of the current Boise State University Panhellenic Association Constitution, Bylaws, and Standing Rules; the current Panhellenic Association budget; the current NPC Manual of Information and related materials, current correspondence and materials received from the NPC Area Advisor; copies of the College Panhellenic reports to the Area Advisor and other pertinent materials. H. Plan and Organize Greek Officer Symposium and Greek Awards I. Perform all other duties pertaining to this office. 2. The Vice-President of External Recruitment shall: A. Attend all meetings of Recruitment Chairs and Advisors before, during, and after Recruitment. B. Coordinate and administer the Recruitment process for Potential New Members and Rho Gammas. C. Supervise and Manage the Rho Gamma process (interviews, trainings, etc.) D. Lead correspondence with Potential New Members E. Reserve meeting rooms and supplies necessary for each meeting. F. Maintaining the Sorority Interest Form G. Create Monthly Newsletter for Potential New Members H. Organize and Plan all Information Night Meetings with Potential New Members. I. Perform the duties of the President in her absence, inability to serve, or at her call. J. Produce name tags for potential new members. K. Administer all meetings of Recruitment Chairs and Advisors before, during, and after Recruitment. B. Coordinate and administer the Recruitment process. C. Lead Correspondence with Conference Services D. Lead Correspondence with Recruitment Chairs and Chapter Advisors E. Create and Administer Recruitment Schedule (Plan A and Plan B) F. Assist with Info Night Presentations G. Create Marketing materials for Sorority Recruitment H. Lead Correspondence with Recruitment Rules and Revisions I. Be knowledgeable and train recruitment committees about ICS J. Recruitment budgeting for Panhellenic and for chapter recruitment committees K. Perform all other duties pertaining to this office. 4. The Vice President of Public Relations: A. Coordinate all publicity for the Panhellenic Association B. Be responsible for all publicity regarding Panhellenic recruitment including: the recruitment booklet, posters, advertisements and any other publicity deemed necessary by the Vice-President of Recruitment. C. Be responsible for the maintenance of the Panhellenic social media D. Perform all other duties coordinated with this office 5. The Vice President of Personal Development shall: A. Oversee Academic Improvement opportunities for the Panhellenic Community, via tutoring, scholarships, or other available ways. B. Form connections between the Career Center and Greek women. C. Provide a list of of campus contacts of chapters to fire and police officials. D. Oversee and advise chapter standards officers, risk managers, and social chairs. E. Facilitate alcohol training programs. F. Inform Greeks of available scholarships through the University. G. Promote personal development and mental health opportunities for Panhellenic Members. H. Perform all other duties usually pertaining to this office. 6. The Vice President of Community Involvement shall: A. Oversee the programming of Greek and Panhellenic Events. B. Oversee and advise chapter Philanthropy/Community Service chairs and events. D. Work with other Vice Presidents to oversee and coordinate any speakers the Greek community wants to bring to campus. E. Coordinate one all sorority service event per semeseter. F. Wok with IFC to plan and organize Greek Week events. G. Perform all other duties usually pertaining to this office. 7. The Vice President of Internal: A. Be responsible for the general supervision of the finances of the Boise State University Panhellenic Association. B. Be responsible for the preparation of the annual budget and, following its approval by the Panhellenic Association, for providing a copy to each Boise State University Panhellenic Association member fraternity. C. Receive all payments due to the Panhellenic Association, collect all dues, and give receipts. D. Be responsible for the prompt payment of all bills in the name of the Boise State University Panhellenic Association. E. Maintain up-to-date financial records, give a financial report at each regular meeting of the Panhellenic Association and an annual report at the close of her term of office. F. Sign Panhellenic Association contracts when authorized to do so. G. Create financial expense sheets to address each Fraternity s fees to be incurred, this will be shared on the third night of recruitment. H. Keep an up-to-date roll of the members of the Panhellenic Council and call it at all meetings. I. Keep current statistics concerning the number of initiated members and new members of each Panhellenic Association member fraternity. J. Keep full minutes of all meetings of the Boise State University Panhellenic Council and a record of all action taken by the Panhellenic Officers. Provide the minutes to all members, delegates, and advisors of the Panhellenic Council at the following meeting to be approved K. Maintain a complete and up-to-date file, which will include the minutes of meetings of the Boise State University Panhellenic Association from the date of its organization, copies of all contracts made by the Panhellenic Association, and current correspondence. This is a file to be passed on to each new Secretary. L. Be responsible for the official correspondence of the Panhellenic Association unless provided otherwise. M. Work with the Vice President Community Involvement to prepare the Election Grid and Slate during elections for the Panhellenic Council. N. Perform all other duties usually pertaining to this office.
