HUDSON HOCKEY ASSOCIATION 2018/2019 VOLUNTEER POLICY OVERVIEW The Hudson Hockey Association (HHA) operates strictly on a volunteer basis. It relies on its members to keep it operating and running smoothly. This allows the HHA to keep participation in its programs as affordable as possible. Each age level is assigned a minimum number of volunteer hours required for each skater at that level. It is the responsibility of the members to fulfill their volunteer time commitment or financially reimburse the HHA for unfulfilled volunteer hours. GENERAL REQUIREMENTS The volunteer time requirements are determined on the following: 1. The family of every player will be required to commit to the minimum hour requirements for that age level. The minimum volunteer requirements for each player at each age level are: Mites (Level 1) and Girls Development Program - 15 hours Mites (Level 2 & 3) and Girls U8-25 hours Squirt, Peewee, Bantam, U16, Jr. Gold - 25 hours Girls U10, Girls U12, Girls U15, Girls U19-25 hours 2. Families with multiple players will not be required to exceed 50 volunteer hours performed for the season. A minimum amount of concession hours per player are also required. This is described later in this document. 3. Each family has the option to buy-out their general volunteer hours at a rate of $30 per hour. The full buyout for each player by level is: Mites (Level 1) and Girls Development - $450 Youth Mites (Level 2) and above - $750 Girls U8 and above - $750 The family maximum buyout amount for general volunteer hours is $1500. 4. CONCESSION REQUIREMENTS 1. All families are obligated to volunteer a minimum of 5 hours per skater in concessions. Concession hours count toward each family s general volunteer requirement. 2. No family is excluded from performing the required concession hours regardless of the amount of general volunteer hours performed. 3. Families with multiple players will not be required to exceed 10 concession hours for the season. 4. Unfulfilled concession hours will be invoiced at the end of the season at a rate of $30 per hour. 5. Any concession hours transferred between families will considered general volunteer hours and will not count towards the concession hour obligation of the family receiving the transfer. VOLUNTEER TABULATION The status of volunteer hours performed will be posted on LASH. It is each family s responsibility to track the status of their volunteer fulfillment to ensure that they have been credited the correct number of volunteer hours. Volunteer hour credits associated with coaching and team management will be posted at the end of the season. On May 1 st of each year, the number of hours worked during the proceeding season will be tallied and applied to the required hours for each family. If the number of hours worked is less than the number of hours required, the family will be assessed a fee of $30.00 for each unfulfilled hour. The family will be invoiced for this amount and will not be allowed to participate in HHA activities or ice rental until such fee has been paid. Any excess hours from one season cannot be carried over into the following season. TRANSFER OF HOURS BETWEEN FAMILIES A limited number of volunteer hours can be transferred between member families. The maximum amount of hours that can be transferred to, or accepted by, any one family is 10 hours. Once again, concession hours transferred between families will considered general volunteer hours and will not count towards the concession hour obligation of the family receiving the transfer. VOLUNTEER OPPORTUNITIES Volunteer time credit may be accrued for each hour worked in the following capacities: Arena Maintenance ice maintenance carpentry, plumbing, electrical, painting general cleaning take ice in/out, take boards up/down, painting lines on ice dry floor maintenance Zamboni Operations Zamboni operator Zamboni assistant (intro to zamboni operations) Concession stand In-season by team assignment prior to team selection tournaments, high school games, and dry floor events after most teams are done and prior to ice out in March after season shut down and cleaning Public skating/open Hockey entry fee collections on-ice monitor Dry floor events booth staffing clean up HHA s Introduction to Hockey and Try Hockey for a Day events Tournaments Home tournament volunteers will be credited for the hours worked while functioning as a minor game official or general tournament support. Those serving on the Tournament Committee, which is in charge of running all home tournaments, will be credited for 20 hours of volunteer time. Tryout Activities: Tryout workers will receive credit for each hour worked on these activities. Fundraising Events All workers will receive credit for each hour worked. Miscellaneous Projects/Additional Volunteer Opportunities For all other tasks or special contributions, such as maintenance projects, special events, extraordinary contributions benefitting HHA, and special construction projects, volunteer time must be pre-approved by the Volunteer Coordinator or the VPSHO and reported to the Project Coordinator for the project. The following positions will receive credit for their family s general required hours (20 hours per skater, max of 40 hours): Ice Scheduler Zamboni Coordinator Equipment Manager Registrar HHA Webmaster Volunteer Coordinator Locker room monitor Committee Chairpersons/Administrative Heads (subject to approval by VPSHO) COACHING Coaches for each team will be credited the following volunteer hours: Mites (Level 1) and Girls Developmental Program: One head coach and two assistant coaches will each receive 10 hours of their per skater max of 15 hours Mites (Level 2 & 3) and Girls U8: One head coach and two assistant coaches will each receive 20 hours of their 25 required hours Squirts & up and Girls U10 & up: One head coach and two assistant coaches will each receive their family s required hours (up to 20 hours per skater, max of 40 hours) No other coaches will receive volunteer time credit. In the case where a non-parent coach is coaching a team, the non-parent coach will count as one of the credited coaches. It is each coach s responsibility to verify that they will be receiving volunteer hours at the start of each season. Squirt, Peewee, Bantam, U16, Jr. Gold - 20 hours of their required 25 hours Girls U10, Girls U12, Girls U15, Girls U19-20 hours of their required 25 hours VOLUNTEER ROLES THAT DO NOT RECEIVE CREDIT FOR VOLUNTEER HOURS There are several volunteer roles that do not receive credit to their required volunteer commitment. These include: HHA Board members Committee members (exception: Tournament Committee Members) Clock operator, scorekeeper and minor official at non-tournament games The VPSHO has final determination of all volunteer credits.
