1 WEYMOUTH GOLF CLUB MINUTES OF GOLF COMMITTEE MEETING Monday 29 th January 2018 HELD AT WEYMOUTH GOLF CLUB Those Present: Alan Bates - Captain Lennie Harris - Seniors Captain Caroline Tapster - Ladies' Captain Graham Vile - Chairman of Competitions - Chairman of Greens Pat Crane - House Chairman Des Lochrie - Professional Jim Sinclair - Seniors Vice-Captain Nicola Adams - Assistant Secretary 1. APOLOGIES Russ Conway 2. APPROVAL OF MINUTES OF GOLF COMMITTEE MEETING The minutes of the meeting held on Monday 11 th December 2017. Proposed by: Seconded by: Lennie Harris 3. CAPTAIN S REPORT Alan Bates Alan thanked everyone involved in making Race Night another success. The Captain, along with the Golf Committee expressed their thanks to Graham Vile, Competitions Chairman for his dedication and hard work over the last three years. Graham is standing down at the AGM. 4. VICE CAPTAIN S REPORT Russ Conway We prep for the AGM... Franchise advert going live this week. Practice shelter still standing after all the winds. Practice area project waits for the weather to abate... AGM proposal from the Board... to disband the Board and revert to a single Management Committee, that obviously includes us (stand fast Mr Lochrie). We need to review the temp greens for next winter, suggest a sub-committee of: Mr Martin, Mr Conway, Mr Lochrie and Head Green keeper. This can also consider a trench from above and in front of 13th Green, down to 10th Green, across the 11th fairway and down the right hand side of the 11th fairway tree line... the Loch Desmond plan?

2 5. SENIORS CAPTAIN S REPORT Lennie Harris 6. LADY CAPTAIN S REPORT Caroline Tapster The bad weather has kept all but the most intrepid ladies off the course with only a few fun 8 whole competitions being played over the last few weeks. Our ladies AGM is on 7 th March when we will be welcoming our new captain Audrey Garnett and Vice-Captain Sue Stroudley and some new committee members as Julie Hacket, Sharon Rand and Maria Woodham are all standing down. Overall the ladies have had a good year with a number of new members joining us and some good results at County events. We are all delighted with the new carpet and I have been requested to urge the club to consider investing in new or refurbished tables and chairs as soon as possible! The refurbishment of the upstairs ladies toilet looks very smart as does the new splashback in the ladies locker room, many thanks to all concerned! We are looking forwards to our first friendly fixture with the seniors on 12 th March when hopefully the weather will have improved. Issues # Feedback from the last meeting of the new Charity committee on 17 th January, minutes are available from Nikki # Feedback from the Board on the half-way house and next steps 7. CHAIRMAN OF COMPETITIONS REPORT OCTOBER Graham Vile 1. A number of Xmas Competitions have taken place during December and January; these have been a mixture of Stableford s, Bowmakers, and 4BBB. As is often the case at this time of year entries are heavily influenced by the weather conditions. The two main events were The Festive Scramble and the Burns Team of Three, the scramble was once again very well received with 92 people taking part, this being 16 more than 2017, the feedback was positive, and everyone seemed to enjoy and appreciate the Shotgun start. The Burns event had an entry of 99 people which was an increase of 24 on the previous year. 2. Competitions Prize Allocation I ve spoken with John Northover and we ve been looking at the competition entry fees and the way in which amounts have been allocated as prizes. We are looking to change this for the 2018 season with set amounts for first, second, and third in each division based on the total number of entries rather than entries in each division. This approach will be implemented in the Monthly Tankards, Medals and Stablefords, and won t affect the way in which the sweep is paid out. 3. Fixture and Society Calendars Course Marshalls We now have a fully up to date Fixture/competitions calendar and Society Calendar. (The latter Nikki updates as and when changes/additions occur). Des and I will use these to allocate duties for our Course Marshalls. We currently have three people interested in taking up the role of Course Marshall and it s my intention, with Des to meet with these individuals in the next two/three weeks to discuss details, with a view to giving them approximately 4 weeks duties starting at the beginning of April. Once this has been done we only need to do a week at a time to maintain a rolling 4 week duty pattern.

3 This will also allow these individuals the opportunity to inform us of any days/times they are not available. 4. Competition Tee Times I have been looking at the number of tee times currently booked for all competitions. The Seniors Comps are all DBE, the Club Comps have over the past year shown a steady increase in the number of entrants and the tee times booked reflect this quite accurately. However when looking at the Ladies Comps there appears to be somewhat of a discrepancy between the number of competitors and the number of tee times booked in advance. Currently we book 2 hours on a Thursday for the ladies weekly competition, this is a minimum of 18 tee times. On average over the last year the number of ladies playing on a Thursday is 21, going out as they do for the majority of comps in three balls this would require only 7 tee times. I appreciate that occasionally the number will be higher, some cups are in two balls, and a small buffer zone is required. Taking all of this into account I recommend we book 12 tee times every Thursday, and on the odd occasion when necessary; increase those tee times closer to the date. This will open up the course for both members, and perhaps society s on what is traditionally a quiet day of the week. As always the committee s views would be appreciated. 5. Rule Changes. I believe the Vice Captain is looking at the local rules in conjunction with our rules expert Mr Woodham. A meeting is due to take place shortly and we will look at what changes need to be made, both to go on the new cards and our local rules. We will also look at how we can introduce some of the new Pace of Play rules for social golf in the 2018 season. Also some of our club comps state that only Juniors with a handicap of 18 or under may take part. This was decided by the Junior committee and was intended to encourage our younger players to work at their game so they could enter more comps. However, given that the congu handicap now goes up to 54 some may ask if this is either fair or relevant. I would suggest the current Junior committee look at this and tell us if they wish to retain this restriction or change it for the coming season. A response within the next two weeks would be appreciated. 6. Des and I have carried out the annual handicap review. Those who are affected by these changes will be informed in due course. 8. CHAIRMAN OF GREEN REPORT The driving range project to clear back brambles from the large area of trees between the range and 18 was finished. This completes the section that was planned for this term in the 5 year plan but the lads are keen to continue and complete the whole range. Elaine Rockingham has donated a Silver Birch Tree which has been planted in the cleared ground. Conditions continue to deteriorate and we had to introduce a complete trolley ban last Thursday. If there is much more rain over the next few days we will be expecting to close altogether. In the covered bays there are now a couple of platforms for the ball baskets by the range mats. Rotted steps on the 10th tee have been replaced and have been fitted with a safety grip which is expected to last 20 years or more. This will be longer lasting than the old grass carpet we have used in the past and we will install them on other steps around the course over the next few years. Risk Assessments review due and once this is complete Rob B will send the copies via email to the office. Stuart Elliott to be made aware when this has been done as Health and Safety lead.

4 Awaiting fairway mower and sidewinder quotes. There has been a delay in getting the finance figures from both companies which they put down to everyone being at the Harrogate show this week. As and when the figures come through they will be passed to John. Ball dispenser ordered and after a small hiccup is being built. 9. CHAIRMAN OF HOUSE REPORT Pat Crane 10.
