Applications To Use the Bonita Fairways Clubhouse for Events January, 2018 Please read all the following information carefully before completing the application. The Gulf Breeze was a wide range of authority in overseeing the use of the clubhouse. An owner may appeal to the Board of Trustees, if they feel they have not been fairly treated. Portions of The Bonita Fairways Clubhouse may be used by Bonita Fairways owners, and tenants in good standing. The term owner will include their tenant for the rest of the document. An owner in good standing may apply to use the clubhouse facilities, when available, for private events with restrictions and requirements. A Private event is defined as an adult event or party: such as a Birthday, Anniversary, a Baby or Wedding Shower, bereavement ceremony or reception or Holiday Party by invitation only. It is intended for the owner and their immediate family. It specifically excludes an owner s use for an outside person or group. Immediate family is the owner/ partner, parents, children and grand-children (includes adoptions, and step children). It excludes brothers sisters, aunts and uncles. These events must be small in nature and are limited to the Café area only, not the main ballroom. The main ballroom may only be reserved for weddings either ceremony and / or reception. Weddings are limited to off season from April (after Easter) to October 15 th. The fee is $750. This Owner Application for Private Use must be completed and submitted to Gulf Breeze with the cleaning deposit and a signed clean up requirements form. Gulf Breeze reviews all applications for appropriateness and denies or approves the request. Note: Community events for Bonita Fairways neighborhood associations and special social events planned by the Social Committee receive first consideration and approval for scheduling events. Therefore, the applicant should check with Gulf Breeze who manages the calendar of events before requesting a date for their event to be sure that the date and time are available. The clubhouse may not be used to hold: Events related to religious affiliations or political meetings, Events for children or young adults who are residents or nonresidents under the age of 18. Repeating events, single events only are allowed. Recognizing the need for exceptions, Gulf Breeze may approve a variance to the above rules on a case by case basis. The clubhouse may be used to hold: Professionals hired by owners to provide specialized services such as yoga, Zumba, Pilates, Tai Chi, dance, physical fitness training, and other similar activities is permitted. If the event you want to hold appears to qualify - The owner must agree to attend the entire event, monitor the behavior of guests or participants during the event so that any Association property is not damaged and must monitor the cleanup procedures according to the guidelines. If a few children are included in a planned event; the owner must be sure that the children are under adult supervision at ALL times and agrees to be responsible for their behavior. Submit the appropriate completed signed application on page 5. Attach deposit fee per page 3. Provide proof of Bonita Fairways ownership and must be in good financial standing with the Master Association. Agree to Follow the Guidelines for Private Use: Any owner who misrepresents the nature of the event on their application, and receives approval, will automatically forfeit their fees. Gulf Breeze reserves the right to deny any application for private use for any event that is not considered appropriate for our community or not suitable for the accommodations in the clubhouse or parking lot Understand your responsibilities and sign the Cleanup Requirements & Responsibilities for an Event Areas used will be reviewed the following day to make sure that the cleanup was completed according to the criteria you were given for the space you requested. Refundable clean up deposits are returned only after a positive review of the area(s) and all clean up requirements are satisfied. If additional cleanup is required or damage in any area of the clubhouse has occurred, the amount to correct the cleaning or damage will be deducted from the refundable deposit. Please note that the owner shall bear any additional financial responsibility for excessive or extraordinary cleaning and/or damage to repair or clean the carpet, dance floor, walls, bathrooms or furniture at cost. Repeated failure to comply with cleanup requirements may result in denial for future requests from the owner. Applications are available two ways: At the Master Association Clubhouse- Printed applications are available in the Library to the right of the main entrance. A social events calendar is in that room to help you select an open date. Review the fee schedule and all the requirements. BONITA FAIRWAYS COMMUNITY ASSOCIATION SPONSOR CLEANUP AGREEMENT In general, follow the Rule of thumb: Leave the clubhouse in the same or better condition than you found it! Rules & Clean Up Requirements for Events or Activities in the Bonita Fairways Clubhouse Animals/pets are not allowed on the grounds. No Smoking in any building, pool area, patio tennis or bocce courts. Nor within 30 of any structure. Children 16 years old and under must be under supervision at all times. Furniture must be returned to the arrangement found before your event. Tables and chairs must be clean and free of decorations. Staples may not be used for decorations on tables or chairs. Remove any tape from furniture at the close of the event. Decorations may NOT be attached to the walls or windows. Carpeting must be vacuumed. The tile floor cleaned of spills and stains. Report carpet damage to Gulf Breeze 239-498-3311. The Dance Floor No table or chairs on the Dance floor. Kitchen surfaces must be clean. The refrigerator, dishwasher and warming oven must be emptied and clean inside and out. The sink areas must be clean, the floor mopped. All trash must be removed and placed in trash bags (provided by the user) and put in the outside dumpster adjacent to the exercise room door on the lower level. Rest rooms must not be trashed. Inspect before leaving and remove any additional amenities provided especially for the event. Air conditioning is preset to 76 0, do not change. Lights: Turn off all lights when leaving. Events must be completed by 10:30 PM. Rules & Clean Up Requirements for Events in the Café and on the Patio Open flames from candles or torches are not allowed. Patio Furniture (chairs & tables) must be clean of spills and evenly placed around the patio. Patio umbrellas must be closed. Cafe Furniture must be evenly placed around the room. Tables and chairs cleaned of stains and spills. Tables must be lifted and carried, not dragged. The Barbeque grill cooking grate must be cleaned of any burned on debris. The Café Kitchen (if used for patio events) must be cleaned; the refrigerator emptied of all foods, condiments, beverages etc. Trash from the outdoor areas and the café must be removed, bagged and placed in the outside dumpster. Not part of the application Suggested Application Approval Process Check List: Application is reviewed by Gulf Breeze for Completeness, all signed and fee attached. Owners eligibility is confirmed. In good financial standing & documented resident of Bonita Fairways Date availability is confirmed. Owner is contacted if questions or clarity is required for above. The application is reviewed by Gulf Breeze, approved or declined Gulf Breeze notifies the owner of application approval or denial. Informs owner of approval or disapproval verbally and in writing. For approved applications, the date is placed on the official calendar. A meeting may be required with the owner in advance of the event to review clean up. Questions & concerns are addressed. Check is held, under the assumption that it will be returned. After the event is held: The space is reviewed. If no issues, check is returned to owner.
