CONDITIONS OF ENTRY 1. ELIGIBILITY TO ENTER AND RIDE IN THE EVENT The event is to be conducted under the guidelines of Equestrian Australia National Eventing Rules Jan 1 st 2017, Equestrian Australia National Interschool Rules Jan 1 st 2017 and EA Codes of Conduct. It is open to all riders enrolled at primary and secondary schools throughout Victoria who have attained at least grade 5 PCAV or HRCAV standard OR are eligible to ride under Equestrian Australia membership. Combined training is only available to primary school aged children that are PCAV Grade 5A or EA. For riders wanting to enter this event as a National Qualifier, the rider needs to be an EA member and ride under that membership. For a non qualifier/unofficial sections EA, PCAV and HRCAV are required. Competitors must be graded on the horse that they are competing on and ride in that jumping height if they are riding using PCAV or HRCAV insurance. EA insurance as per rules. No CARD NO RIDE! Your grading/membership number is required when entering on line with Event Secretary.
PCAV and HRCAV cards must ALSO be presented on the day of competition prior to riding to be checked for currency. NO CARD NO RIDE. EA membership will be checked by EV for currency by Event Secretary. PLEASE BRING YOUR HELEMT TO THE OFFICE AT CHECK IN SO THAT IT CAN BE CHECKED FOR CURRENCY. IF YOUR HELEMT IS OUT OF DATE YOU WILL NOT BE PERMITTED TO RIDE. A rider may only compete on a horse in one class. If a rider wants to ride in multiple classes they may do so but they must ride a different horse in each class. It is the responsibility of the rider to ensure he/she has enough support to ensure they are ready to compete at their published time if they choose to ride more than one horse. Riders will not be permitted to ride out of order. Two riders may not compete on the same horse. A rider who rides in the encouragement combined training class may not compete in any other class. PLEASE NOTE: The Organising Committee reserves the right to cancel any class or event, to divide any class, to alter the advertised times, or to refuse entry with or without reason. 2. REFUND POLICY There will be no refunds after the closing date Wednesday 19 th April 2017 unless a valid veterinary or medical certificate is supplied to kslade@eventsecretary.com.au within 7 days of notification of scratching. All refunds prior to closing date will incur a $20 administration fee. 4. TEAMS All riders will be allocated into a team and team entry is covered by the cost of the entry. Nominated teams can consist of 4 riders, from the same or different school. Top 3 scores count toward team championship. Team changes after the closing date will only be made at the discretion of the Event secretary. Please nominate team members on your individual entry. Teams must be made up of 4 separate riders on 4 separate horses. If riders have multiple horses they must be entered in different teams. If
no team members are nominated, riders will be automatically balloted onto a team of riders. Where possible members of the same school will be placed together on a team. 5. VOLUNTEER DUTY This event is run by volunteer parents for the benefit of all our children. Your assistance on the weekend is required to enable the event to go ahead. Every rider MUST supply ONE VOLUNTEER PER RIDER. NO VOLUNTEER NO RIDE. Volunteer information must be supplied when entering online with EVENT SECRETARY. SignUp.com will be used, details to follow after entries have been made. If you chose to scratch after 8am Saturday 29 th April 2017 or are eliminated during the competition you are still required to fulfil rostered volunteer duty. Failing to attend rostered volunteer duty will cause the event to be significantly delayed or even cancelled. 6. NOTE this is an encouragement class. Riders will not be awarded a score. All riders will received an encouraged ribbon at the conclusion. NOTE: all dressage tests except for the combined training will take place in 20x60m arenas. Combined training will take place in 20x40 arena. 7. UNIFORM AND GEAR All riders must wear approved Equestrian Australia safety helmets, see: http://www.equestrian.org.au/content/current-approved-safety-standards-helmets and riding boots at all times when mounted. HELEMTS WILL BE CHECKED UPON CHECK IN AT THE EVENT. Top hats are not permitted. Medical arm bands MUST be worn for all phases.
A4 back number holders are to be provided by each competitor. A4 number inserts will be provided on registration. A4 back numbers must be worn during each phase. NOTE: Back number holders may be purchased on the day in trade stands however the amount available may be limited so pre purchase is recommended. School shirt, tie, jumper, sports top or tracksuit top that are in approved school equestrian uniform are to be worn with beige, cream, white or banana jodphurs. Gloves must be worn during the dressage phase. Jackets may only be worn if they are embroided with the school logo and are part of the schools equestrian uniform. Hair must be tied up during all phases so back numbers are clearly visible to officials and judges when competing and in warm up and cool down areas. Earrings or any other jewellery are not permitted. BACK PROTECTORS MUST BE WORN during all jumping phases. A rider without a back protector will not be allowed to compete. A rider who wishes to wear an air vest MUST also wear a second back protector. 8. GEAR CHECK All riders are to present to gear check at least 20 minutes before each phase. Failure to do so will incur elimination. A gear checker s decision is final. 9. CROSS COUNRY COUSRE WALKS Inspection of Cross Country Course on Little Wandin from 9am Saturday. NO RIDING OF BIG WANDIN INSTANT ELIMINATION. Tintern Grammar will be offering two Cross Country walks for riders in Grade 5 that may be unfamiliar with the course. Times will be published in advance on Team App and in the official program. NOTE Race/riding advice will not be given. 10. FALLS Any rider eliminated in any phase WILL NOT BE ALLOWED to continue onto the next phase of the competition without the WRITTEN permission of the technical delegate after first being assessed by the onsite medics. It is the responsibility of the riders parent or guardian to ensure a certificate from the medics is brought to the organisers at the office stating that the rider is deemed safe to continue for the technical delegate to assess such a request. Riders that have been given permission to continue will not be awarded a score for a subsequent phase. Any rider eliminated as a result of a breach of rules must present to the office and will only be allowed to continue at the discretion of the technical delegate. Riders that have been given permission to continue will not be awarded a score for a subsequent phase.
11. ADDITIONAL RULES RELATING TO THE EVENT No bare back riding is permitted. No riders other than those competing will be permitted to ride on the grounds through the entire weekend. Each team must be accompanied by their team manager at all times during the event. Riders must be prepared to ride 20 minutes before their scheduled time announcements will be made on the day via TEAM APP Riders are NOT required to present to the judge at the car during the dressage phase. Please be aware that there will be photographers and videographers at the event. Photos/videos can be purchased. Details of which will be available on Team App and in the Official Program. 12. PROTESTS Can only be made by a representative of the team or school equestrian team manager. Protests must be in writing on a protest lodgement form and require a $50 non refundable CASH deposit. The written protest will be considered by the Jury of Appeal. Unsportsman like behaviour following an unsuccessful protest will not be tolerated and will be reported to EV and the individuals school. 13. YARDING OF HORSES / TYING UP OF HORSES / PARKING OF FLOATS Horse yards and area in front of yards are reserved on a user pays basis allocated by Event Secretary on a first come first served basis. Late entries may miss out on yards being available. Schools will be yarded together where possible. Allocation is FINAL. Please park in front of your OWN yards and allow ALL OTHER competitors access to their yards. Failure to move if blocking another competitors yard will result in elimination on the day. Please NOTE that caravans / and VERY large vehicles cannot be accommodated in front of yards AND will be asked to move. Goosenecks/Trucks/Caravan: Please notify Event Secretary if you have a gooseneck or truck or caravan when booking a yard for parking allocation. Large vehicles without a yard booking must park in the designated parking area. See MAP on Team App or Official Program. PORTABLE YARDS May be erected under EFA Rules: steel portable yards. Horses MUST NOT be tied to horse floats that are not secured to a vehicle. NO Horse is to be left unattended overnight.
YARDS must be cleaned at the end of the event. 14. DESIGNATED HORSE ZONES / WALKWAYS Designated horse zones / horse walk ways will be flagged. It is expected that all riders ride within these zones when moving from one area to another. When moving from one area to another all riders must do so in a walk. 15. CAMPING OVERNIGHT Camping is permitted on site gratis. Riders under 18 years staying overnight MUST be accompanied by a parent/guardian at all times. Showers and toilets are available on site. No powered sites are available. No generators are permitted to be used between 10pm and 7am. No fires are permitted to be lit on the ground. Fires may be lit in a CFA approved fire pit as long as the fire is completely extinguished prior to the supervising parent leaving the fire. All fires MUST be extinguished prior to the supervising adult going to sleep. Failure to do so will result in the responsible parent being liable for any costs incurred if the CFA are to be called to extinguish the fire. Ashes must be taken home by the supervising adult. 16. DOGS No dogs are allowed. 17. RUBBISH Wandin Park is a private property. Please take ALL rubbish home. Please do not litter. 18. CATERING Hot food will be available from 8am Saturday 19. SATURDAY NIGHT DINNER 6.30PM Must be pre-purchased. Meal tickets will be available for collection with back numbers. 20. VETERINARIAN
Will be available on call from 4pm Friday and will be onsite during all jumping phases of the competition. Veterinarian assistance for call outs may incur costs associated with treatment. 22. FIRST AID Colbrow Medical Service will be in attendance whilst riding of all phases is in progress. Teams 23.
