3. Matters arising from review of Minutes None The Minutes were signed by the Chairman 4. Reports from Officers President: The President had nothing to report Chairman: The Chairman had nothing to report Secretary: Happy New Year to everyone. Where did the last one go? It is that time of year when I ask for Club Secretaries to let me have any changes in their Club Secretary details and email addresses or other significant alterations relating to their Club. I would also ask for any changes regarding Judges and Coaches. This is to ensure that up to date information is put in SCAS Green Book publication for 2014. This information has to be produced by the end of January for printing. Apologies, but any alterations not provided to me or which may happen after the end of January may well be too late for inclusion in the next Green Book print. The next meeting will be the AGM when new Officers are appointed. Could I please have all nominations for all Officer posts for the year March 2014 to February 2015. Please ensure that a short archery resume for the nominee accompanies the form. As all posts are only held for one year, it will be necessary for all existing Officers to let me know if they wish their name to be put forward to be considered for a further term of office. May I please ask for all nominations to reach me no later than the 15 th March. Applications are invited for nominations for the Gray Edwards Trophy. Again could I please ask for these to reach me by 15 th March. Details of this award can be found on HAA Website. A form for each of these items will be sent to Club Secretaries with the Minutes of this Meeting. The completed forms may be sent to me by email if preferred. Treasurer: Thanked members for their co-operation in completing affiliation forms and getting these to her by the end of October. Sufficient money had been able to be transferred to the savings account, to make up for the loss of income from the free subscription year of 2012/13. Could any requests for claims for expenses in the future be given to her well before the end of December. Team Manager: No report offered and Officer not present at meeting. Page 2 of 13

Target Tournament Organiser: It was hoped that the number of volunteers for work parties to help at Tournaments would be better this year. Helpers had been a little thin on the ground last year. Detailed accounts for the Outdoor Championships had been drawn up and the Tournament made a loss overall. World Record Status has been completed for this year s Outdoors, set to take place the third weekend in September. Holding last year s Outdoors over a weekend was successful, with many records claimed, including a European Record claimed and confirmed for Hugh Jones from Kingsmark AC. Carla thanked everyone who had sent her kind emails but regretted the receipt of any that had not been so kind, but hoped that she had replied to these satisfactorily. Entries for the Indoor Championships on 8 th and 9 th February are filling but there are still spaces available. Archers are urged to join in and Clubs are asked to encourage their members to participate in all County Tournaments, particularly juniors and beginners. Dicky Summers gave the following report on Clout Championships: Hampshire County Clout Weekend 2013 Report The first Hampshire County Clout Weekend, incorporating the 7th Hampshire County Clout Championships, took place on the weekend of the 5th & 6th October 2013, organised by Dicky & Roz Summers and hosted at Waterside Archers ground at Exbury. The move from one day to two days for the clout was fully justified by a record entry on both days with 62 on Saturday & 68 on Sunday. The near perfect shooting conditions on Saturday resulted in some exceptional scores for the FITA Clout with 31 Tassel Awards (including 4 Purple [the highest award] and 4 Golds), and 4 x 3-clout end claims for longbows and 2 x 6-clout end claims for recurves. Personal Bests & County Records abounded with 6 scores above the current National Records (both and rounds for Chris Baigent, Roz Summers & Rebecca Giddings) - well done - see later. Sunday s County Championships also produced some excellent shooting with 10 Tassel Awards (including 1Gold) The County Champions for 2013 are:- Compound Recurve Giddings Barebow Longbow Club Team Jeanette Holder and Dicky Summers Charlotte Warne and Chris Baigent, and Junior Rebecca Ziggy Greenwood and Alan Holder Roz Summers and Steve Yates Southampton AC Accounts were submitted in October - in summary we made 388 profit before trophy and medal costs. On a similar basis to last year, I am prepared to organise, and Waterside Archers are prepared to host, on 4th and 5th October 2014. However, in addition to Tassel Award Status I am now seeking committee approval to apply for National Record Status for the Hampshire Clout Weekend, since 6 National Records were exceeded last year and a poll of archers on the day was overwhelmingly in favour despite the potential cost increase. National Record Status for Clout; proposed by Carla Piper, seconded by Ciaran Finn. 20 votes for 0 votes against 0 abstentions Motion carried. Field Tournament Organiser: Nothing further to report other than the usual request for a venue for 2014 to be offered. This could be incorporated with another Club s Tournament, and usually requires 12 targets. Records Officer: Reg Press raised an issue with the Records Officer to amend the details on the web site following members moving Clubs and taking records with them. He felt that this was detrimental to Clubs if web site indicated that records were associated with a new Club when actually obtained whilst a member of another Club. Records Officer said that the amendment requested could not be incorporated on the web site. The Chairman suggested that the league table be removed from the web site and County Record for archer to remain. Proposal to remove league table showing records for Clubs from website was made by Nick Loader Seconded by Lee Miller 17 votes for 3 votes against 0 abstained Motion carried. SCAS Representatives Report 5/10/2013: A good attendance for the meeting this time with attendance from the Treasurer and Secretary. The first business was to ratify the post of secretary up to the AGM following the departure of the post holder. Green book: it is generally accepted that the last couple of years updates to the green book have been less than successful and the only up to date soft copy is the 2010 version so with regret the updates that were done over the last couple of years will have to be redone. Confirmation of life and individual members also required. Following this work a short run of paper copies will be explored for those that want them and an electronic version would be the standard. SCAM: the date of next year s meeting will be the weekend of 17.5.2014. The SCAM 100 year dinner response has been disappointing. SCAS is in need of a replacement TO for the Intercounties. SCAS agreed that if any juniors that were identified under the talent Academy were experiencing problems with travel expenses then they could apply for assistance. Last year 2500 has been spent assisting with the cost of coaching courses. It was stated that if monies were to be requested next year from the coaching and judges officers then a complete balance sheet is to be submitted before they get a budget Regional records: A short discussion on the records was had on the process to claim and the standard to be held as there are differences between club days and tournaments. CFC agreed to write a paper with some suggestions to be tabled. AOB Two new trustees were required and were elected from the meeting, Katie Lipscom and Alex Essex The process of submitting items to the AGM was discussed regarding who can submit and the results of the discussion will be presented at the next meeting. Two members are being proposed for honorary membership, G Sibley HVP and Adam Abbott HLM. The silver awards that were agreed to be presented to Mel Clarke and Kenny XXXXXXX still have to be presented and this will be corrected soon. It was agreed that a certificate would be presented along with the award. Next Meetings; Sat 18 Jan 2014 - Council Sat 05 Apr 2014 - Council & AGM Mark Gowing County Coaching Organiser: 1. There will be a coaching workshop on 'Techniques held on 16th February. 2. A level 1 course starts on the 12th January, which is being held at Alton & Fourmarks club, and subject to finding more suitable venues/locations, another L1 course will be planned for later in the year. 3. SCAS' annual coaching conference takes place on the 1st March up at RAF Hendon. 4. The coaching numbers within Hampshire have been steadily declining over the last 4 years, with some of the factors down to costs, recession, CRB/DBS clearance where records are held on individuals, paperwork, more coaches taking Leaders courses, CPD's and others. This is a shame as Hampshire is the largest county within SCAS and has generally enjoyed higher than average coaching numbers, so the coaching committee will continue to put on the ArcheryGB coaching courses to in-county archers or out of county depending on the demand. Child Protection Officer: Read by Secretary on behalf of Officer who confirmed that there had been no incidents to report. Page 5 of 13

Equipment Officer: No report as position still vacant. 5. Hampshire Team Kevin Cassidy offered a second draft of clarification of Team Expenses that could be claimed. Members discussed a few minor amendments, which it was felt should be added. Kevin will do a third draft for discussion at the next meeting. 6. Communication Kevin has been in discussion with Trevor Smith who has confirmed that a system could be set up on the website to enable members to subscribe or unsubscribe to gain access to a newsletter. The licence for the website is due for renewal. The hosting fee is 40 per annum and the domain fee is 5 per annum. With regard to conference facility to join to the Island Clubs, it would be too expensive to set this up from the Hedge End venue. It was felt to be important to continue to look at alternative methods to ensure that the Island Clubs felt very much a part of Hampshire. The suggestions made were for a proxy vote to be offered and Pauline was asked to draft a proposal to put before the Island Clubs. Another point was to look into a change of venue for next year s AGM which had conferencing facilities and Pauline was asked to look into the cost and facilities which could be offered by Fleming Park. 7. Junior Star Awards The information regarding the requirements for these awards has not yet been put on the website. David Strong is hopeful that Nick Loader will give him the details as he has the most information regarding these Awards. 8. National Tournament Ranking Nick Loader raised the issue as set out on the Agenda. Option suggestions were, 1) to persuade more County Clubs to hold H2H Tournaments, 2) County to be persuaded to organise H2Hs at Championships or 3) County be asked for agreement for requirement for H2H to be removed. Lee Miller as a member of the target committee, who are the people who set the standard, had spoken with Nick direct prior to the meeting and explained that H2Hs were complicated to organise and not everyone could organise such an event, which required specialist knowledge and this is why there are not many held. Further, as it was an Archery GB ranking, it is expected that there had to be some commitment by the archer to attend the shoots required to be part of the national ranking. Carla Piper also added that H2Hs were not suitable for Juniors and we are trying to encourage Juniors to participate in Tournaments. Nick Loader was asked by the Secretary if he wished any further action to be taken on the point and he confirmed that he did not. Page 6 of 13

9. Equipment and Container Members were asked to consider whether the equipment and container belonging to the County should be retained and used for future Tournaments or if they should be disposed of and future equipment hired or provided by Club hosting Tournament, for which payment would be made. If a decision was made to dispose of the equipment, it was suggested that small items could be kept. The cost for hiring equipment should be obtained from Southampton ACV and Waterside together with a quote from someone known to Lee Miller who provides, transports and maintains equipment for Tournaments. The comparison against these costs, the current container storage, insurance and transporting costs to enable members to make a decision. It was also confirmed that there were only straw bosses in the container and archers were against shooting on straw bosses due to damage caused to expensive, high cost arrows. It may well be that, if equipment and container were to be disposed of, donations would be requested from Clubs interested, but this would require further discussion. 10. Meeting dates and venue for 2014/15 The dates agreed were: 12 th June, 16 th October 2014, 29 th January and 26 th March 2014. Venues agreed for June, October and January Executive Meetings - Hedge End Youth and Community Hall, St Johns Road, Hedge End. AGM in March still to be confirmed. ANY OTHER BUSINESS Chairman read out a request received from Martyn Gore that all Clubs please ensure that their Members are reminded of the rules relating to safety, dress and etiquette at Tournaments. In particular, members attending felt that this particularly related to the requirements that blue jeans not be worn, bare flesh around the middle should not be displayed, the whole of the foot should be encased in a strong shoe and that no vests should be worn. Clubs are encouraged to instil in their members that they are to comply with the rules at Club level to ensure that Archers always follow the rules automatically and do not come unstuck at Tournaments, thus avoiding embarrassment and possible request to leave the field. It was also reminded that if any archer arrives at their Club either smelling of alcohol or carrying alcohol, they should be politely encouraged to think seriously about shooting at that time, to ensure safety to fellow archers. Discussion took place following an aside raised by Steve Millward regarding the problem in recruiting coaches. There is a struggle to encourage archers to become coaches due to the expense. Waterside have created their own Waterside Instructor Certificates to allow experienced archers to assist in coaching. Peter Turner confirmed that any experienced archer could instruct beginners. Concern was raised that all Clubs should ensure that they had adequate insurance to cover this course of action, either that Archery GB insurance covered or the Club had their own insurance to cover this action. The question was asked if the Coaching Committee could look at a strategy for moving coaching to the next step up from beginners to intermediate archers. Nigel Slocombe confirmed that he would look into this. The next meeting is the Annual General Meeting on Thursday 27 th March 2014 Meeting closed at 10.0p.m. Page 7 of 13
