You will receive: All Credentials Updated Rosters Updated Schedules Please Bring: Scratch List: Scratches should be reported to the Sports Information tent upon arrival. Also, at the beginning of staging for each event, coaches should report any scratches to the staging area. Lost and Found is located at the Sports Information Tent in Olympic Village T H A N K Y O U As a small token of appreciation for all of the time, energy and work you and your coaches have put in to prepare the athletes for the Fall Festival and for the time you put in at the event we would like give you and your coaches an event shirt. We cannot thank you enough for everything you all do and as stated earlier this is a very small acknowledgement of our gratitude to you. These shirts are for Fall Festival registered COACHES only and can be picked up at the Special Olympics Delaware tent located in Olympic Village before 1:00pm on Saturday at Fall Festival. Coaches will need to pick up their own shirt and show their event credential when picking up their shirt. C R E D E N T I A L S An essential element of the 2018 Fall Festival will be to identify and register all persons by their constituent group. This will allow individuals quick and efficient access to appropriate sites and events. The Games Management Team will provide delegation members and those individuals with a defined role or function with user-friendly credentials and necessary site/event access. Any individual who is not registered for Fall Festival will not be allowed access to staging areas, competition areas, or dining areas. Credentials are non-transferable and should be worn at all times. Misuse or falsification will result in retraction of credential and possible further action.

4 H O S P I T A L I T Y / L U N C H HOSPITALITY: Hospitality will be available Saturday in Olympic Village. Family members are invited to stop at the Family Hospitality areas for some light refreshments. Olympic Village 7:00am 10:00am CONCESSIONS: Food for purchase will be available throughout the day at the concessions stand from 12:00pm - 4:00pm in Olympic Village LUNCH: Lunch will be available for all credentialed participants for the Fall Sports Festival. This will include a sandwich or uncrustable with chips, cookie and a drink. Gluten free options will be available. Tent outside of Field House Distribution Area 12:00pm - 2:30pm Squash Court & Olympic Village eating areas are available S O U V E N I R S Special Olympics Delaware and Fall Festival merchandise will be available for sale in Olympic Village during the following times: Olympic Village 8:00am 4:00pm ALL OF THE ABOVE WILL BE CLOSED DURING OPENING CEREMONY (11:00AM TO 12:00PM) A W A R D S Awards ceremonies will be held in the following areas: Football Stadium Bocce, Volleyball, Flag Football, Soccer, LDR Official Special Olympics Games medals will be awarded to first, second and third place finishers, while official ribbons shall be awarded to fourth through eighth place finishers. Athletes who do not successfully complete their event shall receive, by rule, a participant ribbon. Note: Inclement weather may change location of awards venue.

6 D I R E C T I O N S & P A R K I N G St. Andrew s School 350 Noxontown Rd. Middletown, DE NOTE: Certain models of GPS units and certain phone applications misplace St. Andrew's. The alternative address to find St. Andrew's is: 350 Noxontown Road, Townsend, DE From Philadelphia and the North: Take I-95 South into Delaware. If you are coming from New York City, you will enter Delaware going over the I-295 Delaware Memorial Bridge. Continue on I-95 South towards Baltimore. at 4-A (sign to Christiana Mall) and follow signs to Route 1 South. Stay on Route 1 going over the bridge with the yellow arches and continue through the tollbooth. Remain on Route 1 South until Route 299 (Middletown/Odessa ). Take a right onto Rte. 299 towards Middletown. At the fourth light, turn left onto Silver Lake Road. Proceed until it ends at Noxontown Road. Cross Noxontown Road and enter through the stone pillars. From the South: Take Route 1 North to exit 136 DE-299 toward Middletown. Take a left onto Rte. 299 towards Middletown. At the fourth light, turn left onto Silver Lake Road. Proceed until it ends at Noxontown Road. Cross Noxontown Road and enter through the stone pillars. PARKING Parking will be available on campus. When you arrive St. Andrew s School security will direct you where to park. There will also be a drop-off location for those with accessibility concerns. Depending on where you park a shuttle will also be available. Please allow additional time to park and get to your venue on time.

8 M E D I C A L I N F O The Fall Festival will provide medical services for all attending program members. The medical committee has designed several areas of care to ensure for the proper provision of medical services. MEDICAL PERSONNEL SCHEDULE Medical personnel will be onsite at all venues & Special Events throughout the games. All Medical personnel will be clearly identified. Medical personnel is available at the following locations to provide medical services. Any athlete needing medications administered throughout the day should report to the Main Medical Tent Saturday, November 10, :00am All locations MEDICATIONS ANY ATHLETES NEEDING FALL FESTIVAL MEDICAL PERSONNEL TO DISPENSE MEDICATIONS MUST CHECK IN THEIR MEDICATIONS AT THE MAIN MEDICAL AREA UPON ARRIVAL TO THE GAMES ***The medications must be in their original, labeled prescription bottle*** This is to ensure that the proper medication is with the athlete. Area Directors, Sport Directors and/or coaches will be responsible for holding medications until they are administered to athletes. Athletes without properly labeled medications will be sent home. Please check your athletes medications before traveling to the games. You will be responsible for arranging and/or providing transportation in the event one of your athletes is sent home. **Athletes needing medications administered should report to the appropriate location as indicated on the Medical Coverage Schedule above. It is the responsibility of the Area Director, Sport Director and/or Coach to ensure that athletes are taking their medications at the correct times** **Medical reserves the right to refuse to administer medication not properly labeled and in it s appropriate container**

9 CHANGING AREAS If a private area is needed for changing the an area in the Field House is available throughout the event. Please contact a member of the Games Management team. Programs will need to provide their own equipment for changing including mats or tables and any items needed for personal cleansing. Sanitary restrictions prohibit us from providing these items. Contact a games committee member for the exact location. MEDICAL RECORDS Athlete Medical/Release Forms will be kept onsite and will be accessible to medical personnel. Sport Directors and Coacaches must have in their possession at all times copies of the following documents for each athlete and partner competing at the Fall Festival: Athlete Medical form. This copy should be the exact one that is on file with Special Olympics Delaware. Unified Partner form. If you have Unified Partners at the event, this copy should be the exact one that is on file with Special Olympics Delaware. MEDICAL REPORTS Medical incident reports will be completed for each athlete treated. The report will be completed by Games Medical Personnel and will be completed for all incidents no matter how minor. ACCIDENT INSURANCE: As with any sporting event, the possibility of injury to an athlete is inherent. Special Olympics, Inc. provides insurance coverage for athletes, volunteers, and officials who are affiliated with that particular Special Olympics activity. This secondary insurance coverage will cover the remaining medical costs after an individual s primary insurance coverage ceases. If an individual does not have any primary insurance coverage, the Special Olympics Insurance Policy will cover all costs incurred as a direct result of the accident. If the athlete has other insurance coverage, complete a claim report, keep a copy for your records, and send a copy to SODE. Bills should be sent to the primary insurer first. Any amounts not covered should be documented, and then sent with the claim to American Specialty. If the athlete has no insurance, obtain a claim form from SODE. Complete the form and return 3 copies of all materials, bills included, to Special Olympics Delaware. *INSURANCE FORMS CAN BE OBTAINED THROUGH SODE*

10 R E S P O N S I B I L I T I E S Provide for the general welfare, safety, health, well-being, and conduct of each athlete in your charge. Make sure your athletes are properly attired Make sure your athletes are assembled at the proper time and place for events Provide the following services to the athletes in your charge: Supervision throughout the entire day Assistance in accounting for personal items Assistance in clean-up of facilities Assistance in taking full advantage of special events offered during the Games Making sure prescribed medications are taken at proper times and that medication needs are identified to the Medical center Dress and act in a professional manner at all times. Intoxicating or mind-altering substances such as alcohol and illegal drugs will not be permitted. Follow the established rules and guidelines of Special Olympics Delaware, Special Olympics, Inc. and/or any agency involved with Special Olympics Delaware. Coaches, chaperones, and parents must adhere to parking rules and regulations of St. Andrews School. Report any emergencies to the appropriate authorities after taking immediate action to ensure the health and safety of participants. Familiarize yourself with the medical history of any athlete for whom you are responsible. Not engage in any inappropriate contact or relationship with Special Olympics Delaware Athletes or Volunteers. S A F E T Y SECURITY The goal of security is to provide a safe environment for all constituents and allow them to enjoy the Fall Festival without concern for their personal safety or the safety of the program. PERSONNEL Security personnel may be posted at selected sites throughout the Fall Festival to provide a deterrent and intervention force for situations determined to be threats to any aspect of the Fall Festival. When attending all Fall Festival functions, please remember the following safety tips: Wear your credentials at all times and expect to show it at all security access points. Your credential identifies you as being part of the Special Olympics community and will provide you access to specified competition venues and non-competition sites. Athletes may not wear their credential during competition. Keep your belongings in a secure place. Do not leave personal items where they may be easily accessed. Always let someone know where you are going and when you expect to return. In case of an emergency, contact 911. Report all suspicious persons and incidents to the Games Management Team.

11 P R O H I B I T E D I T E M S For the comfort and safety of all participants and spectators at the 2018 Fall Festival The following items are not permitted in ANY VENUE during the games: Glass Bottles/Cans Alcoholic Beverages Open Containers Large bags (other than bags with needed medical, sport related or personal items) Umbrellas Weapons/Firearms Animals (other than service animals) Outside Sporting Equipment (not associated with the sport or team) When entering The Sipprelle Field House, the following ADDITIONAL items are not permitted: Noise Makers Backpacks Coolers/Ice Chests/Thermoses ANY Outside food or drink For the Sipprelle Field House, also be reminded that food and drink are not allowed in the Main Gym. NOTE: Medical needs bags and/or equipment will be permitted Additional restrictions may be applied by event personnel if it is felt there is a risk of safety to any participants or spectators. Patrons are kindly asked to leave the above items at home, and not in their vehicle, if possible. There will not be a place to check prohibited items. Special Olympics Delaware appreciates your cooperation in making this event safe and enjoyable for everyone.

12 EMERGENCY PLANS The following information has been created to provide communication and safety recommendations for all Special Olympics Delaware programs attending the Fall Festival. The keys to dealing with an emergency and minimizing its effects are: Stay calm Communicate well with the appropriate people Cooperate with the appropriate authorities This document identifies 4 of the most probable situations that may occur at an event. Please review the procedures and share them with members of your program so that we are all prepared in the unlikely event of an emergency. I n t h e E v e n t o f : AN INJURY/ ILLNESS TO AN INDIVIDUAL OF A PROGRAM: The steps below are to be followed by the program: 1) Recognize that an incident has occurred. 2) Attend to and assess the condition of the injured party. 3) All incidents should be reported IMMEDIATELY to the medical personnel on site. 4) Request first aid assistance (a) SODE Volunteer Medical Team will be at each venue and should be your first point of contact 5) In situations where there is no easy access to first aid personnel (a) If the situation warrants, call 911 (b) Contact a member of the Games Management Team 6) ONLY Trained personnel should administer medical aid, if needed. 7) SODE medical personnel will contact Management Team members, if needed. (a) Management Team members will follow crisis communication plan 8) Inform Parent/Guardian of injury/illness of the athlete, regardless of the extent of the situation. 9) An incident report should be completed and given to a member of the SODE medical team. 10) Refer all media inquiries to the SODE Director of Media Relations. A LOST DELEGATION MEMBER: The steps below are to be followed by the program: 1) Verify that the Delegation Member was originally part of your group. 2) Check with other coaches to see if other commitments were made for that delegation member to attend. 3) Inquire on the individual s whereabouts from all other available delegation and family members. 4) Review all locations that you think the individual might be. 5) If you re at a competition or activity site, notify the on-site event safety personnel or venue director. You must be able to provide the following information: a) Full name of individual & which program he/she belongs b) Full physical description c) Last location d) Behaviors that may help determine where individual went e) Contact information for parent/guardian if not onsite 6) SODE safety personnel or venue director will contact Games Management Team members. a) Games Management Team members will follow crisis communication plan 7) Refer all media inquiries to the SODE Director of Media Relations.

13 I n t h e E v e n t o f : SEVERE WEATHER SITUATION: The steps below are to be followed by the program: 1) SODE Games Management Personnel will make an announcement that severe weather is moving into the area. 2) Upon hearing the announcement all delegation members, event personnel and spectators will need to seek shelter. a) The following areas are adequate shelter during a lightning storm: i) Inside Sipprelle Field House ii) Inside cars with windows rolled up (all-metal vehicle, not a convertible) b) Do not seek shelter underneath the bleachers or under trees or around light poles. c) The following areas are adequate shelter during a tornado: i) Inside Sipprelle Field House 3) It is the responsibility of the Program Director to account for every person in their delegation if this situation were to occur. Please be sure you know where each athlete has moved to as well as a way to contact them once a decision on the continuation of the event is made. 4) Refer all media inquiries to the SODE Director of Media Relations. EVACUATION OF A VENUE: The steps below are to be followed by the program: In the event an alarm goes off in a building or there is an announcement by SODE Games Management Personnel that a building needs to be evacuated, the following procedures should be followed: 1) Stay Calm 2) Move immediately in a calm but organized manner to the nearest exit. a) It is important that you review all of the evacuation plans in the document named Map and ensure all members of your delegation that are attending the Fall Festival are aware of these procedures. 3) Upon exit of the venue proceed to the gathering area as directed by games personnel. a) All meeting points must be 200 feet from the building/venue being evacuated. 4) Make sure that all members of your delegation are accounted for. a) If a member is missing that was in the venue contact a member of the Games Management Team or emergency personnel immediately.
