Please mark your diary and turn up on 23 September! Your co-operation during the day will be much appreciated! Entering the Sports Ground 1. All participants should arrive at the Sports Ground and take their seats NO LATER THAN 2:35p.m. on the event day (registration will start at 1:45pm) as briefing on the formation will start soon and the participants will then move onto the pitch area to prepare for the formation. (Please refer to the programme schedule for details.) 2. All participants are required to register by going through electronic registration counters when they enter the Sports Ground. The numbers collected at these counters will be used as proofs for our claim for world record. 3. After entering the Sports Ground, please do not leave the venue before the formation of flags, unless it is absolutely necessary. Seating arrangement 4. In view of the large number of participants, seating arrangement for participants will basically follow the sequence of the arrival of coaches on the day. If you are taking shuttle buses / coaches arranged by the Organizer to reach the Sports Ground, you will be given a colour sticker (in yellow, green or blue) when you get on the bus / coach. Basically the colour sticker you get will correspond to the colour of the seat you are going to take unless you have been informed separately of other seating arrangement. (Please refer to the layout plan for seating zones in three different colours.) There may be changes in seating arrangement on site depending on the actual situation. 1/9

2 5. If you will make your own transport arrangement to the venue, you will also be guided by ushers to your seats. 6. It is important that all participants follow the direction of the working staff to ensure every seat is filled at the Sports Ground. Any non-compliance with the instructions may lead to failure of the event. 7. If you would like to sit with your friends and colleagues, please arrive at the venue in a group. 8. Participant with designated seat will be informed separately regarding the arrangement. 9. Red cap, a bottle of water and raincoat will be placed on the seats at spectator stands. Availability of these souvenirs is on a first-come-first-served basis. You are also advised to bring some more water in case of hot weather. 10. Please do not leave the seats unless absolutely necessary. Working staff may consider those as empty seats and allocate them to other participants. All participants should return to their seats by 2:40pm for briefing and then later move onto the pitch area to prepare for the formation of flags. 11. As the number of participants turn up may exceed the number of seats available at the spectator stands, you may be required to sit at the track area and your forbearance is deeply appreciated. Dress code/ Others 12. Casual attire is preferred on the day and it is desirable for you to wear sports shoes as all participants are required to enter the pitch area. 13. Participants should take care of their own belongings during the formation of flags. Therefore you are advised not to take bulky bag with you. 14. Participants should have lunch before the activity to ensure that their health and physical conditions are suitable for the activity. How to form the Flags of Harmony and Unity 15. After arrival at the Sports Ground and the performances: a. You must listen carefully to the briefing on the formation procedures by MC/technical advisor; b. Participants will be guided by leaders of each section to fill up the pitch area row by row. Please follow the instruction of the leaders; c. When you enter the designated row, you will receive a double-sided coloured board which will be used for the formation; 2/9

3 d. Each coloured board will be numbered, and participants should follow the instructions of the working staff, take up the marked position on the grass pitch with the corresponding number; e. Everything ready The MC/technical advisor will invite all participants to hold up the boards together to form the whole image, first, the PRC flag, then, turn the board to the other side and form the HKSAR flag. 16. Participants must act responsibly throughout the event to ensure your own safety and to avoid endangering the safety of others. Please be co-operative and follow the instructions of the duty personnel. Special arrangement with families with kids 17. Families with participants below 140cm will be assigned to be the last group to enter the pitch area for the flag formation. Performances / Guest of Honour 18. Don t miss the entertainment programmes on the event day before and after the formation! The organizer has arranged performances by the following artist and parties: - Kary ( 吳雨霏 ) - Theresa ( 傅穎 ) - Kenny Kwan ( 關智斌 ) - Don ( 李逸朗 ) - Vangie ( 鄧穎芝 ) - Elaine ( 江若琳 ) - Percy ( 范萱蔚 ) - MC: 李麗蕊 and 林柏希 There are also performances by PolyU Student Taekwondo Club, and alumni PHD Group ( 殘酷一叮台主爆炸猛男 ), Samuel Hui( 許兆銘 )and Felix Chan ( 陳振途 ), winners in RTHK and student hostel singing contests. 19. The Honourable Michael Suen Ming-yeung, GBS, JP, Secretary for Education of HKSAR Government, will officiate at the event. Transport arrangement 20. The organizer will arrange coaches / buses to take participants from 7 areas to the Sports Ground according to participants choice. If you have chosen to take coaches / buses, you have already been informed via of the pick up point and the designated time for getting on coaches / buses. Please be punctual as you may need to take other transport on your own to reach the Sports Ground after the last coach / bus departs. 3/9

4 21. After the formation, the scouts who have arrived earlier and participated in our event will depart first by coaches and it will take some time for their coaches to leave the area. In order not to cause any traffic jam in the area, as requested by the Police, the Organizer will only provide transport services for the participants after the event ends. You are strongly encouraged to stay to enjoy the performances prepared for you by the Organizer. After the performances have finished by 5:30pm, the Organizer will arrange coaches / buses for the participants to the following destinations: - Heng Fa Chuen MTR Station - Admiralty MTR Station - Campus of The Hong Kong Polytechnic University Certificates 22. Participants can collect their certificates at the registration counters at Gate 1, 7 and 11 when they depart from the Sports Ground. Contingency plan and no refund arrangement 23. If typhoon no. 8 signal is hoisted or black rainstorm signal is on before start of event and is still in force at 1000 on 23 September 2007 or during course of event, the event will be cancelled. The organizer will make the decision to continue or call off the event in cases of other adverse weather conditions and /or other unforeseen situations. Participants please pay attention to radio or TV broadcasting on the event. The Organizer will also inform participants of the decision by SMS via mobile phone. 24. Refund will not be made in any cases to all donors and sponsors and the donations will be contributed to support university education and charity. Donation 25. If you have pledged to make donations, please return the donation form with payment as soon as possible to Ms Sharon Yau of Communications and Public Affairs Office, M1604, 16/F., Li Ka Shing Tower, PolyU campus (fax: ) Please convey the messages of this reminder to your families and friends who will also join us in the Flags of Harmony and Unity. 5 香港理工大學 和諧團結創旗蹟 參加者備忘 日期:二零零七年九月二十三日 ( 星期日 ) 時間:下午一時四十五分至五時三十分地點:小西灣運動場 進場安排 1. 由於大會須向參加者講解砌旗的詳情及指引參加者進入草地砌旗, 為免有所延誤, 參加者必須於當日下午二時三十五分前到達會場並入座 ( 登記處於下午一時四十五分開始開放, 請參閱活動程序 ) 2. 每位參加者入場後必須行經一個電子儀器, 以計算出席人數 3. 參加者入場後, 在砌旗行動完成前請盡量不要離開活動場地 入座安排 謝謝你報名參加 和諧團結創旗蹟 活動 請你當日準時出席, 並遵照工作人員指示入座, 讓我們一起共創 旗 蹟! 4. 由於參加者眾多, 大會原則上按參加者乘搭大會安排的車輛抵達會場的先後次序安排參加者入座 如你選擇乘搭大會提供的車輛到場, 在你登車的時候, 大會工作人員將會向你派發黃 綠或藍色的貼紙, 請你把貼紙貼在衣服上 除非大會已另行通知你其他入座安排, 否則會場中的工作人員將按貼紙顏色安排你坐在相應顏色的坐位上 ( 請參考會場平面圖中顯示不同顏色坐椅的位置 ) 但實際入座安排須視乎現場情況而定 5. 如你自行前往會場, 請你遵照工作人員指示入座 6. 大會工作人員會盡量安排參加者坐滿觀眾席, 不留空位, 敬請各位合作 7. 如你希望在活動當日與友人同坐, 請先自行集合並一同進場, 工作人員才能協助安排在相近位置入座 5/9

6 8. 如參加者被安排坐進指定觀眾席, 大會將以電郵個別通知參加者 9. 大會將預先把帽 水及雨衣放在觀眾席坐位上, 先到先得 由於天氣可能酷熱, 大會鼓勵參加者自備飲料以備不時之需 10. 參加者入座後, 如非必要, 請勿離開座位, 以避免工作人員把空位安排予其他參加者 如必須離開, 請在下午二時四十分前返回坐位, 聆聽大會講解砌旗的細節 11. 由於參加者人數可能超過觀眾席的坐位數目, 參加者有可能被安排坐在運動場跑道上, 敬請見諒 參加者衣著 / 其他 12. 由於參加者須進入草地砌旗, 請你盡量穿上便服及運動鞋 13. 參加者進入草地時亦必須自行保管財物, 因此大會勸籲參加者只攜帶輕便物品 14. 參加者進行活動前宜適量進食, 並確保其健康狀況適合參加是項活動 如何創 旗 蹟 15. 參加者到場欣賞表演節目後: a. 將先在場內聽從工作人員講解砌國旗及區旗步驟; b. 請依工作人員指引步往草地; c. 每人在列隊進入草地時將獲發一張雙面顏色卡, 每張顏色卡上均 有特定號碼; d. 依照指示站在草地上指定位置上 ( 位置號碼與顏色卡相同 ); e. 準備就緒, 大會將首先請所有參加者一同舉起顏色卡的一面, 共 同砌出中國國旗圖案, 然後再請所有參加者一同舉起顏色卡的另 一面, 共同砌出香港區旗圖案; 16. 參加者必須顧及自己及他人安全, 並依循大會工作人員所有指示 為有幼小參加者的家庭作出的特別安排 17. 若參加者攜同年幼的家庭成員參加活動, 為安全起見, 大會會特別安排參與家庭先安坐觀眾席上, 在最後階段始移步至草地參與砌旗行動 6/9
