Digital Capture of Field Data OR The Magic Pen Put to the Test Bruce Schmidt Pacific States Marine Fisheries Commission Delivered at: Organization of Fish and Wildlife Information Managers 2010Annual Meeting Cadiz, KY
Value of Electronic Data Capture Immediate Enter only once Fewer steps Saves time Improved accuracy No need for data entry staff
Obstacles, Concerns Harsh environments Fear data loss No backup Glare Complexity Need for custom programming It s different! Bios like forms and spreadsheets
One Solution: The Digital Pen Inserts directly into spreadsheet Assigns to the appropriate cell Interprets as: Number Text Date Image Alpha-numeric code Maintains an image of input for QA
How It Works Software creates form Each cell watermarked Each cell is formatted Can have a hidden list Instant download when charge pen
2010 Field Tests of the Digital Pen Nez Perce Tribal Catch Estimator Montana Fish, Wildlife and Parks PSMFC
Results: Accuracy Durability Cost

C R I T F C Columbia River Inter-Tribal Fish Commission Digital Pen Error Assessment (only tested in Excel at this point) Unintentionally marking in cells Zeros v. sixes Ones v. sevens Found 1 2 errors per page
C R I T F C Columbia River Inter-Tribal Fish Commission Average of 1-2 errors per form Worksheet Error from unintentionally marking in cell. Value was a -2 and was supposed to be 2.
C R I T F C Columbia River Inter-Tribal Fish Commission Errors Encountered Performing QA/QC Increased with the number of worksheets that were being QA/QC d. Increased inversely with quality of data collected in the field.
C R I T F C Columbia River Inter-Tribal Fish Commission Conclusions Most of the errors were caught in the QA/QC process. Digital pen eliminated errors from manually entering data into Excel worksheets. (More testing is needed on this.)
C R I T F C Columbia River Inter-Tribal Fish Commission Results Improved data consistency Greater accuracy of estimates Method refinement Lessons Learned Training of field staff is essential Creation of valid values helped Room for improvement i.e. next year use pen in the field
Results: Accuracy Durability Cost
Durability No failures Cold weather - OK One dropped in water OK Clear nail polish sealed seams Good battery life One ballpoint cartridge leaked
Results: Accuracy Durability Cost
Cost Single copy of software Pen and software $1,400 Add l pen $600 replace1/2 Additional pattern 3cnt per SharePoint Server ed. $5,000 set up Pens ~$350 ea. NO charge for + pattern! Conclusion: Server ed. best if more than 5 pens, and, more flexible to use, more features
Basic Software v. SharePoint Website Individual copies Cheaper But, charge for + pattern Extra pens $600 One computer only Internet independent One office only Bluetooth to Blackberry SharePoint Server edition More expensive (X5) No cost for + pattern Extra pens $350 Any/all computers Must have Internet Multiple offices, agency wide! Bluetooth to Blackberry
Other ways to save $ Batch print (offset press) for large PSMFC project with sampling at many ports up and down the west coast. This won t work! The background pattern must be unique for each sheet, even if the offset press could accurately reprint the pattern.
Digital Pen v. Scanner to Spreadsheet Digital Pen Immediate data capture Pen sees through grime Cost Upfront software & pens Must care for equipment ~6,000 free, then 3 cents NO page cost Server ed. Scanning Service Bring back to office Blood, grime block scan Cost No upfront costs No upkeep Per page fee 6 cents Always pay page cost More info: More info: or, ftware
Conclusions Simple to use Durable Acceptable accuracy Cost was manageable Digital pen was a success!
