Encourage your team and coworkers to follow CCC on Twitter, Facebook and other social media platforms so that they can stay informed about the latest CCC happenings! This year, we plan to use social media not just for fun updates and photos; we want to capitalize on the immediacy of these various platforms to get important information out to you and your participants. Twitter Instagram - calgary_corporate_challenge Facebook - CalgaryCorporateChallenge CCC Website Online Database The online database is the link between your company and the Games Office. This is where you will enter and update all of the contact information for your Company Coordinators, and it s where your company will register for all of the individualevents for the 2016 CCC September Games. On the CCC website, go to Admin Login and enter your user name and password. (If you do not know your login information, please contact the Games Office.) Only the Games Office can make changes to your password. Please contact the Games Office if this needs to be changed. It is the responsibility of the Company Coordinator to make all of the necessary contact information changes to your company s section in the online database. Please do not or phone the Games Office and ask them to update your contact information just make the necessary updates on your account when changes occur. The Team Captains section of your Team Admin page is for your internal use only. We have provided it as a spot for you to keep track of your team captains info, but the Games Staff will communicate only with your Company Coordinators. Event Sign-Up Company Coordinators must log into their Team Admin Area on the CCC wbeiste to indicate which events their company will participate in. After event registration opens on May 19, simply click yes or no beside each event to let us know whether your company would like to participate. Remember: you will lose points if you can t field a team for an event you ve signed up for. Final schedules (showing exact dates, times and locations for each division) will be made available the first week of August. All events take place in the evening and on weekends, with the exception of the Torch Relay and the Opening Ceremonies. Frequently Asked Questions Why don t we know which day our division will play? There are over 150 companies that need to be accommodated in the CCC September Games, and each year the Games Staff strives to make the best schedule possible. There are restrictions such as venue availability and daylight that dictate certain aspects of the schedule. Also, the Games Office does not know exactly how many teams to schedule until Event Sign-Up closes. At this time, the Games Staff begins putting together detailed schedules for each event and division, which are fair and keep all companies in mind. When will we know the final schedule? Schedules will be posted on the CCC website during the first week of August. When will we know our Company Volunteer Assignment? Company Volunteer assignments will be ed to Company Coordinators in early August from Pat Kiss, Company Volunteer Chairperson CCC September Games Company Coordinator Workbook 7

8 What s New for 2016 We have made some changes to the CEO Challenge. This year, instead of having CEOs collect a card at each event they attend, we will give each CEO Team Member a bingo card that we ll stamp at each event. Family Day is moving to a new location! Family Day will take place at the Calgary Stampede Grounds on Saturday, September 10. The Charity Challenge is returning as a medalled event for We have updated our Player Requirement Chart to include a maximum and minimum number of players per match for each event. You can check out the new chart on pages of this workbook and on any event page on our website. Our Mountain Bike and Urban Orienteering events are stepping aside to make room for two great new Sports Events: Poker at Elbow River Casino and Spin at Peloton Cycling. Mini Golf will be moving to Shakers Fun Centre, and participants will play all 18 holes of the course. Due to scheduled construction at Shouldice Park, Bocce will be moving to the outdoor fields at the Calgary Soccer Centre. CCC Idol participants will earn two participation points this year. CCC Idol preliminary nights have moved to the King s Head Pub. We have added an Axe-Throwing Tournament to our Off-Season Events. It will take place the evening of July 21 at BATL Calgary. Our medals have an exciting new design this year. Keep an eye on CCC s social media accounts for some sneak previews of the new design in the coming months. 12 Your Role as a Company Coordinator Company Coordinators and their Organizing Committees play a crucial role in the success of the CCC September Games, and we would like to thank you in advance for all of the time, hard work and commitment you will put in. The Games Office will keep in contact with you via in the months leading up to the Games. If you find yourself struggling or in need of additional help, please feel free to contact the Games Office. You will be the primary organizer and liaison between your company s participants and Calgary Corporate Challenge. As such, you will be the chair of an Organizing Committee within your company. Your role will include: Recruiting a committee of fellow employees to help organize your teams. Depending on the events that you will participate in, your committee may include the following: oo Secondary Company Coordinator oo Volunteer Coordinator oo Blood Donor Challenge Coordinator oo Big Bike Challenge Coordinator oo Team Spirit Coordinator oo Team Captain for each Sports Event Receiving updates from the Games Office and acting as the primary communication link between your participants/team captains and CCC. Checking the CCC website for new information and updates on a regular basis in the weeks leading up to the Games, and directing your participants/team captains to do the same. Communicating with your company s managers to ensure they are aware of your involvement in CCC and of the benefits to your company. Completing event sign-up through the CCC online database and adding Team Captain contact info. Ensuring that everyone is aware of CCC s ID requirements (NO ID = NO PLAY). Communicating regularly with your Organizing Committee and participants. Ensuring that your company fulfills its Volunteer Requirements. Host your next event in one wild setting. 13 Who is Eligible to Play? Sports Event Sign-Up Full-time and part-time employees Contractors may play with a company as long as they are considered part of the company. If contractors work for two or more companies in the CCC September Games, they will only be allowed to participate with one and this must be at the consent of the company they are participating with. Retired employees Summer students who remain employed with the company during the CCC September Games Employees on maternity or parental leave Who is NOT Eligible? Non-employees; this includes (but is not limited to) spouses, friends and family members. BUT there are Charity and Special Events that friends and family can take part in! Event Sign-Up Dates Event sign-up will be open from May 19 to June 17. Company Coordinators must log into their Team Admin Area on the CCC website to indicate which events their company will participate in during this time. 14 CCC Organizing Committee Checklist This checklist is not a requirement, but it will give you and your team a quick overview of the next few months. Form an Organizing Committee (including Team Captains) and assign roles and responsibilities. Update the online database every time contact information changes. Get the word out to your company. Sign up for Charity Events early as they take place prior to the CCC September Games. Register for events by the deadline. Coordinate practices, clinics or tryouts. Please remember, if you are ever confused or need a little extra guidance, the Games Office is only a phone call or away! Select your final teams and develop rosters. Order team t-shirts. Ensure everyone is familiar with the ID rules. Ask HR to develop a company ID letter. Submit CEO names by the deadline. Keep your company informed of upcoming events. Ensure your volunteers are in place and informed of their assignments. 16 Team Captains It is important to delegate responsibility and have one person in charge of your team for each event. The Team Captain s role is to oversee the members of his/her team and to make sure players are aware of all the details pertaining to their specific event. Have the Company Coordinator enter your contact information in the online database (or wherever the information is being kept). Work with the Company Coordinator to recruit a team (and alternates) for your event. This could mean circulating signup sheets and asking people if they would like to play in your captained event(s). Determine your team based on the selection process established by your Organizing Committee and have a team meeting. Read and understand the minimum and maximum number of players, co-ed requirements and rules for your event. These will be listed on the sports event page on the CCC website and in the rules for each event. Read and understand the rules for your event and make sure everyone on your team is aware of CCC-specific rules. Book venues for practices, playoffs or tryouts. (Check the CCC website for details.) Receive event update s from your Company Coordinator and pass along the information to everyone on your team. the CCC Games Office if you have questions. Go to the CCC Facebook page and use other forms of social media to arrange games and practices with other Company Coordinators and Team Captains. Check the CCC website for detailed schedules in the first week of August. Keep all team members informed of schedules, locations, rules, etc. Ensure that everyone on your team is aware of the NO ID = NO PLAY policy and brings proper forms of ID (personal and company) to every day of all events. Review on-site registration and game day procedures. Make sure you know the location of your venue and the types of facilities on-site. Encourage team members to bring a water bottle and a snack if you are playing right after work. Ensure your teammates are on time and ready to play. Gametime is forfeit time; teams that No- Show will lose 10 points. Get a Team Waiver Form from the Registration Desk at each event or print one off in advance (must be double-sided on one piece of paper). Have all team members sign the Team Waiver Form and sign the Waiver as a witness for the rest of the team. Check to see if your team has advanced to the finals and keep your team informed. It is your responsibility to know if your team has advanced. CCC will not contact playoff teams. Submit extra medal request if needed. Pick up extra medals from CCC Office. When you register for an event, please record the Team Captain s name and contact information for your own records. Information will be sent to the main Company Coordinator, who will then forward information to the Team Captains CCC September Games Company Coordinator Workbook

17 Identification NO ID = NO PLAY, NO EXCEPTIONS Participation in Calgary Corporate Challenge is for company employees only. In order to ensure fairness, participants will be asked to produce the following: 1. Photo ID proving they are who they claim to be AND 2. Company ID proving they work for the company in question ID will be checked at every event, every day. Post the ID requirements at all tryouts, playoffs and team meetings. You can t have too many reminders! You and your Team Captains must remind everyone of the ID requirements. Letters from your Human Resources Department are a great form of company ID. oo Ensure every participant (or every Team Captain) has a copy of the letter. oo The Games Office/Registration Desk will not retain these letters. oo Please do not fax letter to the Games Office. Please Note: The letter submitted to the Games Office at the time of Registration confirming your employee count DOES NOT constitute an HR letter eligible for use during the Games. Sample Human Resources Department Letter Company Letterhead Date Your letter MUST be signed by Human Resources. (We require an actual signature.) To Whom It May Concern: The following people are employees of Company X and meet the eligibility requirements to participate in the Calgary Corporate Challenge for Company X: Insert names of all participants (alphabetically) here. Signed, Jonathan Radomski Please Note: An HR letter with all employees listed alphabetically is the preferred form of Company ID. Have Team Captains highlight their team members before approaching the registration desk at an event. Acceptable forms of ID: 1. An employee photo ID (security) card with company name on it; OR 2. Driver s license or other photo ID (Passport, Costco Card, etc.) plus one of the following: oo HR letter oo Company benefits card oo Company pay stub or photocopy (cross out the pay amount) oo Official company business card oo Corporate credit card with participating employee s name and company name on it Unacceptable forms of ID: 1. Letters from Human Resources with a fill in the blank for the employee name 2. Social Insurance Cards, personal credit cards or other non-photo ID cards 3. 18 Scoring All teams will receive two points for each Sports Event they register for, including the following Special Events: BDO Canada LLP CEO Challenge, ATCO Gas Torch Relay, Canadian Blood Services Blood Donor Challenge, Heart & Stroke Foundation Big Bike Challenge, KidSport TM Calgary Adopt-An-Athlete Challenge, CCC Idol and Elite Sportswear and Awards Game Board and T-Shirt Challenge. Points are awarded when you register your company for an event in the online database. Teams that DEFAULT from any of their scheduled events will lose 5 points and teams that NO SHOW will lose 10 points. Teams who sign up for the Blood Donor Challenge, Big Bike Challenge and/or KidSport TM Adopt-An-Athlete Challenge but do not participate will lose their two participation points. Teams who sign up for the CEO Challenge but do not pick up their passport will lose their participation points. Teams who sign up for the Scavenger Hunt but do not bring any items to the drop-off will lose their participation points. Teams who sign up for the Game Board but do not pick up their Game Board and stickers during the Games will be treated as a NO SHOW and will lose 10 points. Teams who do not show up to a volunteer assignment or do not have the proper number of volunteers will lose 20 points. Team points will be awarded for placing in events as follows: Pool Play Events* Non-Pool Play Events** 1st Place 10 points 1st Place 10 points 2nd Place 8 points 2nd Place 8 points 3rd Place 6 points 3rd Place 6 points 4th Place 5 points 4th Place 5 points 5th Place 1 point* 5th Place 3 points 6th Place 1 point * In pool play format, four teams will end up tied for 5th place in the standings after the single elimination finals. In this case, one point is awarded to each of the four teams. ** Sliding scales are used to score the CEO Challenge, Game Board and Scavenger Hunt events. (See the rules for details.) The company with the most team points in their division wins the overall divisional championship. 2nd and 3rd place divisional trophies are also awarded. Ties in the divisional standings (i.e. where teams are tied for the most points overall), will be broken as follows: The team with the most 1st place finishes, the team with the most 2nd place finishes and so on. Results Results are collected each night and updated on the CCC website the following day. The results are input manually in the Games Office every morning and should be available by noon. Results from weekend play will be posted by Monday at noon. Awards and Medals Individual medals are awarded to members of the first, second, and third place team in each Sports Event (except Scavenger Hunt) in each division, based on the recommended number of team members for each event. In most cases, medal presentations occur immediately after the event s finals. Medals will be awarded to teams who receive a perfect score in the CEO Challenge. 19 Event Cancellation In the event that a game is cancelled prior to start time, all teams will retain their two registration points and no teams will advance or receive any additional points. If the event has started and is cancelled before divisional winners are determined, all advancing or top six teams will not be pointed to ensure fairness for all companies. All teams will retain their two registration points and no teams will advance or receive additional points. CEO Challenge points will not be awarded at any events that are cancelled to ensure that all teams are treated fairly. If an entire division was able to complete the event prior to or following the cancellation, CEO points will be awarded. If a CEO has shown up to fill the company s volunteer assignment, they will still receive their 10 Bonus Points. If a CEO was scheduled to fill the company s volunteer assignment and the event is cancelled in advance, they must contact Jonathan Radomski at (403) who will verify the company s volunteer assignment and CEO team member. CCC Event Cancellation Policy All CCC events will take place RAIN or SHINE, within reason. In the event of severe weather where safety is an issue, Games Staff will have the final decision regarding event delays or cancellations. Events cannot be rescheduled due to a number of factors. Several measures have been taken to reduce the likelihood of event cancellations, but if Games Staff are forced to make that call, events will be cancelled. To find out if your scheduled event is delayed or cancelled, check the event page on the CCC website. Games Staff will also send out information via Twitter (@Corp_Challenge) and . 20 Game Day Procedures Confirm participation with your athletes the day before each event. Remind them to bring ID. Company check-in and registration start 30 minutes prior to game time (one hour prior to game time for events where all divisions participate: 10K Run, etc). The Captain must have the Team Waiver Form signed by all team members.the Team Captain or a designate must sign the waiver as a witness for the rest of the team. Ask participants to have their ID ready when they approach the registration table in order to save time. NO ID = NO PLAY, NO EXCEPTIONS The people at the registration tables are volunteers from other companies. If there are problems, please talk to a CCC Primary Volunteer or Games Staff member. Team Waiver Form A separate Team Waiver Form must be submitted for each event, each time your team comes to play. If events are held over more than one day, a new Team Waiver Form is required for each day of play. This allows for greater participation and roster flexibility for all teams. The registration table does not keep waivers from previous games. Team Waiver Forms will be provided at each event. Team Waiver Forms are available on the CCC website and will be ed to all Company Coordinators. 21 Default/No Show/Disqualification Rules 1. Teams are responsible for knowing their schedule(s). 2. Teams are responsible for knowing minimum event player requirements. 3. Teams must meet the minimum requirements at the start of each game. Should a team start a game meeting the minimum requirements and during the game fall below those requirements for any reason (including injury), the team will will be allowed to finish the current game. The team will then be required to meet the minimum requirements at the start of each subsequent game. 4. Teams unable to provide documentation proving identity and employment with an organization will be deemed a NO SHOW and will lose 10 points for the event in question. 5. Teams who fail to meet minimum gender requirements (but meet all other team requirements) will be scored as a DEFAULT and will lose 5 points for the event in question. 6. Teams who DEFAULT must still participate in all remaining scheduled games. Failure to do so will result in the penalty moving from DEFAULT to NO SHOW. 7. Should a team that has NO SHOWED for its first game show up for its second or third scheduled game, that team will still be considered a NO SHOW. 8. Following a NO SHOW, teams do not have to show up for future games against the NO SHOWED team. 9. In the case of DISQUALIFICATION the team being disqualified will be removed from the remainder of sport-specific competition. DISQUALIFICATION from an event will result in a 10-point penalty toward a team s overall score. Teams that are disqualified are unable to advance past the preliminary/round robin in that particular event. Should the disqualification occur in the team s 2nd or 3rd game, all previous results will be scored as a NO SHOW. Reasons for disqualification may include any of the following: oo Cheating oo Abusive language (toward an official, oo opponent, teammate, volunteer, etc.) Physical violence (toward an official, opponent, teammate, volunteer, etc.) Calgary Corporate Challenge Principles of Fair Play Respect the rules. Respect the officials and volunteers and their decisions. Respect your opponents. Respect your company and represent it well. Maintain your self control at ALL times. Unsportsmanlike Conduct CCC promotes the Spirit of the Games in all aspects of our sports, and we will not hesitate to remove a participant/ company not following the Principles of Fair Play. CCC reserves the right to disqualify, suspend, remove and/or otherwise sanction any manager, coach, player, spectator, team and/or company that conducts themselves in any manner contrary to the Principles of Fair Play before, during or after an event. Because your team is also representing your workplace, all incidents will be reported to the Company Coordinator and Senior Management. Please Note: CCC Games Staff members reserve the right to remove any team or individual from an event for unsportsmanlike behaviour which could include disrespect toward your opponents, officials, volunteers, venue staff, spectators, facilities and Games Staff. Consequences are at the discretion of Games Staff and could include a ban from specific events or the entire CCC September Games. Protests All protests regarding rules, eligibility and unsportsmanlike conduct must be brought to the attention of the Event Coordinator immediately. The Event Coordinator will address the situation immediately and decide on a course of action. If the rule in question does not appear in this handbook or in the event rules, the decision of the Event Coordinator is final. Formal complaints may also be lodged with the Games Office (by phone or ) within 24 hours of the event in question. Games Staff members are extremely busy during the CCC September Games but will endeavour to respond to complaints as quickly as possible, particularly in instances where the resolution will directly affect upcoming games CCC September Games Company Coordinator Workbook 21

22 Company Volunteer Requirements To be a part of the Games, each company must provide a certain number of volunteers based on its division. Volunteer assignments are generated by the Games Office and sent to all companies, letting everyone know when and where they must provide volunteers. Over 1,000 Company Volunteers help in areas such as registration, results, race marshals, etc., and their help ensures the success of the Games. Please visit the Company Volunteer section of the Calgary Corporate Challenge website for complete details on the Company Volunteer program and volunteer job descriptions. *The Games Office does not accept requests for volunteer assignments. The maximum number of volunteers that your company must provide is based on your division placement: Blue Division Green Division White Division Red Division Orange Division Purple Division 4 Volunteers 6 Volunteers 10 Volunteers 12 Volunteers 16 Volunteers 6 Volunteers Please Note: This is the maximum number of volunteers that your company may have to provide. Please make sure that your volunteers are in place for their assigned duties. 26 Charity Events and Special Events Calgary Corporate Challenge is designed for co-workers to come together and work as a team. Friends and family would often like to take part, and we encourage them to participate in our Charity and Special Events. Friends and Family Can. Volunteer on behalf of your company (must be at least 18 years old). Donate blood and earn you points in the Canadian Blood Services Blood Donor Challenge. Collect pledges and donate to the Heart & Stroke Foundation Big Bike Challenge. Raise money to help children in the KidSport TM Adopt-An-Athlete Challenge. Collect items for the Scavenger Hunt. Attend the Opening Ceremonies, Family Day, CCC Idol and Closing Ceremonies. Purchase Games Raffle Tickets (must be at least 18 years old). Minors will not be allowed in any licensed venue. The 6 companies in each division who donate the most blood will receive points toward their overall divisional standings. 28 BDO Canada LLP CEO Challenge The BDO Canada LLP CEO Challenge is a great way for senior management to support the team. Involvement from the CEO and senior managers can help break down organizational barriers while contributing to morale. How Does it Work? Up to four members of your company s top senior management will form a CEO team. These team members will go to the various events that your company is registered in and help support your team by cheering on the participants or playing the event themselves. Each CEO team will have a CEO passport with spots for Support and Bonus stamps. When a member of your CEO team goes to an event, they will check in at the registration desk and collect their stamp for two CEO points. CEO team members must stay at their company s event for a minimum of 30 minutes* to get their two CEO points. *The 30-minute rule does not apply to the following events: 10K Run, Laser Tag, Scavenger Hunt and Spin. Please Note: CEO Support stamps will be awarded to only one CEO Challenge team member from your company per event. On the final day of the CCC September Games, CEO team members will hand in their passports to be scored. Depending on how many CEO points they received, companies will receive event points toward their overall score. Who Makes Up the CEO Team? We recommend that Company Coordinators either assign someone as the administrator of this team (or take on the role themselves) to ensure proper scheduling and accountability for the identification and passport. Each participating company may develop a CEO Challenge Team consisting of a maximum of four individuals. These individuals must hold one of the top ten senior-most management positions within the company s Calgary office. 30 Charity Challenge This voluntary challenge in the Games highlights and encourages benchmark donations for six local charities: Canadian Blood Services, Calgary Food Bank, Calgary Reads, KidSport Calgary, The Heart and Stroke Foundation and the Mustard Seed. Please Note: Some of the charity-specific benchmarks may already be incorporated into events within the CCC September Games (i.e. Big Bike Challenge and Blood Donor Challenge). Should this be the case, the benchmark achieved will also be used in calculating results/earning points in the corresponding category of the Charity Challenge. Key Points to Remember This challenge is completely VOLUNTARY! Your company will not lose points for choosing not to participate. There are no participation points associated with the Charity Challenge. The Charity Challenge is scored based on overall points earned across six Charity Categories. Participation in each category is optional. (You can participate in as few or as many as you like.) The Charity Challenge will be scored like a Sports Event, where the Top 6 companies in each division are awarded points in the Overall Results Standings. A total of 20 bonus/charity points can be achieved within the Charity Challenge. 32 Elite Sportswear Spirit Awards Spirit and sportsmanship are a big part of the CCC September Games, and participating companies work hard to earn the Elite Sportswear Spirit Awards. Spirit Volunteers Our Spirit Volunteers focus on promoting and rewarding outstanding acts of Spirit in addition to providing input for the Spirit Awards. You will see them circulating at various events throughout the CCC September Games, taking notes and handing out spirit pins. They will be looking for one team in each division that displays the best attitude and company spirit, brings out the most spectators, cheers on their team and other teams, shows respect for other participants and most of all has fun at the events! And the Spirit Winner is All of these factors combined will determine the divisional Spirit Winners for the 2016 Calgary Corporate Challenge Games. 33 CCC Volunteer Program Volunteers are an integral part of Calgary Corporate Challenge, and we are lucky to have over 100 Primary Volunteers who put in countless hours before and during the CCC September Games. Primary Volunteers work with Games Staff year-round to plan, prepare and deliver a successful event. These volunteers form several committees: Company Support, Event Coordinators, Spirit, Logistics, Photographers and Special Events. Over the years, our Primary Volunteers have helped shape the CCC September Games into what they are today. In fact, most Primary Volunteers have been with our organization for over 5 years; some have even been involved since our inception in 1996! On average, each volunteer puts in 10 hours leading up to the CCC September Games and 25 to 50 hours in September. In addition to our Primary Volunteers, participating companies provide 1,200 company volunteers to help with tasks that include on-site registration, results, course marshalling, set-up and tear-down.
