Introduction Welcome to St. John s CYO Basketball for the season. Thank you for dedicating your time and abilities for the benefit of our community s young people. This handbook was written in a spirit of mutual understanding and to enlist everyone s cooperation to make this a successful year. This is an all volunteer league. All coaches and parents have different skill levels in not only the game but in working with kids and adults in a team setting. The Board of Directors asks that we constantly remind ourselves that our focus is on the kids. Our sponsor St. John the Baptist Roman Catholic Church expects us to provide a safe environment where kids can learn and enjoy the game of basketball. Physical and mental safety is everyone s job. If you can help a child, coach or parent in need please don t hesitate. If you believe there is a problem in progress or evolving please let the Executive Board know by calling , leave a message and/or request a return call. You can also reach the Board by mail: St. John s CYO, Box 119, Valatie, NY or by to: stjcyo@berk.com. 2

Game & Practice Facilities There is no doubt that facilities are our greatest need. Gym and practice sites are hard to come by in our community. We therefore can not emphasize more strongly the need to properly use and maintain what we have. Currently there are approximately twenty seven teams competing for gym time. We must use our times wisely and not allow problems to occur which could jeopardize the use of any facility. Here are a few ground rules to follow when bringing your team to a gym or practice facility. -Arrive prior to the start of practice but do not interfere with the group that may currently have the floor. -Have team members place their personal things (coats, boots, bags.) in a place that will not impede the use of the facility or walkways. -When the weather is snowy or wet, please do not to allow people on the gym floor with wet footwear. Gym floors become very slippery when wet and cause accidents. Have kids remove there boots away from the floor. If they wore their basketball shoes in, have them dry them as good as possible before taking the court. Please advice parents regarding the need to keep floors dry. -Teams are allowed to use the gym space and the bathrooms only! No kids should be in any other part of the buildings. This is a constant complaint from ICC and St. John s. Parents who bring other children to games or practice must supervise them. It s a good idea to assign a parent monitor at the start of each practice. -Damage done to any facilities should be reported immediately to the Executive Board by calling or ing stjcyo@berk.com. -If you need to move any furniture of equipment to utilize the floor space please set it back up when you leave. If there is another team following you be sure to let them know that they need to set things up before they leave. -Be sure to have the kids clean up before they leave. Do not leave drink bottles, clothing and garbage behind and check the bathrooms for any problems. If there is a janitor at a facility make sure to let them know if you are the last team playing. Ask if there were any problems and check that he or she is satisfied with the condition of the facility. Please report any negative comments to the Board. -If your team is playing outside of our district the same rules apply. Remember that you are representing our community when you are on the road. 4

Some facilities have specific requirements. Here is a list of those we know about. Please let the Executive Board know if you become aware of any other requirements. St. John s: Please remember that St. John s Hall is attached to the church. If you find there is a service (mass, funeral.) please be respectful and exit quietly. Sometimes we will be sharing the building with other groups. If doors can be shut and voices lowered please do so. At no times should players be in the church area or downstairs unless previously authorized. Remember we are allowed to use the gym and the bathrooms only. Parents may not drop kids off unsupervised. The last team to practice before Sunday Schoolis expected to set up the hall according to the map on the bulletin board. This is very important. If you are not sure if you are the last team please call and find out. Dave Pesano is the hall coordinator and can be reached at If the kids and parents help out it only takes about 10 minutes to setup. If you are the last team out at night please ensure that the gym and hall lights are turned off. ICC High School: Please do not use the locker rooms at the high school. There are bathrooms in the hall for our use. The bleachers may not be pulled out by anyone but ICC maintenance staff. If you need to use them you must request that they be set up. The staff will do so if they have time. If you know you will need the bleachers call ahead of time and make the request on We will try to get the OK from the Athletic Director. Kids are not allowed to hang out in the hallways. The game clock must be turned on by the maintenance staff on Game Days. If it is not functioning or there are other facilities problems please find a maintenance staff member for help. ICC Middle School: The MS Large gym has been scheduled away from us for the most part during the week. If you are scheduled in the Small gym please try and enter through the locker rooms so you will not interfere with the other groups. The game clock must be turned on by ICC maintenance staff for Game Days. If it is not functioning or there are other facilities problems please find an ICC staff member for help. On Sundays after the last game the chairs and tables should be picked up and placed in the storage room of the small gym 5

The MS Small gym will be utilized heavily. There may be equipment such as wrestling mats or volleyball nets on or near the floor. This equipment can be hazardous to play and must be either moved or avoided during play. If you do move equipment be sure to set it back up when you leave. If chairs are setup for games or practice they must be put away when finished. Please respect the other groups using the Middle School and do not enter the gyms while they have them. Martin VanBuren School: The Martin VanBuren School will be utilized for practices during the week and on Saturdays. The school is only open until 6:30 PM. At that time the maintenance staff takes their dinner break and leave. Please be sure to exit the building promptly by 6:30. If chairs are set up for practice please be sure to put them away when finished. MVB will be used by ICC Modified Basketball as of 12/1. Generally they practice until 5:15 everyday. Do not enter the gym until they are finished and leaving. We have been asked not to interrupt modified practice. Adults need to monitor kids on the stage to ensure they do not disturb any school props or equipment. CYO may use the gym and bathroom only. Martin H. Glynn School: Martin H. Glynn School will be utilized for both practice and 3-4 games. On week nights the school does not open until 7:30 PM. The maintenance staff that was at MVB will be on their dinner break until then and will not open the door until 7:30. Please make sure kids and parents know this so that they do not bang on the doors. Although we like our kids their early we will have to wait until 7:30 at MHG. On cold winter nights kids should wait in cars until the staff has unlocked the door. Adults should monitor kids on the stage to ensure they do not disturb any school props or equipment. CYO may use the gym and bathroom only. Primary School; The Primary school will be utilized by the 1 st and 2 nd grade teams. There are chairs under the stage in pull out racks. They can be setup on the stage for spectators. Any equipment that is setup needs to be put away before leaving for the day. 6

Cancellations If Ichabod Crane cancels school or extra curricular activities due to weather related conditions then all CYO basketball is also cancelled for the duration. This includes St. John s, the Town of Kinderhook Building and the Kinderhook Village Hall. If Ichabod Crane closes only one building for repairs or maintenance the other facilities may be used unless otherwise notified. Ichabod Crane reserves the right to schedule facilities at the last minute for school activities. If you arrive at a school and the gym is being used by a school group you will have to leave. Be aware that this happens occasionally and there is no recourse. As frustrating as this can be please refrain from complaining to maintenance staff, they have no control of the schedules. If opposing teams traveling to our gyms cancel without at least 24 hours notice they may be assessed referee fees of $35. 7

Coaches & Assistant Coaches Each team in the St. John s CYO league will have one coach and one assistant coach. Though other people s assistance may be welcomed and utilized only one coach and assistant per team are used for administrative purposes. All coaches and assistant coaches must attend the Virtus Program. This program is mandated by the Diocese of Albany, our insurance provider. The program is offered in many locations and is approximately three hours. Information is available on our website Coaches and assistant coaches must also fill out a Volunteer Application, an Authorization and Consent for a Personal Background Check and a Standard Code of Conduct form. These are also mandated by the Diocese. You will not be allowed to coach if you have not filled out all forms. All information is considered confidential and will be maintained by the St. John the Baptist Faith Formation Office. Depending on the level you are coaching at there are specific rules regarding game times, playing times, pressing, foul shooting and three point shots that must be adhered to. Coaches are responsible for knowing the rules and regulations in their division and agreeing with the opposing coach before game time. Coaches for 5 th -12 th grades need to supply a clock keeper and the official book for home games. Referrees will come to the home team book keeper for any discrepencies. Travel team coaches should call the opposing team coach or AD at least one week prior to a game to ensure that both teams have the correct dates, times, places and directions. If a team does not show fifteen minutes after the scheduled start it can be considered a forfeit. Referee costs may be assessed for no shows. It s a good idea to try and get a cell phone number for the opposing team coach in case you are delayed when traveling. If you can not make contact let the president know. Coaches are responsible for their team members at all home and away facilities. When traveling please remind your kids that they represent St. John s. Always pickup the areas you use when traveling. When using home facilities for practice or games keep kids in the gym or approved areas only. Cleanup all garbage when finished and kids check for any items left behind (clothing, book bags ect.) 8

Accidents & Injuries All coaches should have their team medical kit and the medical release forms (registration form) for all players in their possession during all games and practices. In the event of an injury the coach or assistant coach should ascertain the extent of the injury and decide whether emergency personnel need to be summoned. If the injury is considered minor and can be treated with cold packs or band aides be sure to monitor the injury and report the incident to a parent or guardian at the end of the game or practice if they were not present. If the injury requires further evaluation and diagnosis please ask the parent or guardian to contact you or League President Randy Pesano at Any incident of concern during a game or practice that results in an injury to a player or coach should be reported to the president within 48 hours. The preliminary report should contain the name of the injured, phone number, date, time, location and nature of injury. The report may be phoned in to or ed to stjcyo@berk.com. An officer will follow up with the parent or guardian and file any paper work if necessary. Any incident that causes damage to property should be reported to the president as soon as possible. The preliminary report should contain your name, phone number, date, time, location and nature of the damage. The report may be phoned in to or ed to stjcyo@berk.com. An officer will follow up and file any paper work if necessary. St. John s CYO insurance is utilized as a secondary policy to an individual s primary health & accident insurance. As with any insurance carrier the timeliness of reporting is very important. Please help us keep in good standings by reporting any incident as quickly as possible. If you are in doubt as to the severity of an accident or injury report it. We would rather follow up on a non-incident then be blindsided with a claim we know nothing about. 9

Concessions & Volunteering St. John s CYO Basketball is an all volunteer program. As a volunteer organization we rely on parents to support CYO activities with their time. In the past we have had problems getting help from some parents to support activities necessary to run the CYO. The men and women who have volunteered to coach and as officers and coordinators are engaged in their specific activities and need parent s assistance. As a result we are requiring that a parent/guardian of each participant be available to help a minimum of one game day per participant during the season, however additional shifts may be assigned. Help is needed at the concession stand, ticket table or as a hall monitor. All 3 rd -12 th grade teams will be scheduled to at least one (1) Game Day per season. When your team s day(s) and time slots are assigned to you, you need to assign a parent/guardian to each of the following positions for your time slot; 2 people for the concession tables 1 person for the admission and raffle ticket table 1 person for hall monitor Each team will have parent/guardians helpers cover either the High School or the Middle School during games on Saturdays and Sundays. Game day locations are usually split covered by two teams so that parent/guardians can watch their children play. Parents need to arrive in time to setup or to stay after the game to cleanup. In reality we may only be asking for approximately 2-3 hours of help from most parents for the entire season. If you have trouble recruiting parents please contact your coordinator or an officer. Coaches need to make sure parent/guardians know that though we allow the help of kids during this time there must be an adult covering each position at all times. Children should never be left responsible with cash boxes. Children are not recomended to run the time clock or keep the official game book. The Concession Coordinator for the season is Michele Graham. If you have questions or concerns regarding CYO concessions please contact Michele directly. 10

Uniforms & Equipment All basketball participants in St. John s CYO programs will receive a game day uniform. First and Second graders will receive colored shirts which they may keep. Third, fourth, fifth, sixth, seventh and eighth graders will receive reversible numbered tops and in the case of fifth through eighth shorts. Reversible tops and shorts must be cared for by the participant and require gentle washing and no hot drying. They should only be worn on game day. Coaches are required to keep track of their player s numbers and uniform condition so that when they are collected at season s end we can identify where missing uniforms are. St. John s will be selling sweatshirts this year as a fundraiser and they will be available at all home dates. Sweatshirts may be purchased at all of our concession stands. Socks and warm-up suits and are not provided by St. John s. Players should check with coaches for colors if they decided to purchase them on their own. In the past some teams have commissioned vendors to make St. John s apparel for them. If this is undertaken we require that you seek authorization from the Board and we ask that you are mindful of team members who may not be able to afford this expenditure. Personal equipment and clothing is the responsibility of the individual owners. Coaches and parent/guardians should ensure that participants right their name on anything they bring to games or practice (including: water bottles, balls, equipment bags, footwear, jackets, sweatshirts pants, hats, inhalers etc.) If we have a name we can return most items if they are left locally. If they put their name and phone number (or ) they may be returned if they are left at another league location. The Equipment Coordinator for the season is Rudy Firmbach. If you have questions or needs regarding CYO uniforms, team equipment or medical supplies please contact Rudy directly. 11
