AMHA AGH April 30th 2013 Aldergrove Legion Presidents Welcome and meeting brought to order 7:07pm Troy Theodore - Presidents Message FVW president sat down and decided all house teams will be drafted by new drafting software, this is to help balance all teams through an association, stop team stacking WIFI in the arena, cheaper than the phone we had in the office previous to this, and used by many, we would like to try and post the password in the arena for more effective use New Arena and Pool, Troy is on the board. There will only be one rink, there is no option for two, he is trying to stay out of the pool side of the planning, and it s not our concern. We already have one of the nicest arenas around, but if it all goes through we will hear all about it New Constitution, last one was written in 1973, desperately needed updating. We have new procedures so that when board members part they have a job description for the next person to fill the position with out great difficulty. Hopefully this will help to make our association better We have appointed a discipline committee. Thank you to Colin Lacey, Monty Ivison, Lindsay Thorley, Cary Gregory and Cory VanSanten for taking on some tough situations. Girls change room, still needs improvement, Rec Ex is not being very forthcoming in helping to expand this, however we will continue to push this through till it s completed. Friendship Tourney was a fantastic tournament, Thank you everyone who took part and Thank you to Lyall Sharman for running the tournament, and all his many helpers. This will be Troy's last year, its his 10 th year and its time for him to pass it on. He has had a lot of fun and enjoyed Aldergrove Minor Hockey and would like to Thank everyone for everything along the way. Aldergrove Minor Hockey is like a family, and we are so lucky to be a part of this small family. This is a wonderful association. Rhonda Bencze on behalf of Troy shared: Shea Theodore, Troy's nephew, won a Gold Medal at the U18 tournament World Championships, first Aldergrove Player to ever play for Canada and win a gold medal. He is also expected to go first round in the NHL Draft.

Dave Senkler Financial Report AMHA Financial year end May 31, 2012 Revenue $303, Expense $338, Net Income -$34, Projected Net Income for is (-$10,000.00) This year we are closer to breaking even and the grant money has been good to us. Ice costs have increased. The third sheet at Sportsplex is still not subsidized. We are looking to increase fees to try and help with more ice time, continue player training and goalie training. With a $50.00 per player increase we break even, $75.00 gives wiggle room for more player training and more investment back towards our players. By a show of hands, its was determined that $75.00 was the preferred increase. Alan Radnai made a motion to increase the fees by $75.00 per player; this was seconded by Colin Lacey. Questions: Rhonda Bencze Assuming ice costs where $200,000.00, with the HST going to GST, does that not balance out the excess in ice costs and help with the deficit right there? Troy: Our grant money was $15, over what we expected and we still had the deficit. Q: Is this rate increase going to affect all players all divisions, since the increase affects all players? A: Yes, it will be based on per player so each division will be equally subsidized Q: When we put our hands up for the estimate of what the rates should be, I didn t put my hand up, I would prefer us to raise rates by the minimum, have we ever dropped our rates? A: Rhonda Yes we dropped out rates once in initiation to raise registration, and it worked. Keep the rates cheap and people come. Q: If we go to Fraser Valley East, won't we double our games? A: We don t have the ice to do that, that would mean 6:00am ice times etc, we will work on approaching this next year during coach meetings. FVE has contacted Troy to ask if we want to make a presentation

We have side tracked, back to the motion at hand. We have had a deficit two year in a row, we need to raise fees. Q: What's the money going to? A: $50.00 is going to cover the deficit, $25.00 will be going to player development, it may not cover all the deficit in one year. The deficit occurred (do to) due to tournaments falling through, people not helping enough, so really what the deficit each year is circumstantial to that year, the year previous we dropped the ball on tournaments, this year we did not, but next year the ball may be dropped in another area. Q: With the HST being dropped to GST, isn t this going to help? A: The ice costs are not going down, even thought the HST became (Gst) GST ice costs are going up at least 5% Q: Is membership debating over $25.00 because they don t know what the money is going too? A: We are basically beating ourselves up over $ lets by a show of hand does membership want $50.00 or $ $75.00 it is. All in favour - Majority 6 opposed Motion Carried fees will be increased by $ Guy Walton Fundraising Report Main source of fundraising is our Gaming Grant - $61, We are in the process of putting together next years grant, we will be advised of our grant in August- September for the With out Guy taking all the time to do this grant, our membership would have increased another $ per player. THANK YOU GUY! Rhonda Works for Abby Minor Hockey and wanted to point out $100k lost due to gaming reports not being filled out and (completely) completed properly.

Sponsorship Fundraising This roll needs to be filled, we need someone to step up for this role. This is an important role, and also helps to keep costs low. Registration Report *Please see attached slide Registration Report Robyn Edwards Registration numbers We increased Initiation by 1 player from last season. For this season a total of 430 (up from 415 in 2011/2012 season) Up 15 players per year for the last two years: We do not have enough ice to continue to grow. We do have 25% Abbotsford players; however Abbotsford has a bylaw that they only subsidize Abbotsford Minor Hockey. Troy has talked to the Mayor, and it was asked why we don t give the Abbotsford players to Abbotsford? Rhonda would suggest that Aldergrove Minor be more aggressive with getting their ice. That is what Abbotsford minor hockey did to secure their ice. We need to continue to fight for that third sheet of ice subsidized, price difference is $ regular cost, $ subsidized cost. We already dominate the Aldergrove Ice sheet, ringette and figure skating use very little.

Coleton Nelson Memorial Award Brenda and Wayne Nelson The Nelson Family would like to thank everyone for allowing them to hand out this annual award and scholarship. This means so much to them, it allows them to continue to cherish their sons love for the game. They have asked the coaches to select a player who had the same hockey goals and ideal as Coleton and this (years) year s recipient is Dustin Hallberg. Dustin, Coleton loved you and the family could not have agreed more with this (years) year s recipient. Congrats Dustin! Colton Nelson Award Brenda and Wayne Nelson offer this award on behalf of their son Coleton to: Dustin Hallberg Tyson DeGianni Award Rhonda Bencze Ref of the year awarded For outstanding respect of the game, this year s recipient is Rob Longpre. Congrats Rob! The Tyson DeGianni Award was presented by Karen and Vic DeGianni in memory of their son Tyson. Tyson DeGianni Award This award is given to the Aldergrove Minor Hockey referee who exhibits respect, loyalty, optimism, perseverance, sportsmanship and is a positive role model to his peers.

Dave Senkler Risk manager Third year in our first cycle of getting criminal record checks, this year we effectively had 100% every coach in the three year cycle has their record check done. Every year from now on, it will be required to be on the ice. Via Guy - Awareness and education advised on youth body checking in hockey for more information please see attached slide. This year there will be a vote at the BC Hockey AGM, we will have to send out a survey similar to last year, to (decided) decide how our association will vote. It was brought up that head injury s are not covered by Hockey Canada all head injuries. This has made recent headlines and has been on the news. What happens when kids get to bantam and are not prepared for hitting? They are basically men already and just starting to check on the ice. PCAHA was the largest section on the (the) planet that still had checking in house, C (casual) level hockey; almost every place in Canada has gone away with hitting in house hockey. Referee's Report James Chassie report given by Troy in James absence James did a great job this year. We will be having a new RIC next year. This year Colin Lacey and Rob Longpre have also done a good job. Ice Report Alan Radnai - Ice schedule worked well this year - Addition of Sportsplex ice was good for initiation - Having tournaments during the season worked well, the dates and times are remaining the same and worked well Mike (Mcrae) McRae has agreed to take over this position next year, he was unable to attend tonight. Alan is retiring this year, it was greatly appreciated for his years of service in such a demanding (positions) position. Thank you Alan! Tournament Report Monty Ivison Tournament Director People are starting to step up and a big thank you to Petra Noort for being the tournament treasurer for all tournaments this past year. $25, Net Profit for tournaments this year

Thank you to each division for all your volunteers and great work! ATOM hosted 14 teams, first weekend in November, Aldergrove Arena/Centre Ice (Peewee) PEEWEE hosted 14 teams, Remembrance Day weekend Aldergrove Arena/Centre Ice (Bantam) BANTAM hosted 18 teams, January 3rd-5 th Sportsplex (Initiation) INITIATION hosted 18 teams, February 15th-17 th Aldergrove Arena/Centre Ice Tournaments are well known and highly praised, by teams that participate. Monty would love for someone else to take over the tournament director position. She will help whoever wants to take over, it does not mean being at every game, it is a well documented position and can be easily taken over. BC Hockey no longer wants to have anymore tournaments in Initiation and is passing a motion to carry this through. We do plan to fight this motion, as for our association we loose $6000-$7000 if we loose that tournament. The reasoning behind this is that some teams in the interior are finding loop holes and attending tournaments all over every weekend and having a season of 80 games. Kudos to Monty for working all these tournaments around school days so no time at school was missed. Coach Coordinator Ray Evans Thanks to all the parents, managers and coaches. People do not realized how many hours are spent analyzing, and making practice plans. Second, Thank you to Rob Mathers for taking care of the Craig Sherbaty training this year, many hours spent organizing times and teams. Third, Thank you for the people who helped out on the coach selection committee. A lot of time was spent trying to make sure the best coaches where picked. Applications have been extended till the end of May, letter slot in the arena is the best place to put them. This year s process will be changing as Craig Sherbaty has taken on some more work with our association. His services with Aldergrove Minor Hockey have increased. One of the things this year that has changed is Craig will be doing evaluations to help select our coaches, with his own team and independent evaluators. Along with the selection of rep teams. This will help to eliminate any potential biases when it comes to coach and rep player selections. He will provide everything back to the board to be voted on and decisions made. For rep teams, final decision is still the coaches Rhonda: I am failing to see the purpose on spending the money on his services if he is only providing us the top three he is recommending when that s almost all we ever have apply? If the board gets the final decision why pay Craig to do this? Troy: there are unknown variables, and some people don t always interview well etc, we plan to generally go with his opinions and his ideas, but the board still needs to have final say.

For $ [Was this amount stated and is it correct?? GW]Craig is taking care of all our evaluations and keeping them independent. Craig is not picking the teams he is providing evaluations for coaches and players. The only conflict of interest is the fact that Craig's does the morning clinics. However in the most cases he has seen players twice, eliminating any biases as he would not know them from two ice times. There will be some room for the coaches when team selections come. Craig is only coming to help us, we are lucky to have him. Langley has also hired him, paying a $230, so the $11, we are paying in the scheme of it all is nothing. Q: Will all teams see Craig this year? He is fabulous but my sons team only (say) saw him twice last year? A: Yes, all teams will see be seeing him equally Q: Can you please lay it out how the Rep teams are being chosen? A: Craig will be picking the first 20 players, the coach will have the say in the last 5. This is done in conjunction with the coaches rankings Equipment Update Cory VanSanten Taking over from Lyall Sharman, Thank you for making this so easy to take over! Everything is all set up and easily taken over. Replaced 6 sets of jersey for rep, two sets for house. 14 sets for house last year. With all the new jerseys we have now standardized our jerseys logo. Most teams now have two sets of proper home and away with matching logos. Initiation will be getting new jerseys. We are requesting for 6 sets of new jerseys from the Timbits program. Jersey must be returned by May 15 th, most have already been returned. Jersey deposit cheques will be cashed for any not returned or any with C's or A's ironed on. Initiation Len Kawamoto H1 - one group H2 - one team H3 two teams H4 three teams October 15th teams were finalized. Teams where competitive, got better through out the year H1 had a few H2 players for development thank you Jay for your hard work, and will continue to do it again. Len s term is up and is (would) willing to continue as Initiation Coordinator.

All coaches have been invited back. Reminders have been sent out to get your applications in. Will meet monthly and try to improve on last year. Rhonda: Can you please encourage refs for Hockey 2 at your future meetings? Troy: I have brought it up, and was unanimously shot down as the only president who wanted it. They do not want to slow the game down, or have the whistle blown to much in H2. Atom Jay Kyle Atom A1 overall good season Atom C1 Good Season, won the banner at the end of the season Atom C2 Trying times thought out the season, improved over the season, kids had fun Atom C3 Good season Peewee Cory VanSanten Peewee A1 successful season, struggled early, improved significantly over the season Peewee C1 successful season Peewee C2 successful season, finished second in peewee division Cary would like to add, that Cory used the draft software for the peewee division and the software world out so well. Teams were very balanced. Cory would like to add that with the contact rule, that kids who did not want to play contact had a place to play which helped the skill in house hockey. Thank you Russ, Ken and Cary for stepping up and coaching this year. Bantam Shawn Rollinson Bantam A-1 - Success season Bantam A-2 Tough year, focused on team building and SMART goals Bantam C-1 - tough season, Bantam C-2 decent season

Midget Midget A-1 Great season, did well Midget A-2 Wonderful season player 60+ games, Midget C-1 -lack of support Midget C-2 - Okay season Juvenile Troy reported Won league banner and did not require too much discipline this year. If possible next year we will have an A1 and a C1 Juvenile team. Robyn has had to turn many players away this year. Whenever we have a B team, it makes our C teams weak. Troy received many complaints this year about our house teams. When our house teams are too weak to play in the lowest level of 64 teams, we as a board have to look at what we are doing to those kids on those house teams. When you re going to loose 18-4, kids will punch there way to the end. AMHA had the highest number of penalty minutes this year. There are over 60 kids who did not have a good season this year, some kids do not want to play hockey anymore, and we as a board have to look at this. The board a few years ago made the decision that the B team was the best decision, Rhonda would challenge us to not make the same mistake that they did 6 years ago when the decided against having a B team and watched 9 players quit hockey. Rhonda asked in Atom where there where only one C team, how did those house teams do? Did they win all games? Troy countered, make one of those teams a B team and then how do those two house teams fair? This could go round and round..... Volunteer Positions Nikki Heard AMHA needs more volunteer support. These positions will require varying amounts of time, but will be less of a commitment than being a member of the board. We are loosing a few board members this year and need some replacements. Even if you don t volunteer, but you know someone who would be good please send their names in. Sunshine Volunteer this is the upside of volunteering, this is a great position. No money collections no nagging, all that s required is making people happy. Please see the attached slide regarding what volunteers are required.

Some Volunteer Positions Nikki Heard BC Gaming volunteer (all gaming licenses to be applied for and reported on by one person) Sunshine volunteer (all awards, scholarships and support to be organized by one person). Tournament Volunteers Heat 50/50 nights Picture Day Coordinator Parade Coordinator Heat /Giants Night Rep Tryout Coordinator Volunteer Coordinator Annual Hockey Equipment Swap Meet Updated constitution and bylaws Colin Lacey has put many hours along with Monty Ivison and Cary Gregory. Our last Constitution is so out of date. They took the PCAHA Constitution and bylaws, and took what was applicable and mostly copied it. Then they took what the board has voted and added that in as well. It s a 27 page document. Largely speaking it s in line with PCAHA, so what they require of us, we require as well. Ballets where handed out to vote the Constitution in. Votes where counted (54-Yes) (3-No). This will be filed with the registrar society and be legally binding. Alan motioned to destroy ballets, Kate Theodore seconded. All in favour, motion carried. Aaron Maki from Think Rink Presentation: Hours are shorter during the summer, will be longer during season. How many people here would be accepting if the convenience of that store was gone? They are currently looking at a loss. To be able to remain, he would really appreciate our support. What would it take for them to get more of our support? Q: Will you guarantee your skate sharpening? A: Yes, it will be redone for free When the store was first opened, there was huge support, tremendous sales where there. Over the years the sales have dropped and dropped. Aaron is asking us what he needs to do in order to get back to where the store once was. It was mentioned that the previous hours where not okay, Skate sharpening was not good. He would also like to talk to whoever takes over the sponsorship person to stop by and talk to him.

It was offered for us to add a link for their store on our site, and we do want to support them and we do want them there. It was asked for them to put together a presentation for us to send out to our membership to try and support them to the best that we can. Rep Try outs will be earlier this year, August 27-30, conditioning camps will be after Labour Day. Election of executive Troy Theodore, Jason Kyle, Cory VanSanten, Michelle Hastie, Lindsay Thorley and Robyn Edwards all have one more year. We need some nominations to the board.
