2 WELCOME TO THE AKSARBEN 4-H STOCK SHOW Dear County Extension Offices & 4-H Exhibitors, The AKSARBEN 4-H Stock Show is a Regional 4-H only Livestock Show that is open to 4-H members from Colorado, Illinois, Iowa, Kansas, Minnesota, Missouri, North Dakota, Nebraska, South Dakota and Wyoming. The AKSARBEN 4-H Stock Show is renowned for providing a level playing field for all 4-H members that exhibit livestock at the Show. To make the process easier on the exhibitors and staff, it is important for the AKSARBEN Foundation staff to have a solid working relationship with the County Extension Offices in the states eligible to participate. Our hope is that this handbook will provide you with timely and accurate information to answer questions from 4-H exhibitors leading up to the AKSARBEN 4-H Stock Show, held annually the last weekend in September at the CenturyLink Center Omaha. Each state operates with different rules, requirements and deadlines for 4-H project enrollments, individual identification and required forms and paperwork. Therefore, it is impossible for the AKSARBEN Foundation to create a simple set of requirements that works in all ten states represented at the show. Because of the differences, the AKSARBEN 4-H Stock Show will abide by the same rules for an exhibitor s project as set up by your individual State 4-H Office. This handbook will provide you with the basic tools necessary to assist and prepare your county 4-Hers for showing at the AKSARBEN 4-H Stock Show. We hope this answers many of your questions and helps ease the entire process for the County Offices and exhibitors. As always, our staff is available to answer any questions you may have. 4 THE AKSARBEN FOUNDATION In 1895, Omaha was the home of the Nebraska State Fair. But the State Fair Board, angry because Omaha businessmen failed to provide suitable evening entertainment for families attending the fair, laid down an ultimatum: Provide entertainment other than saloons, gambling houses and honkeytonks for the 1895 fair or lose it to a competitively alert Lincoln. First, financial needs were met by Omaha businessmen to provide the needed improvements for the city and the State Fairgrounds. Then, on the evening of March 28, 1895, a meeting was called with 60 of the most prominent businessmen of Omaha in attendance. At this meeting, the 12 men who formed the Executive Committee of the Omaha Business Men s Association (an organization still in existence) and who had taken charge of the festivities of Fair Week presented an ambitious plan for securing all floats which had appeared in February s New Orleans Mardi Gras Parade for the Omaha fair. These 12 men became the original members of the Board of Governors of the AKSARBEN. Their journey to New Orleans to obtain the Mardi Gras floats brought them into contact with the Rex, Proteus and Comus Society of the Crescent City (the civic group which organized the Mardi Gras festivities). The Omahans were convinced that a permanent organization such as the Rex, Proteus and Comus Society was just what Omaha needed to add zest to its progressive outlook. On the train ride back from New Orleans, the Omahans named their new organization. Why not reverse the name of our beloved state, since everything seems to be going backwards these days? Dudley Smith suggested. Another member suggested that since this group had saved the fair for the city, the organization should be called the AKSARBEN. Thus, AKSARBEN was born. The AKSARBEN Foundation was one of the first non-profit entities to be incorporated in the Heartland. At the core of the Foundation s endeavors over the years has been a mission developed around building a more prosperous Heartland During the century that followed, the Foundation established a racetrack, community celebrations and competitions revolving around agriculture and education. Thousands of scholarships were awarded, and community fair grants and hundreds of civic grants for special projects were donated. Today, the civic environment has advanced with more than 2,000 non-profits in the state of Nebraska alone. The AKSARBEN Foundation, along with its other non-profit counterparts, has honed in on the area of impact that will fulfill its mission. The current mission statement to leverage collective business leadership to build a more prosperous Heartland was developed during a two-year strategic planning process that concluded in The current members of the Board are dedicated to fulfilling the mission just as their predecessors did in the mid 1890 s through the current decade. 4

7 DNA NOMINATION PROCESS Ordering DNA Envelopes The order form for DNA envelopes can be found on Appendix page 1 and should be copied when ready to make orders. Ordering of DNA envelopes can be done as early as November. However, because each state and county has its own deadlines and dates for weigh-ins and project entry, AKSARBEN asks that you order envelopes in time to ensure they are available for your weigh-in date(s). County Offices will use the same DNA envelopes for all Market species so be certain to order enough envelopes to cover your needs for one (1) year. When ordering envelopes, keep in mind that some may be damaged or unusable at the time of DNA collection, so order enough to cover your needs. Upon completion of nomination, please return any unused envelopes to the AKSARBEN offices. DNA Collection It is very important that the DNA on each nominated animal be taken properly. This ensures accuracy in processing the exhibitor s entry into the AKSARBEN 4-H Stock Show. Improperly processed DNA samples can result in an exhibitor being denied entry into the show or can cause very serious problems with animal identification following the show which could affect the exhibitors premiums or scholarships, should they receive any while at the show. An instruction sheet on how to properly pull DNA is included on Appendix page 2. A DVD is also available on request. Place at least 40 samples, with roots intact, inside the envelope and seal. DO NOT put samples in a plastic bag. AKSARBEN suggests having two (2) people present - one to collect the DNA and one to hold and seal the envelopes. For the benefit and integrity of the exhibitor, do not allow them to handle the envelope other than to sign it in your presence. The DNA sample collected may be compared to a DNA sample collected at the exhibitor s respective State Fair and at the AKSARBEN 4-H Stock Show to ensure the proper identity of the animal. All DNA envelopes must be filled out completely and legibly. Staff must be able to read the handwriting on each envelope. Please see on next page the proper way to fill out the DNA Collection envelope. Be sure to take a photocopy of each envelope for your records and send the originals with the hair samples to the AKSARBEN offices. 7

8 Sample DNA Collection Envelope Please fill out each part of the envelope legibly (calving date is only required for Feeder Calf birth dates). Please be sure to include gender. AKSARBEN only calculates the rate of gain on Market Beef. Weight and weigh date are not required for all species, but State Fairs in Nebraska and South Dakota may require weights and weigh-in dates so please fill out just in case. Exhibitors must print their name and sign the envelope at the weigh-in. If the exhibitor or a parent is NOT available at weigh-in, they must sign the Member Waiver and Hold Harmless Agreement, which can be found on Appendix pages 5-6. The waiver is ONLY required if an exhibitor and/or a parent are not present to sign the DNA envelope. For counties that allow Family ID for an individual animal, all children s names must be printed on the DNA envelope. One child must sign the envelope and other eligible children must sign the waiver. Summary Form The final form in the DNA nomination process is the Summary Form. Nebraska and South Dakota should use the Summary Form found on Appendix pages 7-8. All other states should use the Summary Form found on Appendix page 9. Fees The Extension Office is responsible for collecting all nomination fees from exhibitors when DNA samples are pulled. Fees are as follows: Nebraska and South Dakota - $6 per nomination (includes State Fair DNA pull) All other states - $5 per nomination Please complete the summary sheet and send the envelopes, fees and paperwork to the AKSARBEN Offices to be processed. Tag Losses There is a small percentage of aminals that lose their ID tags each year. If this happens, make sure a new tag is placed on the animal as soon as possible. Document the information on your ID forms with dates and initials. Then forward the information to AKSARBEN for envelope updates. A list of retagged animals will be prepared and sent to Nebraska and South Dakota State 4-H Offices for state fair check-ins. 8

9 DNA VERIFICATION PROCESS Validation & Verification When all DNA nominations have been submitted, the uploaded information must be validated to ensure accuracy. This can be done by following these steps: 1) Go to you will see this screen: 2) Enter your username & password. (Each county has a different username but the same password). Username: [st][county] - your state abbreviation (ex. ne) and your county name (ex. douglas). So for Douglas County, Nebraska the username is nedouglas with no spaces or dashes and in all lowercase letters. Password: ak and the current year (ex. ak2015). 3) Once logged in, you will see the following screen. Click VALIDATE DNA DATA. 4) The list of all DNA nominations from your county will appear. Be sure to enter your name in the Validated By Box. Go through each exhibitor and ensure the information found on the DNA envelope is correct. If the information is correct, enter Yes under the Validation column. If the information is incorrect, leave that exhibitor s validation as No and note the corrections required in the Corrections Needed column. The corrections will be sent to the Stock Show Director, who will make the necessary corrections and send back to you to finish the validation process. You are unable to make corrections due to security features within the system. All validations must be completed before entries can be submitted. 9

10 MARKET PROJECTS VS. NON-MARKET PROJECTS What is a Non-Market Project? Non-market projects are the categories listed below: A. Breeding Beef Heifers B. Dairy Heifers C. Dairy Steers D. Horses E. Rabbits F. Broilers Breeding Beef Heifers, Dairy Heifers, Dairy Steers and Horses The above listed classes must be enrolled as projects under the requirements for your state. AKSARBEN needs an identification form for each of these species in order to verify that they are projects and to provide information for check-in crews to properly compare the animal at the show with what was entered. State prepared ID forms or a copy of an online enrollment will be sufficient for making entry of the animal in the AKSARBEN 4-H Stock Show, if available. Those forms should accompany the exhibitors entry form. If your state does not have an ID form, you may access a nomination form on the AKSARBEN 4-H Stock Show website at Rabbits Only projects from within the State of Nebraska are eligible for entry into the AKSARBEN 4-H Stock Show. Rabbits must be enrolled as a 4-H project in the State of Nebraska by the appropriate date. An Animal ID form must be filled out by the 4-H member and submitted to the County Office by the previously determined deadline. Market Broilers 4-H members wishing to enter this class in the AKSARBEN 4-H Stock Show must complete a Market Broiler Order/Entry form (found on Appendix page 11) and return it to the AKSARBEN Offices. Exhibitors must include the fees for purchasing the bird(s) and the appropriate entry fee(s). Each order for broilers will be for fifty (50) birds. Exhibitors may enter one (1) or two (2) pens of three (3 birds per pen) from this order to show at AKSARBEN. The birds are shipped directly from the hatchery to the exhibitor s home address at the appropriate time so the birds will be the proper weights at the AKSARBEN show. These broilers do not require any kind of 4-H identification and do not need to be enrolled as a project in your state. Deadline for ordering/entry is July 1. 10

11 AKSARBEN 4-H STOCK SHOW ENTRY PROCESS AKSARBEN 4-H Stock Show Entry Form The following list of forms can be found at AKSARBEN 4-H Stock Show Entry Form Premier Exhibitor Entry Form Public Speaking Contest Entry Form Calf Challenge Application to Participate Lamb Challenge Application to Participate Cattle Fitting Challenge Team Entry Cattle Fitting Challenge Individual Entry AKSARBEN 4-H Stock Show Drug/Ethics Affidavit Lamb Country of Origin Declaration Hormel Swine Affidavit Please make a copy of the Entry Form for each exhibitor that wishes to make entries for the AKSARBEN 4-H Stock Show. Also, have copies of the other forms available for exhibitors that are interested in one or more of the categories. Ask the exhibitor to complete the Entry Form and return it to your office. COMPLETING THE ENTRY FORM Exhibitor Contact Information: In order to contact exhibitors with questions or to send reports and premium money checks following the Show, AKSARBEN must have accurate and complete information. It is important to fill it out completely and legibly so that words and numbers can be read correctly. Species Sections: Actual information about the exhibitor s entries must be entered here. Provide the following: Class Number: Class numbers must be looked up in the AKSARBEN 4-H Stock Show Premium Book. The complete Premium Book is available online at Print a copy to have available at your office. Members can use your copy at the office or can access it on their computer at home. Animal ID: This box is included for each market species. List the ID numbers (same number as on the DNA nomination) in this box. Market Swine exhibitors must list ear notches for their ID. Exhibitors may substitute another animal at the check-in line for one that is listed on the Entry Form as long as a DNA nomination is on file with AKSARBEN. 11

12 If for some reason an animal cannot attend the Show, the exhibitor may substitute another one of their DNA nominated projects in it s place. For Breeding Beef and Dairy, birthdates, tattoos and registration numbers must be included. For Horses, Class Number, Class Letter and Class Names and horse s name must be completed. Entry quotas can be found in the premium book. Showmanship: Exhibitors will pick up a Showmanship form at the Livestock Office upon arrival to the Stock Show. It must be completed and turned in to the check-in crew when animals are checked in for the Show. There will be no place on the Entry Form for Showmanship entries. Broilers: Exhibitors need to indicate the number of pens they plan to exhibit. Entry fees were paid when birds were ordered. This is just to help us make sure we have adequate numbers of pens to accommodate the entries. Horses: Exhibitors may reserve stalls or can show out of their trailers. Exhibitors must pay a Grounds Fee of $10 per horse. Stall fee rental is $25.00 per stall. If exhibitors reserve a stall, the Grounds Fee is included in the $25.00 fee. Exhibitors must also indicate what day they plan to arrive so that stalling arrangements can be worked out. Exhibitors may enter as many classes as they wish but may only be entered in a particular class once. Market Swine: Exhibitors must list their Pork Quality Assurance (PQA) number and their Premise ID Number on the entry form. (This is mandatory) Premier Exhibitor: This contest is optional but must be completed on the Entry Form with a check mark for the species they are competing in. Parking Permits: Permits are optional. A four day Vehicle Permit ($24.00) and a Trailer Parking Permit ($7.00) are available. Permit payments must accompany the Entry Form. The permits will not be sent out and must be picked up at the Vermeer Livestock Office Trailer upon arrival. Blocking Chute Permit: Blocking Chute permits can be ordered for $35.00 each. They can be picked up at the Vermeer Livestock Office Trailer upon arrival. Permits may be sold out before opening day of the show. Tie Out Stalls: Available for Beef entries, one tie out per animal at $10.00 each. Each exhibitor and a parent/guardian must sign and date the Entry Form in blue ink. Fees are listed on the Entry Form as well as in the Premium Book for each item. 12

13 Calculate the total in the Grand Total of Fees box and write a check to the County Extension for the total amount due. Have the family leave the original Entry Form at the Extension Office. Office staff should make a copy of each Entry Form and then send the original Entry Forms to the AKSARBEN Office after the entry information for each exhibitor has been entered on line. This will prevent unnecessary calls to County Offices on the weekend of the Show! ON LINE ENTRY PROCESS Go to Use the same Username and Password as used for validation login. In order to begin, all validations must be marked yes. The program will not allow you to start in the Entry screens until this is done. You should either see your DNA validation screen or an Exhibitor List. If the Exhibitor List does not come up, type your name in the Validated by box in the upper left hand corner and click on Proceed to Entry. This should get you to the Exhibitor List. The Exhibitor list will include all members from your county that have previously participated in the Stock Show. If past exhibitors are listed that are not participating in the current year s Show, you can suspend them by clicking the box in front of their name. You may retrieve a member from the Suspend list by clicking the box that says Show Suspended Exhibitors. Review your exhibitor list to see how many exhibitors are already in the database. Click on each one and check to be sure their contact information is correct. To add exhibitors click on the Add Exhibitor tab which will bring up a page where you can add the exhibitor s name and contact information from the Entry Form. You must enter an address or the program will not process the person you are trying to enter. When all information is entered for a new exhibitor click the add Exhibitor box to save it. 13

14 Once you have all of your exhibitors on the list you are ready to enter animals. Select the first exhibitor and click on the ADD tab in the far right column for that exhibitor and their contact information will come up. Click on the Add Entry tab. The exhibitor s information will be at the top. For species, click on the arrow and select the species. The page should populate with all of the animals of that species that are nominated from your county. Select the ID number you are looking for and it will make the entry. Repeat this process for every animal you enter. Next, go to General Information to enter Parking and Trailer Permits, Blocking Chutes, Tie Outs, Horse Stalls, etc. Once entered, a Summary will appear for you to review. If everything is correct and the fees total is the same as on the written Entry Form you may go to the next exhibitor. Follow the same procedure for each exhibitor. 14

15 Upon completion of all of exhibitor entries: Print a Summary page for your County. Send a copy of the Summary page, original Entry forms (with signatures), fee payment and any forms for optional contests such as Premier Exhibitor, Fitting Challenge, etc. to the AKSARBEN Office Keep a copy of each Entry Form for your reference in case of questions at Check-in time. Congratulations! You have finished the online entries for your County. Thank you for assisting AKSARBEN with the entry process. We appreciate the effort that each County Office makes to assist exhibitors in entering the AKSARBEN 4-H Stock Show. 16 ADDITIONAL CONTESTS FOR EXHIBITORS Additional information on all contests can be found in the AKSARBEN Stock Show Premium Book CONTESTS FOR INDIVIDUALS Premier Exhibitor The Premier Exhibitor program provides an opportunity for 4-H exhibitors to demonstrate their project production and management knowledge, strengthen decision making and communication skills, and recognize excellence in the demonstration of project knowledge. A Premier Exhibitor will be selected in the following divisions: Dairy, Horse, Beef, Market Lamb, Meat Goat and Market Swine. Each exhibitor will be judged on four areas that will cover the particular species they have entered in. These areas are: Interview- scenario questions will be posed by a panel of judges Skillathon Station- species specific production and management tasks Production- Management Quiz- written exam Live Placing- highest ribbon received in showmanship contest Deadline for entry: Entries must be received at same time as AKSARBEN entries Carcass Contest Carcass contests are available to exhibitors of market animals at the AKSARBEN 4-H Stock Show. Exhibitors can earn awards and premium money based on the results. All champions are automatically entered in the carcass contests as they must be harvested after the Show. Market beef exhibitors must sign up to compete in the carcass contest. Market swine, Market Lambs and Meat Goats are automatically entered in the carcass contests. Check-in weights and Ultrasound information gathered at the check-in are entered into predetermined formulas by Dr. Dennis Burson, Meats Specialist at the University of Nebraska at Lincoln, to rank the entries on their carcass merit. Deadline for entry: Market Beef entries must be completed by 10:00 a.m. on Sunday at the Show. Other market species are automatically entered in the carcass contest. Public Speaking Contest Participants in the Public Speaking Contest are divided by age: Junior Division (age 10-13) and Senior Division (ages 14-19). There is a $5 entry fee to participate. Each speech must contain an introduction, a body and a conclusion. The time limit for Juniors is 3-5 minutes. For Seniors the time limit is 5-8 minutes. Speeches must include 4-H or Agriculture as the major component of the speech. Deadline for entry: 2nd week of August (check online for official date yearly) 16

17 ADDITIONAL CONTESTS FOR EXHIBITORS Additional information on all contests can be found in the AKSARBEN Stock Show Premium Book CONTESTS FOR TEAMS AKSARBEN 4-H Livestock Quiz Bowl Contest The Livestock Quiz Bowl provides an opportunity for 4-H exhibitors to partake in an event that will stimulate learning and reward 4-H members for knowledge gained in a subject matter area, while developing teamwork, self-confidence and decision-making skills in a competitive setting where attitudes of friendliness and fairness prevail. Each state in the U. S. is invited to enter any number of teams, of up to 4 contestants per team. The age requirements are the same as the AKSARBEN 4-H Stock Show: individuals must have reached their 10th birthday but not their 19th birthday by January 1 of the contest year. Deadline for entry: September 1 AKSARBEN 4-H Livestock Judging Contest Individual contests are held for Senior College, Junior College Sophomores, Junior College Freshmen and 4-H members. Each state may send up to three 4-H teams. The determination for which 4-H teams in a state are eligible to attend is determined by each state s 4-H program. Deadline for entry: First Friday in September Honor Show Chow Fitting Challenge This contest, sponsored by Purina Animal Nutrition, is a team competition where a County may enter a primary team and an alternate team. Total number of teams entered will determine if alternate teams will compete. A team consists of three members from the county in which one member of the team is 13 years of age or younger OR one team member is of the opposite gender. Deadline for entry: Entries must be received at the same time as AKSARBEN entries Robotics The robotics contest is an event where CEENBoT, LEGO Mindstorms, or other types of robots work on the same mission. Individuals in grades 6-12 are eligible to participate in teams of three (3) to six (6) members. Each team may use up to three (3) robots in the competition. 22 Appendix 3 - Waiver and Hold Harmless Agreement 2015 AKSARBEN Stock Show Market Animal MEMBER Waiver and Hold Harmless Agreement I,, being a 4H exhibitor in the 2015 (state) 4-H Program, am unable to be present during the Market Animal Verification Process and at the time hair samples will be collected for identification purposes. I hereby authorize the verification staff to complete the verification process for my animal(s).
