2 1. Location & Directions The event is centred on a single Assembly area, which also serves as the Campsite, 5 km North of the market town of Helmsley in the North York Moors. The map on page 3 shows the arrival route. Helmsley is on the A170 which runs from Thirsk to Scarborough. This is shown as A on the map. Caravans are prohibited on Sutton Bank (west of Helmsley on the A170), if arriving from the west (from the A1 or A19), follow the highway signs for Caravan route avoiding Sutton Bank. ONLY APPROACH ASSEMBLY FROM HELMSLEY, AS SHOWN ON MAP Signs directing drivers to the Assembly field will start in Helmsley, at the corner of Canons Garth Lane and Carlton Lane, nearest postcode YO62 5AQ. A on the map. From this crossroads, the signs will direct drivers onto Baxton s Sprunt, past the Open Air Swimming Pool, for approximately 5 km; it is a mostly single-track road, with very few passing places and soft verges. Game birds roam free on the road, please take care and drive slowly. Baxton s Sprunt has a relatively steep section (approx. 200 m) within the first kilometre. 4 2. Campsite, Arrival Times & Information ARRIVALS: Friday 25 th August: Earliest arrival 16:00. Saturday 26 th August: Earliest arrival 08:00. Arrivals after 13:00, please report to Enquiries in the marquee. No arrivals between 15:30 and 16:00 (one-way traffic N to S for Sprint event in Helmsley) Quiz sheet can be purchased at campsite entry ( 2) ACCESS: The campsite is accessed by the route shown on the map on page 3, in the Assembly field. Helpers will direct you to either the camping area. Camper vans will be parked close to the field perimeter in the event of severe weather but owners may park at other locations at their own risk. Pre-registered campers and those registered as helpers will be issued with a window sticker on first entry to event field. DAY PARKING ( 1 per vehicle): for non-campers, will be provided in the Assembly field for all events except Sprint. Please follow the marshalls instructions for optimised parking. CAMPSITE CHARGE (on day): 6.00 per pitch (large family tent+vehicle or equivalent area) and 2.50 per person per night. REGISTRATION: Registration will be open in the Marquee at the following times: Friday 25 th 16:00-19:30 Saturday 26 th 09:00-12:00 16:00-18:00 Sunday 27 th 09:00-12:00 16:00-18:00 PRE-ENTRY AMENDMENTS: go to Registration in marquee on arrival ( 2 charge). TEAM RACE PRE-ENTRIES: teams pre-entered for the team race need to come to the registration desk in the marquee before 18:00 on Sunday 27 th to register and declare their running team. 5 Dibber hire per event: Senior ( 1), Junior (50p). Lost dibbers will incur a 30 charge. LAYOUT: A map of the campsite layout is below. Please respect the area defined by the helpers, to allow safe access for Day Arrivals without endangering any campers. DOGS: Allowed in the assembly field and camping areas, but must be kept on a lead at all times. Please exercise dogs away from the Campsite area, in the East of the field, and pick up any dog waste. FIRST AID: Professional first aiders, equipped with an AED, will be present at the event on Saturday and Sunday. Club first aiders will be available at the event at all times. Please go to the Marquee for First Aid assistance. N Marquee & Trader area (see right) Camping Vehicle entry/exit gate Day parking Helmsley 5 km AMENITIES: Marquee: Information, Registration, SI Download, to be used as a shelter in case of extreme weather Food: O-Nosh will be on site to serve hungry orienteers from Friday evening until Monday lunchtime. Water: there will be drinking water, available from a bowser on the Assembly field. There will not be a supply of non-drinking water so please use the supply sparingly. Toilets: Portable toilets and a urinal will be provided in the Assembly field only. Page 5 of 15
6 Chemical toilet waste container: will be provided in the Assembly field. Waste skip: will be present in the Assembly field. This will need to contain all waste for the 4 days of the Event, and will be sent to landfill. PLEASE AIM TO MINIMISE WASTE by bringing re-usable cups, crockery and cutlery, and taking anything you can recycle back home with you when you leave. Traders: Ultrasport will be on site Saturday 26 th and Sunday 27 th. 3. Safety Information Competitors take part in this event at their own risk and are responsible for being aware of the following risks and taking action accordingly. This list covers event risks and campsite risks. E-coli 0157 may be found where farm animals have been grazing, such as the Assembly field and Campsite. It is recommended that you wash your hands thoroughly before eating. Anthills are common in the areas used for all forest events (including White course) and near the assembly field. If undisturbed, these pose very little risk of harm. However, if you fall onto them, or if they are disturbed, there is a risk of being severely bitten, which in some people can lead to harm. Ticks are also common in the area. Check carefully after each run, and remove any as soon as spotted, making sure to remove the whole tick including the head. Lyme disease does occur in the area. If you develop a rash at the site of a tick bite, you are advised to seek medical attention. Leaflets available at Information in Marquee. Snakes Do not interfere with or irritate snakes; if bitten, attract help from another competitor and return immediately but slowly (particularly if weather very hot) to assembly and request First Aid assistance. Plastic tapes marking authorised motorbike tracks are present in the race areas. Please do not cause deliberate damage to these and be aware when running. Fires Campfires are prohibited anywhere on the Campsite and Assembly field. Gas camping cookers and contained barbeques are allowed, but please be extremely careful to extinguish all embers thoroughly. Traffic vs Pedestrians: There will be traffic at all times on the Assembly field (day arrivals and departures, toilet servicing), and on the Campsite (campers driving in and out). Drivers please drive slowly, and pedestrians be aware of cars and bicycles at all times. The sprint event is in Helmsley and competitors on courses that cross roads need to be vigilant for traffic and pedestrians during their run. Page 6 of 15
7 Farm equipment may be present at the perimeter of the Assembly field, and in the areas outside of the field. Generator situated at the back of the marquee. It will be taped off, please stay away from the generator. Derelict fire tower close to south east outside corner of assembly field. This will be taped off. Please warn children not to enter or play near this area. FIRST AID: Professional first aiders, equipped with an AED, will be present at the Middle and Classic events on Saturday and Sunday. Club first aiders will be available at the event at all times. Please go to the Marquee for First Aid assistance. 4. Schedule of events Quiz: sheet can be purchased on field entry ( 2) or from Inquiries in Marquee. Photo O: Over the weekend there will be a Photo-O competition based in the marquee. Entry forms can be purchased from the Information Desk for 1, profits going to charity. Answers should be returned to the Information Desk by 12 noon on Sunday. The competition will be available to enter from Friday afternoon until Sunday lunchtime. The solutions will be displayed as soon as possible on Sunday afternoon, and the winners announced at prize giving (approximately 16:30). Friday 25 th Night Score (level D). Please do not cause deliberate damage to these and be aware when running. 5. Night Score The Night Score Event will be held in Ashdale, which is adjacent to the campsite and assembly field. Contrary to how it may sound, the area is a mainly flat forested area with numerous rides and tracks. It will be fast. The blocks of forest have been widely thinned in recent years but the large machinery has flattened the brashings, making the thinning lanes very runnable. The brashings will be very slippery if wet and care needs to be taken. All cultivated fields are marked out of bounds. For Juniors there are many easy controls on ride junctions. Shadowing juniors is permitted for this event. Page 8 of 15
9 The start is on the east side of the event field. This event is a 30 minute Score Event. There will be a call up at 20:45 for all competitors and a 21:00 mass start. This allows 15 minutes to check dibbers and distribute the maps. There is no need to punch at the start, only at the finish. All the controls are worth 10 points each and there are 30 controls. A late finisher will be deducted 5 points for every minute or part minute late. If the late finisher is more than 15 minutes late then they lose all their points. A hooter will sound at 21:30 to indicate that the 30 minutes are up, just in case someone has forgotten what time it is. The finish will be in the camping and assembly field, not far from the start. Download will be at the finish for the ease of the competitors. It is important that you do download so that we are not looking for you all night. There will be crossing points marked on the edge of the camping and assembly field but these are NOT compulsory for the night event. White and yellow courses will have colour-coded smiley face signs on the correct route. White and Yellow course maps will be on display in the marquee. Taped routes will be taped with red and white tape on all courses. A dangerous crag will be taped with yellow and black tape. Middle Page 9 of 15
10 1 km to start, finish in assembly field. Please download as soon as you reach assembly. All on paths or forest road with little climb. Safety: Ticks, Anthills, Tapes. Terrain: the area near the start is pine plantation with lots of motor bike tracks. Unfortunately this area has been thinned in the last few months so many of the paths are now indistinct and the brashings make the forest slow. The courses have been replanned to give more path options or to avoid the area entirely in the case of the shorter courses. Then all the technical courses use the contour detail along the top edge of a very steep scarp. This is runnable open terrain having recently been felled but without the usual rootstocks and branches lying around. Some of the technical detail is in runnable forest. Towards the finish the courses use runnable forest with many rides. Classic (long) 1.8km to start, 0.7km finish to assembly. Please download as soon as you reach assembly. All on paths or forest road with little climb. Bags (and bikes) can be left at the finish at your own risk. Drinks point on the courses and at finish. Safety: Ticks, Anthills, Tapes. There is one crag on longer courses that has been taped (yellow & black). White/M10B/W10B courses use a taped (red & white) route to link two paths. Terrain: the area near the start is pine plantation with lots and lots of motor bike tracks. The undergrowth is bilberry and the bike paths wiggle so it will be faster for anyone ranked in say the top 500 to go straight. Others may wish to link sections of path together but they can be rather confusing. The technical courses with the exception of Very Short Green visit a delightful area of near wilderness with naturally regenerated forest and semi-open. Towards the finish, courses have controls in runnable forest on and around a large spur. The shorter courses may use a section of forest road to avoid a ravine. They will have used this road to reach the start. The White and Yellow courses follow this road all the way to the finish and will have seen their last few controls on the way to the start. Please do not distract competitors when you are on the way to start and keep left. Middle and Classic map notes 1:10,000 by Paul Taylor 2017 with late updates of the motor bike paths which keep appearing! Green dots are small but distinctive evergreen trees beneath the main canopy. Green crosses are large dead trees with the tops sawn off in a slow run plantation (X on control description). Some dot knolls are large (1m+) anthills, fantastic things made of millions pine needles and teeming with millions of ants. The slow undergrowth screen has been used for brashings near to the middle distance start. Elsewhere it's bracken... only small patches! Areas mapped as slow run are generally devoid of undergrowth and pleasant to run through. Paul has used the recently approved IOC 2017 specifications and there will be a legend on the maps and on display at enquiries. 7. Trail-O Venue: immediately to west of assembly field 200m along forest road to start. Registration: in marquee. Pre-entries go straight to start. No start times allocated. Start Times: 11am to 2pm. Dibber needed to record time taken. Course: 1km with 12 controls. Time limit 70 minutes. 30m climb. Late Penalty: 1 point per 5 minutes (or part late) Page 10 of 15
11 Map: 1:5000, 2.5m contours by Peter & Christine Roberts Time Controls: 2 at the end of the course. Shadowing: Shadowed competitors will be non-competitive. At the start you will be given a special control card which is folded over so that the needle punch goes through both layers. At the finish you take the duplicate part so you have a record of the punched marks. Take care to punch in the intended box. Two punch marks on a row = incorrect/no points. Please refrain from talking on the course and do not leave the gravel track nor cross the red and white tape. You are not allowed to go up to the kites however you can take the controls in any order and walk up and down the road for a better view. You must stand at the viewpoint to determine kite A, kite B etc. The pin punch is adjacent to the view point. To be a Z answer (none correct) the flag must be on a different feature, the wrong side of a feature or a significant distance from the centre of the circle. 8. Urban Sprint The sprint will be held in Helmsley on an urban map, scale 1:4000 apart from courses D & E which will be 1:2500. Parking is on the north side of Helmsley at the outdoor swimming pool on the road called Baxtons Lane, YO62 5HT (see map p3). If the car park becomes full then the overflow will be to drive south around the grave yard onto Carlton Lane. This is a residential area so please park with consideration. Then walk back to the sprint start/finish by retracing your steps along the road, the way you drove there. Please do not take any short cuts from Carlton Rd because this is the competition area. We have use of a room in the sports club pavilion for changing. The pavilion bar will be open. Toilets are in the adjacent bowls club building. The swimming pool will be open and operates by paying for a session. There is one session from pm, another pm and another pm. There is a cricket match the same day as the sprint but the courses are planned to avoid encroaching on the cricket pitch and the pitch is marked as out of bounds. 12 Course E. There are no road crossings on this course. Course D. There are 2 manned/mandatory crossings on this course which will be timed out (30s). The BOF classes are separated as below: YOUNG JUNIOR MEN M10/12 YOUNG JUNIOR WOMEN W10/12 JUNIOR MEN M14/16 JUNIOR WOMEN W14/16 SENIOR MEN M18/20/21/35 SENIOR WOMEN W18/20/21/35 VETERAN MEN M40/45/50 VETERAN WOMEN W40/45/50 SUPER VETERAN MEN M55/60 SUPER VETERAN WOMEN W55/60 ULTRA VETERAN MEN M65+ ULTRA VETERAN WOMEN W75+ On all courses please take the usual precautions of avoiding collisions with the public and traffic. Please go slow around blind corners and be careful when crossing roads. Helmsley is always busy on a weekend and particularly on a bank holiday weekend. Start times are from 4pm to 5pm. There are no start times allocated, so some queues may form, please be patient. We can start at 30s intervals if the need arises. Don t forget the urban event rules of no crossing dark green lines or thick black lines representing hedges and walls respectively. Even if you find it is possible, if there is no gap in the feature marked on the map, then you cannot cross it. Also the olive green for residential and other properties needs to be respected as out of bounds. Download will be adjacent to the parking, please don t forget to download before leaving, or going for a swim. 9. Team Event Teams pre-entered for the team race must come to the registration desk in the marquee before 18:00 on Sunday 27 th to declare their running team. Team members do not need to all be in the same club. This event will start and finish in the East part of the Assembly field within 500 m of the Marquee. Page 12 of 15
13 Call up for the D courses will be at 09:45. Please be punctual! The D option will consist of 3 yellow courses with a mass start at 10:00. This year courses D1 and D2 are of similar length while D3 is shorter (see table below). You will have to declare in advance which member of your team is doing which course. There will be no final course to be run on the D option. Call up for the A/B/C courses will be at approximately 09:50. Please be punctual! The A/B/C options will have the same format as the last two years. Each team will consist of 3 people and there will be 4 courses to complete: long, middle, short and final. You will have to declare in advance which member of your team is doing the long, middle and short course. Runners will be separated into groups according to the length of their course (Long, Medium or Short). Maps will be issued rolled up and can be opened 1 minute before the start time. This will be announced. Each group will pass through a dibber and map check. Please ensure that you dib a check box before proceeding further. There will be a 5 minute warning before the start. Everyone will set off together in a mass start 5-10 mins after the D Courses start. There will be a 5 minute warning. Terrain: the area used is a fairly flat plateau with varying degrees of afforestation, mostly of typical plantation though there are some open blocks and some broadleaf sections. The area has been widely thinned in recent years and there are some brashings but also some wide rides produced by the machinery most of which are quite runnable. At the end of your course you will punch the finish as usual; if you are the first person in your team to finish, you will swap your dibber for a bag containing a new dibber and the Page 13 of 15
14 final course map which will be very short. Once everyone has finished and downloaded, the winning team will be the one with the lowest total time taken for the 4 courses. Note that the last time for entry is Sunday 18:00. You will also need to declare which members of your teams are doing the short/middle/long courses by 18:00 Sunday. 15 10. Mountain Bike score event For further information see: Things to do near Helmsley Helmsley is a beautiful Yorkshire market town, and is likely to be busy on the Bank Holiday weekend. There are many restaurants and delicatessens, and a renowned ice-cream parlour (Ryeburn s ice cream, near the Long Stay car park on Cleveland Way). Helmsley has the area s only open-air heated swimming pool, situated at the very start of Baxton s Sprunt (see arrival route to Assmebly). The pool is open every day (weather permitting) from 11:15 to 19:00. Next to the swimming pool is a children s playground.
