1 Sailwave Scoring Instructions for Thursday Night Races 2017 The follow are the scoring instructions for the Thursday night racing series. Open the Sailwave scoring software from the icon on the desktop and follow the instructions below. The last race should automatically be loaded when the software comes up but if not, from the menu open the series score file located: C:\JYCRacing\ThursdayNightSeries\2017\spring\ spring2017.blw - for spring series, or C:\JYCRacing\ThursdayNightSeries\2017\summer\ summer2017.blw - for summer series Summary of Steps to Score a Race: 1) Sort Table 2) Set Start Times and Distance for Each Fleet 3) Add New Boats 4) Enter Finish Times 5) Set 10 Second Penalty 6) Score Race, Sort and Print Race Results 7) Review Printed results 8) Award Glasses 9) Publishing Series Results for the Website 10) Using Filezilla to upload the Results to the Website 1
2 1) Sort Table Note: This skill is fundamental to using Sailwave. Sort table by clicking on the desired column heading, i.e. Fleet. Click once to sort by ascending and again by descending. The first or Primary sort should be by Fleet and the Secondary sort should be by Series Points. Series Points should be sorted by descending order. In order to have a secondary sort, hold down the cntrl key and click on the column heading you want for the Secondary sort, i.e. Series Points. Reverse the order of the Secondary sort by clicking the column heading a second time while continuing to hold down the cntrl key. Note that just clicking on any column title (without holding down ctrl key) sorts by that column and clears any prior sort. 2
3 2) Enter Start Times and Distance for Each Fleet The Sail num wizard is used to edit race info for each fleet in a given week's race. a) Click the Sail Num wizard button from the menu bar (4 th menu row from top, to the left of Score series button). b) Set the race number by clicking the up/down arrows next to Race number, then click the Edit race button (see screen shot below). c) Check that the Date is correct. If not, click the Edit Race button to change the date, then clock OK. (Note: Make sure you pick the correct race. If there was no race the week before, do not score in the prior weeks s column. Week 6 is R6 even if week5/r5 was abandoned.) 3
4 1. Click once on a Fleet from the list, then click the Edit icon to the right of the fleet list. 2. Set Start Time, Distance, Course, and Wind for each fleet. Enter Start Time as HH:MM:SS, i.e. 18:20:00 The Fleet, Start Time, and Distance are critical to accurate scoring for a race. Course and Wind are informational only, but they do print on the results so it is best to include them and make as accurate as possible. Ensure the box above Start Time, 'Finishes will be recorded as' is set to Finish time (it should already have this value). 3. Click OK. 4. Repeat above steps for each fleet until all fleets have been updated with correct Start Time, Distance, Course, and Wind. Close any windows that opened, except the main fleet list window. Now that the fleet details have been entered, you are ready to enter finish times for the race. 4
5 3) Add New Boats This step is only required if a boat competed in a race that is not already in the competitor list. A boat should not need to be added more than once in a season. Check the table to ensure the boat is not already entered. a) Click the New Competitor (or Cntrl-N) button on the far left of menu bar (do not use the New Like button). b) Double-click anywhere on this new blank line and a pop-up window will appear, see screen shot below. c) Enter the following info on the Entry tab: Sail number Boat name Skipper (Last name, first) Fleet (use drop-down for this) Rating, in PHRF box d) Click OK. e) Repeat for as many boats as necessary. 5
6 4) Enter Finish Times The Sail num wizard is used to enter finish times for all boats. a) Click the Sail Num wizard Button from the toolbar (to the left of Score series). b) Set the Race number to appropriate week's race. c) Click Next at bottom right of window. d) Enter a boat's Sail Number in the SailNo field, click once on the boat name, then click on Next at the bottom of the window. (Note: Enter the sail number until you have a unique number, click on the boat name, i.e. Vida Zee in the example below, then click Next. If there is more than 1 boat at any point, it will show those boats meet the sail number entered up to that point. You can either continue to add numbers, or click on the boat you wish to enter) The system will now show the boat and is ready for entering the finish time. 6
7 a) Enter the finish time as 6 digits with no punctuation, ######. See screen shot below. Enter two digits for hour, two digits for minute and two for second, i.e Note: always use the 24 hour format for the hour, i.e. 7:25 PM is , not You DO NOT need to use any spaces, colons, periods or punctuation. Just enter the 6 digits. The software knows what you mean. The only thing you need to make sure of is that the numbers entered are correct. b) Click on Finish at bottom of window after keying a boat's finish time. c) Enter the next boat's Sail number, repeat the process above until all boats finish times have been entered. d) After entering all finish times, close the Sail num wizard window (click the 'x' box in the upper right corner of the window). If a sail number is not found, go to Add New Boats section of the instructions. Ignore DNS, DNFs, RAF, DSQ, and RC for now. Those will be set in a later step, after entering all finish times. 7
8 5) Set Penalties Once you have entered all the finish times, you are ready to enter penalties. The prior week s first place boat in each PHRF fleet is to receive a 20 second per mile penalty. Yes, you ll need the results for the previous week. Does not apply to J105. Does not apply for first race in series, or the week after abandoned races. There is a copy of last weeks results on the RC table. You can also go to the web site and view the weekly results there. Finally, you can also find them in SailWave: Sort first by fleet then by prior week s race column. 1. Launch the Results window below by double-clicking on the cell with the finish time of the boat to receive the penalty (in the column of the race being scored). For example, double-click in the cell for finish time of Shenanigan in column R1. Note the 3 tabs within the window below: Result, Rating, and Audit. 2. Click on the Rating tab. 3. Enter the penalty rating in the Race rating box in the bottom of the window. Penalty rating is regular rating minus 20 seconds if the boat won the previous week. In the example below, the default for Shenanigan is 180. One would enter 160 as the Race rating if Shenanigan was the previous week s winner. 4. Enter penalties for all appropriate boats from the prior week. 8
9 Other finish types: To enter other finished types: 1. Open the Results window, as before, by double-clicking in the cell of the boat in the column of the race, which is to receive the special finish type 2. Click on the Result tab, Click the radio button for Code, click the Code drop-down and select the appropriate code value. Code Drop down for finish types, DNC, DNS, DNF, DSQ, RC, RAF, etc. RC: Regatta Committee. Enter for your boat to get the average for the series. DNF: Did not finish. Retired or time ran out in a valid fleet race. DNS: Did not start. Checked in but did not cross the start line. DSQ: Disqualified (only if result from protest committee) RAF: Retired after finish. Person had a time, but figured out they fouled someone or ran the wrong course etc. 9
10 6) Score Race, Sort and Print Race Results Score Race: At this point you should have completed entering all the details about the fleets and the boats for the race. It is time to score the race and review the results. Click the Score series button from the toolbar (to the right of Sail num wizard). This will launch a new window, click Score Series button once at bottom of window. The race is now scored. Close the Score series window if it does not close automatically. Sort the table by Fleet first and then Race (i.e. R1) descending: click once on Fleet, then ctrl-click on race column (R1 or R2 or R6, the current race being scored) then Ctrl-click on race column again to sort descending. Now print the results Print Results: To print the results for the race just scored, you first have to Publish them. a) Click Publish from the top menu line, then select Results from the drop-down list that appears. b) Uncheck to turn off Publish a series summary table in the left column of the window. c) Make sure to check Publish individual race tables in middle column of window. d) Click Just these races e) Enter race number underneath Just these races i.e. enter 1, 2, 3, or 4...etc.). f) Click on the All button to the right to the list of fleets g) Click on Next at the bottom of the window. See screen shot below for example of how window should look before hitting Next. 10
11 After hitting Next, another window will appear, see screen shot below. Set Style = Left align using drop-down. Set Destination = A file on my computer using drop-down. Set file name as <Series_R#}, i.e. Spring_R2 for example: C:\JYCRacing\ThursdayNightSeries\2017\spring\Spring_R2.html Click Publish at bottom of window. 11
12 7) Review Printed results The published results are located on the system in C:\JYCRacing\ThursdayNightSeries\2017\Spring\ (for spring series) and C:\JYCRacing\ThursdayNightSeries\2017\Summer\ (for summer series). They can be viewed using Windows Explorer or Fire Fox prior to printing a hardcopy. To Print race results: a) Launch Fire Fox using shortcut on desktop b) Double-click on file name saved in step #6 above, i.e. Spring_R2. This will launch Firefox and display the race results. It should look like the example on the next page. c) Review the results to ensure they look reasonable. a. Are corrected times in ascending order? b. Are penalties included in the ratings? c. Are places consistent with memory of finished observed out on the RC boat? d) Click on button on far upper left of menu in Firefox, to the right of the smiley face or just type cntrl-p. e) The print-window will appear allow the page to be printed Proof the results against Timesheet. Correct any errors, re-score and re-publish if needed. If the published results are good, print two paper copies. One stays in room and one you can take upstairs for the awards announcements. 12
13 8) Award Glasses Glasses are in the office. Keep tone positive, friendly and upbeat. Avoid lecturing the fleet. 1, 2 & 3 place glass for 5 or more starters in fleet 1 & 2 place glasses only for 4 starters in fleet 1 place glass only for 3 or less starters in fleet (Note this may change) 13

15 9) Publishing Series Results for the Website Publishing the Series results for the website is similar to publishing just a single night s race, only different options are selected when the publishing. a) First, make sure the results are sorted with Fleet being the first sort (select the column) and Series Points being the second sort (again, a second sort is done by holding down the cntrl key while selecting the column). Click the Series Points column for the second sort twice so it is in descending order, i.e. high to low. b) Click Publish from the top menu line, then select Results from the drop-down list that appears. c) Check on Publish a series summary table and the Publish individual race tables. d) In the Publish a series summary and Individual race tables, Check All sailed races underneath both headings. e) Click on Next at the bottom of the window. f) After hitting Next, another window will appear, see screen shot below. 15
16 a) Set Style = Left align using drop-down. b) Set Destination = A file on my computer using drop-down. c) Set file name = C:\JYCRacing\ThursdayNightSeries\2017\spring\Spring.html (or Summer as appropriate, DO NOT include a race number, i.e. R2 in the file name this time. This is the series results and NOT just for tonight s race.) d) Click Publish at bottom of window. 16
17 10) Using Filezilla to Publish the Results to the Website a) Open Filezilla from the icon on the desktop. b) Select the computer icon in the upper left corner and choose jycracing from the drop-down menu. NOTE: The left side of the window is the local computer file system and the right side is the jycracing.org remote site. c) In the right-hand side navigate Remote site to jycracing.org/results/this_year/thursday as follows: 1. Expand jycracing.org (click on the + to the left of jycracing.org) 2. Scroll down to folder named results, expand 3. Scroll down to folder named this_year, expand 4. Click once on folder named Thursday 5. Drag file name (C:\JYCRacing\ThursdayNightSeries\2017\spring\Spring.html) from left side of pane to Thursday folder on right side 6. Window will appear saying 'target file already exists'. Check 'overwrite' and 'always use this action', then click OK. 7. At this point the website should be updated with the latest series results. d) Exit Filezilla CONGRATULATIONS!!! You have now successfully scored the race! Have a beer, you deserve it! 17
