This document clearly states the responsibilities of each member of the Adult Leader team. 2. Adult Leader Team members are briefed on Inspire s Child Protection Policy before the trip commences. 3. Roles of the participants and each member of the Adult Leader Team are clearly set out during in-country orientation. It is made clear to Participants who to approach with specific issues or problems and which members of the Adult Leader Team have seniority and a higher duty of responsibility. 4. Roles are clearly identified each morning before activities commence by the Inspire Leader (Participants and Leaders). These roles are reviewed in the Adult Leader Team meeting every evening including updates of medical issues, risk assessments and any other relevant feedback. Low 1. Each participant is required to complete a full medical declaration before they are accepted onto the trip. 2. Any medical issues which could impact on the participants safety on the trip are vetted by Inspire s Medical Consultant (a qualified medical professional with extensive experience working in the expedition sector) before the participant is given the all clear. 3. All Inspire staff and Responsible Adults in the team are briefed in advance on any specific medical, health or dietary needs within the group and potential impact on plans or itinerary. Written specifications are also provided. Low 1. One full day of pre-departure training is provided for all participants taking part in the trip. This day covers topics specifically related to their trip on: health and safety, risks, hygiene, cultural awareness, responsible travel, kit and equipment, medical issues, vaccinations.

A detailed Trip Information Pack is given to all participants containing written details of the trip itinerary, safety and back-up support, leader qualifications and training, project details, accommodation, food, kit list, vaccination requirements, visas, local language, so all participants know what to expect and what is expected of them. 3. A behavioural Code of Conduct is signed and agreed to by all participants & parents of under 18 s. Inspire Leaders to check all personal kit and equipment when on-site before use. Low 1. Inspire Leaders have first aid training for remote situations and successfully pass an Enhanced CRB check. 2. Inspire Leaders have in-country and activity experience relevant to the trip and have been assessed by an Inspire Director as competent and having a full understanding of the range of hazards and risks and can implement the necessary rescue and emergency procedures. 3. Inspire Leaders have experience of working with participants of a similar age and background to the group they are leading. 4. Inspire Leaders have attended a training course run by Inspire Director on Inspire Emergency Procedures, Crisis Management Plans, Risk Assessments and Operational Procedures. 5. Assistant Leaders must have competence to lead group in the event of the Leader becoming incapacitated. Low 1. All Inspire staff and Responsible Adults in the team are briefed in advance on any specific needs or issues within the group. 2. Written specifications summarising participant needs (medical and otherwise) provided to the Leader Team. 3. On School Trips, Inspire Leaders are accompanied by a minimum of 1 school staff member to every 10 students, unless agreed in advance with the client. These staff members have pastoral care and knowledge of the participants in that group. Low 1. The local provision of medical facilities and their quality is assessed by Inspire and location/contact details provided to Leader Team. 2. A casualty evacuation plan is in place for each location visited and provided to Leader Team. 3. Inspire Leaders carry a comprehensive First Aid Kit (content list supplied by Dr Jon Dallimore, Inspire s medical consultant). 4. Inspire Leaders are all remote First Aid qualified. 5. Local medical facilities are checked for access to sterile supplies. If these supplies are inadequate then the Leader team will carry additional sterile supplies. 6. Participants are provided with a list of recommendations for personal medical kit list in their pre-departure information and training.

Inspire Leaders inform Inspire UK if any serious illness or visit to clinic occurs, including diagnoses and further updates on condition of participant. Medium 1. Inspire carries our country level risk assessments and identifies any specific risks of natural disasters related to the trip location. These risks are assessed before the trip is agreed and trip only occurs if risk level is low. Any specific dangers, risks and preventative action/emergency plans are passed to Inspire Leaders and form part of the site specific risk assessment. 2. Foreign Office Advice and local knowledge checked regularly to confirm specific risks or changes to risk level. 3. Advice on specific potential hazards (e.g. earthquake risk) given to each participant during orientation training and emergency plan explained. Low 1. Inspire carry out risk assessments on the environments the group will be working/travelling in and highlight key hazards in the specific trip risk assessment, which is given to all Leaders. 2. All participants to be given training and written information on the appropriate footwear, clothing and equipment for the environments they will be travelling to. 3. Inspire Leaders to check all personal clothing, kit and equipment on-site before allowing participants to take part in any activity. 4. Leaders to halt activity immediately if participants are struggling due to local environmental conditions. 5. Pre-Departure and In-county advice and training given to all participants on the risks associated with the specific environments they will be travelling to. Low 1. Daily weather forecast and local knowledge obtained before starting any activity. 2. All participants have suitable footwear, clothing and equipment. 3. Leaders have planned escape and alternative routes in addition to a Plan B activity. 4. Leaders to halt activity immediately if weather conditions are assessed to be unsafe or inappropriate for the activity. 5. Advice on specific heat/cold issues given to all Leaders and participants and tailored to needs/requirements of specific team members. Low 1. All participants briefed by Inspire Leaders on the specific wildlife risks on arrival in-country and how to act if they encounter specific wildlife. 2. Participants briefed on appropriate behaviour (no loud noises or flash photography)/no red clothing/keeping inside the vehicle when on safari. 3. Participants briefed on storage of kit and equipment to minimise insects/scorpions/spiders and snakes using kit and equipment for shelter. 4. Participants briefed on checking shoes/sleeping bags and other kit for insects/snakes/scorpions/spiders before use.

IW UK carry out Country Risk Assessments for each country visited and confirm acceptable risk levels before trip starts. 4. Whole group to be briefed and aware of risks and precautions and emergency procedures. 5. Inspire produce specific risk assessment and control measures for country of travel and amend risk assessment if situation changes and are ready to amend plans if necessary. 6. Inspire will make an early decision on the advisability of visiting any particular country. Monitor situation and maintain contacts up to departure and until end of trip. 7. Inform clients of any specific risks and precautions, as well as responsibilities (including costs) in the event of this type of activity. 8. Inspire UK have a Contingency Plan in place in the event of any civil unrest. Low 1. Participants and Leader Team briefed on local cultural attitudes, dress-codes and any specific differences during pre-departure training and Leader team must re-brief participants on arrival in-country. 2. Participants are provided with Code of Conduct which they are required to sign before being accepted on the trip, agreeing to behave appropriately and with respect for local culture. This also covers ban on drugs and alcohol. 3. Participants agree if they break this Code of Conduct then they are at risk of being sent home and responsible for covering their costs. Low 1. Participants are briefed on risk of theft and mugging during pre-departure training. 2. Participants requested to not bring or wear any valuable items on the trip and to store personal items discretely when on the trip. 3. Leader team carry out checks of accommodation to ensure luggage and personal items are being stored appropriately and discretely. Injury, illness, Low 1. Local staff must be briefed by the Inspire Leaders on safety guidelines and risk assessments at the beginning of the activity. 2. Participants to be made aware of any specific risks and preventative measures e.g. asking for help from Leader Team if they think they may be at risk of exposure to disease. Theft, sexual assault Low 1. Any guides or local staff employed by Inspire will be recommended by trusted and checked third party providers who meet the requirements set by Inspire in regard to TPP. 2. Local staff must be assessed on the day by Inspire Leaders. Leaders must check for knowledge and experience in the task/role they are carrying out. Leaders must also check that the staff member is physically able to carry out the task i.e. food and drink is provided for the local staff, no sign of drinking or alcohol use. If the Inspire Leader is unhappy the activity will not be continued. 3. Local staff must be briefed by the Inspire Leaders on safety guidelines and risk assessments at the beginning of the activity.

Separate accommodation must be provided for local staff if they are staying overnight. 5. No local staff to be left unsupervised with any participants under the age of 18. Medium 1. Purify or thoroughly boil all water to be drunk by participants (or drink bottled if no other option) and ensure entire team is fully briefed on how to use the purification system set-up. 2. Do not share individual water bottles. 3. Provide water container and soap or dry wash to wash hands before eating and after visiting the toilet. Medium 1. When eating out, kitchen s are visually checked over for cleanliness and quality during recce trips as well as on the spot checks. Local recommendations on good eateries are taken. 2. Food storage is planned in advance. If no cooling facilities are available food is stored in a dry area which is shaded and as cool as possible. Ensure a rotation system for fruit and vegetables is used, so food is regularly checked and turned. 3. Food is purchased from locally recommended suppliers. 4. Participants are advised not to eat street food or food sold at markets unless they can see it being freshly prepared. 5. Participants advised against eating meat from local stalls. 6. No sick participants to prepare food. 7. All participants must wash hands before preparing or eating food. Illness or death Low 1. All participants and Leader team are briefed during pre-departure training on specific local diseases and the risks connected to local diseases. 2. All participants and Leader Team are briefed on preventative measures to avoid contracting local diseases e.g. for Malaria risk using mosquito nets, covering up skin at dusk/dawn, using spray. 3. Participants to be re-briefed on arrival in-country and provided with a clear plan of action if they think they have been exposed to a risk. 4. Participants required to use buddy system to remind them to take malaria tablets. HIV/AIDS Illness Low 1. All participants and Leader team are briefed during pre-departure training on HIV/AIDs risk and how it is contracted/spread. 2. All participants and Leader Team are briefed on preventative measures to avoid contracting or putting themselves at risk. 3. Participants are re-briefed on arrival in-country and provided with a clear plan of action if they think they have been exposed to a risk. 4. Leader team is provided with supply of latex gloves in first aid kit. 5. Inspire Leaders check supplies of post-preventative exposure medication and availability in local clinics during recce week. Water bourne diseases Leptospirosis/ Bilharzia Illness from disease or contaminated water Low 1. Participants are advised to cover cuts, scratches or sores with a waterproof plaster and thoroughly clean cuts or abrasions received during activities. 2. Participants are asked to wear appropriate protective clothing, gloves or protective footwear when working around stagnant water on site. 3. Participants are told not to swim or paddle in lakes, ponds or slow running streams. 4. Participants are advised to wash or shower promptly after coming into contact with stagnant water. 5. Participants are advised on the dangers of Bilharzia and Leptospirosis and symptoms and treatment.

Leader checks over any vehicle before participants get on using the Inspire SOP vehicle policy. 2. Transport not be used if deemed to be unsafe, overloaded or driver in unfit state. No travel at night or in the dark unless in an emergency situation or pre-agreed with Inspire UK. 6. Leaders must carry out full walk around the vehicle and check the following: Tyres- Ensure they have sufficient tread (a few millimetres) and are not damaged. Check at least one spare wheel with a good tyre is available; Seats- Seats should be safely secured and in a condition that will not injure individuals; Driver- The driver should not be drunk, intoxicated or too tired to the best of your knowledge; Check- brakes, lights, windscreen wiper, seatbelts work adequately; The vehicle should only carry the number of passengers that it is designed/insured to carry; 7. Leaders must sit next to driver during journey to speed and safety check. 8. Participants to sit in middle of bus where possible 9. If any section of the journey is deemed to be unsafe journey must be halted and alternative arrangements made. 10. Check local advice prior to travel. 11. No participants to ride on the roof, or stand up in moving vehicles (unless in safari vehicle with pop-up roof travelling at 10 km/h or less). 12. Ensure regular food/drink/breaks are provided for driver. 13. Inspire First Aid Kit must be carried in vehicle with team. 14. When using water transport life-jackets must be worn by all team members. Medium 1. No travel at night or in the dark unless in an emergency situation or pre-agreed with Inspire UK. 2. Do not antagonise other road users even if they are in the wrong. Ensure driver also follows this policy. 3. Do not overtake unless necessary and safe to do so. 4. Leader to sit near driver as an extra pair of eyes. Medium 1. Check local weather conditions before undertaking any journey. If weather forecast is extreme or potentially dangerous, due to the road terrain and conditions then do not travel and delay or cancel journey. 2. Be aware of road conditions potholes/corrugating and warn participants if bad section is coming up so they are aware and prepared for bumps. 3. Check vehicle is fit for purpose i.e. does it need to have 4x4. Do not use vehicle or undertake journey if vehicle is not appropriate, an alternative must be found or journey cancelled. 4. Leader to sit near driver as an extra pair of eyes and to monitor speed level and no use of cell phones. 5. If road conditions are considered too dangerous then an alternative method of transport or alternative vehicle must be sought. 6. Ensure driver stays within speed guidelines laid down in Operational Policies: Tarmac Road km/h (50-60mph) Potholed Tarmac Road 70km/h (42mph)

All specialist activities must be provided by trained professionals in this area. 3. Any Third Party Providers must complete and pass Inspire s Third Party providers checklist and have approval from Inspire Directors before they are contracted. Providers of such activities must be able to demonstrate adequate experience, training, insurance, back-up and expertise in an activity before approval will be granted. 4. Plans for rescue and evacuation must be considered before the activity takes place. 5. The activity must be suitable for the participant s competence and fitness; 6. Participants must receive appropriate and adequate training on all safety measures, risks and equipment associated with the activity before the activity commences. 7. The competence and experience of the guides used must be assessed during Third Party Provider checklist as well as on day of activity by the Inspire Leaders. 8. Participants must be accompanied by a Leader who has first aid training for remote situations. 9. The Inspire First Aid kit must be taken on any activity. 10. Communications must allow rescue to be summoned effectively with minimum delay; areas where difficulty of evacuation could be life threatening should not be used. 11. Specific risks of locality (terrain, rivers, wildlife, weather patterns, culture etc) must be carried out and detailed in specific risk assessments for the trip. Injury/death Medium 1. As above but participants must be accompanied by a qualified lifeguard at all times. 2. The risk assessments detailed under water pollution risks must be followed. 3. Life jackets of a good standard and with regular safety checks on quality must be provided. Injury/death Medium 1. Treks are provided by a Third Party Provider who is experienced in the trek location, route and local environment. 2. Local Guides and porters with experience of the route taken and of working with young people must be provided. 3. Any porters must be fairly treated and their welfare monitored during the trek. 4. Participants are accompanied by a Leader who is ML trained and/or has experience of trekking with young people in the location or altitude where the trek is taking place. 5. Specific environment/weather conditions are taken into account, along with the fitness levels of the group and itinerary changes made if necessary, following approval from Inspire UK. 6. An order of descent for Group Staff and Leaders must be agreed in advance. 7. Altitude medication is only recommended to participants as a treatment not as a preventative. 8. Altitude medication is carried by Leaders in the first-aid kit and should only be used by Leaders who are

8 experienced and trained in how and when to administer these drugs in an emergency. 9. A satellite phone is carried when trekking in remote environments where mobile reception is poor. 10. A pulse oximeter should be carried by Leaders and used to check oxygen levels of each participant on a bi-daily basis and whenever else necessary. 11. Evacuation plans must be discussed with the Trek provider in advance and explained to all participants. Rural building work Injury/death Low 1. Involve the volunteers in a pre-project risk assessment so they understand the hazards on a building site and accept that there are potential risks involved. 2. Undertake formal demonstrations of all equipment before allowing volunteers to participate. E.g. using shovels, bending and carrying properly. 3. All volunteers to wear long-length trousers, sturdy hard-toe covered boots (steel toe-capped is advised at training day), hard hats (if working next to or inside building over shoulder height) and gloves. 4. Protective eye goggles to be worn if there is a risk of flying objects. 5. Dust masks need to be worn if there is a risk of airborn toxic debris, i.e. cement dust. 6. First Aid kit to be brought to site every day. 7. Ensure a vehicle is easily and quickly available for clinic runs or emergencies. 8. Volunteers must wear hard hats if working in or on a building over shoulder height. 9. Participants must not use local scaffolding. Personal Time Equipment unsuitable or unsafe Injury/Death/ Missing Person Low 1. During any personal time (e.g. in the evenings after project work has been completed or after the safari/ other activities) all participants under 18 must be supervised by Inspire Leaders. 2. Participants may be permitted to take part in low risk activities during personal time as long as these have been checked and agreed with the Inspire Leader and the Inspire Leader is within 30 minutes access of the participants. 3. If the participants are visiting a local village/town or leaving the accommodation compound then Leaders must ensure all participants have Leader Team contact details and details of the accommodation contact number/map. 4. No U18s to walk around towns/villages without an adult accompanying them unless agreed in advance with the client. Minimum one adult to four participants. 5. If visiting a town/village, participants must be given a full briefing on any no go areas and leader to walk team around the town/village pointing out places of note and orientating the team to where things are. 6. Leaders must ensure that participants are clearly given timings and locations about meeting points before they go. 7. Leaders must ensure participants do not take any valuables with them if walking around town and keep any jewellery to a minimum. 8. Before participants depart for any personal time they must ensure they have told Inspire Leaders and confirmed how long they will be, where going, which adult is accompanying them (if under 18) and that they have contact numbers/maps and know the route back to meeting place/accommodation. 9. Participants should be reminded of appropriate dress and behaviour within the local community i.e. no low cut tops, trousers etc. Injury/death Low 1. All equipment to have been checked by an Inspire Leader with relevant experience in the activity and equipment before activity commences. 2. Inspire Leaders to ensure Third Party Providers check has been completed and is re-checked before any

9 Accommodation equipment is used. 3. Inspire Leaders to ensure any safety checks on equipment are in-date. 4. Participants are clearly briefed and given a demonstration on how to use equipment before use. 5. Participants try out any equipment in a safe environment before activity commences. Accommodation must be assessed in relation to risks of fire and security and specific plans must be made for evacuation in the event of emergency. The group must briefed on the procedure in case of fire or emergency. 2. Leaders to check fire exits are clearly marked and accessible i.e. not blocked or locked. 3. If fire alarms are not installed then a fire alarm system (e.g. whistles or travel smoke alarms) must be agreed on and whole group to be briefed on the procedure. 4. Fire Extinguishers must be clearly pointed out to all participants. If extinguishers are not available, then an alternative method must be provided e.g. buckets of sand/water and participants clearly taught how to use these if necessary. 5. If gas stoves/paraffin lanterns are used, then clear safety briefings must be given and participants must be supervised at all times when using this items. 6. If campfires are used, then clear safety briefings must be given. Only Inspire Leaders with experience of constructing campfires should build and light the fire. All campfires must be completely extinguished before leaving. No campfires lit throughout the night unless supervised. Tents must be pitched away from fire and any sparks/embers that could blow off the campfire. Low 1. Check with accommodation provider that plug sockets can be used. 2. Check any electric points for safety before use. 3. Ensure plug sockets are not overloaded. 4. Check voltage of plugs before use and use correct plugs. Security Theft, Injury Low 1. Ask accommodation manager to do safety briefing where to go/not go - any specific safety issues. 2. Participants warned of dangers of other travellers/theft 3. Participants must have rooms which are lockable, unless agreed in advance with Inspire HQ. 4. All valuables must be stored out of sight or left in a designated safety deposit box. 5. Accommodation must have a day and night guard and a security warning system in place, which all participants are briefed on.

A Contingency Plan is in place in the event of an emergency or serious event occurring and the Leader team is fully briefed by Inspire UK as to what this contingency plan is and when to action it. 6. Inspire UK holds personal details and next of kin contacts for all participants and the Leader team. 7. Inspire Leader Team have personal details for all participants. 8. Repatriation Action Plan is in place and clearly explained to all participants, Adult Leader Team and Inspire Leaders before trip commences. All IW Leaders and Group Leaders should have the relevant emergency numbers (Uk and in-country) programmed into their phone memory. 5. IW Leaders must keep phones on between 4pm and 5pm UK time (unless agreed otherwise) for IW UK to contact if necessary. 6. IW Leaders must give all participants and Group IW Leaders/Teachers in-country contact details for all members of the Leader Team, contact details for all accommodation on the rest of the trip and any incountry contact who would assist in the event of an emergency plus the Inspire Worldwide 24 hour emergency phone number. Low 1. Inspire Directors to have made specific assessment of the itinerary and deemed it fit for each specific group s skills and experience. 2. Itinerary and activities checked by teaching staff or corporate safety teams before confirmed. 3. Inspire Directors complete a specific risk assessment which covers all aspects of trip. 4. Specific On-Site Risk Assessments updated by Inspire Leaders during the recce week and daily before any activities take place. 5. Any last minute changes to itinerary must be approved and risk-assessed by Inspire UK beforehand.
